Double name of user categorization in outlook 2010

Hi Team,
I have one Resource mailbox, Many users having access on it.
Issue is with one user, When any mails recievd in Resource mailbox. the categorize automatically set for double name in user outlook. if see inbox of Resource mailbox.
I have checked rules for affected user and also affected Resource mailbox. But still didnt find the cause of double name of the user in Categorize.
Any help, really appreciated.

We may have the user try starting Outlook with the switch "/cleanrules" to try again:
Press Win + R and type “outlook.exe /cleanrules” in the blank box, then press Enter.
Note: This starts Outlook and deletes client-based and server based rules. You may export the rules you need before doing this.

    I have an issue with 2 users who's appointments are being Auto-accepted or Auto Declined. As these are User Mailboxes there is no resource scheduling set on these. I've also checked for delegates (none), Rules (including running outlook.exe /cleanrules).
    If I send the user some test appointments when they are not logged into Outlook, the appointments are not processed. If the user logs in through OWA then the appointments are not processed. When the user logs into Outlook 2010 (using Mapi) the appointments
    are processed within 5-10 minutes. I started to think it may be a PC issue, something buried in the registry. But I give myself full access to the account and logged in from my machine using Outlook 2010, the appointments are auto processed, again, within
    5- 10 minutes .
    Lots of stuff on the internet all pointing to Resource scheduling, delegates or Rules but I have now discounted all of these.
    If I check the users MailboxCalendarSettings, AutomateProcessing is set to AutoUpdate and not AutoAccept. The Outlook Client has all settings in Resource Scheduling unticked.

    Hi Darran,
    If there is no delegate configured, no rules and calendar processing is also set properly, please switch Outlook to Online mode to check whether the issue persists. Also close Outlook and receive test meeting request directly in OWA to double check the mailbox
    would not automatically process the meeting in OWA.
    If the issue happens in Outlook Online mode but not continues in OWA, please restart Outlook in safe mode or change a new computer with fresh Outlook 2010 to have a try.

  • Outlook 2010 and Exchange 2007. Outlook crashes when user opens it. Event ID 55, 100 and 3036

    We are running Exchange 2007 on our server and our user clients use Outlook 2010. One of my users is having the following issue. Whenever he opens Outlook 2010, it would crash and show this message: "Microsoft Outlook has stopped working. A problem
    caused the program to stop working correctly. Please close the program". I tried recreating his Outlook profile and the issue persisted. I also tried to create his Outlook profile on a different computer and same message shows up. Both computers are domain
    joined. 
    I checked Event Viewer both on his computer and the other computer I tried to set up his Outlook profile on. Both machines showed the same three error logs:

    Sorry for my delay. Have the issue been resolved?
    If there are too many items in the problematic user's mailbox, please delete some and check whether the Outlook can be opened. Please uncheck Use Exchange Cached mode to use Online mode and confirm if the user can access the mailbox for Outlook.
    Also try to connect to this user's maibox from your working machine with Outlook. Then check whether it works.

  • Outlook 2010 - Losing image in signature after reboot

    Hi,
    I have a user that uses Outlook 2010, they have a standard signature and after a reboot they have lost an image within it.
    Its a Written signature in the signature to make things worse.
    The rest of the content remains, just the one image is missing. I think its a .BWG file. They are hitting save, I went through the same steps.

    When we create a signature in Outlook, it's stored in the following location on your computer:
    Windows XP
    C:\Documents and Settings\%username%\Application Data\Microsoft\Signatures
    Windows 8, Windows 7 and Windows Vista
    C:\Users\%username%\AppData\Roaming\Microsoft\Signatures
    Please go to the location and find the user's signature, double click to open it and check if you can see the image there.

  • Outlook 2010 Client - "unable to connect to retrieve additional data" for some Distribution lists

    We have a mix of Outlook 2003, 2007 and 2010 clients in our organization.
    Users with an outlook 2010 client are having issues with a number (not all) of our distribution lists.
    Issues: When selecting a distribution list in the new message 'to' fiedl, a 'message tip' appears with the name of the DL and 'contains xx recipients'.
    However, when attempting to expand the DL (selecting the + sign) the following prompt appears "Cannot perfrom the requested operation. The command selected is not valid for this recipient. The operation failed"
    When selecting the DL through the outlook address book the memberlist is empty and has a mail tip "unable to connect to retrieve additional data".
    The DL's were all created in a 2003 environment.
    We are currently setting up a 2010 environment, and all DL's were created prior to any schema updates etc.
    Of note, users experience the issue, but access the list through OWA don't have the issue.

