i know whole process of Document Distribution , but it is manual process
i want to Automated it , How can i ???

Hi Dave,
if you want to automate the distribution maybe SAP note 824949 might by usefull for you. Here the activation of the 'Event Type Linkage' is explained.
So please see this note and activate the event type linkage.

  • Document Distribution Workflow Error

    Dear Expert,
    After Up gradation from 4.7e to ECC 6.0 in new system we are facing problem in Documents Distribution, after executing Tr. Code CVI8 system generates message Initial order XXX has been successfully created
    But, the problem is, in tr. code SBWP document is not received in recipient ID and in distribution log(CVI9) document is shown with yellow flag & "PC" status (i.e. Package crated successfully).
    Actually we are maintaining same configuration in both system ECC 6.0 & 4 .7e but its working fine for 4.7e system not for ECC 6.0. Whereas Workflow log gives message "You have not entered a distribution order package"
    I already checked
    1) Re-activate the following workflows in transaction SWDD: WS20000104 & WS20000137
    2) In Tr. code SWU3, Automated workflow customization
    3) Activated Even Linkage Type
    4) In Tr. Code SWE3 Instances for Event Linkage.
    Any suggestions.....Thanks in advance...

    I have experienced a simliar problem. I'm trying my best to remember how it was resolved.
    I think the problem we had was to do with the Context.
    1.It had not been defined
    2. It was not assigned to an event

  • Email document distribution PDF attachment conversion error

    I have configured document distribution via emai with an attachment. My DMS documents have a single PDF original attachment.
    The email transmits fine through SAPConnect, however when I open the attachment Adobe tells me the file cannot be opened, and is corrupt.
    The issue seems to be in SAPConnect conversion, converting BIN to PDF. Any suggestions on the conversion function module or sample code for a fm to do the conversion are appreciated.

    regarding the information with the BIN extension I would kindly ask you
    to implement the SAP note 873597.                                                                               
    Further please check the following settings which helped to solve      
    such issue in the past successfully:                                                                               
    1. Go to transaction : FILE                                            
    2. Select DOCUMENT_DISTRIBUTION                                        
    3. Double click on "Syntax group definition"                           
    4. You will find the file length defined for "WINDOWS NT               
    5. Change the length value to 70.                                      
    6. Also for As/400 change the length to 40.

  • DMS Document Distribution Problem Pls, Help Will be appreciated

    When executing T-Code CVI8(Document Distribution), there is a system message that the order was successfully created. But when we looked at the distribution log using T-Code CVI9, the status of the document remains as SY and the processing of the distribution stops. We already finished the settings for document distribution and still this error persists. What could have been wrong? Pls advice.

    Hi Athol,
    i have checked the workflow config accordingly,
    workflow templates 20000104 and 20000137. are active.
    a. 20000104 BUS1082 x 2 (Initiated and Resend)
    b. 20000137 BUS1082002 x 1 (Resend)
    But the Release status for these templates is NOT DEFINED, should it be RELEASED & the container tab for 20000104 shows a warning icon(Mandatary import parameter)on partial order & intial value not set & same for 20000137 shows warning icon on distribution order package & initial value not set.
    what does this mean, is there any setting required for this?
    2. Transaction SWU3 – ensure that all has been generated (activated). Pay special attention to Maintain Runtime Environment -> Configure RFC destination.
    I HAVE checked the above all are active except Configure RFC destination, what is the setting required for the same.
    the 3, 4,& 5 setting what u have suggested are ok,i have checked them.
    Please suggest for the 1 & 2 points.

  • Error in SAP standard workflow ddoStart - Start document distribution

    Hi all,
    I'm trying to use the document distribution but i'm failing completely. After doing what i think is the necessary config (setting all relevant tasks to general task should be all), i try to distribute. I create a list, selects people and click go.
    When checking the log for the distribution later on, all workflows generated hang in the same place - namely the case branch before "check document distribution".  Further on, the "check distribution order" task does have three potential outcomes after calling the business objects corresponding method. The problem is that the method "check" of bus1082 (doc. dist. order) does not return a check value as a parameter, even though it has a result internally.
    I suspec i'm missing something here, but the wf still bombs out.
    Tips and tricks guys?

