DMS workitem from outlook to portal

Hi,
I have a requirement for DMS.
Once the status is set to customer review in SAP, workflow should trigger and send the workitem to customer(he does not have SAP) outlook(external mail- this is already configured). Once he clicks in outlook,he needs to take to the portal(view of CV02N).Once he changes the status (like approve or reject), workflow should notify some couple of people.
My question is how can get the link in SAP which is used to send to customer's outlook or external system for him to review on the portal.

Hello,
Extended Notifications are not going to help if he doesn't have SAP. They are mostly used to inform
users that they have workitems waiting for them to execute.

    I want to approve workitems from outlook. I learnt that we can use Microsoft Duet for this. Can you please tell me whether Duet can be used for approval from outlook for both standard workflows as well as custom workflows. Also please tell me whether irrespective of workflow being standard or custom the features, content and process of approving workitems from outlook, will it be the same for both the case. Or will there be any features or functionality that will be missing or can't be incorporated in case of custom workflows. Will only a link be displayed in outlook clicking on which it will open the workitem or will the workitem similar to that displayed in SBWP be displayed. In caseof link then it will a round about way of approving from SBWP.

          You are asolutely right ,there are 2 appraoches -
    1) Microsoft Duet
    SAP provides Leave Management in Duet .
    With duet , any  SAP workflow approval step can be handled Through Microsoft outlook .
    For this the prerequisites are
    a) MS office client
    b) MS windows server
    c) SAP ERP
    d) MS exchange
    in Duet the user is logged on to windows and gets validated with SAP,
    you can search more on leave management through duet .
    2) extended notifications
    In extended notification , workflow work item would be sent in MS outlook inbox .User will be asked to provide SAP login and id and password to access the workitem .This will open SBWP for them .
    this can be checked using report RSWUWFML2.

  • Error in SAPLogon executing a Workitem from Outlook.

    Hi everyone, I have set the communication between  SAPWorkflow and Outlook, SAP send the workitems to the Internet account for each user without any problem. The situation that I got is when Iu2019m executing the Workitem from Outlook and It try to make the logon to SAP, this is what happened:
    . In the Outlook message I make a click over the attachment to execute the Workitem.
    . The interface shows up a pop up to type the password for the user which own the Workitemu2026..Itu2019s ok so far!!
    . Once when I have type the password, thereu2019s a second window which correspond to the main and first SAP window to ask for the initial information (Client, User, Password) but in the bar below, thereu2019s an error telling me that the Client is not available on this system, and the field for the client is in blank; so I have to type the client and the password again(something wrong here!!), but the user still fine.
    . After typed all those fields (client and password), the system make a logon and brings me the right transaction and the rest works perfectly.
    I donu2019t think the error could be in field SAPLOGON_ID  in the variant for the program RSWUWFML2 because I have set this variant several times in different SAP systems  with the same information and works fine, for your information, this field goes in blank.
    Thanks any help to avoid this error in the logon system and be able to enter directly to SAP system.

    Hi Aditya, I really don't understand your comment, I sent you the version as I wrote you before on this forum in this topic (see *), additionally as I wrote here, I've found the solution and It wasn't related to Windows or Internet Explorer, The problem as the note that I attached says that the problem is because the standard  SAP function to create the shortcut does not have the right parameter as We need (SY-MANDT).
    I think this is very reasonable answer and good orientation for anyone.
    Anyway, thanks a lot for all your help.

    I really think Windows and my machine are not the problem because I have another Client in which It's working perfectly. So, all the fact point to the Client configuration in some place in SAP installation.

  • Open UWL workitem from outlook mail

    I have a requirement to execute/open workitem of UWL, which should open from outlook...
    I have searched for the same in sdn forum and SAP-WUG, but was unsuccessful to find the exact solution...
    I have used 3 technique to achive the requirement, but they are not working and also don't know it is a right approach or not..
    1) Maintained the UWL url in SWNCONFIG-> General setting -> INBOX_LINK_URL
    2) Configured setting as suggested for Extended notification and UWL in link

    3) Maintained link in SWNCONFIG-> General setting -> WD_HOST and WG_HOST

    I am not sure the requirement is possible or not...
    If it is possible then please suggest the right approach and the techniques I have tried are correct or not?

