Document Status Not Released

Hello DMS Gurus,
I'm trying to figure out how to control DIR so that if the document type does not have a status network defined, the Not Released red light does not show up on the DIR.  I thought maybe if I created a status for my document type but did not link it to change management, the Not Released info would not show, but you will see in my example screen shot below, it still shows.  Does anyone know how to prevent the Not Released from showing on the DIR if a status network is not defined for the DIR?

Hi Julie,
If you are not using document status, then you select "Suppress field" for Document Status under Field Selection in DC10.
Or
You can also check the RELEASE FLAG under Define Document Status >> Attributes. So once you save the DIR, it will show the green light with document creation date.

    I crearted a Document Type.
    I'm able to create a document with the type. Though the Document Status is released, the release Interval (which is next to the Document Status) is showing as 'Not Released'.
    How do I change this to released (or), can it be hidden.

    Though the Document Status is released, the release Interval (which is next to the Document Status) is showing as 'Not Released'.
    This behaviour can be corrected by setting/checking the 'Release Flag' attribute for the released status defined for this Document Type.The path is SPRO > IMG > CA comp. > DMS > Control Data > Define Document Types > Select the Doc Type in question and go to Define Document Status.

  • Output to be blocked for Billing documents, if not released to Accounting

    We have a requirement, where the Billing documents should not be issued output, if they are not released to accounting.
    The system should not allow the user to issue output for billing documents, if not released to accounting.

    Standard routine 62 should be able to suffice your requirement.
    Provided output determination in billing doc should happen from output condition record (VV31).
    If you manaully assign assign output type in billing doc, then system will overlook the requirement.
    In addition to that if your output type is assigned with requiremrnt routine 62 in your output procedure.
    Then till your release tke billing doc to accounting, you will not be able see output type determine in billing doc.
    If you have doubt, whether the output type is getting determined properly or not.
    Then output(header/item) screen in your billing doc(VF02), in menubar select Goto - then choose  Determin. Analysis.
    It will show message that due requirement 62, output determination didn't too place.

  • BP Status 'Not Released'

    Hi,
      when creating a business partner, there is a check box 'not released' in Status tab in sap gui. If I check the check box and save without error, will this BP be replicated to ECC?
      As I have a business scenario that BP will be created in CRM and replicated to ECC. But it cannot be used for any business transaction until the BP is approved.
      Therefore, I need to know if BP flagged with that status, will it be replicated to ECC?
      secondly, in ECC, how do i uncheck the check box if the BP is approved and ready to be used. (Once it is uncheck from Not Release, this should replicate to CRM and update the status, so that all business transaction are ready to be used with this BP).
      Is this workable?

    To answer your First Question ,
    Yes, Eventhough you set the Not Released under status tab of general data, Still that BP will flow to ECC. It will give you a popup saying *Business partner  has status "Not Released" * and a Yellow Exclamation mark will come next to BP number and it will flow to ECC.
    At ECC side , you can use this in transactions too .
    Instead of this, I will suggest you to use Central Lock which is just above the Not released check box, to achieve your functionality. If you use this, BP will be transfered to ECC but system will not allow you to use it in any transaction.
    So you can achieve your functionality as follows :
    1. Create a BP in CRM with Central Lock Tick on.
    2. BP will flow to ECC with this tick on.(As a result Central lock, No transactions are allowed for this BP)
    3. Once BP is been approved by an approver in CRM, Reset this tick in CRM , which automatically will flow in ECC
    4 And now you are able to use this BP in transactions at ECC side

  • SC Item in Transfer process active - follow on document status not updated

    Hi Gurus,
        Follow on document is not updated in SRM after PO creation. Ours is classic scenario (SRM 5.5, ECC6.0) and passed thru the following steps - SC (FFT) created, document approved, sent to SoCo, purchaser assigned vendor and created PO, PO created in ECC.
    In SRM SoCo screen displays message 'PO created 45xxxxxxxxxx'  successfully. Checked the BE PO 45xxxxxxx that was created successfully.
    Ran BBP_GET_STATUS_2 and CLEAN_REQREQ_UP jobs. jobs finished successfully. But status is not updated in SRM. RZ20/SLG1 does not have any errors.
    BBP_PD shows following statuses:
         I105   Awaiting Approval         X
         I1021 Created
         I1038  Complete
         I1106  SC ordered
         I1129  Approved
         I1111 Item in Transfer process 
                        The last status I1111 is still active.
    Any advise are welcome. Not sure if I am missing any OSS Notes.

