Documents Handling System
Hello All,
We are looking to turn paper-based documents and reports into digital images to reduce physical storage and free office space. We bought a high-speed canon scanners to quicly scan, index and capture paper based document into pdf file format. Also, we have soft documents mainly PDF, Word, and excel format. We eould like to save this documents in a oracle 11g database or on sever (not sure what's better), and be able to serch for a document by type, category, project #, sector etc. Some of these documents in Arabic, English , and french.
Is this duable in APEX. If yes I would appreciate your professional help in this subject.

Your chances of finding exactly what you want are slim. I would suggest this Document Library would be a good starting point for you to better understand the mechanics of storage and retreival of documents in the database.
As for searching the content, I have not done this personally but I would take a look at Oracle Text in the first instance.

This does not look a real "Document Management System" with meta data, version control, status handling and all that stuff, right?

Interface between SAP and Document management system
Hi,
I have a requirement to interface SAP 4.7 with a Document management system(Fakta).A vendor invoice will be created in SAP using FB60 transaction.The vendor invoice(in paper form) will be scanned by the Fakta digital document system.The Fakta system will handle the approval process for the vendor invoice and update the status of invoice in SAP as APPROVED.
My requirement is when an SAP user wants to see the scanned invoice stored in the fakta system,he should be able to view it from SAP preferably from FB60 or the document overview for the invoice in SAP.What is the best way to do this.
I found one option of using RSDEMO_HTML_VIEWER which may not be useful as we think.Is there a better option available?
Please share your experience.

I'm sorry but I've never worked on this problem, but I think the better solution should be use SAP Archivelink, I know It should do what you want.

Document Management Systems for Home User
Hello!
I'm just a regular home user with a bunch of incoming snail (paper) mail. To get rid of the hassle to file the incoming stuff permanently I plan to scan it immediately and dispose afterwards.
I would prefer a document management system to just putting the scanned files in a folder. All DMS I found so far I rather enterprise grade (like Alfreso, Agorum Core).
EDIT:
Desired features would be:
- Tagging (hierarchical)
- Key - Value pairs attachted to the document
- Preview
- Indexing (of text documents)
Since I've never used a DMS before I'm not sure what is desriable.
How do you handle similiar situations?
System is KDE. Maybe there is a possibility to use the nepomuk tagging system...

Please familiarize yourself with the [Forum rules|https://wiki.sdn.sap.com/wiki/display/HOME/RulesofEngagement]. IMO,it would make more sense in investing in a SAP DMS/Archivelink expert to handle the configuration,more so if its a clients production system that you are looking at.

Apex Document Management System
Hi All,
Is there a sample demo packaged apps made in Apex for a document management system? Just like the demo ARIA or Bug tracking systems.
Or is it possible to develop it in Apex? We have lots of Ms words documents, scanned Land Titles, and other important certificates in our office that need
to be managed and organized. I am thinking of loading them to Apex. We have also lots of project documentations and program codes for version control.
Can Apex handles also SVN subversioning system?

There was, but it has been removed as it "no longer followed recommended coding practices and security". However it appears that these recommendations on coding practices and security do not apply in China as the packaged applications are still available from Oracle's Chinese site.
@Oracle: When are sample packaged applications returning. These apps are out there and (if Arie's comments are correct regarding what are now perceived to be outdated about them) they still constitute a largely useful resource. Why not make them officially available again through the relevant previous version archives? -
Requirements for a document management system
We are planning to implement a document management system Oracle Application Server. Here are the high-level requirements:
· High availability (24x7)
· 3000 users, worldwide, on WAN
· 600 GB of documents
· Workflow
· Alerts e-mailed on document adds/updated, for workflow
· Search of document titles, properties, keywords, content
· Daily backup of new/updated documents
In regards to Oracle Application Server (Portal), can someone provide me the following information:
1. What Oracle AS server architecture would we need to handle the above requirements?
2. What is the Oracle recommended method of scaling up our current Oracle Portal instance in regard to:
a. Capacity
b. Achieving 24x7 availability
3. When documents are stored via an Item upload in Oracle Portal, are they stored in the database or as the actual file?

Generally this products stores documents in database BLOB field.
I personally don't like this approach.
We developed a media library that stores the files in filessystem, but the metadata is in database. The database references to the file in filesystem with a BFile field

The system is very fast so I think it was a good decision to store the media this way.
If you use this approach you have to create database and filessystem backup also.
Filessystem backup is much faster and there are several very good tools to make an incremental backup.
If you store media in a database you can use Oracle Media types:

Repository for Document Management System
Hi All,
I need to devleop a repository [ just like Document Management System ] for my existed application which is handling the documents.
If any user having access to the repository, opens the directory, he should not see any documents.
Please let me know, what are the technologies to be used etc., etc.,

The file system is controlled by the operating system. Thus if you want to manage permissions at that level then you must use the OS.
There are no "other" technologies for that. You can buy or find management applications which allow you to do the same thing that the OS does but via different user approach. Most will be specific to the OS because that allows the most features. -
Setting up a Document management system in SharePoint 2013
Hello All,
I have come across a scenario where Customer needs a Document management system for their organization.
They want to keep the documents of different departments like sales, HR,Finace in corresponding folders and want to include a workflow for approval of the Documents. Also, Documents related to particular department can be modified or added by users in that
department.
I thought of creating a seperate site collection for this purpose & document libraries of each department, setting up the permission on document library level. Is this a correct approach?
I am new to Enterprise content management system of sharepoint. Can anybody give me a guidance on this how to get started.

