DMS Scenario
Hi,
I have requirement in DMS(Document Management System). The funcational guy is asking for a 1. provision to upload document into specific path ( DMS Server), whenever the user selects particular document.
2. Whenever the user opens the document from CV01 or CV02 or CV03 the system shud promt for UserID & Pwd.
Can anyone give me solution, like hw to proceed with this requirement.

DMS Document Storage in External Content Server
Dear All,
We are working on a DMS scenario, where we need to store the document in an external content server, and not in SAP DB. We are evaluating the solutions around the content server, and we see that SAP provides a HTTP Interface to SAP Content Server, and this interface can be configured through OAC0 and OACT, and managed through CSADMIN. Now, a set of questions:
1. If we intend to use SAP Content Server, do we need to purchase additional license for it? Our understanding is that the software is delivered with SAP Installation DVD, and as such no licensing charges are required.
2. If we DO NOT intend to use SAP Content Server, and rather use an external content server (Possibly utilizing the File System at the OS level as a repository), how will the configuration of OAC0 and OACT look like in such a case? We definitely can not use HTTP Content Server as storage type, How will the entries be organized in this case?
Has anyone worked on a scenario like this? It will be really nice if you can share your experience and expertise in this regard.

Thanks for the clarification. Do I understand correctly that, for a external content server (without an installation of SAP Content Server) also, we need to specify the storage type as HTTP Content Server ? But in such a case, how will the work processes be handled? As I understand, SAP Content Server engine will handle the incoming/outgoing requests through a Web Server. So, don't we need a similar arrangement for an external content server also? In that case, will the connection parameters be for a HTTP Content Server or for RFC Archive, where we can specify a RFC Destination of type G and connect through it?

Hi Everybody
I am exploring document structure functionality /DMS other along with Engineering change management for document approval for a complex project. The various drawings pertaining to various activities viz. mechanical, civil, electrical etc. will go thru approval process.
Is there any preconfigured DMS scenarios available in IDES. I could not find any.
Anyother clue to achieve the above purpose is also welcome.

generally there should be some document types maintained in transaction DC10. This can be used in transaction CV01N for create your own sample document info records and start testing in DMS.
Further useful information could be CV02N (edit), CV03N (display) and CV04N (search).

Using GOS scenario/attachment in header level
1) I believe if i am attaching some file(pdf or doc) to PR/PO document using GOS, the file is stored in
SAP db table(table SRGBTBREL & SOOD) by default
2) In case of DMS scenario, what happens with respect to attachment file and storing part.
I observed only original files(min 2) attached in item level can only be managed or stored in DMS scenario(in sap file server/Content sever). To do this we need to configure DMS setting(DC10,20,30) in ERP system.
I want to know how GOS attachment is stored physically and managed by archivelink.
pls shed light on this.

File Adapter -- File Format (Mapping Error)

Method to Read or Open files without going in to GOS-- View Attachments.

I am looking for a mechanism to read or open a file which is stored in SAP Database ,rather going to SAP transaction (like Nomination O4NSN) --> GOS --> view attachment.

But we are not using DMS scenario for attaching the documents. What we are doing
We go to a SAP tcode like O4nsn for TSW Nominations> then GOS> create attachment.
Now the sap attachment is created and stored in sap database. We can retrieve attached documents by going into the same tcode and GOS--> View attachmenmts. Since these documents are strored in sap databse i want to know some other mechanism to retrieve these documents.
Appreciate your help on this.

How to upload documents to DMS from web application externally
We have a webdynpro based J2EE application. We want to create a SAP DMS ( KPRO ) document using this web application externally.
Any inputs on this scenario ?
I am able to create similar using an ABAP report which reads the client file and create the DMS document using BAPI_DOCUMENT_CREATE.
How do we achieve this using external web application ..

A custom UI component will berrequired to upload the data from a Flat File into CRM WEBUI.
The View in this UI Component can have 2 fields lets say u2013 ID and File to Upload and a button 'upload'.
When the UPLOAD button is clicked , the event u2018ONFILEUPLOADu2019 is triggered.
A Javascript function u2018fileUpload()u2019 reads the Excel file and formats the data in the form of a long string with Line Breaks corresponding to each row in the excel file. This string is stored in a Hidden HTML form element u2018Excel_Datau2019.
In the Event Handler for u2018ONFILEUPLOADu2019, the hidden form element u2018EXCEL_DATAu2019 is read and retrived.

Avoid storing shopping cart attachment in DMS server
Hi Experts,
I had an issue in SRM extended classic scenario. When attaching a scanned copy of manual PR in the shopping cart stores the data in both DMS and filenet server. Due to image file the DMS server gets hanged due to this overload..
pls guide to to avoid this issue.

