ESS - Leave Administration - Work flow item

Hi experts,
My PM asked me to prepare a document on ESS i got some inputs from different threads.
Now I need an input regarding workflow item
In Leave Administration after approval of the leave employee can delete the information which was work flow id as assigned to services the id is WS1000109
Which work flow id should assign to services.
Please help me in this regard

There are two things
1. Workflow ID - Employee can't delete a WF ID can delete WF items
2. Workflow item - No need to assign workflow item to a service , coz this would be done by the system internally for all the modules .

here you will find out the latest WF item & text for that WF

Extract PO header text in PO work flow item description

Hi,
I'm trying to display PO header text using standard PO workflow.
I managed to retrieve the PO header text information at the business object(SWO1). Now it is only displaying the last line of the PO header text. I define object &_WI_OBJECT_ID.POTEXT& in the work item text. POTEXT is of type VIRTUAL and with reference to table tline and field tdline.
How to make this field POTEXT multiline in the workflow work item?
For example PO header text contains:
Header testing1
Header testing2
Header testing3.
Currently, it is showing only Header testing 3. I'm not sure how to do coding in business objects for this case.
I am using 'READ_TEXT' function module, but how to display the text information in this field POTEXT?

The program that you have given is showing the text details but it is not showing complete text details, it is only showing 1st line of text. Please see screen shot for your reference, please suggest how to get complete text details.

Creating Work Flow Item for inbound Idocs

Hi experts,
I'm just trying to create a work item in sap inbox when inbound idoc fails and gets the status 51 .Documentation says no need for any extra setup,it works with standard SAP tasks & Idoc system process codes which are all preconfigured.
I'm assiginig a user id in the partner profile.I do get a work item when there is syntax error in the inbound idoc segments(like wrong sequence of segments...), but not when idoc fails,due to idoc errors.Am i missing something.Users want a workitem when it fails,so they can reprocee/edit etc.Please help.

Thanks for the response.I know this task and i could see a event triggered in the event log,but no work item created in my inbox.What should i do to get the work item in my inbox.should i change this task or assign this to some thing else.

How to prevent work flow item

Hi All,
I have a requirement wherein the Inbound IDoc with status 52 has to be prevented by flowing into workflow.
This has to be done for certain partners.

Execute SWe2 transaction
2. Find the workflow tempalte ID which is getting triggered.
3. And tryt to disable or un check the check box EVENT LINKAGE.

IT0022 Education- Is there a Standard work flow for ESS??

Hello All,
is there a standard work flow in SAP where in an employee updates his education details in ESS and a work flow is triggered either to Adminstrator / Manager to approve the same? if aint...how to make this possible, anyworkarounds?
if yes, in what versions is it available/where?

There <b>"IS"</b> a central place where workflows can be accessed in SAP...which i eventually foundout...it is thru <b>Tcode SWDM - Business Workflow Explorer</b>
There we need to check for component that we are looking workflows for....
for example :
EP-PCT-MGR-HR - Business Package for Manager Self-Service (HR)
PA-ES - Employee Self-Service
PT-EV -Time Evaluation
And ofcourse Bus.Pack Documentation is always useful.

Hi Yoga,
Work flow can be configured for release procedure through userexit M06B0001.
U need to assign the user id to the respective Release codes. Once this has been done, then u will get a mail in Business workplace inbox upon creation of PR/PO. If u double click the work flow item it will take u to ME54n transaction for approval. We have to take Basis team help to define authorisation for Each user. Since the User has to approve only for his relevant role.

Using attachments in work-flow and creating custom text with key values

Hi,
I have 2 simple requirements.
1. how to attach a tcode or trigger method of business object for work-flow item. The user should be able to navigate to transaction to see data before approval or rejection.
2. I have created custom task for long text that will be displayed in the SAP inbox. How do I provide key values in this long text. I was able to do in the subject line using Substitution parameters(&Name1& etc..)

I did the same thing. see details.
Created Workitem and attached a task "TS92500097". in the task, I mentioned Business Object and method to be called. I have set the binding also for this business object. the method I am calling is nothing but just "display" which is using call transaction. 2 problems here.
1. How do I show this "BusinessObject.Display" as an attachment or link in the mail.
2. how do I assign key values during exection of this attachment or link.

Work flow task id not found in UWL config XML file

Hi
We are facing a strange issue with UWL XML file.
We are running EP 7.0 SP13
We configured UWL and we are able to see the work items in UML iview. These are the same work items as seen in SAP Inbox.
But when we open the uwl.webflow.<system alias> XML file corresponding to the back end system, We were not able to see the task id of the work flow item displayed in the UWL.
Any help on this would be highly appreciated.

Is it Possible to Delete a Work Flow in SAP

If you mean a work flow item (and not the template which you already got the solution to), then the best thing to do is logically delete it, also known as cancelling. You can do that from the work item view if you have sufficient authorization.
Go to the technical view.
Switch to edit mode.
Observe the buttons that suddenly became available.
If you don't see any buttons for "delete logically" (can't recall the exact text) you don't have sufficient authorization.

