Downpayment Asset
Hi experts,
The client is looking for a solution to record the down payment for asset. They are basically looking to the following.
1. create PO with account assignment 'A' to the asset for the full amount
2. process the down payment in AP, using spl GL account
3. When the asset is received do the GR/IR for the full amount so the asset will have the right amount and capitalization date. As well pay the last invoice (total amount - outstanding balance).
So basically they don't want to capitalize the asset until it has been received and they want to use AP down payment to pay the vendor until the last invoice and process that in MM against purchase order. Is this possible? Thanks

When you use F-48 to make down payment, you can enter purchase doc no(Order). So that it will help you track the payment against the order.

I am working on one scenario in which asset is getting capitalized at the time of down payment to vendor.
I have created on Asset PO and i am doing downpayment to vendor against this Asset PO using F-48. Now it works fine and also this downpayment appear in that Asset PO also but i have only one problem when i have done with this downpayment, Asset is capitalized on down payment amount actually it should capitalized only when the actual goods received i.e at the time MIGO.
Kindly let me know how to solve this issue. I dont want asset capitalized at the time of down payment.

Marmik ShahThis topic is already old but we had the same requirement. The asset should not be posted to during the down payment with F-48 but only during the good receipt.
OSS note 310368 provides the solution for this. In short:
- implement the corrections if needed
- suppress the fields asset number/subnumber in the field group of the account allocated to the special G\L indicator "A - Down payment on current assets" (transaction OBC4)
- change error message F5 378 to warning (transaction OBA5)
After this, the down payment is only posting to the vendor and e.g. a bank account and the asset is only posted to during the goods receipt. Any additional AA customizing regarding account assignment for down payments is in this case also not needed. -

Mahendra Guptaplease check the configuration of your downpayment at transaction AO73 (Activate capitalize fix asset).
Also, you should make sure you define the relevant G/L accounts to post downpayment.

Basically in the customizing, you should define down payment accounts for AuC asset class:
Acq. downpayment -> should be asset reconciliation account.
downpayment clearing -> this is a normal GL account(not AA rec.account
The postings are like follows:
F-48 downpayment

29A vendor 100 (field status set,asset 'option')
70 asset 100 <- Acq. downpayment account in Ao90 invoice
31 vendor 200-
70 asset 200
F-54 clearing invoice

In summary, you can avoid the error as follows:
1. Filling the missing account in AO85 or AO90 OR
2. reversing the down payments of the orders.
The functionality down-payment in asset module is designed as what you have seen. Normally it posts to an AuC first in down-payment and then reverse it in invoice clearing (F-54).
Please also refer to the attached note 310368 solution 2:
"2.If, for some reason, you do not want to do this, but this scenario is
essential for your accounting, then contact SAP remote consulting. A
solution will accompany a modification which cannot be supported by
SAP support."

Unfortunately it is not possible to turn error AA866 into a warning message.

Supress/ avoid posting downpayment to asset on settlement of WBS

WBS/ internal order is an investment measure. downpayments are posted to the WBS which are getting settled to the asset. Accounting entry posted is
CWIP Acquisition: down payments Dr
CWIP Down-payments clearing account Cr
However the business does not want downpayments to be be posted to asset at all. How can the postings to downpayment and downpayment clearing account be stopped

Hi all,
I have a doubt about downpayment procedure in FA. We have created a note item as a downpayment in a vendor.
This vendor has a PO assigned to a WBS element which is assigned to a asset under construction. When we run the WBS Settlement this donpayment was posted to the Asset under construction with transaction type 180 (Downpayment). This was in May.
In june the user realize that this note item (Downpayment) was wrongly posted to this place, it will never be paid. They are waiting the invoice to be posted and pay.
The user cancelled the downpayment with FB08. But when we are nunnig the settlement of the WBS in june no reversal is poted in FA with transaction type 181.
What is missed or wrong to post the cancellation of the downpayment into the Asset under construction? What is wrong in the scenario?

Down payment request against WBS (F-47) cant be moved to AUC. Only advance payments (F-48 ro F110) Can be moved to AUC provided required config maintained. if you reverse the advance payment document after the settlement, the same will get credit in WBS and the it will be transfered to AUC as Credit in the next settlement run. Transaction type 181 will be used in the reversal.
Please check the Payments report for the WBS element and Asset values in AW10N for AUC asset, this will provide the complete history of the WBS and AUC.

Hi,
We are planinng to use Downpayment for direct acquisitions (not AUC)
But, the problem is depreciation is getting calculated fot tty 180 and reversing for 181 where as we don't want any depreciation to be calculated for downpayments (if we deactivate "capitalise asset for 180", depreciation is getting reversed /calculated for 181).
I have gone through the threads, but did't get the solution.Can somebody help me with providing the solution.