    I am very new to workflow. So I don't know why and where webdynpro application is used in my senario... And I will be very obliged to bare with me if I don't understand any terminology of workflow.
    I would like to share my complete senario with you.
    I have a existing workflow on "COURSE BOOKING" which is already working on production perfectly. And the manager is approving it on UWL for it.
    Now the requirement was given like this... I was told that manager has to search the workitem in UWL and had do refresh many time. So they asked me to provide a link or attachment of UWL's workitem directly in notification mail, so that he only needs to click on that link or attachment and required workitem in UWL will open and he/she could make decision.
          The requirement is very similary to the notification mail generted by program RSWUWFML2, which has 3 attachements and among them 1 is of Execute Workitem, which open up SAP R/3 inbox's workitem directly. Means he doesn't need to search in SBWP...
          So here in my case instead of SAP R/3 inbox workitem, he should open Portal UWL's workitem directly.
    Now I come to your question about "webdynpro application launches workitem". I don't know where the webdynpro application comes into the picture...

  • Workflow - Error starting workitem from Outlook

    Hi,
    We have an issue in the workflow wherein, the workitem when started from outlook gives an error"Page cannot be displayed" ( like the one we get in a net browser).
    When the same workitem is started from SAP inbox it works fine.
    This one seems to be a compatibility issue between MS and SAP, but we are not sure where.
    Have anyone already faced an error like this? Any help would be greatly appreciated.

    It might be the SapConnect settings that need to be adjusted. There are number of OSS notes that might help:

  • Problem with opening Workitem from Outlook.

    Hi Experts,
    When I have have a workitem I receive a mail in my outlook with an SAP Icon. When I click the icon, it opens the SAP screen and I am unable to see my workitem and also cannot close my SAP. I have to close it from Task Manager by clicking End Process.
    Could you please let me know, what could be the reason.

    Hi,
    The workitem is not completed, it can be viewed if logged on to the SAP system externally (not from the Icon in outlook mail).
    The issue is it cannot be viewed and the SAP screen hangs when it is clicked from the Icon in the Outlook mail.

    we access SAP via Citrix and we want to execute workitems from outlook (by a decision task).
    I use the report RSWUWFML2, the user receives e-mail with corresponding attachments to execute the workitem, but I don't know, how to open them.
    Do I have to set up anything special?

    Are you not able to open/execute the workitem ?
    Does it give you error ?
    I have built scenarios of executing the workitem from Outlook,
    in order to do that, you need to run the report RSWUWFML2 in background, hence create a variant for the report with following checkboxes ticked,
    X  New workitems only.
    X  One message per workitem.
    X  Workitem Execution.
    After you run this report in background, you need to create a shortcut of your transaction to which your workitem should lead you.
    I mean, say on execution of workitem, you want the user to reach transaction ME54N, then create a shortcut for this transaction, by opening your client thru SAP, going to ME54N and clicking the shortcut button on the menu.
    Now, add this shortcut to your SAP GUI LogOnPad.
    Note* : you should have all the valid parameters in the shortcut.
    Thats all I did.

    Hi Jayanthi,
    If you found the solution well and good or else you can use the report RSWUWFML2 to save a variant and later schedule the report. The agents assigned to the tasks should have the email in the user master record.
    The user will be able to execute the workitem from outlook.

    I have a question regarding this thread.
    In case we are using the webservice BWSP to send every user a hyperlink and I have passed the hyperlink  in the mail step in workflow , so that on clicking on it they will be able to view their business workplace.
    1.Where should we do the setting for the logon credentials that is on clicking the link every user is asked for their user id's and password and then the business workplace opens up.
    2. Will he be able to execute the workitems or any other setting is also require.
    Also,I was going through your post on using web service to send a link to outlook where in you mentioned a piece of code to generate the hyperlink dynamically since details of host and port may change.
    Now how should the above setting for user credentials be maintained in that code.
    Your comments would be valuable on this.