Not able to upload file in DMS(Document Mang. system) using Web dynpro ABAP

I am facing a problem while uploading the file into the DMS ( Document Management System ) from Webdnrpo .
I am using the BAPI - BAPI_DOCUMENT_CREATE2 to create the document .
CASE - 1
when i am providing the storage category mention below and no data carrier1

How to install EASY DMS (Document Management System) setup in windows 7
Dear Experts,
Recently we have started a project to establish document management system in SAP. So, i have downloaded easydms7.1sp04 from the servicemarketplace service.sap.com/swdc and setup is successfully installed in windows Xp and unable to install successfully in windows 7.
The SAP is upgraded in our company to release ERP6 EHP6.
In windows Xp the DMS is accessing to all the systems in the landscape( DEV, QAS, PRD).
But, In windows 7 it is only accessing the production system and if creating manually the systems prompting the error about RFC and hosts in windows 7.Hi Sir,
As mentioned earlier it is prompting me the error
Logon Failed (RFC_ERROR_LOGON_FAILURE)
Name or Password is incorrect (repeat logon)
But it is accessing only the production system in windows 7 but not all the 3 systems which are in landscape. I dont know how can it proceed to logon to the production system only with out other systems .

Thank YouThere are a number of solutions, none of which, unfortunately, are trivial:
In decreasing scale of difficulty:
a) Hand-code the entire solution. PDF and MS DOC are both well documented formats.
I wouldnt recommend you try this.
b) Use ready-made open source libraries:
Other than the ones mentioned earlier, there is an Apache Libraray (POI ?) which can be used for reading and writing streamed OLE objects (which is what a word doc is)
c) Use the Java-Activex bridge and use mature COM/Activex components
WinWord itself is an Activex component. There are loads of mature Activex components that can spew out PDF.
d) If platform is not an issue, use C# or VB.NET
I'll probably get flamed for this.
I am not a .NET advocate usually, but in this particular case you should be able to complete your task with least effort by using mature Activex libraries and one of the .NET languages. -

We need to store the Employee revision letters( in PDF format) in DMS. Letters are currently in HTML format which we will convert them in to PDF format & store the same thru Document Magement System (DMS).
I would like to know,
1. How can we use DMS to store the letters in PDF format?
2. Where can I find DMS configuration part in SPRO?
3. I understand that DMS is a unique concept availabe in SAP HR. So how can I link DMS to HCM?
4. Is SAP Archive link related to DMS ?

SAP DMS - Document Management System
SAP DMS are for storing documents such as CAD drawings, Materials pictures etc.
With the document management system, users will be able to view the documents with ease within their SAP systems.
Installing the SAP DMS requires a little bit of planning on how you want to do it.
You have to give a little thoughts to stuff such as :-
1. The total numbers of documents that will be store monthly.
2. The average file size of each documents.
3. The capacity of your present R/3 system.
4. Your present network bandwidth.
5. Document Archiving Strategy.
6. Backup and Recovery Plan.
Additional purchasing of hardware are required, especially if you have large amount of documents to stored.
With this in mind, you can then decide on how you want to do it.
You can do this in a few ways :-
1. Import the documents into the R/3 system.
2. Use an external document server.
3. Have a dedicated PCs where all the documents are stored.
Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.
Options 1 requires you to setup the conversion interface.
The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.
Here is a simple example of storing documents into your PCs, just to have a feel how the SAP DMS works:-
For those using Citrix, you have to set this at the Citrix Server where the SAPGUI is located.

Assigning Documents to a Material Master Record
Access a material master record in Create or Change mode, and select Basic Data.
To create links to documents, choose Additional data -> Document data.
The Link to Documents dialog box appears.
Assign one or more documents to the material.
If you do not know what the document number is, you can search for it using the search help or by choosing Find document.
When assigning a document to a material, you have the following options:
1. Viewing the document by choosing it in the Link to Documents dialog box.
2. Viewing any originals of the document by positioning the cursor on the document and
choosing Display originals in the Link to Documents dialog box.
To return to the Basic Data screen, choose Continue.

If user reqest to open a original in SAP then it should connect to PDM WEB client and it should fetch the original from PDM server for viewing and editing the original.
How can I implemet this scenario...Should i wrire code in ABAP or Any advaced technology(BSP or PORTAL) should i sue....