    HI all,
    Problem is identified and a solution is found. THe businesss object's methods for distribution order did not have the flag for result parameter ticked. Opening up the standard SAP objects, tick the box and voila - it works.
    Still puzzles me how SAP did release this. Didnt they test?

    Greetings!!!!!
    I am new to DMS,basically I am a PP functional person and am not having that much knowledge abt DMS,but aware abt the functional and how it is carried out at transactional level.
    I searched abt DISTRIBUTION process in DMS ,but was not able to found any suitable documents.
    I just want to know how "document distribution" is carried out,
    I can upload any type of req'd documents in the system through CV01n,and also able to maintain proper settings for it.
    But still not much awrae of docement distribution....
    Plz guide me in this process....Plz correct me if I am getting wrong..

    Hi Kokila,
    one possible reason can be a missing flag in TA SO16. Please check
    that the flag 'Organizational units' (under tab 'Adressing') is set and
    that no sending restrictions are defined under tab 'Send'.

  • Document Distribution with attached documents coming across in BIN format

    Hello all,
    I have 3 dist types defined in the system.  RML, RMA, and INT
    RMA sends to SAP Office and includes a link to the document defined in DMS and seems to work correctly.
    RML sends the document to SAP Office as an attachment but the attached documents always is in BIN format and cannot be opened by the application.
    INT sends to my external email but has the same problem as above, the attachment is always in a BIN format and cannot be opened.
    This works the same with several different applications in DMS, Word, Excel, Text Files, etc.
    Can anyone give me an idea what I may be missing in config that is keeping this from working correctly.  We are running SAP ECC 6.0

    Please check the following customizing in your system:
    1) Please check you have maintained suitable length of syntax group for
    Windows NT. Please maintain it more than 20.
    Please proceed as follows to correct this entry:
    Run the tcode SPRO
    Implementation Guide for R/3 Customizing (IMG)
    Cross-Application Components
      Document Management System
       Document Distribution
        General Settings
         Platform-Independent File Names
          Maintain file names and file paths across all clients
           Syntax group definition
    2) Please check the 'File processing' value for distribution type 'INT'.
    Please set it as '2'.
    Further please check note 355048 and as mentioned your settings in transaction DC30 for the workstation applications.

  • DMS-Document Distribution Setup

    Hello ,
    I would appreciate if any one can give me some idea's on config part of Document Distribution in Document management system.
    I maintained recipeint list and in CVI8 i started document distribution which gave me back an internal order number later i went to CVI9 to execute the initial order number which took me to Distribution log screen .
    There i get message like <u><b>Not assigned to distr. order package</b>,</u>i selected the Box highlighted pertiaing to that document and i executed for document distribution i received a message like <u><b>Only partial orders with status AS, MA, ER, WO, or WR are allowed</b></u>.
    Guys sorry i may be wrong with the approach on the above step i carried out but  can u breif me up what i should have to config and acheive my document distribution succesfull.

    please implement the attached note 1008281 which should solve this
    behaviour.
    Further please go to the swdd transaction and enter the following worklow
    templates (WS20000104 and WS20000137).Go to the edit mode and activate
    them once again.

    I have done document distribution and it is working fine..
    kindly check the following
    Steps
    1)Recipient Management
    Show all entries for recipient management
         User menu &#61614;document management system&#61614; Environment &#61614;Document distribution &#61614;Recipient &#61614;Office User
    Use the address info and communication type RML. Show all entries.
    2) Customizing settings :
    Under Document management &#8594; Document distribution&#8594; Distribution type&#8594; Define distribution types
    Click on the distribution type which you want to activate and make it default.
    3) Go to DIR, Environment ---> doc distribution ---> create recepient list and save  the recipient list.
    4) Start the distribution with your defined entries. T code CVI8
    5) Look at the log entries. CVI9
    6) Use the Workplace in the standard SAP menu. If you did everything in the right way, you will find an entry in your workplace ( t code SBWP).
    7) Refer Note 824949-Document distribution: for Activating Event type linkage.

