DMS Issue

I created a DIR and it is in released staus .
I change the status from released to correction. One class is already added in the DIR. I want to add a new class in that DIR. but the system won't allow me. Message appearing "Multiple classification not allowed"
Can anyone help?

Hi Sandeep,
1) all other customization in DC30 and DC20 remains same while in DC10 u need to do the following change if you are not using KPro.
under define document types, for particular document type u need to uncheck "Use KPro"
at almost bottom of the same window u need to specific File size (~1500000 or more) which indicates storage in SAP database.
2) Yes, it is possible to customize one document type with storage under DMS & other with Knowledge provider withing the same client without any problem.
When you are in need of using SAP database, uncheck Kpro and mention File Size in that particular Document type.
When u are need of using KPro, keep File Size blank and use Kpro.

SAP DMS Issue - CV01N

HI all,
I had integrated SAP ECC 6.0 DMS with Content Server.
In the current Scenario, documents are to be uploaded in Content Server and later documents are to be linked with SAP application. (Say to ME22N - PO Transaction).
My concern is, Can't we directly attached the document at Application level (say in ME22N Screen) and same should be visible in Content Server.
Pls Note: I do not want to use SAPOffice Attachement facility which is avaiable at Application (ME22N PO Header Level)
For your Information, following settings are done in Kpro
==> Content Repository Defined with Document Area "DMS" and Storage Type "HTTP Content Server".
Transaction Used : OAC0 and CSADMIN
==> Category is defined for Document Area 'DMS' and Content Repository ( Transaction :OACT)

I agree with Sachin that DIR's can be linked only to PO Item and not to PO header. If you want to link documents to PO header, you will have to go for development.
If object link at PO Item level is acceptable to you, and you want to create and link document from ME21N, try following-
Define a document type with Internal number generation and no mandatory field in DC10 transaction.
Goto object links and configure object link to PO item(EKPO)
On "Define object links" screen, put option 1 in "Create Document" field.
In DMS-> Control Data-> Maintain Screen for Object Link, enter "1" in "Auth" field for EKPO object.
After those configurations, when you are creating/ changing PO, Click on PO item, and click on "Documents" button. You will see "Create Documents" icon. From here you will be able to create documents without going to CV01N transaction.

DMS issue - backend program

Hi Experts,
I am facing one problem in DMS as not able to create documents from backend(scheduling job - files pick from application server) and getting error message : Error while checking & storing .... but when I tried this from foreground, able to create documents(files pick from presentation server). I have used bapi BAPI_DOCUMENT_CREAT2 in both the programs for creating document in CV01N.
I have checked all the configurations in system & everything configure properly and also analyze the configurations with the assists of SDN DMS suggestions.
I have placed all the images(jpg) in application server and tried to create documents from foreground(files pick from app server) but getting same error message : Error while checking & storing.
Actually I have to create nearly 30 thousand documents with attachment & linked with BOM. I have few doubts on documents creation.
1) Is this bapi BAPI_DOCUMENT_CREAT2 will support backend execution, if not please let me know is there any approch to acheive this requirement.
2) If its support then what I need to do at my end or check in system with basis team.
I really appreciate those who will give some suggestions or solution.

Hi,
You have placed the file on the application server and trying to
access via front end. The presence of file on the application server
could be seen via AL11, however, you cannot access the file directly
from windows. This is the reason you get an error.
Could you make following changes to the data carrier settings in DC20
and check if this works:
1. Goto DC20.
2. Double-click node 'Define data carrier type "server, front end"'.
3. Select the data carrier type.
4. double-click node 'Identify frontend computers'.
5. Observe that there is no information maintained here. Could you try
to add the relavant front end type computer and configure as per
your network path.
Also, you could use the F1 help for the data carrier to customize as
per your business scenario. I found a informationfor other customer
which might be useful for you.
Please have a look:
Start transaction 'DC20' and double click on folder 'Define mount
points/logical drive' in the dialog structure. Then create a new entry
(new data carrier). Enter a name for the data carrier, select a front
end type (usually 'PC') and finally enter the path of the network
drive directory, where your original files are stored for editing.
If now a user goes and creates an original file in CV01N/02N (user
must be assigend to frontend type 'PC'), he only has to enter the data
carrier, which serves as a prefix for the network directory (e.g.
//servername/DMS/files/). And in field 'Original' the user only has to
enter the actual file name.
Perhaps another workaround in this case would be :
- Read the orginal file with FM "CV120_READ_FILE2TABLE" within a internal table
- Call FM "CVAPI_DOC_CHECKIN" to check-in the internal table and not directly the file (parameters PF_CONTENT_PROVIDE = 'TBL')
The main problem here is that from DMS point of view the original file
needs to be accessible locally to be uploaded and checked in
successfully.
As I tried to explain above the file in the application
server is not accessible from Windows and therefore also the API
function module is not able to checkin the file to the archive.
Therefore I suggested to maybe read the file to an internal table with
function module "CV120_READ_FILE2TABLE" and then the system should be
able to access the file. From DMS point of view the upload always
fails if the system is not able to access the file to upload.
I'm sorry that I cannot offer you another proposal in this message but
the mentioned scenario is a quite special one. From the current DMS
standard point of view we also recommend to use the KPRO storage which
offers several additional functionalities for storing original files
in DMS.
However also when uploading the file to a KPRO storage
category the file needs to be accessible from Windows.
For further help I can only suggest you to get in touch with your
local consulting organisation who will surely try to find a suitable
individual solution for your scenario.
I hope that this information could be useful for you. Generally the
checkin of files to an archive should work as far as I know. But there
are a lot of environmental influences in such scenarios and therefore
it is hard to define a standard solution for it.