    Please also perform the following steps to troubleshoot the issue.
    1. Temporarily turn off firewall and antivirus program on the problematic machine for a test.
    2. Remove the Outlook profile completely and create a new profile.
    3. Login on the same mailbox by Outlook 2010 on another machine to check the result.
    If the issue persists, please open Event Viewer and check whether any error message exists. If so, please post it here for research.

  • Calendar Free/Busy permissions being ignored for users migrated from Exchange 2003, fine for new users created on Exchange 2010

    I have uncovered a situation where it seems the free/busy permissions are being ignored for users that were migrated from Exchange 2003 to Exchange 2010.
    I have the default permissions set to only show Free/Busy Time, not Details.  However if I look at the calendar for a users who was migrated from the old Exchange 2003 server, I can see details.  If I look
    at a newer user who was added directly to the Exchange 2010 server, I (correctly) only see the times and "Free" or "Busy", not the specific details.
    I verified the permissions on the migrated mailboxes many different ways (Exfolders, cmdlets, etc) and all signs point to only allow showing Free/Busy Times, but alas, I can still see the Details as well.
    My users are using Outlook 2010.

    Does this issue occur on Outlook only or both Outlook and OWA?
    Since you have double checked the permissions via multiple methods, it seems there is nothing problem on permission. Please make sure the migration from Exchange 2003 server completed successfully.
    If in OWA everything goes well (cannot see details), it should be an issue on the Outlook client side.
    I suggest run Outlook under safe mode to avoid some AVs and add-ins.
    I suggest re-create profile to refresh the caches.

  • Outlook 2010 won't send/receive at startup or at scheduled intervals

    I've searched through some of the forums, but can't seem to find anything... I have a user who's Outlook 2010 won't do a send/receive at startup, nor at the scheduled intervals I have it set to.... It works in safe mode, so I have everything set right, but
    when I try to go in the regular way it won't work... I've unchecked all add-ins to make them inactive, one at a time until they all were, and it still wouldn't work properly.
    I've created a new profile... confirmed the send/received settings under File>Options>Advanced>Send/Receive....
    Any other suggestions?

    Do you have any kind of virus scanner integration? It may expose itself as an add-in in Outlook, try to disable it and check the result.
    Please also try if this issue persists after you create a new Send/Receive Group.
    Click File, and then click Options.
    Click the Advanced tab.
    In the Find Send and Recieve section, click Send/Recieve.
    Under Group Name, click the group, and then click Copy.
    Under Send/Receive Group Name, type the new group name, and then click OK.
    Under Group Name, click the old group name.
    Under both When Outlook is Online and When Outlook is Offline, click to clear the check box for Include this group in Send/Receive (F9).
    Click Close.
    Quit Outlook, and then restart Outlook.

  • Outlook 2010 - Strange email bounce back issue.

    Hello,
       I have a user who's emails are getting rejected by some mail servers.  We are on Exchange 2007, and the user is using Outlook 2010.  The strange thing is, I and many other users on the same server can send to the same address no problem.
       I also found that if the user sends mail from OWA or his phone, it goes through fine as well.  His emails get blocked only when he sends from Outlook 2010 on his PC.  I thought it might be something with his ost file, so I had him
    delete it and Outlook rebuilt it.  But the issue persisted.  His emails got rejected with a 554 denied error.
       I checked and our Exchange server is not on any blacklists and has a good reputation.  Its just this one user that is getting rejected when he sends mail to certain addresses from Outlook 2010.  Is there an issue with Outlook that
    would cause something like this?

    According to your description, I understand that the issue only occurs when sending message from the Outlook client.
    Please check the Blocked Senders and Safe Recipients settings in Junk E-mail Options in Outlook 2010. Also try to start Outlook in safe mode and send the test message to check whether the issue persists. If it doesn’t work, change a computer to have a try.

  • Font changing in Outlook 2010

    Hi All,
    Weird one here that Prof. Google cannot answer. 
    I've got a user who uses Outlook 2010 as part of Office 2010 and then getting email from a particular customer the reply font changes from the standard to Sim Sun and sometimes it's just the body of the email and sometimes also the header too. 
    Does anyone have an idea why this is happening and more importantly, how to stop it?