Thanks for the valuable information given below.
1) First change the field status for your down payment GL account. (Alt recon account set in spl GL config for indicator A with account type K) for the below fields as suppress.
Asset No and Asset Sub number
2) change the error message no F5378 as warning message in OBA5.
Then now try to post your down payment with F-48 by giving asset PO no reference. It will be like normal down payment only.
However, I need one clarification here:
For eg. the asset is of INR 50000, I made a down payment (after making above changes) of INR 10000. When I do a goods receipt, How much amount will the system reflect INR 40000 or INR 50000 and secondly will that down payment get reflected in AW01N later? Kindly advise.... -
Downpayment on a Asset PO not top update actual asset

I have created a PO with account assignment category as "A".
Now while making a downpayment using F-48, I am entering PO in the PO field.
This is making a posting in the asset as well.
How can I avoid making a posting in the asset in such a case?

You are absolutely correct that when the P.O. is as Asset P.O., the Asset should get updated.. BUT, the issue is that.. when you post a down payment to an Asset, Asset Master get populated with the Values even at the time of Advance Payment and if you run Depreciation for the month, the depreciation will get posted on the Asset, even though the Asset is not commissioned..So, in order to avoid this scenario, we do not post it to the Asset.
As per Indian regulations, the Depreciation on as Assset is started only when it is installed and put to use..

Hi,
I would like to make downpayment to assets without any postings made to the assets.
I found the following thread: Re: Asset Downpayment
And it works as mentioned when I made the payment using F-48. No postings to the asset is made.
However, if I use F110 to make the payment, system prompts for the downpayment to asset GL accounts to be set up. If I set them up, postings would automatically be made to the assets when payment is done.
Is this a standard feature? Can F110 works similarly to F-48?

The transaction type entered belongs to transaction type group 15. According to the specifications for this transaction type group, posting with transaction types belonging to this group are only allowed in specific asset classes (for example, asset classes for assets under construction).
The asset to which you are postings belongs to class 61000 (chart of depreciation XXX). You cannot post to this class using the transaction type you have entered.
Then I went ahead to add asset class 61000 to transaction type group 15 (downpayment) and try again.
F110 then gives me "No account has been entered for posting down payments in area 01 under the account assignment key.."
So I went ahead and maintain the GL accounts for downpayment to assets.
But that's not what I want. -

Your opnion is required regarding GL entry that is created whenever downpayment is made against an asset for which proper PR and PO was raised from MM side.
Downpayments are done with M indicator and we use F-48 to pay vendor advances. PO is a required field while making downpayment. Entry upon downpayment is

I am new to Asset accounting. I have a problem which says likes this at the time of a Down payment request creation:
Message no. F5378
The asset number assigned in the purchase document
is different from the asset number entered manually
cannot be transferred, because the 'Asset number' field was hidden for the account in question
System Response
In the first instance a warning appears, drawing your attention to the different account assignments. In the second instance an error message appears, because the asset number must be transferred from the purchase order but the necessary field is hidden.
Procedure
If you receive the warning, check which asset number is the correct number for this down payment.
If you receive an error message, you must either choose another special G/L indicator for down payments so that it is possible to assign an asset number to the relevant general ledger account, or you must change or delete the the specified purchase document number. Only those purchase documents are allowed which are not assigned to assets

The Fixed Asset Shell is a Fixed Asset Acquisition document that has been automatically generated by MMARS after an eligible payment and disbursement have been completed. It is used to record, better or increase the value of a Fixed Asset. Departments will manage the Fixed Asset Shells via the FAPR table. After processing the Fixed Asset Acquisition document information is updated in the Fixed Asset Registry.
To create a Fixed Asset Shell the Commodity and Unit Price must match or exceed the Fixed Asset Shell threshold settings defined for each fixed asset eligible Commodity Code. These threshold settings are stored in the Commodity FA Threshold (COMMFA) table in MMARS and sorted by Commodity Code.

