E-Recruitment 6.0-Distribute postings to external organizations

We plan to implement E-recruit ver 6 via distributed model, where our
SAP-HR(ECC5.) system will feed info to E-Recruit(ver 6) on a seperate box (ALE). We are in the initial set up phase so my knowledge of the eRec functionality is minimal.
1. The business has a need to electronically distribute postings to external organizations via eRecruiting module. Currently we have a manual process where we print postings and then fax them to several external organizations, who then in turn post (the hardcopy) on their bulletin boards. Is there an option within eRecruiting to do this by for e.g. selecting the postings and then emailing them to a distribution list ?
2. If the above is possible, how do you manage your distribution list ? Do you have one or multiple lists for different purposes ?
3. There is a need to treat internal applicants differently than external applicants (e.g. some postings are first posted internally before they are made available for external applicants). However if we decide not to use portals, but an external facing eRecruiting box, how would we be able to distinguish internal applicants vs external applicants ?

Hello Nash,
so far I see nothing in your requirements which is far away from a usual e-recruiting rollout project. I am confident you will be able to solve the mentioned things.
Now to the points in detail:
1) Transfere posting information to external entities
This is not working out of the box as the requirement is a diferent for each rollout, but the infrastructure supports this. You create individual posting channels for the jobboards, agencies, etc. and develop a customer own publisher.
Depending on your needs you can send the publication as email attachment, send the information as plain text in the email body or often used for job board integration you can create an XML file and put it on a share where the job board is reading it from periodically. Of course there is also an XI publishng service but IMHO if you do not have a running XI infrastructure and a bored XI developer that is a bit oversized. What is the best for you depends on you needs. We also offer an tool for customers and I think there is another solution from aspire hr. If it is better to buy or just built during rollout depends on the comnlexity of your needs. An easy mail publisher sending the publication should take an e-recruiting specialist not more than 2 or 3 days.
2) distribution to different receivers
In addition to the things said above you can define different channels which have there own receivers to manage who get a certain publication. Of course if you have 15 different entities which get the publications you might need to add some more management in coding to reduce the work for the user.
3) internal vs. external candidates
It is not necessary to use EP for running E-Recruiting. You can directly link the pages for external and internal candidates anywhere on you internet / intranet pages.
As you already mentioned you will set up an ALE so you will create inernal candidates for all employees in the system. The system is able to differ between internal and external candidates on application. To achieve your requirement you would created an requisition with 1 or 2 postings (depending on if you use the same texts for internal and external) and you create 2 publications. One for the internal channel starting at the 1st of the month and the external starting at the 15th of the month. That way the position would appear in the internal job market 2 weeks before it appears on the external so these first 2 weeks only internl candidate would be able to apply.

    Just to add on information.
    Internal organizations are such as departments, divisions, and sections
    External organizations are such as benefits carriers, tax authorities, and recruiting agencies.Organization classification Payee Organization when defining an external organization that is the recipient of a third party payment from an employee, for example a court-ordered payment. You can then select this organization on the Personal Payment Method window when entering a third party payment method.
    Generally we do not tag employees(Organization classification HR Organization) to external organizations.

  • Functions for creating external organizations?

    Is there a predefined ABAP function in SAP for creating an external organization? Currently I find only the ones for reading EO data, e.g. HRIQ_EO_GETDETAILS

    To create an external organization - PIQEO is the tcode.
    Don't use PP01 for all purpose which is not advisable yet all the data's can be edited , created , displayed , deleted . It is like master transaction .

  • How to distribute Modelview to external system such as Webmethods

    Hi All,
    I have a scenario like this 
    I  have to send Delivery idoc to two external systems
                       Triggered through
    SAP               output 'ZEXA'.
    system        -> DESADV ->     External system (A)
                        Triggered through
    SAP               output 'ZEXB'.
    system        -> DESADV ->     External system (B)
    The distirbution model allows me to add only one external system as the receiver at a time for the message type DESADV,  I cannot distribute the model view also ...
    How can i achieve this, I dont want to create any Z-message types.. Your suggestions will be higlhy appreciated.

    As far SAP distribution model (ALE ) is concerned SAP does not identify any system as SAP system or External system. It only identifies the system as logical system. And when the distribution model distributes the idoc using RFC and port setting, at that time it actually identifies the system as SAP or External.
    So as far as distribution model is concerned you can add external systems also but these should be present as logical system in SAP tables.
    And as Shital said there must be some middleware in your design, it could be PI also as well as some FTP server.

