Email Alert on Sharepoint Foundation 2013

Hi,
I have created a workflow in sharepoint designer to send an email. The workflow is a List Workflow.
I also published the workflow. The settings are automatically alert when an item is created or changed.
When i go to workflow settings in the Sharepoint List, I cannot see the workflow under ITEM. Even after i made changes to the item, the workflow didn't run and the email not sent out.
All the email configuration is already setup properly
Please guide me

Hi  ,
Please confirm you are able to see the workflows you created in SharePoint Designer.
If you can see it in SharePoint Designer, please follow the steps below to troubleshoot this issue: 1. Go to "Workflows", and then click the list workflow you created.
2. Click "Publish", and then click "Open associated list".
3. Check if the workflow is in "a list of workflows associated with the list".
4. If it is not in the list of workflows, please click "Refresh" button in the upper right corner.

  • SharePoint Foundation 2013 AAM, alerts, URL in email alerts

    Hello all,
    I have the following situation.
SharePoint Foundation 2013 server updated to October CU. Created an web application and extended it for internet zone. AAM are defined. This is a new farm. No content database was attached. No previously created
    alerts.
I can access this web app with:
http://servername for the default zone and http://internet for thw internet zone.
If i subscribe to receive alerts using the internet zone url the first email that i get contains correct URL to http://internet but the further emails regarding the actual changes contain references to the
URL from the default zone http://servername excepting the mobile view button wich goes to http://internet....
    Thank you

It is recommended that you use a single FQDN + SSL Url (if you have external access) due to issues with alerts like this.

  • Email Notification on Calendar list Sharepoint Foundation 2013 not sending out email

    Hi,
Actually i have 2 problem. I just don't have any idea how to solve them.
1 ) I have a machine installed with Windows Server2012 and Sharepoint Foundation 2013. Email invitation from system and alert me email is working fine. Then I created a few email sending workflow using sharepoint designer 2013. The email are going out fine
for list or document library but gave out error when i tried to send from Calendar list. The error is saying that the outgoing email is not configured correctly. If that was the case, should it be that i will receive error for all.
    2) I have another machine with same installation as above but doesn't send out any kind of email(Invitation, alert me, SPD2013 custom worflow). I've checked telnet port 587, it is responding fine. I want to know if i need to open port in the firewall/router
settings for this port or if this issue is due to something else.
    Any help is really appreciated.

    What about Relay and Authentication?

    Look.
I think this is the correct configuration because it sends emails normaly with SharePoint 2010.
If I configure my own email account in Outbound Security, Sharepoint 2013 sends emails but just when I login to Sharepoint, if other users login it doesn't send emails.

    Hi Reinhard ,
According to your error message, it says that no data is available after  encoding the social notification mail message. It  should be caused by the E-Mail encoding setting.
For troubleshooting your issue, please check the character set of your E-Mail Settings:
Verify that the user account that is performing this procedure is a member of the Farm Administrators group.
On the Central Administration Home page, click System Settings.
On the System Settings page, in the E-Mail and Text Messages(SMS) section, click Configure outgoing e-mail settings.
On the Outgoing E-Mail Settings page, make sure
Character set setting is  65001(Unicode UTF-8).

  • How to customize SharePoint Foundation 2013 workflow notification emails

We have a SharePoint Foundation 2013 workflow that sends emails when certain criteria are met. We have tried to customize the emails using SharePoint Designer, but the emails that are received are different.
Ho do we configure SharePoint to send the emails formatted as we specified in the workflow?
The emails we receive are all formatted like this:
    Subject:
[Company Name Workflow] - [Item] has been assigned to you
    Content:
Task assigned by [User Name] on [Date].
    To complete this task:
    1.    Review [Item].
    2.    Perform the specific activities required for this task.
    3.    Use the Open this task button to mark the task as completed. (If you cannot update this task, you might not have access to it. Click here to request access.)

    Hi,
According to your post, my understanding is that you want to customize SharePoint Foundation 2013 workflow notification emails.
We’ll need to do a few things to replace SharePoint’s default notification with our own. The first thing we need to do is turn off SharePoint’s default notification. On the Workflow Tasks list, go the Advanced Settings and select
No for Send e-mail when ownership is assigned. Then we need to create workflow to send email.
There is an article for your reference, although it is about the SharePoint 2007, it still works for SharePoint 2013.

