Encrypting PDF documents in Preview

If you try to encrypt a PDF document in Preview by selecting the encrypt checkbox in the Save As panel, you might find that when you re-open the encrypted document, any forms that you filled out in the document have garbled characters instead of the text. This appears to be a bug to me.
To encrypt a PDF document that contains a form that you filled out with the Preview application:
1. Choose "Print..." from the File menu.
2. In the sheet that appears, choose "Save as PDF..." from the PDF button in the lower left corner.
3. In the Save panel that appears, click the "Security Options..." button in the lower middle of the panel.
4. Complete the panel that appears according to the security restrictions you want.
5. Save the PDF from the Save panel in step 3.
When you open the document back up, you will be prompted for passwords according to the restrictions you specified. The document's entered text should be just as you saved it.
*Warning: If you choose to password protect the ability to print the document, and re-open the encrypted document and try to print it, it asks you for the password. Even if you enter the password, the document won't print. The encryption permissions in the Inspector floating panel for the document will also say that you don't have the ability to print. Seems like another bug.*
I would think that encrypting a document should also give you the ability to password protect it. Having to act like you're printing the document seems unintuitive. I hope these bugs get fixed soon.

No sense posting here unless you have a problem. If you want to report this to Apple, either send Feedback or send bug reports and enhancement requests via its Bug Reporter system. To do the latter, join the Apple Developer Connection (ADC)—it's free and available for all Mac users and gets you a look at some development software. Since you already have an Apple username/ID, use that. Once a member, go to Apple BugReporter and file your bug report/enhancement request. The nice thing with this procedure over submitting feedback is that you get a response and a follow-up number; thus, starting a dialog with engineering.

    This is a known problem. I have seen one suggestion to print the annotated PDF as a new PDF in order to get search capability back. You can try the Apple Discussions "search" feature at the upper right corner to look for more suggestions.

  • Merging pdf documents in Preview while maintaining OCR capability

    ...isn't working.  I can copy text from the individual pdf's, but when I merge them, the OCR text is replaced with "_".  This happening to anyone else?  This is happening on more than one Mac here at the office.
    I'm opening one file, expanding the sidebar, then dragging each subsequent file ONTO the page of the original.  Then I save-as and that's the result I'm getting.

    Thanks Linc. This document seems a misleading. I'm not sure what the combining of PDFs in this manner is supposed to do, but it does not seem to merge the files.
    After the three documents are brought together in one, you end up with three separate documents combined in one Preview window, which is handy for looking at them, but not for much else.
    When you close the window you still have three separate documents. The title "Combining PDF documents using Preview" seems quite misleading.

    There's actually just a "Save a Version" selection, which does not apparently do anything. It's not like "Save As" used to be where it gave you a dialogue box to rename the document. It just saves the original document with only one pdf, and not the other...

  • Garbled text when copy-pasted from a pdf document in Preview

    I have this PDF document which I created in NeoOffice. When I copy some text from it, then paste it somewhere (or just go to Finder>Edit>Show Clipboard) I see garbled text. Or, if I go into the search field within Preview and type a word which I know exists in the PDF, it doesn't find it. But if I copy-paste it from the PDF document window into the search field, the copied term appears garbled in the search field itself, but I do get search results.
    This happens only with this particular document, which I myself produced. No password/encryption or anything weird; just a straightforward print job from within NeoOffice.

    happens to me all the time in preview, copying something that I need to paste, like a URL. Quitting and relaunching usually solves it, but now that won't work on the text I am copying today.

    Tried highlighting text using the instructions in Preview help. No success.
    I click Annotate; chose the Highlight Colour but then appear to be unable to select the text.

    Thanks for the hint. I think I've just discovered why I cannot do it. The pdf document I'm trying to highlight is the result of the output from a scanner. Hence it is effectively a "picture" - not text. The only thing that I have been able to do is to choose Annotate and then choose "Add Oval" or whatever and select its size and colour and then position this over the text I wish to highlight.
    Because it is effectively a picture you cannot select text. I tried it on another pdf document that IS text and your solution works a treat.

    I assume you are using Preview. If the PDF was created with an indexed table of contents, then choose View > Table of Contents. This will display the ToC in the sidebar, and you can click whatever section or page you want to go to. (There is also a button in the Toolbar to display or hide the sidebar.) If the document does not have a table of contents, or if you just want to go to a known page number, then Go > Go to Page….

  • How to find all bookmarked PDF documents in Preview in Mavericks?

    Hi there,
      the problem is that before upgrading to Mavericks I could view all my bookmarked PDF documents just via menu bar in Preview, but now in Mavericks I have no idea how to manage this bookmarked documents - I can see bookmarks only after opening these PDF files which have been bookmarked. Just imagine that you have thousands of documents of which only a couple have been bookmarked for later reading - as I can see the only way to find these documents in Maverick is to open documents one by one and see whether they have bookmarks or not... Is there any way to bypass this painful procedure?