  • E-Recruiting Questionnaires integrated in Entry of External Applications

    Hi,
    is it possible to integrate Questionnaires in the function "Entry of External Applications"? I need the recruiter to be able to complete questionnaires for the candidate within entering external applications.
    If I try to integrate Element 0012 "Application Wizard: Questionnaire" using container sequences I get an internal error. Is it necessary to create a custom BSP page for this purpose?

    integrating the questionaire function into the candidate profile maitenance you can enter from the Manual/Minimum data entry for external applications handed in by hardcover or email is not possible. Reason for that is the different object relation of the application wizard and the candidate profile container sequence items which is leading to the error you encountered when you tried to mix the containersequences.
    Usually when implementing e-Recruiting and you decide to use the manual data entry function at all you use a different szenario. The system is designed that after entering the data you can switch to the candidate selection and add the application wizard questionare through creating an activity. If the candidate gave you an email address you easily send him the questionaire so he can fill it. If you have no email address you can send a letter with a printout of the questionaire which is entered by a recruiter/datatypist when returned or you just call the candidate an fill in his answers.
    Í admit that this is a bit more time consuming than having the recruiter enter the information directly but as I have seen in most cases the recruiter does not get all of the information needed from the cv and stuff the applicant send in.
    In an approach to give a full answer to your question I think you should also know that there is another organizational solution to this problem which is mostly on the process design side of the e-Recruiting implementation. Many companies just bypass this MDE questionaire topic by a strict restriction of hardcover applications. Often companies do not accept and enter these applications into the e-Recruiting system at all. They just print a letter from Word saying the applicant he shall use the online way. The Manual Data Entry is only for real Talents/Star-Applicants they need so urgently that they really cannot effort to loose them by forcing them to enter their data online. But if someone is so good, so special noone cares about the questionaire - just invite him to the interview and ask him.
    To be honest I recommened this solution as it is the most efficiant way to deal with hardcover applicastions.

  • E-Recruiting 6.0 -- Job Postings from Word Documents

    We have an issue whereby we have some departments send MS Word documents with the text of what they want in the job postings that appear on the web.  When we do a cut and paste from the word document, it appears fine in the job posting BSP.  However, when we look at the posting overview, any apostrophes (') that were in the Word document now appear as pound (#) signs.  Does anyone have a solution to this?

    Sent an OSS note - reply was that special characters like the apostrophe or bullets did not translate when cut-and-pasted into the job postings.  Their suggestion was to cut-and-past from something like notepad or to simply type the information in.  There are no plans to fix this from a programmatic standpoint.

  • Federation Service with External Organization is not working

    Exchange 2010 is running in present environment and recently I have introduced Exchange 2013. There is federation Enabled at Exchange 2010 end with External Exchange organization. When we migrated users from E2k10 to E2k13 Free /Busy sync has stopped working.
    Exchange 2k10 & E2k13 in same Exchange organization and no errors found in configuration part and all seems Success.
    Here what I am suspecting, something that I need to do at F5 load balancer end, not sure what :( .. I need urgent help from Experts in this forum to help me in case I have missed something to make Federation working.

    Federation in coexistence mode runs through the Exchange 2013.
    Coexistence with Exchange 2010
    In organizations that contain both Exchange 2010 and Exchange 2013 servers, users who have a mailbox on an Exchange 2010 Mailbox server can use organization relationships to share free/busy information with recipients in external Exchange 2013 federated
    domain organizations. The Exchange 2010 Client Access and Mailbox servers must be running SP2 or higher, and you must have at least one Exchange 2013 Client Access server in the Exchange 2010 organization.
    Troubleshooting plan
    1) Check run correctly Exchange CAS 2010/2013
    2) Enabled Outlook logging and checked the logs. For Client from Exchange 2010 and Exchange 2013 mailbox.
    3) Ran Test-OrganizationRelationship on Exchange 2010 and Exchange 2013.
    4) Checked the Federation settings on Exchange 2013.
    5) On Exchange 2013 and 2010 server: Get-FederationTrust | Set-FederationTrust -RefreshMetadata

  • Users from an external organization authenticating to a Remote Dekstop App

    We have set up Remote Desktop Apps using Remote Desktop Services
    The apps are permissioned with AD user accounts in our forest
    When an external company that has network access (i.e. routable addresses) tries to log in (with credentials in our AD) they sometimes get in and other times do not. They see an error message saying 'The credentials did not work' or 'The Local Security Authority
    cannot be contacted'
    I think this may be because all the Domain controllers for that domain are not reachable from the external company's PC
    i.e. if they get lucky they try and authenticate using a reachable DC but sometimes they pick a DC that is not routable and see this error
    Is my thinking correct?
    How is a DC chosen by a PC belonging to an external company?

