Duplicate email notifications in using extended notification
Hi,
I have configured extended nottification to send workitem notifications to outlook email inbox by using SWNADMIN & SWNCONFIG. I have executed the SWN_SELSEN program to send notifications out. However, I am getting two duplicate email messages for every same workitem. Has anyone run into this same issue? If you have, could you share how did you solve this problem.

But i have the same doubt here.
"The Notification Event is defined through a XML file that must be loaded into MDS database." - in which path and in what name it should be.
Because under /metadata/iam-features-notification, i couldnt see any event Xml present. I thought atleast we could see the existing OOB notification template's event xml files.
Please let me know if you are aware.

Purchase Requisition using Extended Notifications
Hello,
We set up the Purchase Requisition approval so the approver is notified in Outlook. We are using Extended Notifications to do this. The approver can approve or reject from Outlook. However, when the user clicks on approve or reject, they are being asked to logon to the SAP system.
Is there a way to use Extended Notifications so the approver can approve or reject directly from Outlook without having to logon to the SAP system?

In extended notification the approvar will be asked to SAP login details and proceed for approval process. Without log into sap you cannot approve the PR. Please refer below link for better clarity. Thanking you.

Extended Notifications with Links while using Citrix to Access Hosted SAP
Hello,
I am working on a system which is hosted remotely where Citrix and Single signon are used to access the SAP instance. I need to be able to send email to their Outlook server with executable links back to the workitems. I had planned to use Extended Notifications to get this done. I am fine with everything except for the Citrix link. I am not sure whether the link in the email will be able to find its way through Citrix to the SAP instance. I also need to know the SSO is going to work - it seems at a minimum they would need to sign on to Citrix. Has anyone out there done this, or at least know whether it would/should/won't work?

Extended Notifications: how to change the URL link
Hello,
We are on ECC6. We use Extended Notifications to alert users to the presence of new workitems, but when they click on the link to execute the workitem, they're presented with the login screen.
We have been able to send emails from workflow which contain a link that does not ask for a login so I know which URL to use. The problem is, how can you set the URL in Extended Notifications? How does it decide which URL to use? I've tried changing a few General Settings in SWNCONFIG, none of them made a difference.
Any hints, tips, suggestions would be appreciated.

Extended Notifications for UWL
Hi gurus,
I am trying to configure extended notifications to work with UWL. Problem is the notifications are not saved or sent by SWN_SELSEN.
Our SAP system is Netweaver 7.0 EhP 1.
I followed instructions found here:

However, we already had configured the workflow to use extended notifications with SAPGUI. So when I ran SWN_SELSEN, the old notification still showed up, but not the UWL version. So I deleted the schedule for the old configuration, thinking there might be interference. Again I created a work item and ran SWN_SELSEN, this time no notifications saved or sent. I found that I could run RSWNUWLSEL and the notification is saved, but not sent.
Any idea what the problem might be?
Also I noticed that in the Worflow Book (2nd ed.) it shows to update the General Settings in SWNCONFIG with a url for the UWL. But I don't see that instruction in the SAP Help? Do I still need to do that? If so, is that url a portal quicklink to the UWL iView?
For what it's worth, here is what we are trying to accomplish:
1) the links in the email should take the user to the UWL, not SAPGUI
2) for a user decision, currently the user has to login with their backend system password, which may not be the same as their network password; I'm assuming that if the links now go to the UWL, it will require the user's portal id/password - which is synchronized with their network password, and that is what we want.
So if just putting the UWL url in the general settings will do the job, then why do I need all that stuff in the SAP Help (RSWNUWLSEL, etc.) anyway?
Any enlightenment would be appreciated!