I have used SAP doc mgmt for years. We copied a client and now when I configure a Class to my DMS DIR and go to CV01n Additional Data NONE of the characteristic entry boxes show up. Additional Data is blank.

It appears there must be some high level setting missing in the client. I have checked all authorizations and cannot find a difference between this client and all of the other clients we have. Only this one client does not show the class characteristics in the Additional Data tab.
Any ideas of why this standard function is not working). It does not matter which DIR I config the 017 class to, nothing shows on Additional Data.

The issue is resolved. We are working in a sandbox with Class configuration on a DMS issue related to standard class 017. There are no standard settings in SPRO - Cross-Application Components | Maintain Object Types and Class Types | for the object type DRAW that will allow "auto-populating" characteristic values as we do with VC class 300.
For whatever reason DRAW and class 017 are not configured by SAP in the same manner as class 300 for example.
We made a config entry for DRAW Class 017 VBAP. Let's just say the system did not like that.
We are exploring other options.

How to get Sales Doc Output into DMS?

Hello, I am very new to the DMS...
Is it possible to configure SAP to send output of a sales document and follow-on documents (order, service and prod orders, delivery) to DMS?
Does it require going through ArchiveLink?

Slow DOCUMENT after upgrading & 8209 when saving docs

I'm having problems after upgrading to OES + GW2012
I'm getting bad Vibes from NTS... no punn indented !
Here is my situation:
Upgraded to added a OES Server to Existing Tree
Copied data from Netware server after checking
Upgraded Groupwise - domain and PO only
setting paths, IP, Access right to external library folders
everything works BUT... DMS issues
only some docs open or able to view - (access seems slow - view on Netware is instant - on oes / gw2012 SLOW...)
hardware is QuadCore Xeon, 8Gb RAM, Adaptac SAS Controller with 15K RPM SAS drives
Original NW Server is 7200rpm SCSI, 4Gb Ram, DualCore Xeon
(although for the trial upgrade I mirrored onto IDE and speed is just as good!)
as I said some docs don't open
those I can open - I get a 8209 error when saving
I happen to mention to (NTS the procedure is almost the same as I have done before on small system
this was simply EXT3 based system & the Lib was under PO...
NTS suggested the recommended location for DOCS is under the PO - this is contrary to the Novell docs as External is recommended
NTS Suggested NSS could be issue with regards to speed !!
Anyone using EXTERNAL Storage locations (on the same Linux OES server ?)
NSS for storage ?
6 Trial runs and same behavior (Process is similar to Novell docs / Caledonia book)
any issues on upgrading !

I get 8209 when the GW Client doesn't not have the "Save and Check out"
File Location set to a valid path (Tools / Option / Environment / File
Locations)

Conversion of XST file to XML file and vice a versa

DMS Document Validity date issue.

Hello All,
I have an issue in DMS Valid from Date & Valid to date as below.
In our Document type when our document status is set to OB i.e. obsolete, in front of the status, system is showing two dates like 22.01.2014 to 31.12.9999.
We are not using change number functionality in this document type. But still system is showing two dates. When document is in RE i.e Release status system is showing 22.01.2104... date in front of the status.
Could you please let us know why it is showing two dates in front of document status.

from my point of view I can inform you that these dates are validity dates for the document. Normally these dates are filled when the document is released to show which version of the document is valid or was valid in a specific period.
By using menu "Extras" >> "Versions". Here a list of all versions should be displayed and the columns "Valid From" and "Valid to" should show the validity dates.
Normally these date values are only filled when the status has set the "release" flag in transaction DC10.