  • Sharepoint Foundation 2013 and Outlook 2010 Reminders

Hello, I have recently been informed by one of my users that they are experiencing a peculiar issue in regards to their SharePoint calendar. A brief history is that we are currently using SharePoint
Foundation 2013 with Outlook 2010, all of our users have calendars for their departments in SharePoint, and those calendars have been added to Outlook for their convenience. This particular user has a SharePoint alert set up on their calendar for all changes,
and receives an alert immediately. After some troubleshooting, this is how my user is getting the issue they described:
User1 will create an appointment from Outlook on the SharePoint calendar that User2 has their alert set up for. User2 will receive the appropriate alert email that there has been a new event
added to the calendar. User1 then receives an Outlook reminder that their event is coming up. If User1 clicks "dismiss" on that reminder, User2 will have another alert email generated hours later which informs them that the calendar event for User1
has been modified. If you view the event from SharePoint it will show a new modified time with User1's name, even though there have been no changes made. The other interesting part about the modified time is that it will not reflect when User1 clicked “dismiss”
on the reminder, instead it will reflect the time that the SharePoint alert email was generated.
This is not a fluke issue; I've been able to recreate the scenario 100% of the time if I follow this pattern. I can also simulate it on any calendar I create or that is already existing in our
    environment.
I have been researching and trying to find an answer to this problem for several days now, but the only thing I have found is a post from someone else experiencing the same issue with no solution.
So any feedback would be greatly appreciated. If there is more information that is needed to better assist me, please let me know.
    Thank you for your time.

Hello, if I remember correctly the issue was that I created the form with InfoPath 2013 and was trying to test using InfoPath 2010. This does not work.
Did you create the form using InfoPath 2013?

  • Using ADFS with SharePoint Foundation 2013?

We have a WSS 3.0 web site used primarily for sharing documents with business partners who do not work for our company.  We plan on doing the 2 step upgrade to SharePoint Foundation 2013
Our internal users also use it but normally just use internal network file shares if they aren't planning to share the documents with external users.
Each business partner's company has a sub site within our main WSS site and documents are uploaded to that section of the site if we want to share documents with employees of that company.
Since we use AD for authentication, to make this work, we create AD user accounts for each external user and add them to a security group that gives them access to only their company's subsite on the main site.
We have to maintain their passwords, reset them and delete/disable them when that person no longer needs access.  Each business partner has a limit on the number of users who can get one of our AD accounts due to limits on the number of CALs available
to them.  It is messy because these users often forget their passwords since they aren't using these accounts every day.
Is there a better way to do this so that we no longer have create and maintain user accounts for external users other than having to do a domain trust with all these other domains?
I have heard of ADFS, but will it allow us to still control which sites and documents the external company users can access if we are not creating and managing the accounts and adding them to the correct security groups ourselves?
We don't want every user from the partner's domains to be able to access the site.  If we use ADFS, how do we keep control of which external users have access to the site?

Yes, you would add permissions just the same way you do with users from your local Active Directory. And yes, if you chose the email address to be the user's identifier, you would simply ask for the email addresses that you wanted and input those to the
appropriate permissions on your SharePoint sites.
You'll want to take a look at this:
    http://blogs.msdn.com/b/russmax/archive/2013/10/31/guide-to-sharepoint-2013-host-name-site-collections.aspx
Also another thing to keep in mind is that you'll need to have those 3rd parties set up ADFS themselves, and you'll create an ADFS Trust between you and the 3rd party.

  • Sharepoint foundation 2013 Search Service Application.

    Hi all,
I want to configure search application for sharepoint foundation 2013. I have followed some of the web links.
But did not get success. Can you please provide me the working example of how to configure search application and run the crawl. And make sure the search is working correctly.
    Thanks  in advance for help.

    Hi Vishwajeet,
According to your description, my understanding is that you want to configure SharePoint Foundation 2013 Search service application.
In SharePoint Foundation 2013, we cannot add the Search Service to SharePoint Foundation 2013 from the Central Administration GUI after selecting a manual configuration method. It seems that the ONLY way you can add the Search Service to SharePoint Foundation
2013 is by using the SharePoint Configuration Wizard.

I am getting the following error within a newly build SharePoint Foundation 2013 Farm. I would like to know how I go about resolving this issue:

I suspect that both errors have the same root cause, but I could do with some assistance in resolving this. Do I need to install some Microsoft Chart Controls by any chance? I am assuming that as the links are there in SharePoint Foundation, that they should
be working within this edition of SharePoint.
    Kevin Evans

    Hi  Kevin,
According to your error message,  please  make sure "Resources.MossChart.resources" was correctly embedded or linked into assembly "App_GlobalResources.kbifvsaw”, it seems like that mosschart.resx
and mosschart.en-US.resx missing or bad of the error web site.
To correct the problem you can manually deploy the resource files to the correct IIS Virtual Directory location. To deploy the resource files manually following the steps below.
    1. Navigate to 'C:\Program Files\Common Files\Microsoft Shared\web server extensions\15\CONFIG\Resources'
    2. Copy the files 'mosschart.resx' and 'mosschart.en-US.resx'.
    3. Navigate to the IIS Virtual Directory of your SharePoint website
    4. Paste 'mosschart.resx' 'mosschart.en-US.resx’ into the Virtual Directory's App_GlobalResources folder
    5. Perform an IISRESET
    6. Refresh your page.