    I tried this and it works as you describe, but not all Hypercard documents appear to have the same content type, as described by Terminal.
    The first Hypercard stack I tried came up with the content type:
    dyn.ah62d4rv4ge8xe6u
    The search only found the one result with this type (the same stack).
    Then I tried using the Hypercard "Home" stack (a pretty central stack to Hypercard's functioning), and it had a content type:
    dyn.ah62d4rv4gk8zgzcbmq
    (note the type is longer with a different ending; only the first 14 characters are identical to the first stack).
    This search found 317 items, which is likely most of my Hypercard documents, so this is some progress.
    Unfortunately I know that since the first stack I tried had a different content type, there may be other Hypercard stacks on my hard drive with yet a different content type, not caught by these searches.
    I then tried a wildcard, thinking that if only the first 14 characters of the content type are identical, I focus my search on those characters only, using asterisk as a wildcard at the end. So I searched for:
    dyn.ah62d4rv4g*
    The result was 526 hits, including many documents that are not Hypercard. So this doesn't help.
    It appears that the content type is not exactly specific to a the File Type or Creator Code, so while I can find many of a particular document, this method cannot find all of one type of document.
    I tried searching using raw query by the Terminal-reported File Type Code (kMDItemFSTypeCode= "STAK"), but this revealed no items.
    Perhaps I should suggest this to Apple as a bug fix for Leopard, to restore the ability to search by Type Code or Creator Code as a choice in the OS Find service? I know these codes are no longer relied on as much as they used to be, since now the OS uses extension as much as anything else, but there is lots of older software that still run in Leopard that use Type and Creator codes. And Apple still recommends registering the creator code of any new software.

    Cropping a PDF document in is simple, if you want what is OUTSIDE your crop to be removed. What do I do when I want to remove part of what is in a document and leave the rest  - ie crop it out, not make it the focus ?

    Preview is not really a PDF editor. You can do basic stuff such as add annotations, insert pages, but you cannot add hyperlinks.

  • Output is reduced in size when printing PDF documents with Preview

    When I print a PDF file with Preview the printed output seems to be about 20% smaller than actual. If I print the same file with Adobe Reader for Mac the output is normal and not reduced. Other file types do not seem to have the same issue. I don't recall having this problem before I upgraded to Leopard. Any ideas?

    Hi Jack,
    If you have a rummage through Preview's Preferences and look at the scale settings in the 'PDF' tab, do you have it set to respect the 100% scale factor of the PDF? This can sometimes affect the scaling when the PDF was formated for a different paper size from the one you're trying to print it on. If everything there seems to be ok, try comparing the two different expanded print diaogs which you receive in Preview and Adobe Reader, looking at things like scaling and paper-size again.

  • Problem viewing secure PDF documents in Preview

    I have recently written an ebook that I would like to sell online. The original document was created using Pages and saved as a standard PDF. So far so good.
    As a way of trying to protect the book, I would like to have it password protected, which of course I can do in Preview, however, to use a stamping feature on the server that would print the buyer's name and email on the downloaded book, I am told that I need to save the PDF as Acrobat 5 or later.
    The problem I am finding is that if I save a PDF in Acrobat using any kind of security it fails to view properly inside Preview. The page contents are reduced to miniscule items that are totally unusable, but those same files open perfectly inside Acrobat.
    So far the only way I can get password protected PDF files to open properly in Preview is if they are saved in Preview, however, I have found that these files are not compatible with the PHP stamping feature on the server that would add the buyer's details.
    Does anybody with knowledge of Acrobat and Preview understand what is happening here and how I can resolve this issue?

    I have no solution, but reassurance that this is not an isolated incidence. I also have a pdf that is password protected and opens properly in Adobe Acrobat, but only displays the first page in Preview... Hope someone can shed some light on this!

    I've got a PDF ready-to-plot document. It's an architectural drawing on a A1 sheet and I have to print it on my machine which is not equipped with A1 sheets, but with a roll feed 42" wide (namely 1067 mm), set as a custom size (by a custom editable lenght of 150 cm), as shown in the attached screenshot.
    The thing is: I'd like to save paper by moving the drawing on the bottom of the preview sheet, in order to get the plotter printing the image first and then stopping. While navigating the preview options I haven't seen any setup for changing the position of the printed area on the sheet. Is it really missing??
    Other than creating an ad-hoc landscape oriented A1 (I believe it might be rotated from the application itself, but I didn't find out how!) that will fit the actual paper size, how can I solve this? Should I use a PDF specific app (such as Adobe Reader) to set the position parameter?