Dear all,
Iin cases, where the advance is given for an asset, the advance amount gets parked in the asset GL. After MIGO also, the advance amount is highlighted in the asset GL until the advance is not settled by F-54 after MIRO. In our case, there is a time gap of around 10-15 days between MIGO & MIRO. Till the time of advance settlement, the amount appears double time in asset account & thus our MIS for cost of assets gets mis-leaded. The asset reports reflect advance amount as well as MIGO amount since the advance is not settled. For example, we give advance of Rs. 100 against purchase of an asset. The advance of Rs. 100 is debited to asset GL. When we receive goods of Rs. 100, the asset account will be debited further by Rs. 100 after MIGO & the total amount in asset GL will be Rs. 200. But the actual physical value of goods in the factory is Rs. 100. The advance amount will go out of asset GL only after the advance is settled by F-44 after MIRO.
Hence, we need to concentrate on how the advance amount can flow out from assets as soon as MIGO is done & parked into another new GL (say named as Advance pending for Clearance). The amount in the new GL can be squared off when MIRO is done.
Kindly suggest how it can be done.

Vendor Reconciliation & Asset Reconciliation Account

I am a little confused regarding the reconciliation accounts.
We are making for Asset Config settings for down payment posting. I selected downpayment account for Asset Downpayment in AO90; but the system says the GL is not a reconciliation account.
When I saw the GL account, it is created as a Vendor Reconciliation account.
But in AO90 I think, we should give an Asset Reconciliation Account, right ?
If that is the case, why we should have separate reconciliation account for Vendor and Asset in Downpayment posting for Assets ?
When we post the Vendor Downpayment in F-48 using Spl. GL indicator 'A' , we are assigning the PO number also where asset is linked.
Spl-GL 'A' is linked to a reconciliation account for vendor.
Asset downpayment is also linked to a reconciliation account for asset.
If that is the case, which downpayment account, the advance amount for asset is posted ?Hi Niki
I personally dont like updating the Down Payments for assets in Asset Accounting.. It is inviting troubles w/o much of value-add.. If you post DP to asset, then Invoice and you dont clear the DP, the depreciation is calculated on Invoice amount + DP Amount
Ofcourse, it gets adjusted in future depreciation runs once you clear DP. But if you clear in subsequent FY, then thats a problem
In order to avoid updating DP in AA, follow the below steps
1. Create a new FSG as a copy of G067 in which you will suppress the Asset Number
2. Assign this FSG in Vendor recon accounts
3. Do F-47 and enter the PO Number..
4. System will give an error msg F5 378..
5. Suppress it in OBA5, and you are done..
I remember this till date because this was one of my initial findings / learnings in my SAP Career ;-)

Diagnosis
The transaction type entered belomgs to transaction type group 15. It has been specified for this transaction type group, that it is only allowed to post to asset classes for which it has been explicitly allowed (for example, the asset class for assets under construction). The asset to which you are posting belongs to class 16 (chart of depreciation IN). You cannot post to this asset class using the transaction type entered.
Procedure
Check the asset number you entered. You may want to allow posting to this asset class using this transaction type group.
What would be the problem..?

Diagnosis
You posted a payment to a CO-relevant object (cost center, order, and so
on). The payment is therefore recorded in CO.
If a payment has no order reference, no consumption account can be
derived. Therefore, CO posts the payment under a default cost element
created and stored during Customizing.
You have not yet maintained this default in the system.
Procedure
Maintain the default cost and revenue elements in the Implementation
Guide under "Project System" for controlling area CA00.*
I don`t know what is the reason for using this cost element and which type of cost elements that i can use in this issue....
We are not use Down payment clearing account, because Our customer don`t need this account..

For error message KI165,please maintanin default cost element in OKEP.Down payments have to be posted in CO with cost elements. In case of purchase orders (or open items in CO), the cost element for consumption can be derived from the purchase order. Thus the down payment in CO is posted with the consumption cost element.
If the down payment does not have any reference to a purchase order, then the cost element for which the consumption will be posted is not known. In this case, the cost element maintained with OKEP is used.
The error message KI165 will occur if no cost element is maintained with OKEP - not regarding whether the actual down payment has a reference to a purchase order and thus will update in CO under the consumption cost element derived from the purchase order. This is always a source of misunderstanding - but I hope it is clear now.
OKEP configuration is absolutely necessary if you do not have a cost element assigned at the time of downpayment request creation.
If after maintaining the default cost element you get some other error then please note that you would need to check the following :
1.Compare the configuration settings for the GL accounts that are used for posting the cash call in EHP4 system with the system without the EHP4 support pack.
2.Check the controlling area settings in both the systems.

Issue in settlement of WBS to Asset under construction
I had created new WBS elements to projects and tried to settle the values in the WBS element to Auc at the end of period 12.
Instead of settling to Auc acquisition account specified in account determination in asset accounting, the values are trying to settle to downpayment clearing account specified in the asset accounting.
Can you tell me how I should correct that.When you search on this forum try to put Date range "ALL" to get more results. Please read below threads and you will get the solution.