    Hi,
    1. Check in table BBP_DOCUMENT_TAB if the entry exists use CLEAN_REQREQ_UP program.
    2. If entry in the table not exists then check in transaction BBP_PD if the follow on document ( PO ) Number reserved for
    the SC .. then use FM  BBP_PD_SC_RESUBMIT.
    3. none of these use normal process  execute BBP_REQREQ_TRANSFER And then use CLEAN_REQREQ_UP

  • Item in Transfer Process  - Follow on documents status not displayed

    Hello experts,
    User created a shopping cart of 12 line items (out of that no 3rd is deleted) and PO is created in backend r/3 system.
    Now when i see the status of my last item ie 12th line item is "Item in Transfer Process". and for 3rd item which is deleted for that also Status shown PO NO (I1113)  i can see that PO no is there when i check follow on document.Problem is i want to change the status of 12th line item with its respective PO no .
    Activity done by me to solve
    If i manually update the status in the table CRM_JEST then the status will get changed but the follow on document is not displayed evenafter  run reports like CLEAN_REQREQ_UP and Get status2. i am trying to run a report BBP_ALERT_SB_NOTTRANSFERED but it got cancelled. even i tried to run a function module BBP_PD_SC_RESUBMIT but short dump will come. i have implemeted a suggested SAP note 729967 but still problem persist.
    In BBP_PD and in table BBP_PDBEI field ( BE_OBJECT_ID ) in this field Ponumber is there against that line item.

    Hi Sunny,
    the manual action taken on the transfer is dangerous and can cause even more inconsistency.
    Hence you may have changed some tables of the SC manually, I would suggest rather to delete SC items, and create a new SC for them.

    Hello,
    This is not just FICO consultant issue.
    If you do not have sufficient configuration in VKOA, it cannot be generated.
    If you have closed the period in FI, obviously the entries will not be posted.
    If the user is not having authorization, obvisouly it fails to generate accounting documents.
    There is no special configuration, but this is system behaviour. If something is not available, then it cannot generate the entry.

  • Document Status not changing when document approval procedure in SOLAR01/02

    Here is my situation:
    We created and assigned a Status Schema for Solution Manager Document and to that status assigned a signature strategy. We have defined the following end results  for the signature strategy, when the process is initiated:
       FROM               TO
    Copy_editing -> in_progress
    In_progress ->  Reviewed
    Reviewed -> Released
    We initiate the process and the author performs the first signature, so the outcome expected is for the strategy to change the status from copy_editing into in_progress so on and so forth.
    This is not happening and the document stays in copy editing throughout the approval process.
    Any ideas? I can provide the complete configuration done in order to see if we missed something.

    are you using digital signature? Yes we are using Digital Signature since we want to have the correct approval once a document is loaded and reviewed.
    In case not, you do not have to create a signature strategy, but only an approval scheme.
    Did you assign the approval scheme to a document type? Yes we have.
    What happens, if a user tries to changes the status using the document attributes? currently it doesnt allow you to manually change it once the document is saved but this is what happens in detail.
    1. I load the document into solman.
    2. based on the digital signature and doc strategy the Author needs to Sign the document once the save button has been clicked.
    3. The strategy defined states that the document will start as copy_editing and when singed it will go into in_progress.
    This is not happening.
    When I load the document I can actually change the status as always as I dont save the same.
    Here is the document Strategy configuration we have set:

                         You made an account assignment for 420100, a revenue
                         element, in controlling area 9000 to a cost center or
                         profit center.
                     System response
                         Cost centers and profit centers can carry revenues in the
                         R/3 System as statistics only. To ensure reconciliation
                         between FI and CO for revenue element 420100, a CO account
                         assignment object must record the revenues as a real value.
                         This object type is used for updating to the reconciliation
                         ledger.
                         In principle, it's possible for the R/3 System to
                         automatically derive this CO account assignment object, the
                         reconciliation object. However, all postings made in CO for
                         costing-based Profitability Analysis are logged in the

    The following step is missing in your configuration: So please check the following step:
    Financial Accounting (New) - Financial Accounting Basic Settings (New) - Ledgers - Real-Time Integration of Controlling with Financial Accounting - Account Determination for Real-Time Integration - Define Account Determination for Real-Time Integration
    The above step is used for:
    You define account determination for the real-time integration of Controlling (CO) with Financial Accounting (FI).
    You have two options for the definition of account determination:
    Account determination without substitution (standard account determination)
    The level of differentiation with which you want to trace the postings to Financial Accounting determines how many accounts you create and whether you assign transactions or object classes. You can assign the accounts as follows:
    You specify an account for all reconciliation postings.
    You assign an account to each business transaction.
    You assign an account to each object class.
    You assign an account to each transaction and to each object class.
    Account determination with substitution
    In addition to account determination without substitution, you can determine the reconciliation account using substitution. For this, you have to define account determination at least for the specification of the posting key. Furthermore, you can use substitution to refine account determination.
    In contrast to when the reconciliation ledger is used, additional fields are available when real-time integration is used:
    RCL_ICCF-BEKNZ
    RCL_ICCF-RSEGMENT
    RCL_ICCF-SSEGMENT
    These fields are only filled by the system when real-time integration is used.
    Caution
    If you deploy the following functions, you may not use the additional fields in account determination:
    You still use reconciliation posting instead of real-time integration.
    You use real-time integration but you still have the reconciliation ledger activated so that you can use the reconciliation reports from Cost Element Accounting, such as CO/FI Reconciliation in Company Code Currency.
    These functions use the reconciliation ledger data, which does not contain the additional fields.

