DMS - PS Implementation
Hi DMS Gurus,
Greetings for the day..
I have one basic question is that, without implementing DMS, can we not assign any kind of documents?. Presently, we are not implementing DMS system.
Apart from the above, can we assign Win documents which are avaialbe in our system to WBS, Activities when we click on icon documents.
Also would like to know "Functiona Modules" and Tables for Documents.

Hi!
From my point of view you should be able to attach document also without installed DMS. Then you won't attach documents by the DMS transactions like CV02n for example. Without DMS you can directly attach documents like PDFs or something else.
Concnering the Function Modules and Tables I can give you the following information:
Tables:
DRAO original data from Vault
DMS_PHIO2FILE also original data
DMS_PH_CD1 also original data but if stored in KPRO
DRAW Documentdata
TDWX OLE2 flag or application data
TDWE Frontendtype
TDWOD Only New Auth flag links to objects
TDWP Workstation application data

All Document BAPIs (see SAP Note 766277 which contains the whole BAPI documentation)

SPRO---Cross Application Components --- Document Manageremnt
1) you can attach the document to external document
2) you can attach and Manage the engineering change documents to Material Master
3) you can define allowable document type for (ex-only MS Word doc can be attached)

HTTP 401 Authorization error in DMS KPro implementation
Experts,
We had setup the DMS KPro with Http Content Server. Getting error '401' HTTP Authorization.
Please suggest on action to be taken - We are stuck up. CSADMIN - not allowing even if 'Everyone' authorization given in the OS.

DMS workflow and signature strategy
Hi Everybody,
In one of my scenarios i am working on DMS, to implement signature strategy i created two roles called Manager, Designer. Designer is the predecessor for the Manager. I defined these all things in Signature strategy and they are working fine. But my problem is how to link these roles to the real-time users. I am working in IDES. In IDES we can do approval with any login. But in real time i wanted to link these roles to real-time users. One more question is how to link these signatures with organizational plan. Suppose manager changes for a particular designer. The request should go to new manager. Where to define these all things? Is there any relation for this question with organizational plan and Workflow?

I am currently working on DMS in an ECR/ECO workflow.
All the documents need to be digitally approved. I am facing some problems ... here are some of these ...
Documents have three statuses and the it requires 3 parallel approvers.
RA - Ready for approval
IR - Initial release
RL - Final release
As soon as the document reaches status RA, it routes to the 3 approvers. So the first person signing the document changes the status to IR and then signs the document. The workitem then dissappears from his inbox.
Now the problem is - the work item dissappears even from other 2 approver inboxes.
I have used the method DRAW - EDIT in the task that gets signatures and the terminating event for this step is DRAW - CHANGED. I have used table driven dynamic processing to route the work item to 3 approvers.
My requirement is typically this: Workflow triggers when the document status changes to RA and routes it to the three approvers.
First approver changes status from RA to IR and then signs digitally when system asks him (we have set up signature strategy at IR status).
The second approver when he sees the document in his inbox sees the status IR and knows that the document is in approval process. He too signs the document.
Now when the third approver signs the document, workflow has to change the status to RL (final release).
I am completely new to digital signatures too - please let me know if u have any useful information/material/functions/programs covering DMS and Digital signatures. Please send them to my email id [email protected]
Also let me know if u know if u have idea as to how to achieve the above said requirement.
Also one of the most important things I need info is linking signature authorizations and org model positions. Will u please elaborate on this????

How to find a path in Application server?
Hi,
I have a reqirement that i need to download the original document which is attached in the DIR links for each line item in the PO.
Say for Eg. user is uploading the original document in CV03n.
Through program i have to download it and save it in local desktop.
But as per my concern when user uploads that document in CV03N, it should get updated in application server.
I wants to know how can i find that path through the document got updated in AL11.
Please let me know if you have any idea on this.
Also please let me know if my question is not clear.

It depends on how DMS is implemented in your place.
If DMS is implemented along with CONTENT SERVER, then the actual document uploaded is stored in CONTENT SERVER and only a link is saved in SAP DB and whenever you refer to this link the image is being retrieved and displayed.
If you dont have content server then the uploaded documents are stored in your application server only. Generally the big companies which implement DMS do have a content server otherwise DB size will grow enormously in no time.
Once you check out the basics of ur requirement, then search through FM's available related to DMS.

Whenever you are implementing SAP DMS for any client Following are steps necessary for Implementation of SAP DMS.
1. Gathering of Customer Requirement in terms of Expectation from Customer from SAP Document Management System in terms of Using Create ,change ,display ,search ,Distribution and Linking into various business process.Method of Storage of Storage is very Important Part of the Solution.So server sizing has to be carried out Properly considering the Future growth.
2. We require ECC 6.0 for Implementing SAP DMS. No Seperate Licencense Require.We can use SAP Web DMS to work on SAP as well as Tool called SAP Easy Document Management System 7.0 which is latest.This is similar to Windows explorer.
3. You can store Document in SAP Archive, Vaults,SAP Database or Content Server.So seperate server would be required for Storage of Document.But method has to be decided first.
4. If customer want web based ascess you can do it with SAP Enterprise Portal also.Standard Business Packages are available which can deployed on SAP EP with litlle Config and ready to use.
5. When Gathering Requirements Divide your client Organization Based on Function Such as Engineering , Marketing , Sales , Projects , Finanace,Stores , Procurement etc. And get requirement from each function seperately in terms of Documents handling ,storage, Appproval process, Whether Versioning , Revisioning is required.How documents flow from on function to anather.And Many more.

