EDI Vendor Invoices Steps....???

Gurus,
I have to design the EDI interface for vendor invoices. Through my research on sdn  i was able to figure out that the IDOC that we can use is ACLPAY01...What will the initial steps for the set up...
Detailed steps will be helpful...
Suggestions will be appreciated...

Maintain O/B parameter partner profile to ur Vendor with message type ACLPAY and basic type ACLPAY01.MAke sure the output optionm ode as transfer idoc immediately..
Maintan Condition record and  Assign vendor & company code in OBCA and see the idocs are triggering or not.

  • Processing options for EDI vendor Invoices

    I'm trying to get a better understanding of what my options are for processing EDI vendor invoices and would appreciate some help.  I'm using  message type INVOIC02 with process code INVL and in configuration I've set the processing option in table T076S to 4 (tolerence corresponding to online processing).  When an invoice fails either the vendor specific tolerance check or the payment blocking checks the invoice gets parked with error status 3.  This is behaving as I would expect.  The issue I have is the price on the parked invoice is the price from the PO and not the price from the EDI segment.  Is there anyway to change this?  This makes it difficult to analyze the cause of the error without going back to the Idoc segments.  I've tried playing with the other processing options but they also enter the PO price in the parked invoice.  If it's not possible to change this are there any tricks that i'm missing that can help the users analyze the cause of the errors without going back into the idoc?

    EDI Vendor invoice is nothing but the LIV or FB60 invoice posted using EDI that is IDocs...
    and account invoice u can say FB60 invoices, that is they are posted only in accounting. they do not have a purchase order or a gr..

  • EDI vendor invoices do not get posted before GRN is posted

    Hello All,
    The requirement is our vendor sends EDI invoices and they get parked in SAP as IDOCs. IDOC gets posted if GRN exist for a PO.
    In purchase order it is GR based IV. If vendor parks invoice and there is no GRN for purchase order then IDOC fails and it goes in status 51 (Error).
    Our requirement is, IDOC should get posted even if there is no GRN for a purchase order and client do not want to remove GR based IV tick from PO. After through verification of the parked invoice it gets posted in the system.
    We have done the config change in MM>>LIV>>EDI>Enter program parameters, we have maintained value "1" for field "Processing". Inspite of this change system does not process inbound ICOCs and they go in error (51) status.
    Please provide solution for this.

    Hello Jurgen,
    The change in piece of code suggested in SAP note no. 501524 was already implemented in our syste, However still invoice IDOC fails and it goes in error "status 51" as there is no GRN for that purchase order. However if material GRN is made for 1 qty then the invoice gets parked with the full amount even if the GRN  is for 1 no.
    Please suggest a suitable solution.

  • EDI vendor Invoice - How to Park when outside PP tolerance and post when within PP tolerance

    Hi,
    I currently have Program parameters set in OMRY as "1" and have implemented SAP note : 501524 which enables invoice PARK. I also have PP tolerance set at 1.00 and 3%. Right now  all the invoices that are not an exact match..i.e. whether within the PP tolerance limits above or outside the tolerance mentioned - are parked with unclarified errors. I then would have to further process the invoice manually to accept vendor values. If the invoice line is within PP limits it posts without a payment block. If the invoice line is outside the PP limit, it will give me an error that price is too high and will not let me post.
    Now, I would like to keep the current behavior as is - except that I would want the situation with line item within tolerance limtits to post directly without parking or payment block, and only park when it is outside PP tolerance limits. I do not have any vendor tolerance settings in OMRX, or have assigned vendor specific tolerances to the vendor master..as I want the variances at line item level to be considered against PP limtis and make it impact inventory.. rather than have the vendor specific tolerances active where the total invoices values differences (not at the line item level)  are assigned to a non-inventory GL account based on the positive and negative small difference settings. Hence vendor specific tolerances are useless for me as I want differences to be assigned by line to the inventory when within tolerance limits.
    Please advise on what would be a good setting to accomplish the above goal. I have tried all different OMRY processing parameters (i.e. Blank, "1, 2,3,4) so far ...and nothing seem to be working so far. Thanks for your help in advance.