    Yes, only from an external recipient, when emailing colleagues the font issue is not apparent.
    The font of the inward email is Sim Sun, the font is not being changed at all. 
    Here is the diagnostics I have carried out so far:-
    Repaired and reinstalled MS Office
    Sending and replying internally does not replicate the issue.
    checked the Font used by going to FILE>OPTIONS>MAIL>SIGNATURES>FONT, confirms this is not the issue.
    Equally the 'stationary' being used is the default MS stationary within Outlook.
    Changing the stationary doesn't improve or worsen the issue.
    The issue is only present when using HTML as the email format.
    I've logged into the users machine as them and not been able to recreate the issue by sending test emails to myself and others.
    I have recreated the local user profile on the machine and the issue also persists.
    Formats and Regional settings are all US under control panel except for the time zone. 
    The issue does not show on OWA. 
    No other user in that office has the issue, the issue doesn't stop the user from working, the user percieves it as not appearing professional hence their concern. 

  • Outlook 2010 stops receving new emails when in cached mode

    User has an Outlook 2010 issue that has been called in on NUMEROUS internal helpdesk tickets and has never been resolved.  What happens is several times a week his Outlook 2010 client on his Windows 7 SP1 laptop will stop synchronizing
    new messages from Exchange 2010 (not sure exact build/version).  His admin assistant still gets his new messages in her Outlook 2007 SP3 client (as his delegate) and he still gets new messages on his iPhone via Good GMM.  If he logs in to Outlook
    Web Access all his messages are there.
    We already tried toggling Cached Exchange mode off and back on several times, the problem still returns whenever in cached mode.
    We already tried deleting the outlook.ost file and letting it rebuild several times, the problem still returns.
    We already tried deleting the entire Outlook profile and letting it rebuild several times, the problem still returns.
    We already tried deleting the entire Windows user profile and letting it rebuild several times, the problem still returns.
    We even gave him a whole new laptop, the problem still returned.
    Problem started with Outlook 2007, upgraded to 2010, problem returned.
    Seems to happen more often when the laptop resumes from sleep, but not always.
    Most add-ins are disabled except for McAfee and a few other essential Microsoft ones.
    He does not have ANY rules or alerts set, none at all.
    He does not have any other mailboxes or shared calendars in Outlook and RSS feeds are off. 
    He does have 8 PST files and several of them are quite large (three are 2GB each, one is 4 GB).

    If change other user account on his laptop, and use outlook cache mode, is there the same issue?
    If not, I recommend you try to move this mailbox to another database, and check the result.

  • Outlook 2010 prompting for password each login to Exchange 2013

    We have a new member server w/ Windows Server 2012 and Exchange 2013.  User's mailboxes were migrated from an old Windows Server 2003 server w/ Exchange 2003 by creating new empty mailboxes in Exchange 2013 then we exported/imported
    .pst files instead of migrating exchange stores.  Every time any users opens Outlook, they are being prompted to log in with domain credentials.  Obviously I'm clicking on "Remember my password", too. The workstations are all
    using Outlook 2010 and on a mix of Windows XP SP3, Windows 7 SP1 and Windows Server 2008 R2 (terminal server with Outlook 2010 installed for remote users). Some users were using Outlook 2010 prior to the migration to Exchange 2013 and some were on Outlook
    2007 but upgraded to Outlook 2010. I'm almost to the point of telling the users it's a new "feature" of Exchange 2013.  I'm confident that it's not stored passwords or credentials on the workstations, I've removed, deleted, created and
    recreated those credentials.  I've changed domain passwords and that didn't help either.  Any hints, tips or suggestions would be greatly appreciated.

       These settings can be found under your Outlook profile, "More Settings > Connection > Exchange Proxy Settings."
       If you have Outlook Anywhere enabled, then you should force all Outlook clients to use HTTP when connecting.  Ensure you have  "On fast networks, connect using HTTP..."  AND "On slow networks, connect using HTTP...".  If you
    don't, anytime you dock, undock, get a new IP address, refresh your IP address, go to sleep, idle, anything that causes your IP stack wants to renegotiate connective will cause a password prompt to appear, EVERYTIME.

  • New domain, Roaming Profiles, Outlook 2010 gives error 'Your Outlook data file cannot be configured'.