1. Identify the document types
2. Group them as Original files and additional files
3. Decide your numbering scheme and ranges
4. Deploy a content server / KPRO and define storage categories
5. If need be deploy a conversion engine.
6. Define your content versioning, Versioning, revisioning strategies,
7. Define the relevant Work station applications
8. Determine the status network
9. Work out your roles and authorizations
10. Determine how change management gets done
11. Determine the release strategy.
12. And most importantly legacy Data migration to SAP.
Well my friend thats all I can think of on top of my head. Its easier said but there is whole lot of Business process involved aound each of the above mentioned steps. There is also lot of other processes and development involved specific to the clients requirements. Anyways I think you must have got a general idea of the activities, what is involved and what it takes for a DMS implementation. Generally DMS implementations are single phased, they also involve Data migration. They have the typical SAP project approach like BP phase, realization, testing and implementation then Go Live.

How to enhance table control in DMS. Need to display doknr more than 25 cha
Hi there.
In transaction IL03 - document tab - I need to display a doknr which is longer than 25 characters.
I search for exit/enhancement for DMS - saplcv140/control SUB_DOC, but cant find anything.
If it is not possible to enhance this field, i would like to add a new field (more than 25 char) and fill in the long doknr.
The documents that are attached contains both an internal docnumber(from the external system) and an external docnumber (functional location type of number). It is very important to show external documentno in the table control.
Actually in the table DRAW the external dok number is in the field MRK_FILEP. Can this field somehow get in the tablecontrol?
Anybody has experience with docno longer than 25 characters? Or how to enhance tablecontrol sub_doc (screen 0204) in fuction group CV140.

Liselotte.The BAdI CRM_BADI_RF_Q1O_SEARCH is for enhancing OneOrder based searches. Not for business partners.
The BAdI CRM_BUPA_IL_SEARCH is the way to go. I just checked in our system.
In the method SEARCH_CRITERIA_INITIAL check if your field is supplied in IS_PARAMETERS. If yes return CV_IS_NOT_INITIAL = 'X'.
Then in SEARCH_PARTNERS you delete the entries from table CT_PARTNER_KEYS according to your parameter.
However this is not very performant. If you have a search with criteria only of your own for the BAdI SAP coding will first select everything and then you filter out.
Anyway, it is much faster to implement than a new search...

If its a new implemenation you will not face problem , but you need to configure everything accordingly.

Disable or Deactivate Delete Button in SAP Easy DMS.
Dear All,
My client is using Easy DMS and is working fine. Now the issue is as soon as files become more in Private or Public folder he is Deleting Documents using DELETE Button which is available on the Tool Bar. Whereas if he uses Delete Document from Context Menu it shows Authorization is not given to delete the Document.
Is there any way to overcome this by Disabling or Deactivating Delete Button on the Toolbar.

We're starting to implement SAP Collections & Dispute Mgmt. One of the things that excited our business users on the SAP solution was the ability to attach unlimited (word, pdf, jpg, email, etc) files directly to the Dispute case. However, we have a large volume of disputes and estimate to wish to attach an annual total of ~500,000 files, ~200Gb directly to Dispute cases.
But I'm confused as to the options we have in doing this and the potential pros/cons related to those options. From the documentation I have found, I see references to SAP DMS (Document Management System), SAP CMS (Content Management System), SAP RMS (Records Management System), SAP ArchiveLink, and also SAP integration "3rd party DMS solutions" (whatever those are...)
Is SAP CMS & SAP RMS the same thing?
Has anyone implemented a 3rd party DMS solution? If so, what were the benefits of this over the SAP solutions?
Has anyone else implemented Disputes with a large volume of attachements?

DisP.Mgt uses RMS as base so when you link objects in UDM_DISPUTE then you already using RMS. Archivelink & CMS are connected to RMS so if you create an archivelink document in UDM_DISPUTE, you would be creating an archivelink document in ARL already.CMS is in the base for managing content. This is done for all RMS objects & would already be set up. What is means is that if you store say a archivelink documetn then meta data is stored in sap DB but content sits in content server. This content server can be SAP own or 3rd-party. Same goes for RMS objects like cases, records, editable documents.

i have searched a lot about Creation of new object link for DMS on internet .
and all replies focus on that documentation :
1. Program two screens for the following module pools for the SAP object that is to be linked additionally:
u2013 SAPLCV00
u2013 SAPLCVIN
The process logic must be according to that of screen 0204 in program SAPLCV00 and must not be changed.
2. Create the function module OBJECT_CHECK_XXXX (XXXX = name of the SAP object).

File download from DMS into Webdynpro for ABAP application
I need to download the file from DMS content server on the PC and with my application on clicking of file name, file needs to be displayed.
To achieve the downloading part I tried BAPI_DOCUMENT_CHECKOUTVIEW2, but it is not working.
If I pass the parameters
PF_HTTP_DEST = 'SAPHTTPA'
PF_FTP_DEST = 'SAPFTPA', then it returns error message saying file can not be saved.
If I don't pass above parameters then it gives me 'RFC_START_PROGRAM' error.
How to download the file from DMS in WebDynpro and read/display the content?