  • Document distribution with restriction on Status of the DIR

    Hi all
    In my business scenario, I need to restrict Document distribution based on Status of the DIR.(i.e) A user should be able to distribute a DIR of a particular status(RL-Release) he cannot the distribute the DIR in status(IP-In process).
    I have maintained the following values in the auth. object,
    <b>C_DRAW_TCD</b>
    ACTVT : Create or generate, Change, Display, Distribute
    DOKAR : DRW
    <b>C_DRAW_TCS</b>
    ACTVT : Display, Distribute
    DOKAR : DRW
    DOKST : RL
    But still I am able to distribute the document in IP status(which I have not specified in the auth. object C_DRAW_TCS)
    Is there any change in what i have done or any new object to be added?
    Help me in finding out the solution.

    Hi Christoph
    I have generated the profile and assigned to the correct user. In ST01, when I tested the autorization checks, all auth. objects checks are fine except C_DRAW_TCS.
    For C_DRAW_TCS the auth. check is happening for only "03 Display" activity.It is not happening for the activity "59 Distribute". I have maintained the auth. object for both Display and Distribute. as follows
    C_DRAW_TCS
    ACTVT : Display, Distribute
    DOKAR : DRW
    DOKST : RL
    But the auth. check is carried out for only display.
    C_DRAW_TCS RC=0  DOKAR=DRW;DOKST=RL;ACTVT=03; and it displays Authorization check successful. For distribute the auth. check itself is not carried out.
    Help me in sorting out the problem.

  • Explode document distribution list / organisational unit

    I have configured document distribution. I am able to send mails through document distribution. However, I want to send mail to a group of users. Hence I have created an organisational unit with different positions and I have captured the e-mail addresses of the users in the respective positions. However when I capture the organisational unit as a recipient the following error message appears "  Orginizational unit/distribution list <Scroll Approver> contains no
    recipients". Also I am not able to explode the organisatinal unit.
    Please advise.

  • Document Distribution - Confirming Receipt

    Hi All,
    I have setup document distribution to use both RML & INT, with both distribution types requiring confirmation of reciepts.
    When distributing via RML the distribution log shows status 'WR' - waiting receipt
    When distributing via INT the distribution log shows status 'OK'
    Question:
    Why does distribution type INT not show status 'WR' - waiting receipt? Users cannot confirm receipt if the status is 'OK'

    The tick on the distribution type INT was not ticked & only the confirmation tick was ticked in the Recipient List.

  • Document distribution Status

    Hi All,
    I am new in SAP and I am for the moment trying to learn about document distribution in DMS.
    I wonder what I should do to get the Status for my distribution order to OK?
    For the moment the Status alway stays at PC, depending how I distribute the Status has been AS nad BD before staying at PC.
    In my example I have distributed via Recipient List and succesfully received the document with its originals to an email.
    I have tried both confirm receipt/ no confirmation and also changed other things.

    I was wondering if you could help me with my problem regarding document distribution status. I would like to add a new external address in the recipient list. I was able to maintain the address in SOAD and SOCP however the status stays at BD for the new external address that I maintained. For the rest of the recipients, it was processed successfully (email was sent and a form was printed).
    Can you tell why is it not working or give your inputs on what to check?

  • Document Distribution Log Status

    HI All,
    In CVI9 I can set a document distribution status to Ignore but I cannot find anywhere in the log that it records who set that status and when.  Does anyone know if there is a background table where this information is stored so I can write a query to determine who set this status.

    in the standard I think there is only the 'Log' and 'Workflow' button which enables you to get further information about how the distrbution was processed. However here the user and time of the change is not displayed.