You are not a receiver of the work item in ESS Leave

Hi,
We are using standard ESS leave application in our portal, where employee can raise leave and his manager can approve/reject his leave. But I want in case manager rejects the leave, the rejected leave should not come into MSS UWL of employee, we will send a mail to employee and he can again login to ESS leave application and where he will see the rejected leave and he can re apply/change/delete the rejected leave. We do not want rejected leave to come in UWL of employee as a work item.
As of now when manager rejects the leave rejected leave of an employee , it is coming in UWL of the employee which we do not want, so what we did, we went to standard leave work flow template WS12300111, in that we double clicked on Task (TS12300116, Process Request by Employee) and in that we clicked on agent assignment icon and than we clicked on attribute and we selected General forwarding not allowed radio button, by default general task radio button was selected.
After selecting General forwarding not allowed radio button, even when manager rejects employee leave, rejected leave is not coming in UWL of employee which we want exactly, but another error is coming when employee goes to ESS leave application again and change or delete this rejected leave he is getting the error You are not a receiver of the work item .
But if we select general task radio button in agent assignment in work flow , than eveything is working fine but employee is getting rejected leave in his UWL, that we do not want at all, so why after selecting different radio button this error is coming ?
Why employee is getting this error, why employee can not reapply/change his rejected leave. Is this portal error OR workflow error OR HR configuration error and what is the solution for this..

CONFIGURATION WORK FLOW IN ESS (LEAVE)

Hi gurus.
He wanted to know what form it's to indicate that a leave's class should not generate Work Flow when it's post from ESS.
In T554S_WEB it is possible to leave in white the fields of WF's codes. The problem is that there is a field in the above mentioned table, APPROVAL_PROCESS, that if has the value "W" (Workflow) , though the fields have been left in whiteof workflow, tries to generate a WF with code WS00000000.
The case is that the field APPROVAL_PROCESS is not located by me from what point of the parametrización it is possible to modify.

Leave Request work items are not showing in SBWP TCODE under OUTBOX .

I used work flow 12300111 for leave request process and I activated that work flow.
I applied leave through ESS from portal(Employee login)employee sends a leave request sends good,
and I got Leave request(work items) Managers in box(uwl in Manager Login in portal).
Manger Approve the leave request has been approved successfully.
can I check whether leave request is processed in R/3.
in tcode se38-RPTARQDBVIEW - UNDER leave request(Leave)->STATUS>COMPLETED,
But in r/3 i execute the Tcode SBWP...
here is no work items are not showing in outbox..

it wont be shown in outbox of SBWP
you need to check via SWIA or rptarqdbview or SWI5 for the user
these are java based tasks so will be done in UWL. you can see only the tasks but after approval they are disappeared.
The outbox shows the last 30 days by default. This default cannot be
changed. This 30 days selection period is always set when you enter
the outbox. However, the user can change the selection period by
clicking the button 'Change selection period' on top of the grid
control but this as you know will be reset once you log out.
This is how the mapping from the
backend workplace folders to the UWL tabs should work:
UWL tab                        Backend folder
Notifications                  Deadline Messages
Tasks-> Completed Tasks        Outbox -> Workitems executed by me
Tracking -> My Requests        Outbox -> Started Workflows
Tracking -> Forwarded          Outbox -> Forwarded workitems

ESS Work Flow

I'm new on ESS Work Flow. I got business request that if leave request end date is less today, then the work flow need bypass the manager approval and update IT2001 directly. I have two questions :
(1) How do I pass leave request end-date to work flow container so that I use that date to determine if work flow should be completed without manager's approval.
(2) How do I change work flow status so that leave request can update IT2001 without manager's approval. Currently, if I bypass the manager's approval (no condition due to do not know the answer of #1 ), the work flow status is set to complete, but it did not update IT2001 after I run report RPTARQPOST.

Actually my problem is that I need define the workflow basing on vacation request start date and end date.
According to HR, if vacation request end date (for example 2 days vacation from Oct 18 to Oct 19) is less then today, then workflow should not seek a approval from the manager and update IT2001 directly. We are using a copy of WS1230011 with some customizations. Yes, the possible agent has been defined in general task.
One key step of the business activities in the workflow is the task TS12300097. In stead of calling object type from Business Object Repository, this task calls a ABAP class (CL_PT_REQ_WF_ATTRIBS) as object method. In this class, I could not find any attributes that is vacation start / end date related, therefore, I could not find associate container items from the workflow to make completion condition (if end date less than today then completing the step) of the step.

Standard Work flow for Leave approval in HR module

My query is there any standard work flow available in HR module for Leave approval and Over time approval. We have negative time management and with out ESS and MSS.
Pl suggest if any one has used this earlier with out ESS or EP

I can think of the following but not without enhancement for the workflow part.
- Since you are not using ESS, you (leave admin) may create the absence record directly in IT2001 (in LOCK mode).
- In the user exit of 2001 you may trigger your Workflow process (i.e. call the function module to trigger WF here) depending on the LCCK status. You have to explore if standard WF can be used to your requirement.
- Upon approval, you can UNLOCK the absence.
- In the event that UNLOCK is unsuccessful, trigger WF to your Leave Admin for him to update via PA30.
Standard SAP Workflow
- Only 1 level approval
- Using Chief Position
IF your workflow requirement deviates, then you have to also customize workflow, does not matter whether you are using ESS or not.
Finally test and retest to make sure all possible events are covered.
OT is the same, except that you need to use 2007 vs 2002

ESS-MSS Work Flow activation

Hi Gurus,
I am new to ESS-MSS, my client is implementign this module. Can any one please tell me what r the steps to active Work Flows to trigger mails for "Absence/Attendance application in ESS" by employee and for CATS Time sheet filling & its approvals by the manager inMSS& the related tasks.
r there any standard Work Flows to be called in R/3, if so , can any one tell me the path.
In Personnel Time Management -> Web Applications -> Leave Request
do we need to active the Work Flow templet and what input need to be given in fiends New requet____, Cancellation Request_____, & Change Request_____.
we are usign ECC6 in R/3.

Pleae let me know are there any standard Templets for this & also apart from this node is there any whare else we need to asign the WF Templets.