    We are not finding any suitable EDI Function Module in SAP which
    would take care of more than 20 items and run a MIRO or any
    equivalent transaction .
    Can any one please advise if any Function module exists ? We need it for
    Invoice creation with GR reference as well as without GR reference .

    Business Process Description Overview
    Use this procedure to copy a previously posted non-PO invoice document that uses many of the same values.
    This may help reduce data entry time if used correctly.  For example, the library invoice vouchers that have the same vendor but many invoices on them might be a good example of when to use this transaction code.
    Trigger
    Perform this procedure when there is an invoice that needs to have data entered where most of the fields are the same as a prior invoice document already entered in the system.
    Prerequisites
    ·         Security Role:  AP_DIR_INV_ENTRY
    ·         An FB60 invoice has already been data entered.
    Menu Path
    None
    Transaction Code
    FBR2
    Tips and Tricks
    ·         If you would like to save this transaction under your "Favorites" folder, right-click on the "Favorites" folder, select "Insert Transaction" and type in this t-code when the box appears.
    ·         You may use the transaction code:  search_sap_menu to search for a transaction codes menu path.
    Procedure
    Enter Vendor Invoice: Company Code PUR
    Typically the FBR2 - Post With Reference transaction is accessed from the Financial transaction code that you just used.  For Accounts Payable, typically we would use the FB60 transaction code to enter invoices that are not PO-related.  After you have entered an invoice, you can now post a second invoice.  Feel free to post an invoice in DEV to the Vendor ID number:  31.  Choose today's date as the Invoice Date.  Enter a Vendor Invoice in the Reference Field. Enter $1000 as the Amount.  Enter a Text that you want to show on the remittance advice to the vendor.  Choose your own GL Account and Cost Center.  Enter 21010000 as the Fund.  Make sure to also enter $1000 in the Amount in doc. curr. field.
        Please be aware that the FB60 screenshot above is using the ZPurdue Variant so unless you are also using that same variant the order of your columns may differ.
        Refer to FB60 documentation for more information regarding entering a non-PO related invoice.
        After an invoice has been entered, you may proceed to step 1.  If you prefer not to enter an FB60 invoice then after you open FB60, immediately do step 1, but enter "1900001354" in the Document Number field.
    1.       Select Goto Post with reference           Shift+F9 to go to the FBR2 transaction.
    Post Document: Header Data
    The document number you just entered in FB60 should now display.  If you did not first enter your own FB60 invoice, please enter 1900001354 in the Document Number field.  Make sure Company Code is PUR and Fiscal Year is 2007.
        If you did enter your own FB60 invoice to reference to, please be aware that the data entry fields will have different content in the screen shots than what you are seeing on your screen.
    2.       Click  or the "Enter" key to proceed.
    Post Document: Header Data
    Because we want to avoid paying the same invoice twice, we must change the reference field to another Vendor Invoice text.
    3.       As required, complete/review the following fields:

    Because you used the menu (Goto Post with reference) from FB60 to access the FBR2 transaction code, you are then returned to the FB60 transaction after you have posted the invoice.
    10.     Another way to access FBR2 is to just type the t-code in the field at the top of the screen.  As required, complete/review the following fields:

    11.     Click  or the "Enter" key to proceed.

    12.     Click  or the "Enter" key to proceed.

    This time we will change the vendor number
    13.     Change the Reference field.  As required, complete/review the following fields:

    Unique identification number. SAP uses several kinds of accounts. SAP's general ledger accounts are similar to standard in most accounting systems. SAP also uses sub-ledger accounts for customers (accounts receivable), vendors (accounts payable), and assets (asset accounts). These sub-ledger accounts roll-up to a general ledger account.
    Example:          5000129
        Vendor 5000129 in DEV has withholding tax applied to it in the vendor master.
    Post Document: Header Data
    15.     Click  or the "Enter" key to proceed.
    Post Document Add Vendor item
    If the vendor invoice date was a date in the past, the due date for pay immediately will be in the past.  You may get the above informational message to alert you of the date.  If you do, just hit the "Enter" key to acknowledge it.
    Enter Withholding Tax Information
    Because this vendor has withholding tax information in its vendor master, you will receive this popup up box.
    16.     Click  to accept it.
        Refer to the Tax Department for more information regarding withholding tax.
    Post Document Display Overview
    You should now see the document overview screen.  If you do not, then click on .
    17.     Double-click  OR click  to open it.
    Post Document Correct Vendor item
    18.     As required, complete/review the following fields:

    19.     Click  to view that Vendor's Withholding tax information again.
    Enter Withholding Tax Information
        If for some reason, for this invoice the vendor should not have any withholdings, you would enter a 0.00 in both the W/Tax Base and W/Tax Amt fields.
        When using the FBR2 to change withholding tax amounts, you need to be very careful if using this new invoice as the "reference" invoice for the next one.  For example, if you put 0.00 in both W/Tax Base and W/Tax Amt fields then if this is the reference invoice, those 0.00 amounts will automatically be applied to the next; however, you won't see the 0.00 displayed.  The 0.00 will be assumed.
    20.     Click  to close the box.
    Post Document Correct Vendor item
    21.     Click  to post the invoice.
    Post Document: Header Data
    Your new document number will display in the bottom left hand corner.  Pending upon your user settings, you may also get a pop up box to acknowledge.
    You have posted another invoice, but this time you changed the vendor ID used, the vendor invoice, and the text on the remittance advice.
        Notice that the "Document Number" field now defaults to the newly posted invoice number.
        Because you entered FBR2 in the transaction code field to access this screen, when you post an invoice you are returned to the beginning of the FBR2 screen.  Remember, when you accessed it from the menu line of FB60?  If you access it that way, you are then returned to FB60 after the Post with Reference document is posted.
    22.     Because you are returned to the start of FBR2 again, you may just click  or the "Enter" key to proceed.
    Post Document: Header Data
    Now you are at the start of entering a new invoice again.
    23.     Click  to return to the main menu without finishing the process of entering another invoice.
    24.     You have completed this transaction.
    Result
    You have posted two documents by using a reference document.  This reduced the data entry required since it defaults the fields from the reference document.
    Comments
    Be very careful using this transaction if you change withholding tax amounts.
    To see the results/calculations of discounts and withholdings, you must run F110, the Payment Program.

    I am  working on the Invoice receipt thru EDI-IDoc from Vendors (EDI-810 INBOUND). I am getting certain errors.
    Error 1:
    Customer , Vendor XXXXXXX not known
    Message no. FD110
    Error 2:
    G/L Account XXXXXXX can only be posted internally.
    Message no. F5562
    I have tried to trigger IDocs using basic types INVOIC01 and INVOIC02. But all in vain.

  • EDI Error in intercompany vendor invoice for Argentina

    Hello.
    While issuing and RD04 message for an inter-company customer in Argentina I received error 8A551: Format of reference document number is invalid., as in the attached file; the RD04 message is sent OK but the iDoc fails in 51 status.
    What is the segment/field where reference number is expected? In analysis mode in we05 the segment indicated, E1EDS01 010 Segment 000088 has no field to enter any reference...
    One FI consultant mentioned that this check-up is due to FI document determined during iDoc processing: RE checks the reference number format and we should change it, is there a way to do that through configuration?
    I would like to keep this process as much "automated" as possible, for instance it would be better to have the vendor invoice created but parked pending the proper reference number.
    All inputs are welcome, thank you in advance.

    Thank you Patra, your suggestion can be implemented and I'm pursuing this path.
    This may take up to 1 week to become available in the productive environment so meanwhile I'm also looking to an alternate way to "fix" that. One feasible method suggested by an FI consultant is to change the FI invoice type determined by the system, form RE to a different one.
    Any idea of how can I do that?

