To my knowledge, you should configure email only for each individual process types.
So, you need to right click the relevant process type for which you want to configure email and click ' create message'.

    Hi Friends,
    I need your valuable suggestions for a problem we are currently facing regarding emails in process chains.
    An explanation of the issue is as follows:
    The users who load data (present at different geographical locations Ex. A, B, C) use a custom ABAP program to load and this program only triggers the process chain. The final status of the load is to be communicated back to the users.
    If the email feature of process chain is used and the users list from locations A, B and C is maintained, then users from B and C get emails regarding loads abt C and so on. In other words users from A, B and C have irrelevant emails in their mailbox.
    Also the users have no technical knowledge of BW and hence cannot interpret the Process chain log. So there is another technical team which will receive the detailed email messages.
    All the users need to know is whether the load was successful or not.
    ---Accessing the Monitor using RSMON is not an option
    ---Maintaining email groups is not an option.
    Has anyone faced a similar problem before? If so, how did you resolve it?

    You have now 1 chain that is triggered by A, B and C and they all get e-mail when the chain is finished?
    Create 3 meta-chains C1, C2 and C3. Users A, B and C trigger their respective chain. The actual chain that is doing the work is C4. C4 is a subchain of C1, C2 and C3 so you need to model it only once. At the end of C1, C2 and C3 you can send email to your users.
    C1
    - C1 trigger
    - C4
    - C1 finish & email A
    C2
    - C2 trigger
    - C4
    - C2 finish & email B
    C3
    - C3 trigger
    - C4
    - C3 finish & email C
    You could optionally connect the technical e-mail to the last process in C4. and the user e-mail to C1, C2 and C3.

    I scheduled a process chain to run once every hour and sometimes it fails for knowing problem.
    I would like to get an email every time it fails.
    Could someone guide me how to get a document which gives the steps to follow or provide me a step by step for this.

    Hi Mohamed,
    You can create messages for a process that are trigerred either when the process failes, or succeeds, by right clicking on a process and choosing Create Message.

  • How to put system info. in error mess. sent by email through process chains

    When I get an error message by email from the process chain saying that the process bombed, it does not tell me from which SAP system the problem occured? (Whether Dev or QA or Prod). Is there a way to put the SAP system in the email along with the error from the process chain?

    Hi Akshay,
    I am in version 3.5. I believe you can do it in 7. We have a standard user id called ALEREMOTE coming from all 3 systems. We would ideally like the message to say ALEREMOTE - (the error message with DEV specified), ALEREMOTE - (the error message with QA specified) and ALEREMOTE - (the error message with PRD specified).

    This topic is discussed many times in the SDN.........
    1) Right Click on the Loding Process >> Create message
    2) There select on Failure >> Enter
    3) Then give a variant name >> Enter
    4) Then Click on Edit Document.............and write down whatever u want to display in the Error message.........Save it and come out......
    5) Then Click on Maintain Recipient List ...........There give the Recipients user id and Recipient Type...........Along with this u can check the following boxes if required........
    Send Express >> If you select this field, this document is sent to the recipient as an express message. A dialog box then appears informing the user that an express document has been sent, allowing him/her to switch to the inbox
    Send: Copy >> If you select this field, the user receives the document as a copy. This means the user receives the document for his/her information and does not need to take any action.
    Send: Blind copy >> If this field is selected, the recipient receives the document as a blind copy.The sender can therefore be sure that only the recipient can read the document and not a substitute. Furthermore, only the sender and receiver of the blind copy can see this operation in the recipient list. If the document is sent to other recipients, they cannot see this send operation.

    Hi experts!
    I want your advice about the best way for administering process chains.
    We have been adding process chains because of delivering new models and now we want to adopt best practices about the way to monitor these process.
    We use RSPCM transaction to monitor process chains (and eventually many others : rsmon, changerunmoni, etc) but we want to implement automated warnings that can alert via email about: process chains terminated with red status, process chains still running after certain hour (long running or "hanged " process), or even process chains that do not run but have to.
    We have programmed emails from process chains, we know about ccms alerting...but still we don't know about which practice to adopt.
    We think about developing some abap code with events handling, but we want to know if there are not better ways.

    i have implementated a custom process type. Then i choose my alert and activate the process chain. After this i make a double click on my process type, there is always a standard alert deposited (RNIF_ALERTS), but not my alert. What is my error? Thanks!

  • How to check the status of other process chain from one process chain

    Hi All
    I have a requirement where I need to send an Email after successful completion of 3 process chains.
    all these 3 chains starts at same time.Out of these 3, one chain daily takes more time to complete.
    Is there any way so that in 3rd chain( the one that takes more time to complete) i can check whether the other two chains have completed successfully or not.So that when this chain gets complete I can send the success notification for all the three chains.
    If possible please tell me the step by step procedure for doing this.
    I have no question on sending Email through process chain.

