Document file size?

I have a spread sheet that I placed images in the cell. This actually worked out ok but the file size of the whole document is over 20MB. Any ideas on how to size this down. I tried to click on the "Reduce File Size" but it is grayed out. Any help with this would be great. I am saving it as a PDF so I can put it on a website.

You need to ensure that none of the original images are large to start with.
I assume you have multiple high resolution images possibly cropped to smaller sizes in Numbers.
Find what the cropped size is and crop and rescale the images in Preview:
+Menu > Tools > Adjust Size & Crop > Save As…+
If it is for screen resolution only the images should be at 72dpi.
Photographic images should be saved as .jpgs and other flat color images as .png.
If you have anything that is a drawing these should be created and imported as vector .pdfs.

  • Mac Scanner file size is very large

    I have recently scan some documents to my computer, however, I have notice some document file size are large, and some documents are small.
    I accidentally scan a duplex document and single page. I find out that combine page increase each page by 100KB, consider the scanned single page is 20KB.
    Both Scan do not have difference in scan quality.
    It really bothers me because all previous scan unnecessary tripple in size.
    Can any body explain about the anomaly?

    The file size increases due to the high formatting options in BI 7.0.
    Remove the formatting option from the work book setting in the Bex analyzer in design mode.

  • Place .jpg from PS CS3 to IllusCS3-File size question

    Newbie here- Good Morning
    I am creating a doc in Illustrator that will ultimately be saved as a pdf for online viewing.  In PS, I am increasing the images ppi from 72 to 300 as well as decreasing it's size, saving it at medium quality jpg and I get a file size around 175k(perfect for me).  When I place the image in Illustrator and save the file, I get an overall document file size increase of over 800k.
    Is there any way to avoid this?

    It sounds as if you are embedding the image rather than linking it.
    Either drag the image from the Finder or Bridge or else File-Place and check Link.
    (If you drag from the Finder with Shift held down it will be embedded.)
    There's usually no need to embed images unless you're prepraring HiRes pdf files for print, in which case it's best to leave the embedding until just before you save as pdf. Failure to embed images in print files may result in white horizontal lines cutting through the images.

  • InDesign File Sizes

    I'm experiencing some strange things with document file sizes in InDesign (CS3 and CS4)
    I have a document that's 2.6 Mb. When I delete all the content, it stays as 2.6 Mb.
    When I copy the content to another file, the new file is 1.6 Mb.
    When I delete the content from this document it becomes 1.7 Mb.
    I also had a document that was 260 Mb, deleted half of the content and it remained at 260 Mb.
    Has anyone else experienced such problems?

    Sorry, I should have stated that it's a RAID that's connected to our server.
    We update approx 300 files per week from the RAID on our client machines before copying our files back to it.
    I've just dropped the first file I tried from 50Mb to 5Mb by doing a "Save As".
    45Mb x 300 Adverts x 52 Weeks = 702 Gb in 1 year.
    Ouch!
    I guess we'll have to start saving over some old files.

I can also open it from document directory.Everything is ok.   • Using Examine Document Remove increases pdf file size !

    I have Adobe Acrobat Pro v9.3.0
    I've been editing a lot of scanned .pdfs - rotating and cropping pages.
    All this has previously worked fine with v8 but now I find that Acrobat 9 is increasing the .pdf file size after using Examine Document and clicking Remove
    For example:
    original file: 16,861 Kbytes
    file after cropping 74 pages (from A4 to A5): 16,879 Kbytes
    file after running Examine Document > Remove cropped metadata : 79,914 Kbytes !!!
    With Acrobat 8 this process would normally have halved the file size.
    Am I now doing something wrong ??

    Acrobat 9 Pro version 9.4.2
    I've got a .pdf created by an agency (so not a scanned image) which I want to make as small as possible for emailing to hundreds of people (I'll attach it if possible somehow ?)
    I open it up when it's 331Kb
    Click Document > Examine Document
    Check the Metadata and Deleted/Cropped items
    Click Remove
    Click File > Save As and hey presto, the new file with all that stuff supposedly removed is 2,588 Kb
    Surely I'm not the only one who's bothered about .pdf file size ?

    Are you facing the issue with any pdf file?
    Please try updating Acrobat to 11.0.7 and check.
    You might also want to repair Acrobat and see.