It sounds like you are asking two different questions ...
1) does using extended notifications necessarily require use of portal / UWL?
answer: No. In fact out of the box, (in our system which is 7.0 EhP1), extended notifications will generate links that go to webgui (SAPGUI for HTML) or SAPGUI. To make it work for portal is what my question is about.
2) you want to 'send the hyper link in the mails to clients'.
answer: if by clients, you mean users outside your system, you will have to do something other than out-of-the-box. Normally with workflow, execution of the links embedded n the email will require the person to have a logon to the SAP system. Perhaps if you have clients with access to the portal but not the backend, it might work if you configure extended notifications to work with UWL. The client would have to have the UWL role in the portal but obviously without backend access, they would not be executing anything on your SAP system, right? But for displaying information to them that might be useful.
of course another route would be to code completely custom methods to send the email which would include constructed links going wherever you want ... but that would be a lot of work! (and out of the realm of SAP Business Workflow)

Extended notifications from multiple systems
We're using Extended notifications now to send reminder e-mails about unfinished tasks. The problem now is that we have multiple (3) systems and we would like to set up Extended notifications to send one combined e-mail that has all the tasks from all the three systems. Is this possible with Extended notifications or do we have to cope with sending one e-mail per system?

I had the same requirement. My conclusion was that achieving this would mean modifying the standard extended notification mechanism to run in one of your three systems and retrieve workitems from all three systems via RFC calls. Surely quite a big change, with high complexity and high risk.
I finally implemented another (relatively easy solution). The only prerequisite is to have UWL.
1. Write a function module (rfc-enabled) that grabs all dialog and deadline workitems in a certain timeframe (passed as a parameter to the FM), with optional filter on task and agent. It returns a table with all the selected workitems + description + agent + agent's email address (if several agents for a workitem then the workitem appears several times in the table).
Implement that FM in all our SAP prod systems where you have workflows.
2. Write a report in one of the systems, which makes a call to that FM in all the other systems to retrieve the workitem and then sends an email to each agent. The report writes the time at which it runs in a db table. So next time you run it it knows when the email was sent last and thus knows which timeframe to select workitems on.
The report sends one email to each agent with the list of workitems and a link to the UWL.
If you do not have UWL then that might get much more complicated because you'll need to insert links in the email body to allow execution of the workitem from the mail directly. Not easy... In that case I would rather start from the standard extended notification mechanism and enhance it.
Mmmh, maybe I should write a blog about this report of mine. Anyone interested? Worth the effort?

Extended notifications and the portal
Hi All,
I'm using extended notification ( SWNADMIN ) to send the workitems in SRM/ECC to MS outlook . The background jobs SWNSEL etc are run in the respective systems . Emails produced have links to logon to the respective systems and display/execute the workitem but I want the users to login via the portal . Is that possible ?

then i would suggest, before the link opens the corresponding appl, pop up for the userid , create specific portal roles lik manager,hradmin etc, so that the workitems are executed.
But one thing i would like to mention is : extended notification is mainly useful for those who do not access portal often.

Extended notifications and UWL

I am using Extended notifications for sending notifications to lotus notes. In the notification we can maintain shortcut to open the workitem in SAP GUI. But the users use only UWL to access work items.So Is there any way to maintain the link to be directed to the work item in UWL, is there a way of changing this email icon link to point at the portal rather than sap gui. Please clarify.

I have created a Workflow for Purchase Requisition ZBUSXXXXX and assigned it to the RELEASESTEPCREATED event, and in the workflow I have created a User Decision step and created a rule which will decide the approver for the Purchase Requisition and used in the User Decision Agents tab. When ever a PR is raised, work item is going to the correct approver's SAP Inbox (SBWP).
Now the issue is, I am using Extended Notifications to notify the user MS Office about the work item. I have configured the Extended Notification SWNCONFIG using the document available on the net. When I go the SWIA transaction the user decision step is "READY" under status. But when I run the report SWN_SELSEN it is selecting the work item, the message is not sent to the user. When I remove the rule in the workflow user decision and changed it to the Expression as WF_INITIATOR. Email is sending to the initiators MS Outlook. But when I changed Expression from WF_INITIATOR to rule work item is going to the approvers user SAP Inbox (SBWP) after I ran the report below is the output.