DMS configuration done in SAP R/3 and able to see all configured document types in sap easy dms as well. But document description wrongly showing under document types.

DMS Connector to Portal Issue PDF files does not work

I have a general issue regarding PDF files from DMS, these files are all defect when opened through the portal (works fine through backend access), but other document types works fine (like .doc;.ppt, *.xsl etc..).
It is possible to download the file to your local pc, but still the same error occurs.
When Adobe Reader opens a info box shows The file is damaged and could not be repaired.
I have tried to update Acrobat Reader without any luck.
Any ideas on how to solve this issue?

I will never understand why but in the end I rebuilt my 32 bit dell laptop from scratch and the pdf files can now be searched.
I cannot search them on a mapped drive as I was able to with Windows XP because now they must be indexed and windows 7 will seems not to allow a mapped location to be indexed which must be done to make the pdf files searchable so I have had to move the files to the local drive.
My Windows 7 64 bit systems can search the mapped drives just fine without needing to be indexed. Again I will never understand why this works and the 32 bit machine does not.

CProjects to DMS connectivity issues

Hi Everyone,
We are currently integrating SAP DMS in cProjects.When we try and open the originals of a DIR, the following error messages are displayed:
Application log contains messages for links to SAP R/3 DMS
Message 1: Create Document Link to a New Folder ( application log - subobject: LNK_2_NEW_FOLD )
Cross checked the RFC connection b/w the systems. Seems fine. Please note that SAP DMS is on ECC5.0 and cProjects4.5 is hosted on CRM 7.0 server on two separate systems. Do let know incase you have resolved issues along similar lines. Thanks.

I have seen this issue many times before and it always turned out to be an issue on the Telco network. It's quite possible either the line itself or some equipment on the provider network mayn't be provisioned for DATA or faulty equipment on their network.
Let us know how you do with it.

DMS--- C Drive frontentd document storage Issue

Hello Guys,
This doubt is pertaining to DMS ,
We all know that once the originals are Saved in secured storage area inside DIR and while accessing the originals for DISPLAY /EDIT OR CHANGE mode in the front end system the copy of originals are stored automatically,
For example: i have set my Data carrier path as C:\temp\ and when ever i process a copy will get save in frontend system.
i knew its a standard practise but i was shocked seeing my C drive its completely packed with more GB of Originals.
My request to all is
1) Will not be after an year my c drive is complely jam, my system performance will get slow due to that.
2) is there any work around so that C drive dost affect and i can still store my documehts on other disk(is this advisable)?
3) Also if the design dept when they use just imagine we have transformer pro\e(igs data) which is huge in size .just 5 files occupies huge space.
This issue strucks the whole implementation of DMS...
Help me out in this regard by suggesting a suitable method to solve this issue.

Hi,
please see the SAP note 741388 which explains how to set the OLE2 flag and avoid that the local created copy for displaying remains on your PC. Without the OLE flag the system always creates a copy under C:\temp (maintained in DC20). But with the OLE2 flag this copy will be removed after you close the display again.
To avoid completely the copy of an temporary file to your PC you can use a BADI implementation.
There exists the BAdI method DOCUMENT_FILES01~AFTER_START_APPL .
You can implement the following coding, which deletes the file even when the user is viewing the file. I hope this solution is useful for you.

DMS Integration Issues

Hi All,
I have integrated DMS with KM. I am able to see the files. But I have 2 probs
1: the file names are displayed like this.
10000001,TEC,000,00,469BB43537697394E10000000A02107C
I want to change this. The last part is the "loio"
. I want to remove that and put Description. I have followed this help link

But this is not working for me.
2: When I click a file name (above name in prob 1) , I know its a word file. But its not getting opened in word, All files in KM are opened propery, but not the DMS files.
I think this is the prob with MIMEs, since I am using User Mapping.
How can I solve this issue?
My i am in Netweaver 2004s.
Any help will be greatly appreciated

Dear George,
I know exactely this issue only when using older versions of the DMS KM connector. You'd best assure using the latest SP/Patch level.
On such issue I'd anyway file a message on Component EP-PCT-PLM-SR3, guess this will be most efficient here.

Some suggestoins about my issue?
More precisions: First time i've tested my connector it work correctly (no error) However, i can't see only "Dynamic folder". After some modifications on my connector configuration: variant and default storage I've got the previous error.
Even come back to initial configuration i continue to get the same error.