  • Reduce File Size in Acrobat Pro (9.5.5) Corrupts Graphics in PDF Documents - shows up as black image

    Whenever I use Reduce File Size in Acrobat Pro (9.5.5), sometimes some of the images (not all) get corrupted and show up as a black image in the new document.
    Actually, the new reduced document looks okay when viewed in Acrobat, but the problem shows up when viewed in the Preview application on the Mac.
    I'm using Acrobat 9.5.5 with Mac OS 10.8.6
    I've tried re-importing the graphic into a new graphic box, which didn't work.  Thinking there may be some type of corruption with the actual graphic file, I then tried viewing the graphic, then taking a screenshot of it to create a completely new file, and then re-importing the new graphic file into the original document (created in Adobe In Design 5.0.4).  I then export the new document as a pdf, and brought it into Acrobat Pro to do the Reduce File Size.  Same thing happens - black box appears where the graphic was.
    I then tried using the Reduce File Size within the Save As function of the Preview application on the Mac - while the graphic remains intact, many of the other graphics in the document are "reduced" too much, to the point where the image quality is seriously degraded, and therefore not usable.
    Any other ideas?

  • How do I scan large black and white documents, creating the smallest file size possible?

    I am attempting to scan a 70 page document and prefer it to be a file small enough to send through regular email.  I am not interested in zipfiles, i am not familiar with them.  I have been scanning and converting to .pdf for years, using the lowest dpi reasonable, but my file sizes are still quite large (compared to other .pdf's that are emailed to me).  I know there is a way, just haven't figured it out.

    PDF file size of a document for one page is 28kb. PDF file size of a the same document for two pages (1st page and 2nd page are exact same document), also 28kb. Shouldn't it be 56kb??

    First of all, you can't use Adobe Reader to add, delete or duplicate pages in a PDF file (unless you use a template object), so you're either using Adobe Acrobat, or some other application entirely.
    The size of PDF files is not linear, ie if you have 1-page file and it's 1 MB, then duplicating it will results in a 2-page file of 2 MB, or a 10-page file of 10 MB. Many items in a PDF document only need to be saved once (such as font information, image information in some cases, etc.), so the change in size when adding additional pages is sometimes very small. At other times it can be very big, though. You can have a 100-page file that is 1 MB and then add a single page to it, with a new font perhaps, and the size will jump to 5 MB, just because that font is very large...

    One trick is to
    Set the placed graphics to have a transparency of 99.9% (you can do this with Find/Change and select Objects)
    This is enough to force the graphics throught the Transparency Flattener
    Next set the Transparency Blend Space to RGB (Edit>Transparency Blend Space)
    Next set a custom Transparency Flattner Preset Edit>Transparency Flattner
    Next
    Use File>Export and choose
    Smallest file size
    PDF Compatibility Acrobat 4 (PDF 1.3)
    In Advanced Section - go to transparency and selec the new Flattener Preset you created.
    *this will convert your vectors to raster, but it should reduce your file size

    I'm in the process of evaluating Pages in the hopes of dumping the last of my Microsoft programs (ie, Word.) I'm impressed with the ease of use; especially when it comes to being a little creative.
    My great concern is the file size. I created a Pages document of 6 pages. It had text, images and tables. This relatively small document is a whopping 17.7MB. When I export this document to a Word doc and open it, it looks identical. The file size of the Word doc is only 1.4 MB. A HUGE difference. Is this a known issue or is there some sort of compression setting I'm missing?
    I typically work with large docs and I don't want Pages files hogging all of my drive space.

    The package shows image1.tif, which I added on the
    first page. There's also an image1_filtered-9.tiff
    which is HUGE. It's about 3MB larger than the
    original file. It looks like Pages possibly makes a
    copy of an image when you apply an effect like a drop
    shadow?
    So if you don't want huge files, I guess you have to
    stay away from the image effects...which is actually
    what made Pages interesting.
    It is the adjustment tool which is causing the ballooning of your files.
    If you use the levels adjustement, you will end up with an image which is labelled ~levelled.tiff. If you use the various other parts of the adjustment screen you will get files which are labelled ~-filtered.tiff, with or without version numbers.
    There is no optimization of the various files as they are saved, and no user control over their generation. It would be much nicer if the adjustments weere done on the fly, or at least if a size-specific thumbnail were made for on-screen representation.
    For now, however, if you are concerned with the size of your files in pages (and keynote, since it also happens there) then do the adjustments elsewhere. I suggest iPhoto, if that is where you have stored your items. You can always make your placed photo an image placeholder and replace it with alternative adjustments later.
    (I tested this with a 4k file made for Livejournal, saved as a jpg. The resultant filtered and levelled tiffs were 40k. A considerable increase.)

    Is there any way of reducing the file size - which is obviously being driven by the images?  The pics are being pulled in from the iPad photo library.

    (2) As you understood why your file is huge, the answer is simple : reduce the size of your picture files before inserting them in Pages documents.
    Drop the unneeded areas, reduce the resolution in tools dedicated to image processing before inserting them.

    Some XML outputters do not write out return characters or tabs for new nodes. If your input contained these things, that could explain why the file shrank. I would check the data and see if it is all there. Other than that, don't worry about it.
