Document Distribution Link to MS Outlook

Hi All,
I have a client using document distribution. The actual document distribution seems to be working fine when messages are sent to the SAP Inbox. However when the messages are forwarded to MS outlook - the  links to confirm receipt change to text files.
We are trying to achieve a link from MS Outlook that will enable the user to log into SAP from the email message.
Any ideas what to change?

Hi,
can you redescribe the following for me:
This happens when you have missed out on defining the Communication/Distribution Type for e-mail. This can achieved as follows:
DIR > Document > Document Distribution > Recipient > User Maintainence > Choose the communication method as INT (e-mail without URL) or HTP (e-mail without URL) and provide the remaining details > Save.
Where can I find the above path/menu: DIR->Document.......

  • Document Distribution with attached documents coming across in BIN format

    Hello all,
    I have 3 dist types defined in the system.  RML, RMA, and INT
    RMA sends to SAP Office and includes a link to the document defined in DMS and seems to work correctly.
    RML sends the document to SAP Office as an attachment but the attached documents always is in BIN format and cannot be opened by the application.
    INT sends to my external email but has the same problem as above, the attachment is always in a BIN format and cannot be opened.
    This works the same with several different applications in DMS, Word, Excel, Text Files, etc.
    Can anyone give me an idea what I may be missing in config that is keeping this from working correctly.  We are running SAP ECC 6.0

    Please check the following customizing in your system:
    1) Please check you have maintained suitable length of syntax group for
    Windows NT. Please maintain it more than 20.
    Please proceed as follows to correct this entry:
    Run the tcode SPRO
    Implementation Guide for R/3 Customizing (IMG)
    Cross-Application Components
      Document Management System
       Document Distribution
        General Settings
         Platform-Independent File Names
          Maintain file names and file paths across all clients
           Syntax group definition
    2) Please check the 'File processing' value for distribution type 'INT'.
    Please set it as '2'.
    Further please check note 355048 and as mentioned your settings in transaction DC30 for the workstation applications.

    Hi,
    In the standard case you need to folow below procedure
    1. Use TC SOCP to create external recipients. you may need BASIS help in this. 
    2. Create recipient list using TC CVI1.
    2. Assign the documents to be distributed to this list. Document should be created before this step.
    3. Assign External recipients to this list.
    4. Distribute the document using CVI8.
    5. TC CVI9 will help you to know the status of distribution.
    Most important factor is that your SAP standard workflow which drives the distribution to external mail ids should be working. Please contact BASIS team if it has any problem. Without this distribution is not possible.

  • Document Distribution Question for Confirm Receipt Workflow

    Hi all,
    If I do a document distribution for recipient list (CVI7) with several users as recipients of the document, all of the workflows with links back to the dist log for confirming receipts go to the person who initiated the distributions.  Is there any method of directing these workflows directly to the users specified in the recipient list?

    In stndard sap it is not possible.It might be done by changing the recipient in the workflow. So consult a workflow person for this.

  • Document Distribution with customized event.

    Hi,
    Is anyone familiar with the fenomenon "document distribution" in SAP? The following is the case:
    When a document is changed and saved in SAP the event DRAW.CHANGED is triggered. In SWETYPV you can link this event to the receiver DISTRIBUTION. Here the document distribution is started and also with a function module is checked whether the status of the document is released. This works fine.
    However at a customer, I need to define an event which is only triggered if the status chages from 02 to 03. Did this in SWEC and thew event is triggered at the right moment. I linked this event to the receiver DISTRIBUTION and also the receiver is started, but without any values. Result document isn't distributed.
    I read something about the FM SWE_CD_TEMPLATE_CONTAINER_FB_2, but I don't know if this will help me. I also don't know in which direction I've to modify this FM. Could anybody suggest a solution if you ever encountered the same problem?

    I have generated the profile and assigned to the correct user. In ST01, when I tested the autorization checks, all auth. objects checks are fine except C_DRAW_TCS.
    For C_DRAW_TCS the auth. check is happening for only "03 Display" activity.It is not happening for the activity "59 Distribute". I have maintained the auth. object for both Display and Distribute. as follows
    C_DRAW_TCS
    ACTVT : Display, Distribute
    DOKAR : DRW
    DOKST : RL
    But the auth. check is carried out for only display.
    C_DRAW_TCS RC=0  DOKAR=DRW;DOKST=RL;ACTVT=03; and it displays Authorization check successful. For distribute the auth. check itself is not carried out.
    Help me in sorting out the problem.

  • How to get links to single Outlook Elements

    When I drag any Outlook item (or any office document) to the Outlook journal folder I get a new journal entry with a link to the Outlook item. This link can be moved into the notes field of any other Outlook item. I love it to have such links.
    Is it possible to get this links another way? Inserting something? VBA?

    I'm not quite sure if I have understood you correctly. When you say "link to the Outlook item", do you mean the shortcut of the Outlook item?
    For example:
    If this is the case, I don't aware of any other way to obtain these "links" with any built-in options in Outlook. We probably need some VBA scripts to achieve this.
    In Outlook 2013, we've made some changes to the Journal feature. Journal doesn’t appear on the ribbon in the new Navigation Bar. The default special folder for Journal still exists and can be selected from the Folders view in the Folder
    Pane. In Outlook Options, the Notes and Journal is removed. The
    Journal Options button and related dialog box are no longer available.

    "What happens with this links when changing pst-file?" - Journal entries are stored in your Outlook data file, you'd like to change your .pst file, you need to make a backup copy of these entries.

