Email to Approver

Hi,
Qn 1:  I am trying to send emails to approvers informing them of a workitem created for a PO approval. I am using the One step approval workflow.
How do I configure the email. Do I need to search for an appropriate BADI.
I tried in SPRO - Define Recepients for Notifications . I do not find the right Scenario.
Qn 2: For start Conditions in transaction SWB_COND I have maintained my conditions. Does it automatically transfer to start conditions in the workflow header. In my case it did not. Do I have to maintain in both the places.
Any help is appreciated.

Hello Joe,
       Do following:
1. Activate "One-Step Approval of Purchase Order" - WS14000089  using transaction OOCU. And path: SAP --> SRM --> SRM-EBP --> SRM-EBP-WFL
2. Define your start condition in transaction SWB_PROCUREMENT - search for BOR object 'EC Purchase Order' - and define your start condition for "One-Step Approval of Purchase Order".

  • Send Email from approval task form

    In my reusable workflow, I have added an approval action. Everything works perfectly. What I want is - When approver comes to approval form, he should be able to send notification email to the initiator (From that form) that he has started working on that document.
    What I have tried - I have added a button clicking on which will submit the form to initiator. 
    But it fails. possible reason - when I create a data connection in workflow's infopath form to submit form as email, I am getting following warning
    "Domain trust form templates cannot be sent as email attachments. to fix this problem, modify the form option to change the security level of form template to restricted".
    I also tried to update status field and wait for it to changes in workflow and send an email from sp designer workflow. it didn't work.
    Please help or suggest any other possible way to achieve this functionality (Send Email from approval task form to initiator).

    I could reproduce on my SharePoint 2013 on-premise based on your another
    post.
    Based on the the following article, SharePoint workflow cannot use the InfoPath form in restricted mode which doesn't allow the data connection, but as your image warning message shows sending InfoPath form as mail attachments will need restricted level.

    You can consider to send a mail to initiator in "Whe a Task Completes" step when you click button approved/rejected, and construct the current task form link format as follow,

  • Auto send of PO via email once approved

    hi Gurus,
    We want to have an automatic sending of PO via email, once approved it is directly send to the vendor email no more t-code going to use. it is possible? what configuration we need to this set-up?

    -You need to maintain  e mail i.d in Vendor master.
    -You need to maintain User  email id in t code SU01, from which the mail need to be send.
    Configuration for this.
    - Go to NACE. 
    -Select EF and click on OUTPUT TYPES. 
    -Then select Output Type NEU and click on processing routines . 
    -In that you have to add a new entry - medium 5 - External Send
    - Communication Strategy - CS01. 
    -Then you need to assign a program, form routine and form. 
    -You can use the standard program i.e. SAPFM06P, FORM routine is always ENTRY_NEU and standard MEDRUCK. 
    -Then in PARTNER FUNCTION you need to add a new entry : medium - 5 and function - VN . 
    -For subject of the mail go to Mail Title and Texts. In title give PO No. &EKKO-EBELN& .
    -Under General data -> Replacement of text symbols give program as SAPMM06E and Form Routine as TEXT_SYMBOL_REPLACE.
    -Now while creating a new purchase order , change the medium to External Send . 
    -Then go to Communication Method and select CS01.
    -  Need to Release the P.O in ME29N
    - Go to tcode ME9F . 
    - Execute. 
    - Select the checkbox and click on Output Message. 
    - You will get a message MAII 00000000000001 generated . 
    - Use note no 191470

  • Approval Workflow: "Send By Email for Approval" not available in Comments Menu

    Im using Acrobat 9 Pro (9.4.1) but still have Acrobat 8 Pro (8.2.5) installed as well. I'm attempting to initiate an approval workflow utilizing the approval stamps but I'm not finding the "Send by Email for Approval" option under the Comments Menu or under the Comments button in the Task bar in either version of Acrobat Pro.
    Not sure what I'm missing on this end, either in the install of either version or if I, myself, am just not getting this process. The Review process is great and works as it should but I'd like to incorporate the approval process as well if possible in to our internal workflow.

  • User not receiving emails regarding approval notifications

    Hi,
    SRM system has been upgraded to 5.0.
    User is not receiving emails regarding Approval notifications. However, the user is able to view the SCs pending for his approval in his approval list.
    I checked the transmission of the emails, the approval notifications are sucessfuly sent and the email of the user is correctly maintained. I tried resending the emails, and the user didnt receive emails even then.
    Could be please advice what could the error.

    If approval mail:
    - is correctly generated,
    - you can see it in SOST transaction,
    - request status in SOST is OK,
    this means SAPconnect is working fine, so your problem does not come from SAP.
    You have to check your STMP gateaway and your mail server.

  • OIM - Send email to approver not working

    Hi,
    I have to send a notification email to approver when the approval task goes in pending status. I think I have done all that is required however the mail is to being sent. Please let me know where I might be wrong.
    I Created an email Defintion of type request. My task name is "Manager approval" and all it does is "request target users manager". So I go to notification tab, set the status as "P" and tick the "assignee" check box (i.e. the approver). The approver is present in OIM and his email "user def" field has a valid email adress (my test adress). I have also created a IT resource of type "mail server" and set server name, user login and password (all my test details). I havent set anything in authentication though. Dont know if that could be the problem.
    The task is now in pending status but no mail is sent. Nothing is logged in jboss logs as well. Please lemme know if I am missing something.