Thanks for your input, but the client business process is different. Archieving of file in the DMS is also done, but eventhough it occupies space in the server and getting down the process.
Is there any mandatory requirement for the set up, as all the attachments should go to the external data base (filenet) Via DMS or can we skip the DMS and save the attachment in the external database server.
Please give some light to proceed further.

How to view Retrieved file in DMS Archiving.
Dear All,
My client is specific about DIR Archiving. Now the scenario is DIR has been marked for Deletion and archived and Stored in a repository successfully. After Archiving DIR has been deleted from the Database.
Now using SARA Transaction using "Storage System" archived file has been Retrived and File name has been created in Archive Administration. System is displaying File name, Logical path and Physical File name. Below Physical File name it is showing "Archive File is accessable".
When I check using T-code CV02N Nothing is Displayed.
Please guide me how to see the Retrived File. My client wants to see the DIR with attched originals.
Please let me know if any configuration is required.

Execute SARA transaction. You can set a deletion flag for document info records that you no longer require for managing
documents and their original application files. Archiving object CV_DVS enables you to archive these document info records. After the archiving run, you can delete the archived document info records.
The document info records that you archive and delete with archiving object CV_DVS are
identified by the following data:
Document,Document type,Document part, Version
Follow the steps
1. Goto DIR which u want to archive and set them deletion indicator On from document tab
2.Go to transaction CVAR and create Varient for DMS.
3. Select the selected Varient
4. Click on Start date
5. slect the start time for writing,You can choose immediate or schedule later also
6. Select spool parameters, give output device and press procced, now archiving job wil be scheduled
7. Now u can check scheduled job by clicking Shift + F4 in same transaction
8. Select the job & click on Joblog
9. Note down The archiveing session no. is 0000xxx
10. Now execute transaction CVRE and enter read program as DVSARCH3 and execute
11.Provide the archiving session Number 0000xxx and execute u get archived document list.
12. For deleting archived documents execute CVLO transaction, Select the archived file
13. Select the No 0000xxx. & click on Continue
14. Select the start date,You can choose immediate or schedule later also
15. Enter spool parameter and execute
16. Now deleting job will be scheduled,
17. Check the DIR in CV02n, u wont get those archived DIRs

Which one is better way ? If we use document structure can we authorization for each level objects like in 2nd level one person is authorized for A1 another for A2 like way other levels also.

mainly you can work with both ways. The creation of a class which enables your users to classify each document info record and then control the permissions with the suitable authorization objects or by a BADI implementation will work.
Another solution would be to create a document BOM structure in CV11 or with the help of the new browser function in ECC 600 release. For further information on the browser function please see also the following link http://wiki.sdn.sap.com/wiki/display/PLM/NewFunctionalitiesinERP2005.
Additionally I think that EasyDMS could also be a solution to setup this scenario for your user. In the above SDN WIKI area for DMS you will also find a special content part for EasyDMS too.
In the release ECC 600 with EA-PLM extenstion you can use the ACL authorization concept to add individual authorizations for
users to single document info records. This could be useful to allow one user to enter folder A and another to enter only folder B.

Best practice for securing confidential legal documents in DMS?
We have a requirement to store confidential legal documents in DMS and are looking at options to secure access to those documents. We are curious to know. What is the best practice? And how are other companies doing it?

The standard practice for such scenarios is to use 'authorization' concept.You can give every user to use authorization to create,change or display these confidential documents. In this way, you can control access authorization.SAP DMS system monitors how you work, and prevents you from displaying or changing originals if you do not have the required authorization.

SAP DMS: Read document binary data stored in a 3rd party repository
Hi,
I'm totally new regarding SAP DMS and I'm a bit confused about what can or can't do, so maybe the question will be quite generic and unclear.
The scenario in my company is that we have multiple repository servers where we store our documents. When a document is created or modified in one of these repositories a new record is also created/modified in SAP DMS, but this DMS entry only contains the basic metadata information and a URL link to the document, not the content. When the user is in SAP DMS, the only way to access the document content, is via the link that will open the browser outside of SAP GUI and access the repository data using the laptop credentials.
I would like to know if DMS provides some kind of interface to be able to access the document content from SAP. Now we only have this unidirectional interface from the repository that creates the record in DMS with the metadata but there is nothing to retrieve the content.
Our main purpose is that we want to download all the files linked to a user (we have a logic to determine if a DMS file is linked to a user). The content of these files may be stored in different content repositories. So I would like to read the binary data in SAP from the different repositories and then be able to download it.

This FM can't work since there is nothing configured in SAP to access to the file content. The DMS record only has a URL pointing to it.
Actually what I want to know is what do I have to configure in SAP in order to be able to use a FM like the one you mentioned.