  • EDI Incoming Invoices

    we will be using EDI invoice processing for LIV.
    invoice Type INVOIC01
    Process Code INVL
    Message Variant MM
    we will receive inbound invoices from 150 Vendors through EDI.
    I understand that in order to process IDOCs, i have to configure LIV
    with EDI.
    My question: in order to configure the parameters for EDI LIV i need to
    create partner Profile. in our case i guess we have to create 150
    partner profiles, one for each vendor, which means Vendor master must be created first.
    In DEV golden client ( no data should exist), in order for
    me to configure the parameters for EDI i have to create EDI Vendor master
    ( 150), and partner profiles for those Vendor master (150) and 150 for
    each of the config step in (OBCA, OBCE, OBCD) then generate a transport
    request.
    The client wants a confirmation in order to allow us to create
    data in the Golden Client? The other alternative is to open QA and PRD
    for manual Config to configure these steps.
    Any thoughts please?

    I NEVER like having config open in the "live" client, but there are definitely situations where this is actually the only sensible option (however risky).
    To have to create a whole range of master data in one client JUST so that you can transport config to another client does sound like it is crazy.
    So if this is tightly controlled my personal opinion would be that it is OK to do this config directly into your live client (at an appropriate time, i.e. late at night, weekends etc.)

  • Vendor Invoices clearing

    Hi,
    We have a requirement that Company is divided into 2 companies. The other company is using Oracle for its business.
    We have an issue is that How to clear the vendor invoices in the base company?
    What are the neccessary steps to be followed for the separation (demerger) ?
    At the end of day, all the invoices related to 2nd company will be shown as cleared (in Base company).
    could any one suggest your views and explain the process to be followed.

  • Calculate Withholding taxes for VEndor Invoices using ABAP program.

    Hi All,
    I have to upload Vendor Invoices using FB60/Fb01 tcodes. I am able to post the Invoices using FB01/Fb60
    but I have to calculate extended withholding taxes also using this program for the Invoices.
    Is it possible to upload vendor Invoices and calculate withholding taxes using Program?
    If yes,
    Does anyone has any idea how do you calculate extended withholding taxes using any BAPI's?
    I have used these two BAPI's
    BAPI_ACC_DOCUMENT_POST
    BAPI_acc_invoice_receipt_post
    they are working fine but without withholding tax.
    This is a requirement for country India.

    Hi,
    Imho, you need to get (meaning, extract into separate fields) the different supplier types from Table1 first. Your key for Table1 is the vendor no, which is also the key in Table2 (or the key for Table2 is Vendor no & Type).
    For better performance, better select multiple/all required entries from Table1 instead of doing a select endselect.
    Depending on the format of the vendortypes in Table1, put them in a new itab (for our purpose named Table1New where vendor no & type are the only 2 fields. For example, if the type length is fixed to 2 chars, or divided by space,... use your coding accordingly.
    Next step is to select all vendor no's in Table2 which you have selected in Table1. If in Table2, the vendor no is the only key (and the all vendor types are filled in a single record), then loop check the vendor types from Table1New against the types in Table2.
    If the key of Table2 is vendor no & vendor type, then do a read table for the key.
    The logic in pseudo-code:
    Select from Table1 into table. If you'd like to limit the selection size, add package size statement.
         extract the vendor types in to itab Table1New.
         Select the vendor & types from Table2 by using the for all entries option (better performance).
         loop at Table1New
              check in Table2:
                   if the unique key is vendor no: check all fields for the vendor type from Table1New
                   if the unique key combo is vendor no & type: check by using a read table.
              If not found => add entry to Table2
         endloop.
    endselect Table1 (when using package size)
    I guess the most difficult step is to extract the types from Table1 into separate fields, all the rest seems straight forward. Please keep in mind the itab type definitions for a better performance.

  • How to block vendor invoices when GR is made to stock type 2?

    Hi,
    I would like to get your advices on the following case:
    - I need to be able to block vendor EDI invoices from payment when GR is made with 101 to stock type "2", Quality inspection. Manual blocking is not the case here but SAP should block invoices automatically in these cases. Is there any user exit available for this? Invoice blocking should be made also in the case when initial GR is made with 107 (in this case invoice is blocked by standard) and material is then released from valuated GR blocked stock with 109 to stock type "2", Quality inspection. In standard system vendor invoice is now unblocked but my customer needs to have an invoice still blocked as material is in quality inspection stock type.
    Please advice.