    The language and region are same as in system config. I tried sending the mail from the assignment tab and it gives me a error. "cannot send - MAIL requires AUTH". The mail server i am using requires authentication. Looks like I need a open mail server to be able to send mail through OIM. When I defined a IT resource of type "Mail Server", it has one tab of the type "Authentication", which is just one text box. What needs to be filled in here? For my mail server it says, 'authentication required, and use same credentials as the incoming server'.
    Please let me know what needs to be defined in this 'authentication' text box and what needs to be done if a open mail server is not available.

  • Workflow Emails for approval

    Hi Experts,
    I need your help here please.
    Our SAP CLM system has been configured in such a away that whenever you create a Master Agreement and save it, an email notification is sent out to all the collaborators linked to that particular Master Agreement to notify them of the creation (of Master Agreement). Then whenever the Owner/creator of teh Master Agreement changes something and saves another email is sent out to all the collaborators again. And the same happens again (email notifications are sent out again to all the collaborators) whenever a contract is generated and the sequence goes on whenever anything is changed and saved.
    Is there a way you can only allow or limit the system to send emails ONLY when you change the phases e.g from initiation to approval and not everytime you save?
    Users are getting frustrated with the numerous email notifications they keep getting for just one Master Agreement/contract sent out whenever the Owner/contract creator saves or makes ammends to the Master Agreemnet/contract.
    Experts come to my rescue please.

  • Parental Controls for Mail does not present all emails to approver

    Those of you who use Parental Controls to manage your children's use of email via Mail know that you can restrict emails they receive to ones sent by people on a whitelist, only. If someone not on the whitelist sends a message, it should be first sent to you for approval, after which it is let through to your child in Mail.
    That's the theory. Putting this into practice I sent messages from my various email accounts to my son's email address. None of those that weren't on the whitelist got through--that's good. However, I received permission requests for only two of those messages. The one sent from my work account simply disappeared--that's bad.
    Do any of you have a sense of how robust this part of Parental Controls is? I did file a bug report on this, by the way.

  • Email when approval are required - Project Server 2013

    Hi everyone,
    I've got a little question, is it possible to send an email when a new update appears in the "Approval Center" (PWA/Approvals.aspx) ? And if yes, how can I do this ?
    I've tried with a workflow (in the "Project Server Workflow Tasks" list) but it does not seem to work.

    Ditto on what Hrishi suggests.
    I would use a SQL query that search new approvals and when it finds one, then send an email. After the query is written, use SSIS (Sql Server Integration Services) and create a job to manage this. There are probably several goods SQL
    administrators that could set this up for you.

  • Delegates not receiving not receiving emails to approve/deny booking requests from external contacts.

    Hi,
    I have an issue with meeting room delegates no longer receiving email notifications when external contacts try to book meeting rooms. 
    Our business has may business units with their own domains and exchange servers, so we have a central exchange server (ex2013 CU2) hosting the shared meeting rooms, with the GAL populated by FIM, and using the MS Federated Gateway and Organisation Relationships
    to share calendars.
    We have a couple of meeting rooms which need delegate approval to book, and if a person hosted on the central exchange tried to book a meeting the delegates receive an email as expected, but when someone from one of the other business units tries the meeting
    shows up as tentative, but the delegates do not receive an email.
    This was working last year, and I havent been able to pin down when it stopped, but it is possible it stopped when applying Exchange 2013 CU2.
    Where can I start to trouble shoot this issue?

    First run below command to check if ProcessExternalMeetingMessages value is set to true
    Get-CalendarProcessing -Identity [email protected] | Format-List
    If its not set to true then run the below command to set it  to true 
    set-calendarprocessing "Room 1" -AutomateProcessing AutoUpdate -ProcessExternalMeetingMessages $true

  • How to set Default email address(TBU if email of approver is not available)

    We are using oracle purchasing (11.5.10). We have observed that whenever a requisition goes for approval, it goes to a definite email id, in case a member in the chain does not have the email specified in "Users". Can someone please assist where do we set this default email address?

    Actually the notification PO APPROVE PDF should error out (MAIL_STATUS as ERROR) as the email is not found. I am not exactly sure on how we can redirect but am sure that you can forward the notifications to a generic user account like testworkflow (this is typically done by DBA).
    If you are OK with customization of POAPPRV WF then try modifying the Notify Approver Business event to pick a generic email address when a fnd_user email address is not found.
    Keeping these things aside is it not a easy way to query for the null email id's in fnd_user and update them appropriately?

    Standard rule determing agent for task.
    Please guide how intimation email could be triggered to approver to outlook.

    Hi,
    Extended Notifications will check the user master for each agent and use the email maintained there.
    So check in SU01 if an email is maintained for your users.

    I have a workflow set up that sends mail to the Approver for the wrokflow item in their BWplace . The requirement is to send a standard mail to their mailbox telling them that there are workflow items.
    So i created a send mail activity ..I wanted to know how can i set up the Send mail activity to send the mail only to the approver ? i mean only to the person who gets the BWorkflow item .?

    Hi,
    Can someone please let me know if its possible to send a outlook mail and a notification as per my requirement as below to a user already in oracle applications?
    My requirement is:
    I want to send a notification where in a user can approve the notification only from oracle application. He should receive a mail (inbox) which should have all the contents same as the notification but without approval buttons in it. From the HR set ups, the user can get the notification and mail but the mail will have the buttons in it...
    I don't want these buttons in the mail... how to acheive this?

    Hi,
    Create a new mailer template, and associate it with the item type that you want to use. I think that you can remove the buttons that way, but haven't checked it at the moment.