    The OS Command is used for the following:
    You use this process type to stop a system command in the operating system of an application server.
    In the process maintenance for the operating system command, define:
    The logical name of the operating system command you want to stop.
    A command defined in transaction SM49 is used here. You can also change the command using the Change pushbutton.
    The operating system of the application server on which you want to execute the command.
    Additional parameters, as long as the defined command permits them.
    The application server on which the command is to be executed. If you always want to use the current host, set the corresponding indicator. If you want to use a host other than the current one, enter this in the Target Host field; the system automatically deselects the Current Host.
    After the run, you can find the standard text output by the command on the Process tab page of the log for this process.
    For processes you may have implemented yourself, you can access this log using the CL_RSPC_SYSTEMCOMMAND=>IF_RSPC_GET_LOG~GET_LOG method.
    I have never used the OS command myself, so I am not sure, whether it can be used in your case.

  • Using Alert Framework to send email notifications when Process Chain fails

    Hi Everyone,
    I've configured ALRTCATDEF in Solution Manager, selected the alerting option for Process Chains in - RSPC > Attributes > Alerting, but it looks like whenever any process chain fails, an email notification will be sent to the same recipients.
    Is there anyway to have an ALRCATDEF - alert category for different process chains, so that different recipients receive notifications for different Process Chains.

    Interesting....I was actually hoping for different recipients for different process chains.
    E.g. for our
    CRM process chain - Support Team 1
    FI process chain - Support Team 2
    and so on and so on.
    I think the only way may be creating a custom process type and implementing a class for this process type that calls function SALRT_CREATE_API. Then adding this process type to the process chain, with a different variant for each.
    However if anyone knows a way to do this in a SAP standard way using the Alert Framework, that would be great.

    I have a requirement as follows.
    On successful execution of process chain an email must be sent to a group of users.
    I have made a distribution list using Tcode SO23 and included the message in the last step of process chain. But no messsge is being sent even on successful execution of process chain.
    Can anyone throw light on this?

    Hi Manisha,
    You can create the Message alert for process chain as follows.
         1. Goto change mode of Process Chain
         2. Right click on the particular Process step/Process chain and choose Create Message.
         3. Choose the Actions (Sucessful / Failure/Always) for which you want to aler the users
         4. Choose the New variant and define the Variant Name and Message header and enter
         5. Create the message and the save the variant and activate the process chain.
    Once you triggere the process chain, according the message typr, the users will be alerted.

  • Program is not sending emails if I run it within the process chain

    I am facing a weird issue; I have an ABAP program which compares tables and sends the results in an email. It is working fine if I run it standalone. However, if I run it within the process chain it still runs but doesn't send the email.
    Any idea on how to troubleshoot this?

    maybe because it's ran under a different user (ALEREMOTE)?
    the user that executes the "mail" needs a valid emailaddress to be able to send...

    you may try this one,
    Tcode: ALRTCATDEF
    1. select classification "Process Chains"
    2. click on display/change
    3. double-click on "error in a process of a process chain"
    4. click on "fixed recipients"
    5. write in your username (you have to maintain your e-mail address in SU01 for that to work)
    6. save
    Tcode: RSPC
    1. go to your process chain (rspc)
    2. go into edit mode
    3. from the menu, select Process chain -> attributes -> alerting
    4. check "send alerts if errors occur" (select as per your requirement )

  • Process Chain Data load fail /send email  is not woking

    Hello Experts,
    I have created a process chain for daily data load. And created a message variant to send an email if the data load fials, but it's not working. I am not sure what I am missing. Here are the step I did...
    1. Right click on the Info Package in the process chain and select Create Message, select errors radio button and then created new variant.
    2. In the variant screen, clicked on Maintain Recipient list and enter the Recipient names and mail options like express mail, send copy etc there and then saved.
    Didn't select any under REcip type. Not sure whether it's needed.

    did you configure the Basis process to send external emails and the automatic output process?
    You could see this in tx SCOT
    If there´s any record in tree (SAP SERVER)->INT->SMTP
    Here.... if is not configured the automatic output you can manually send the emails.....
    If this doesn´t works you need to talk to your basis support for the email basis configuration....

    Dear srini rao  ,
    You can send messages to an application process of the chain, depending on the success or failure of the process.
    1. To do this, using the context menu for a process, create another process variant of type Send Message.
    2. If you maintain a message, first specify whether you want the message to be sent when the process has been completed successfully or unsuccessfully. Then choose Next.
    3. A dialog box appears, in which you can select an existing process variant or create a new one.
    4. If you create a new process variant, edit the document that is going to be sent and maintain a list of recipients.
    5. Save your process variant and go back.
    The message process variant is now assigned to your application process. When the message is sent, the status information and the process log are also sent.
    Note, you must configure SAPconnect in order to ensure that your system can send email - use transaction SCOT if this has not been configured.
    It's set as a property for an individual process in the chain. You would have to set on each process where you want notification.
    One technique you might consider, is that tou can create a "meta-chain" made up of local chains, and you can set a message on each of the "local chain" processes in the meta-chain

    Friends,
    I have this weird problem and not sure if its a real issue.
    I am maintaining messages for process chain failure alerting. I am using an external address and receipant type as "via Internet".
    When I enter email id  (ex: abc.123.xyz at mycompany.xxx) save it and come back, and If I re enter that screen the entered email is not fully displayed, few chars are truncated, (ex : abc.123.xyz@mycompan).
    Can you guys please help me figure out what the issue is?
    Is there any restriction on the length?