    All postings which are originated from other than CO module ( i.e from interface, FI etc ), are called External postings in CO.
    Whereas internal postings means posting which happen within CO module, example Assessment, Distribution etc within a company code.

  • Implementing e-Recruitment and HR on same/different server

    We are in the process of implementing e-Recruitment for an Organisation with approx. size of 15,000 employees. This will also include Internal Job Postings.
    I have the following questions in this respect:
    1. Should E-Recruitment 6.0 and HR ECC 6.0 be implemented on the same server or seperate servers ? What are the pros and cons in both the
    scenarios ??
    2. Should the E-Recuitment portal server be different from the HR-ESS
        server or shall it be implemented on top of ESS portal 7.0 ??
    3. Which server scenario is recommended ?

    1.  Its not mandatory that ECC & E recruitment shd in the seperate servers.  But because of few security reasons, they will be maintained seperately.  For example:  E recruitment will be accessed by the external people also, who want to apply for external job posting.  So, there is a risk for ECC for exposure of data like employee master data, financial details etc., actually this risk is not direct, but by any chance that someone might hack to get the data - just to avoid the chances, thats all.
    2.  The Erecruitment & ESS can be in the same server for internal job posting
    3.  Better suggestion would be ECC & E rec would be in seperate servers.

  • E-Recruiting Secure Landscape

    Hi all,
    We have a scenario in this customer with ERP 6.0 running with HCM and other modules.
    We are starting to design a landscape for the E-Recruiting EHP4 and, for some reasons, we can't count with another machine to run standalone so we will have on the same server ERP with HCM and E-Recruiting.
    The customer will have external candidates and they will be able to fill their data trough customer website using the BSP (or WD, we still don't know what is better) page.
    The question is about the security thinking that the user are accessing trough the Website, the same server that has sensitive data such as Payroll and Controlling... What kind of firewall or similar can we have to avoid external access to the ERP. Is there any customer with this scenario?

    Hello Daniel,
    the number of real production running integrated e-recruiting systems must be quite low. Last time i talked to sap sales guys here Q3 last year there was only one intergrated production system in DACH area (germany, austria, switzerland) - and that was the one I rolled out myself.
    Putting the HR Core server to the internet is a security nightmare. At least here you will probably be shot if you tell this idea to the IT security guys or the data security guys or the work concil - no i am not kidding, data security for employees is nothing to be joked about.
    SAP introduced the 2 server landscape where you put a WebAS as proxy into the DMZ to protect teh HRC Core server. But if you need another server anyways, use it for a standalone installation.
    And always remeber:
    - E-Rec < EhP4 no support for for CE at all, same for reference employee Id
    - E-Rec = EhP4 support for CE only documented for standalone scenario
    - E-Rec no support for structural authorization
    - E-Rec no support for structured user management
    => if you have the future need or already find one of these topics in the HR core server, standalone installation is your only choice.

  • E-Recruiting ep604 ALE ECC sync data

    Hi all,
    I already know that I have to synchronize the objects P, S, O and the standard ALE inbound processing for HR master data creates all other objects, such as BP, CP, and so on.
    I read the SAP note 997181 and our escenario is I2-B, i also activated all the implementations listed on the document, but still have not been created the objects BP and CP.
    Should I do other activities?

    I followed your suggestion, i run a hiring action directly on the e-recruiting server and the system created the CP object. Is the first time I synchronize data between ECC and  e-recruiting.
    These are the steps that I did:
    1.- I use the t.code PFAL and distributed the object type O with the evaluation path O-O-S.
    2.- Then i do the same with the object type P but without evaluation path.
    The Message Type by default is HRMD_ABA as our distribution model use it with the following setting:
    Filter group:
    Infotype--> 0000,0001,0002,0003,0006,0105,1000,1001,1007,1008,1013,1025,1028 and 1033
    Type of related object--> C, CP, O, Q, QK, S
    Object Type--> C, O, P, S
    In the e-recruiting system when distributed the object type P, the following warning message appears: "Relationship starting from 01P 10000039 impossible - 01CP50008123 does not exist/is not active". However in the ECC system the object P 10000039 is related with CP 50008123.
    I would understand, how both system should be in the number range for personnel planning in the subgroup "01CP"
    There are some basic configuration that I must do?