After debugging the program SWN_SELSEN report i have found out that when I use WF_INITIATTOR in the user decision SWN_NOTIF table RECIPIENT_ID field is getting updated, when ever I uses a rule or any other US (UserID hardcoded) this field is not getting updated. I do not really understand on what basis this table is getting updated, whenever i use a rule the work item is going the correct approver SAP Inbox, so i think there is no problem with the Workflow, correct if i am wrong.
Could anyone please provide me any inputs in this regard.

Extended Notification in Workflow issue
I have used extended notifications to send user decision to Outlook, when PR is created user decision step shows as "Ready" under status in SWIA. When I run the report SWN_SELSEN with selected check box "No time check during send". Email is not triggering to my Outlook. When I created a simple work flow with only user decision email is triggered to my outlook.

"The job for the SWN_SELSEN report checks whether there is a schedule that needs to be executed. If this is the case, the report selects work items or delivers notifications and sets a time stamp. If the schedule was not executed at the intended time, this is indicated in the time stamp. The schedule is executed the next time the job is started."

Extended notification and deadline monitoring
We are using extended notification to deliver new and changed workitem by email. Now we want to update some workflow approval tasks to add deadline notification. In SWU3 workflow customizing, we had setup "Schedule Background Job for Deadline Monitoring" to run job RSWFSLSDLEX (previous version is SWWDHEX).
My question: if there is some outstanding workflow task meet the deadline, will the notification email sent out by job RSWFSLSDLEX or extended notification report SWN_SELSEN? Thanks in advance.

The deadline monitoring job only creates additional workitems if a deadline is met, the sending of an email job retrieves workitems and sends them as email.

Best approach to attach note to decision via extended notifications?
Hi,
I'm looking for advice as to the best approach to handle this requirement. We are using extended notifications to deliver a user decision task to users' Outlook inbox. Users want to be able to attach a note after they select one of the decision links in the email. Currently if they click any option, they just get the standard page that says "Work item executed with decision option (whatever)". There is no feature in that page for attaching a note.
We want to keep this as simple as possible from the users' standpoint. Currently these users are not using the UWL, and they don't use SAPGUI very much. The need to attach a note will be infrequent, so the procedure needs to be obvious and simple, or the feature won't be useful.
The SAP system is ECC 6.0 with Netweaver 7.01. The immediate application is purchase requisition rejection (we want to be able to attach a note when rejecting), but I am hoping for a generic solution.
I'm thinking we have to create a substitute page that gets called when the link gets clicked. Will that work? But is there an easier way?

Send back to author issue in HCMFP with extended notification functionality

We are using HCM Forms and Processes in our project .When the Form is sent back to author by the manager, author receives the email using extended notification functionality where the author clicks on the link provided in the notification email to open the form.Till here everything working fine, but when the author sends the form again for approval with required changes , the approver could not see the latest changes in the form. He still see the old data. Please note standard Task TS04000020: PD Form Is Edited Again by Author is used in the workflow.
We tried the same scenario, where author access the form through UWL, make necessary changes and send the form for approval. In this case,latest changes can be seen by approver without any issue.But, as per business we can not provide UWL and should use extended notification functionality only..
Please help in resolving the issue with extended notification functionality as early as possible.

Regarding your question.. here is the business requirement.
1. Author fills the HCM form , hit check and send button, so that workitem goes to approver's UWL.Author do not have portal, but performs this process from SAP GUI itself using the webdynpro link as shown below.

2. Approver has buttons on the form to approve, reject or send back to author.
3. When author hits the "send back to author" button, the work item (task TS04000020) will be created for the author.
4. The notification email will be sent to author using the program SWN_SELSEN.The email contains a link as shown below to open, edit,check and send it again for approval.

The problem here is, when the author makes changes and send the form for approval, the approver still see the old content only in the form.