  • Email document distribution PDF attachment conversion error

    I have configured document distribution via emai with an attachment. My DMS documents have a single PDF original attachment.
    The email transmits fine through SAPConnect, however when I open the attachment Adobe tells me the file cannot be opened, and is corrupt.
    The issue seems to be in SAPConnect conversion, converting BIN to PDF. Any suggestions on the conversion function module or sample code for a fm to do the conversion are appreciated.

    regarding the information with the BIN extension I would kindly ask you
    to implement the SAP note 873597.                                                                               
    Further please check the following settings which helped to solve      
    such issue in the past successfully:                                                                               
    1. Go to transaction : FILE                                            
    2. Select DOCUMENT_DISTRIBUTION                                        
    3. Double click on "Syntax group definition"                           
    4. You will find the file length defined for "WINDOWS NT               
    5. Change the length value to 70.                                      
    6. Also for As/400 change the length to 40.

  • How can I add document-internal links in Pages 5?

    I have a number of very large dicttionary documents (300+ pages) all of which have internal links. The internal links allow you to jump from one letter to another, so that, for example, if you're looking at words that begin with S, you can go to the A-Z letterboard at the beginning and end of the S section and immediately jump to any other section. I've also got links in the middle of the document leading to parts in the front matter (so, for example, a mention of the word "relative clause" will be linked to a section in the grammar discussing relative clauses). The nice thing is that these links would remain active when exported to .pdf, so when I shared them with others, the internal links continued to function. Each document has hundreds of these internal links. All of them appear to have been broken by the new version of Pages.
    Is there a way to create document internal links like the ones I used to use for Pages '09, or has this functionality been forever removed from Pages? If the latter, who do I scream at?

    Bookmarks have been removed along with 100 other features.
    You could post at Menu > Pages > Provide Pages Feedback but that is pointless in my experience
    Instead rate/review Pages 5 in the App Store where everyone can see it. In our local App Store, Pages 5.1 is back down to 2 stars with again 61% of users saying they hate it.
    Pages '09 should be in your Applications/iWork folder, use that instead.

  • DMS Document Distribution Problem Pls, Help Will be appreciated

    When executing T-Code CVI8(Document Distribution), there is a system message that the order was successfully created. But when we looked at the distribution log using T-Code CVI9, the status of the document remains as SY and the processing of the distribution stops. We already finished the settings for document distribution and still this error persists. What could have been wrong? Pls advice.

    i have checked the workflow config accordingly,
    workflow templates 20000104 and 20000137. are active.
    a. 20000104 BUS1082 x 2 (Initiated and Resend)
    b. 20000137 BUS1082002 x 1 (Resend)
    But the Release status for these templates is NOT DEFINED, should it be RELEASED & the container tab for 20000104 shows a warning icon(Mandatary import parameter)on partial order & intial value not set & same for 20000137 shows warning icon on distribution order package & initial value not set.
    what does this mean, is there any setting required for this?
    2. Transaction SWU3 – ensure that all has been generated (activated). Pay special attention to Maintain Runtime Environment -> Configure RFC destination.
    I HAVE checked the above all are active except Configure RFC destination, what is the setting required for the same.
    the 3, 4,& 5 setting what u have suggested are ok,i have checked them.
    Please suggest for the 1 & 2 points.

  • Error in SAP standard workflow ddoStart - Start document distribution

    Hi all,
    I'm trying to use the document distribution but i'm failing completely. After doing what i think is the necessary config (setting all relevant tasks to general task should be all), i try to distribute. I create a list, selects people and click go.
    When checking the log for the distribution later on, all workflows generated hang in the same place - namely the case branch before "check document distribution".  Further on, the "check distribution order" task does have three potential outcomes after calling the business objects corresponding method. The problem is that the method "check" of bus1082 (doc. dist. order) does not return a check value as a parameter, even though it has a result internally.
    I suspec i'm missing something here, but the wf still bombs out.

    HI all,
    Problem is identified and a solution is found. THe businesss object's methods for distribution order did not have the flag for result parameter ticked. Opening up the standard SAP objects, tick the box and voila - it works.
    Still puzzles me how SAP did release this. Didnt they test?

    I am new to DMS,basically I am a PP functional person and am not having that much knowledge abt DMS,but aware abt the functional and how it is carried out at transactional level.
    I searched abt DISTRIBUTION process in DMS ,but was not able to found any suitable documents.
    I just want to know how "document distribution" is carried out,
    I can upload any type of req'd documents in the system through CV01n,and also able to maintain proper settings for it.
    But still not much awrae of docement distribution....
    Plz guide me in this process....Plz correct me if I am getting wrong..

    Acrobat X 10.02 crashes when converting Word 2007 document with linked Visio file and causes a C++ runtime error in Word and crashes Word.
    To see the behavior create a short Word 2007 document with a linked Visio file (e.g., create a Visio file with one box and text and insert it as a link into a Word docx).
    No problem in Acrobat 9

    There may be some of an issue with AA X on this, but part of the blame probably goes to MS also. I would suggest you simply clip the graphic from VISIO as a vector graphic (EMF will be used by default) and not do the link and do not embed the VISIO object. The linking and use of embedded objects in WORD 2007 seems to have been a major problem and is mostly a MS issue.

    one possible reason can be a missing flag in TA SO16. Please check
    that the flag 'Organizational units' (under tab 'Adressing') is set and
    that no sending restrictions are defined under tab 'Send'.

  • Templates and document relative linking.

    Im trial using DW cs5 and find that if i make a template and then
    use that template to make pages it doesnt make document relative links.
    Instead it makes links relative to my local drive. ie c/documents/foo.
    Even if I have the template file with document relative links, when I make the page it turns into local relative and to upload this to a server wont work.
    Am I missing something ?
    I can figure it out.
    CS4 did this fairly easy.

    My site is set to relative document linking and the template is linked that way but when I make a new page from template it reverts to local linking.
    instead of ../../ images , I get c://documents/ etc.
    I dont know whats going on.