  • Restrict Which Users Can Enter Data In List Form in SharePoint Foundation 2013

Is there a way to restrict which users can enter data in particular fields in a list item entry form?
We are using a SharePoint Foundation 2013 list and calendar to manage vacation time. We need to restrict non-supervisor users users from entering a value in a certain field in the vacation request form.
Here is how the system works now:
    1. Employees complete the vacation request form (which creates a list item)
    2. An email is sent to their supervisor to either approve or decline the request
    3. Approved requests are automatically entered onto the vacation calendar
We have restricted the list so that only supervisors can edit items (the pending vacation requests). The problem is that all users can mark their own requests as approved when they fill out the request form in the first place. Is there a way to restrict
which users can enter data in particular fields on a list item entry form?

Thanks for the suggestion. We ended up 1) hiding the approval column and 2) creating a second list, workflow, etc. The user no longer sees the approval column when filling out the form. Requests are now submitted to list A. Workflow #1 copies the request
to List B, then deletes the item from List A. Once the request is added to List B, Workflow #2 emails the user that the request has been received and emails the supervisor that a request needs to be approved. Only supervisors have editing permissions on List
    B. Approved requests are automatically added to the vacation calendar (the calendar view of List B).
We found the following site to be helpful in learning how to hide the list column:

  • Site Login Behavior For SharePoint Foundation 2013 Users With Expired Passwords?

What are the most user-friendly ways of getting external users with expired AD passwords back into the SharePoint site with a new working password?
We already send automated email notifications to users reminding them to change their soon-to-expire passwords.  However, sometimes they miss seeing the email notifications before the password expires (such as after returning from vacation or just carelessness
and lack of attention to email messages) or they see the warning messages and forget to act on it.
When this happens and they try to log into the SharePoint site from the Internet, their login fails without telling the user the reason they can't log in is because their password expired.  So, they end up confused and call the help desk to get their
    password reset.
Is there a way to set up SharePoint Foundation 2013 login in a similar way to the OWA login so that, when a user with a correct but expired password tries to log in, it gives them a prompt to set a new password right there rather than just an error indicating
their login failed for unknown reasons or password is "incorrect?"

It could be done. You get a different event log entry for an expired login attempt than for a wrong password, 4625 events denote a login failure and an error ID of 23 denotes a logon failure.
A naff, but simple, approach would be to create a tool that checks your server logon event log for 4625 entries and then emails that user, or the help desk, or security, that they're trying to get onto your system with expired credentials.
For a more polished experience you've got a lot more work and bluntly it's going to be impractical for you. You'd have to re-write sections of the SharePoint authentication process or intercept the process, both are risky and not a good idea to try.
There's a really interesting paper here that might be of interest, it won't help you in your current situation but it might shed more light on the overall authentication/authorisation process.

  • Anonymous Access Sharepoint Foundation 2013

Is it possible to allow anonymous access in Sharepoint Foundation 2013?  I've enabled anonymous access at the site level as well as via central administration but users are still prompted for login when browsing to the site anonymously.  I'm
more curious if this is an issue with the Foundation version specifically at this point.  Thanks.

    Hi mtrosper,
Please disable anonymous access via the UI, then enable it using PowerShell, compare the result.
You can use the following PowerShell command to enable it:
    $webApp = Get-SPWebApplication 'http://someurl:9999'
    $webApp.IisSettings['Default'].AllowAnonymous=$false
    $webApp.update()

  • Custom SharePoint Foundation 2013 workflows

    Hi
I have created a custom workflow in my SharePoint Foundation 2013 environment using SharePoint Designer 2013.  I have a couple of questions:
    1. I have used the action 'Collect data from user' which is automatically sending emails to task assignees, however I need
to customize these emails, is this possible? If so, could someone point me in the right direction for instructions on how
    to do this please?

  • Absence and Vacation Tracking in SharePoint Foundation 2013

We upgraded from Sharepoint Foundation 2010 to SharePoint Foundation 2013. The absence and vacation template no longer works. Does anyone know of a free replacement?

We ended up just creating a workflow that emails the necessary information whenever an item is added or changed to the list. Doing this avoids the default notification email ("A task has been assigned...") altogether. It is also much more straightforward
than using "if then" and "what if" type statements.
We found this webpage to be a good starting point to creating both the list and associated workflow:
    http://camerondwyer.wordpress.com/2013/04/17/implementing-a-simple-sharepoint-issue-tracking-system-with-cc-style-notification-emails-when-items-are-updated
To automatically add approved vacation days to a calendar:
    1. Open the list
    2. Click Create View, then click Calendar View
    3. Name the calendar, set time intervals, etc.
    4. Set "Show items only when the following is true" so that Vacation Request Status (or whatever you chose to call it in your list) "is equal to" "Approved" (or whatever you chose to call it).
