Employment Offer Letters generated in SAP

Good Afternoon!
I'm trying to figure out the BEST way to generate Employment Offer Letters in SAP.
I have been reading online and it seems that there are many ways to accomplish this.
I've read:
SO10 - maintain letter format
SMARTFORMS
PB60 - Generate letters through Applicant activities
PBAT (after S010)- Generate the letters
IT0906 (Additional Data for Correspondence)- Generate Letters
Offering an Applicant a Contract (PA-RC), then Create Employment contract letter
But we aren't currently using the Recruitment piece.
Custom T code- developed module pool with input parameters, radio button for letter selection, smartform for letters, read employee data from HR infotypes and then export to PDF.
Has anyone implemented letters? And if so, what is the best way to do it? Pros/Cons?
Thank you so much for taking the time to read my issue.

Hi
Check the below link. It might be helpful.

  • Where to define the details of employment offer in E-recruiting?

Any one knows, where can the recuiter define the details of employment offer in E-recruiting, for example, salary, onboard date.  what's the process for recuiter to do this?

    Hi,
Even I was facing the same problem.
There is no provision in SAP E-rec for the same.
As if you have seen the standard SAP letter there is no annexure for the salary or its break up.
there are two approaches to this
    a) You change the letter before sending it to the candidate as all the letters in SAP E-rec can be modified.
    b) I had developed a questionnaire which I ask the recruiter to fill prior to generating the offer letter and then a code was written in the smart form to read the questionnaire with the break up of salary components.
The second approach was what I followed however in this thesmartform for offer letter had lots of Zcode to read the questionnaire.

  • E-Recruiting : Regarding Internal applications & offer letters

    Dear Experts,
I have a few clarifications & some client requirements that i need help on. Pls provide your inputs regarding the same :
    1) What is the purpose of internal candidates applying for jobs? Can they be selected for a position even though they already hold a position in the company? Is the data transferred from eRecruiting to ECC in such a case like new hires? I would liek to know what is the end result of an internal application?
    2) Can an external applicant change his application details once he has submitted his application in the application wizard? If so, how can he do it. I coule not open the application wizard once the application is submitted.
    3) Can the search for candidates be somehow restricted that already hired applicants are not displayed in the list? Can it be restricted based on some custom criteris like blacklisting of candidates etc?How can we ensure that TREX does not display the relevant NA objects? Locking & Releasing of profiles will not suit as the candidates also themselves can change this
4)Client would like to keep a track of the offer letters sent to a candidate & serialise this. For Eg: They would want to track the number of offers sent to the candidate & should be able to come back to a particular offer letter & reprint it again. The multiple versions of offer letters would into picture if the hiring date is changed etc.
    5) Is it possible to print multiple copies of the offer letter at one time?
Your inputs & ideas on any of the above points will be much appreciated.
    Thanks in advance

    Hi,
some more details to the questions you asked:
    Question 1:
There are different strategies and processes how employees develop within a company but for most of them the development includes an organizational change at a certain point as you can hardly reshape the position character all the time arount the expectations and abilities of an employee. One of these strategies is succession planning combined with personal development. The hr organization and the management define a development plan for and with an employee train him to use his full potential than just let him rot where he was once hired. This is in the interest of the company and the employee. But succession planning is a business which requires a lot of effort and so it is usually only done with a certain level / group of employees.
Another way is to allow the employees to develop by applying for a job if they think it is a chance to improve and build their talents. In many companies there are even regulations that a new position or a position which needs a successor has to be offered to the employees first before hr is allowed to start looking for an external candidate.
So hr publishes a new position like a team lead for a production area and every worker from the area or even from other devisions can apply. The go through the process af candidate evaluation and if one employee fullfills the requrements he moves in the organization. Technically this is usually an organizational change. A special version of this startegy of internal hiring can be found in reshaping companies which go through a complete restructuring. I have done projects where e-recruiting is just used that every employee from the old organization finds his new chair in the organization. In these cases it is much easier to just let people apply for the position they want instead of trying to plan the move of 10k employees.
The data for such an internal hiring is only partly transfered to the ECC system. It already has the employees data so only the new position and the date of change have to be transfered if not the hr admins enter it directly in the ECC.
    Question 2:
In the current state of sap e-recruiting which ist E-Recruiting 603 (which means e-recruiting 600 plus EhP3) the candidate can not change the application related data he entered after submitting the application, but he can chang his profile data by logging into his startpage. The application related data which can not be changed include the cover letter and the application source. Everything else belongs to the profile therefore is not apllication dependent and can be changed.
    Question 3:
The search for candidates finds candidates which released their profile only as they agreed to be checked on other positions than the ones the originally applied for.
If a candidate is hired he is changed from external to internal and the profile of internal candidates is locked by defauled. Same way for cnadidates you want to exclude from search as long as he does not rerelese the profile. Their profile can be locked by a recruiter creating a status change for it. To track the evaluation of the candidate there are ranking and questionaire activities which can be included in the search.
    Question 4:
Changed letters are serealized but the parts which are not in the editable letter section depend on the smartform as do unchanged letters. You will probably not be able to use e-recruiting as records managemet for offer letters. In addition due to the restrictions of the letter change most projects I have been working in only create the first page from e-recruiting while the contract itself is done outside the system.
    Question 5:
You can hit the print button several times every thing else requires modification or customer development.