    Hi SD,
    Yes indeed, you can Approve Reject your workitem from Outlook.
    You need to do some settings in SAP and it works.
    Talk to your BASIS to configure SCOT settings.
    You need to schedule a report RSWUWFML2 in background which sends the workitem to Outlook.

  • Problem in transferring the workitems into OUTLOOK

    I have configured R/3 4.7 with Outlook. The mails are floating freely from SAP to outlook.This is done through SMTP(E) configuration.To send the work items I am running the report RSWUWFML.The work items are getting displayed in outlook but with deactivated link.
    Now my problem is how can a user access workitems from outlook & also how does the mail comes into SAP. For these what configurations to be done at the Exchange server side.Please guide me.
      Recently My mails are also not  passing to outlook. There is an error SX_GENERATE_NDR. I have gone through some of the OSS notes, they say to check with kernal patches.It's meeting the kernel requirements.So, what could be a problem.How can I resolve this issue.Appreciate if anyone can help me.

  • Executing/accessing workitem(approv./rejects on BSPage ) from Outlook

    Hi
    Could you plz guide me on the following requirement.
    A request should be approved by manager. And its a BSP application. Both request creation and approval is through BSP pages. I understand we have to generate(from WF_EXTSRV) a WF Task with reference to Approval BSP page. And include the same task in the workflow. So whenever a request is created, a workitem will be sent to manager's SAP-inbox. so when workitem is executed approval BSP page will be opned in a browser where manager will either approvr/rejects[he will also provide reason on the page].
    But the business process is such a way that manager will execute the workitems only from outlook.
    So now my question is, workitem should be availble in outlook for manager's access. How a mail can be sent to manager's inbox with links to workitem, whenever a request is created. So that when clicked on the link, work item should be executed & approval BSP page should be open in browser. Manager will either approv/reject the request which is in process. And then manger's action should be sent back to workflow.
    Please let me know what configuration is required in order to achive this requirement. let me know where can i find the help(URL) for this configuration.

    So if i get this right, you want to send a mail from the System to the Manager. The Manager should receive a link to the correct BSP Page. OK i use something like that...

  • Error while running leave request Workitem from UWL

    HI,
    While running the workitem from UWL in MSS we are getting the following error
    URL http://sapdev.rediffsap.net:8000/webdynpro/dispatcher/sap.com/ess~lea/LeaveRequestApprover call was terminated because the corresponding service is not available
    i.e its is not launching the Web Dynpro application.
    As result I have checked the following :-
    1) Maintained entries as per SAP note 779075.
    2) Alias for the portal system has been set to SAP_WebDynpro_XSS and UWL has been registered with this alias.
    3) check entried for Task - TS31000007  APPLICATION - CatManagerApprove and PACKAGE - sap.com/msscatapproval which are set in T-code SWFVISU.
    Plus I have also tried the following changes.
    1) All the services in SICF are activated.
    2) I have tried setting the WEBASPATH to blank and set it to /webdynpro/dispatcher and /webdynpr/dispatcher/sap.com but it does not test the WAS connection as correct, but running the Workitem still results in the same error.
    I am running out of ideas now to correct this. Please help.

    i applied the note 779075 still same error is comming
    created three system SAP_R3,sap_its_xss, andsap_webdynpro_xss
    through which system i have to register the system

  • Filtering workitems from SRM approval Inbox

    Is there a way to filter non shopping cart related workitems from the "Approval" in box in SRM. We have some custom workflows for E-forms and would like filter these from showing up in the SRM approval inbox.

    Just curious - if the users aren't going to receive the e-forms work items from the SRM system in their SRM inbox then how are they ever going to execute them?
    The easy answer (assuming you have Portal) is to pull all your SRM work into the Universal Worklist and use the UWL configuration to create different views for the different types of work.
    Trying to do the same thing in SRM would be a pain and would involve modifying either function module BW02 or the BBPAPPROVAL html templates.

    Sure. You can use either Agent Inbox workflow or ERMS workflow to route the email to a specific Org.Unit, so that the agents can view the emails in their Agent Inbox.