    Hi there,
    I have recently setup a new domain, with a new domain controller and new exchange 2013 server.
    these are running on a cluster of 2 x hyper-v 2012r2 hosts. All VMs are running server 2012 r2.
    although I don't think that has any bearing on my issue.
    I have migrated all of my existing user machines to the new domain.
    We use roaming profiles.
    When a user logs into their PC for the first time, all is ok.
    when a user logs into a different machine (they log off of their first machine and then log into a second machine),
    they get the following error when opening outlook.
    'Your Outlook data file cannot be configured. C:\Users\%username%.domain\AppData\Local\Microsoft\Outlook\[email protected]'
    I can manually resolve this on each machine by doing one of the following.
    1. Before the user logs in, I log in as an administrator or browse to the pc from another machine create a folder in users called 'whatevertheuserssusernameis' (please note, I actually put in the user's username, ie OKIRWAN)
    when the user then logs in, their profile is created in %username%.domain instead of %username%.
    I believe this is the route of the problem, as when we added the new machines to the domain, and they logged in for the first time to their 'usual machine', there was already a folder in users with their username, so when we added to the new domain and logged
    in for the first time, it created a new folder called %username%.domain, however when the user logs into a pc they never have logged into before, it creates their profile in %username% but their roaming profile is looking for their OST in C:\Users\%username%.domain\AppData\Local\Microsoft\Outlook\[email protected].
    2. My second way around this is to go to control panel and mail and remove and recreate the users outlook profile.
    As I have 100 users, who move to various different machines, these manual options are not really viable.
    I have tried redirecting the OST file to c:\OST via group policy, this did not resolve the issue.
    All users are local admins on their machines.
    if I open outlook as administrator then it loads ok and creates the OST file in C:\Users\%username%.domain\AppData\Local\Microsoft\Outlook\[email protected].
    however if I close outlook and open it again without running as administrator I get the following error.
    File access is denied. You do not have the permission required to access the file C:\Users\%username%.domain\AppData\Local\Microsoft\Outlook\[email protected]. (even administrators on that PC have full access to that folder).
    All users are running outlook 2010.
    Any help would be much appreciated.

  • Outlook 2010 using Citrix Presentation server does not save mail profile, O365 Mailbox

    We had on-premise exchange 2003 mailboxes which have been migrated to O365. Some users access their mailboxes(O365) using Outlook 2010 which is published using Citrix Presentation server 4.5. The AD accounts TS profile is pointing to \\%computername%\Tprofiles\template.man
    These users used outlook 2003 with this config with the on premise Exchange 2003 server and it saved the outlook profile. After outlook 2010 is configured to connect to the users O365 mailbox all is fine until the user logs off and logs back in, the profile
    setting is lost and has to re-setup. I should mention that Outlook does not auto discover the users mailbox but is able to if the outlook wizard is run either from desktop or RDP however that is not a concern unless these two are related
    issues. I am not sure if the issue is with Citrix ( I am not a Citrix admin) and some configuration fine tuning needs to happen on that front or the issue is somewhere else, setting up a roaming profile is kind of ruled out since this was not needed
    with Outlook 2003 and Exchange 2003.
    What would be the best way to get this working ? any help will be appreciated.

    It seems that deploying a PRF file is best based on the research as well as some of the links which Amy shared. Users are using Outlook 2010 using the /importprf switch however with outlook 2010 the " Encrypt data between Microsoft Outlook and Microsoft
    Exchange" is enabled by default this causes some of the users to be continuously prompted for authentication, I was able to manually fix the issue by disabling  "Encrypt data between Microsoft Outlook and Microsoft Exchange"

    We can't do this manually but want to modify the PRF file to disable this. So far the only documentation referring to this is for Outlook 2003 to
    enable this,  it was disabled by default with this version of outlook.

  • Outlook 2010 with roaming profiles

    Good day,
    I have a user who uses Outlook 2010 and she wants to be able to use it on more than one computer. The problem is that when she goes to the new computer it asks her to set up her email account again (with the startup wizard).
    Our users have roaming profiles, all the computers are part of a Windows Server 2008 domain, etc. The user has had the account set up for her on the computer she usally uses. The account is connecting to a Exchange Live 2010 server on the
    Live@Edu service.
    I know Outlook doesn't roam all the user's data but I would have thought with Exchange accounts that at least it would be possible to roam the user's Outlook settings because they don't rely on a locally stored PST file.

    So are you saying the: 
    HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\Microsoft\Office\14.0\Outlook\Setup 
    should be the same on all the computers, and
    HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Outlook\Setup
     should be the Current user of each, so user 1 would be the same on all computer and user 2 would be  would be the same on each but different than user 1 
    Right?
    where would it grab the pst from..

  • Display the users middle initial or middle name in active directory and it shows in outlook 2010 as well.

    I would like for the users middle initial or middle name to show in outlook 2010. I
    can set it in the header meaning I see the middle initial when the email comes in but its not in the signature. I read a post about the middle name attribute has to be set in a/d? if that is the case please provide some feed back on how to accomplish that?

    In AD, the attribute name is "middleName". You can populate it in bulk using Powershell with
    Set-ADUser cmdlet.