  • Billing documents should not be created when it is not released to accounti

    Hi SD gurus,
    In some situation, billing documents are generated but it is not released to accounting which results in mismatch between FI value and SD value. We go to VFX3 and see the list of billing documents and take corrective action.
    Our requirement is that the billing document should not be generated when system is not releasing this billing document to accounting.
    Please suggest a solution for this.

    For the following reasons, the billing documents are not released to accounting.
    1. If the user wrongly chosen the billing type for the delivery.
    2. After creating condition type, it has to be assigned in COPA. If we forgot to do it, billing doc will not released.
    Our requirement is that if the billing document is not able create accounting document, the billing document itself should not be generated.
    Hope this will be suffice to understand my issue and suggest a suitable solution.

    To resolve the error, you can analyze account determination in the billing document. Process:
    Goto T.Code: VF02 & Enter Invoice number
    Next (On the top most strip) goto Environment
    Next (Select Environment) go to Account determination
    Next (In Account Determination) select Revenue Account Determination (first option)
    This will list all the condition types in the Billing document & analyze each condition & check for which G/L accounts is not determined.
    Possible errors:
    1. VKOA not maintained for required combination
    Solution: Maintain the combination in VKOA.
    2. Account Assignment of Customer / material not maintained in Customer / Material Master (If maintained in combination in VKOA).
    Solution:
    Option 1 (Standard solution):
    step 1: Cancel Billing Document --> Reverse PGI --> cancel Delivery --> Cancel Sales Order
    step 2: Maintain Customer master / Material Master correctly.
    step 3: Recreate sales Order --> Delivery --> PGI --> Invoicing.
    Option 2:
    Force the Account Assignment Group of Customer / Material through Debug in change mode of Billing document, which will release Billing Document to Accounting.
    3. Account Key not maintained in Pricing Procedure:
    Impact: This may create accounting document, but if condition type, which are to be posted to account, but do not have account key maintained in pricing procedure, it will not be post the relevant condition type to G/L account.
    From FI Side, you require to check that all the G/L account has been maintained through T.Code: FS00. G/L account being Master data has to be created in each client ot uploaded through LSMW / SCATT / BDC.
    In Billing Document in change mode (in the first screen where we enter Billing Document number), on the top most left hand corner, take a dropdown on Billing Document & select Release to accounting. Here you can get the under mentioned possible message:
    1. G/L account not found
    2. Cost Element not maintained for G/L account.
    In both the above cases, FI consultant requires to take corrective action.

  • Cannot create STO due to Material Not released

    Hi experts,
    I have a query here.
    A part number has block code BL (Blocked) in MM in MRP1 & Costing views. Because of which we cannot create Intercompany Stock Transport Orders.
    However it allows us to create normal PO's for the same part to the vendors. The material status of this block code BL has only Inventory Mgmnt blocked with "B" whereas rest of the settings
    Material 82001 cannot be taken from plant 1001 due to status "Not Released"

    I dont know the reason, but probably it is to to avoid potential business trouble, to inform requesters at the earliest time that the supplying plant cannot delivery what you request.
    Assume you would create STO today for a delivery in November.
    You would be lucky because you succefully created the STO.
    In November someone in the sending plant would starf processing the goods issue to you, would then realize that it is not possible, would then inform you about that.
    you would get in trouble with your customer, as you cannot meet the promised delivery date.
    Wouldn't you ask him why he did not tell you that in August already?
    But the sending plant has no chance to know this prior to the processing (except they would lookup manually everytime the material master status when you send an order).
    So the easisest way to let you know that it is not possible to move material in the sending plant, is thru the message at order creation.
    As I said, it is just my assumption. You may ask SAP for the correct answer. Maybe another one here knows it.
    Can it be that you do not use delivery processing for this STOs?

  • Restrict documents from being assigned to a BOM while status is not release

    Hi,
    I need certain documents to be restricted while they are still 'In preparation' status.
    Currently eventhough the status is not released, user can assign a document to a BOM.
    I am sure i am missing something. Let me know if anyone has done this. We are not using ECM at this stage.

    Hi,
    You can do this via workaround of authorization matrix.
    1. Create two users: Creator, Approver & Assigner
    2. Creator will not have authorization to release the document as well as to assign the document to BOM. Authorization to release the document can be prevented by authorization object C_DRAW_STA. The authorization of object linkage is controlled by object C_DRAD_OBJ               
    3. Approver will have authorization to release the document.
    4. finally assigner will have only document to access the change document when it is released and only then he/she will be able to assign the object linkage.
    Or you can go for BASi/User exit at the time of save to control the same.

  • Object Link to DMS document - does not allow to link to docs not released

    Hi Folks,
    I am trying to create an object link from cProjects 4.5 to a DMS document. When I select a document in DMS I am getting the message "26 223 Document <doc_number> has not been released". If I set the status of the DMS document to a released status I am allowed to create the object link.
    My question is - why am I only allowed to object link to released DMS documents? I want link to a DMS document regardless of the status.