  • E-Recruiting Offer Letters

    Hi All,
Can you please let me know where are all the offer letters which are generated are stored in the data base or in the backend? Can we revisit this offer letter and print it at a later point in time.
    Thanks

    Ya you can do it....
A recruiter has a link on his/her start page called correspondence where the correspondence generated in the system are there ....
the recruiter can always resend it and print it......

    Hello experts
I am trying to generate standard SAP 8D report using action box (Request 8D report).I am using Std SAP notif type F2.
    I am able to fill section 1 and 2 (1.Reference 2.Defect description).
I am unable to fill section 3-8 . I looked at the thread where there are some comments about SORT sequence number. I have done that  by double clicking on defect item (catalog type 9). I beleive I have missed somethings.
Appreciate if somebody could advise me step by step to fill sections 3 to 8 in 8D report.
    Many Thanks

  • Financial Statement Generator in SAP FI

    Hi,
Oracle has FSG that unables users to generate reports out of Oracle GL. Is there any equivalent report generator in SAP for users to create reports on ad-hoc basis.
    Thanks

    Hi Hein,
Thanks for the reply and I do have access but apart from standard/customized reports, sometimes users create their own reports using FSGs where they pull GL data (No sub-ledgers) by defining rows and columns and many more features.
For eg: pulling up trial balance report by cost centers
Is there any equivalent of these Financial Statement Generators in SAP.
I was thinking about defining the "Variants" in each report and run variants but then thats not limited to GL, I guess
    Thanks in advance....

  • Need to create custom offer letter templates for irec offer letters

    Hi All,
I am trying to create a custom template for irec offer letters. The additional fields I require in the offer letter are configured as DFF on the Irec page. Steps I followed to create a custom template:
1.Created a custom rtf and used tag names as specified in the standard "IRCESOLDD_SD.xml" file for the additonally configured DFF fields.
2.Created a new template definiton and used the standard data definiton "iRecruitment Offer Letter Data" as reference while creating my template definiton.
3.Associated this custom template to the required business group.
But while navigating the irec page I get an error like below:

    Hi Divya,
When ever you will get exception with SQL statement just copy that statement to SQL editor and run the parameter.
that statement will give you proper error which you can understand
Check the below statement for your environment and check your offer letter territory and language if you can found out into the output of the below query.
    Query :-
    SELECT *
    FROM (SELECT DISTINCT
                 tmpl.language

    Its urgent!
Did anyone done regarding this issues. Thanks in advance.
    Kind Regards,
    Praveen Reddy

    Hi Praveen,
Are you trying to make the xml into a string?  I think if you remove the first tag, it will either automagically reappear or it will throw and error as being poorly formed xml.
In general, you can remove the nodes by the use of indexes.  Since you are operating at the root level, I am not sure how well it will work, but if your xml is in a property, you can reference the specific nodes by something like this:  myXML.Output{/*[1]} which if you put it in a tracer will display the contents of the first node (or blank if there are child nodes).  The node index can be dynamically set, but start with the simple hard coded one.  I would also start at the lowest child level to verify that it is working properly (a tracer will display the contents specified by the index).  You can also google xml indices (or indexes) and it will point to some other useful xml operators.
I suggest that you play around with it and also work with the Link Types (hint: removeXML).

    Mike

  • Sending emails in PDF & TXT format generated by SAP script/Smart forms

    Hi
We have a requirement to configure SMTP node to send emails in PDF & TXT format. Currently, Output format for SAP Documents generated by SAP Script/Smart Forms configured in PDF. (Tx - SCOT - SMTP Node - Intetnet - Output Forms for SAP Documents). But, We also like to send emails in TXT format for other application in the same system. I see that you can send emails generated by SAP Script/Smart Forms either in PDF or TXT format not both.
Is it possible to send the emails in both the formats by configuring in Tx SCOT?
    Your inputs will be appreciated.
    Regards
    Chandu

    Hi chandu,
    1.  emails in both the formats by configuring in Tx SCOT ?
Scot will allow only ONE AT A TIME.
    2. The other workaround is,
      that using some FM
      convert the OTF (sapscript/smartform)
      data to TEXT,
      and send it as RAW
    3. Configure RAW =  TEXT in scot.

  • How are letters generated in Recruitement?

How does a Personnel Administrator generate letters in Recruitment?
Suppose I want to generate an offer letter for an applicant, what would I do? Would I be selecting an applicant and clicking on a push button "Generate Letter"? Or is there any other process? Please tell me the configuration part also for this.
    Points assured. Thanks in advance.

    Hi Nivedita ,
There are various letters available in recruitment at diff status of an applicant , invitation for interview, offer letter , rejection letter etc. There are standard letters available , you can also customize the letters.

  • Is the Idoc no generated in SAP R/3 is same as in SAP XI

    Hi Experts,
I have a query about  communication through Idoc.
    1. Is the Idoc no generated in sapr/3 is same when we see that idoc in XI?
    2. Suppose we have a segment/field of an idoc with a certain number 'XX' in r/3, will it be same when we check the same segment/field in XI?
    Thanks in advance,
    Sunil

    1) Yes(For Outnound interfaces). You can verify this using IDX5 transaction of SAP XI system. YOu can use the IDOC number of SAP R/3 system to search for the corresponding XI message.
    2) yes. (Exception: Control record values in case of Inbound scenarios. If you do not check the option, Apply control record values from paylod in ID, you will not see the value that is assigned in IR).
