Exchange 2010 archiving: sent items missing

Hi,
I have created an archive for a user with rule to archive anything older than a year. However I haven't noticed the sent items folder does not exist in archive, so the consequence is there are no sent emails older than a year. 
So the question is, how can I recover them?

What sort of archive? PST or In Place Within Exchange? You generally wouldnt use a rule to archive however.

  • Outlook 2010 not showing Exchange 2010 archives, OWA does.

    We have activated Exchange 2010 archives for all users but most of them are not showing up in their Outlook, but everyone can see them in OWA.
    Office 2010 Standard - MAK licenses, 2 distinct keys
    Majority of systems are Windows XP, some Vista and 7.
    Through testing it seems to be a system problem. Using 3 test accounts I log onto various systems, some freshly reimaged, some pre-existing. The test account profiles were new to each system. Sometimes the archive folder would appear, sometimes it wouldn't,
    but it was consistent per computer. Meaning that if the folder didn't appear for 1 person, it didn't show up for anyone on that specific computer.
    Anybody know how to fix this? Am I missing a setting or registry key somewhere?

    Ok, just spent some time looking into this more, if you google "office 2010 suite and version comparison guide pdf" and locate the .pdf file and open it, on page 17 under
    Managed E-Mail Folders & Retention Policy:
    "Provide a secondary location for users to store their e-mail messages and
    manage their mailbox quota with new online managed folders. Unlike localOutlook Data Files (PSTs), this information can be backed
    up and managed by Exchange Server."  - is an Office Professional Plus feature only.
    So, it would appear that we now not only have to purchase an enterprise CAL for Exchange, but Office Professional Plus as well so we can, I suspect, use the
    one extra useful feature that most sys admins wanted Exchange 2010 SP1 for in the first place, which is so centrally manage e-mails and e-mail archives.  Whilst this may not be a big deal for larger companies, educational institutes
    etc, as the sys admin for a small private business with 70 users, this extra cost hurts.  As for the lack of clarity - if you want to tie up Office versions with Exchange functionality, how about standardizing naming conventions - call the Exchange
    CALs "standard" and "professional" to match the required Office clients, or rename Office Professional to Office Enterprise - either way, match up the client apps and CALs to make it clearer.

  • Exchange "Sent Items" Missing issue in Mail

    I lost my "Sent Items" mails and sync. I have looked all over this place and found nothing, but this one worked for me, I`ve taken the idea from here (https://discussions.apple.com/thread/4173886?start=0&tstart=0) similiar to Calendar issue
    Open Mail
    Go to the Mail > Preferences.
    Select the Accounts tab.
    Remove the Exchange server account which is giving you the error messages.  This mailbox will be removed from the Mail app.
    Close Mail (cmd + Q)
    Go to System Preferences and click on the "Mail, Contacts & Calendars" pane, find your Exchange server account, and check the "Mail" option to re-enable your Mail (I`ve got an "unknown problem" when activating, the last resort I tried was to close current session - and retrying this step - it worked for me this way)
    Your Mail should now sync properly.

  • Exchange 2010 - visibility of items in Public Folders

    Hello all,
    I already posted this question to the German Exchange 2010 forum, but have not gotten an answer yet. So I hope to be more lucky in the English forum.
    Environment: Exchange 2010 SP3 RU4, 2 replicas for Public Folders, Outlook 2007 cache Mode
    Problem:
    Some of our users have a phenomenon when working with mail enabled Public Folders:
    User has the focus set to Public Folder A, an email is sent there (and correctly delivered) but remains invisible to the user. When he changes the focus to point to his inbox or to Public Folder B and directly changes back to folder A he can see the email.
    Other users can see the email directly on delivery without leaving the folder first.
    When an affected user adds Public Folder A to his Public Folder Favorites he can see that an email is delivered from the change in numbers of unread mails (number in brackets behind folder name).
    I already checked the Exchange server to see if there is a replication related problem (though the default Public Folder DB is the same for all mailbox databases). Even after a successful replication an effected user does not see the email unless he leaves
    the folder and re-opens it.
    As the problem does not affect all users having permissions to this folder I picked one affected user and tried to remedy the issue as follows:
    - deleted the existing Outlook profile and re-created it => without success
    - deleted the user profile and re-created it => without success
    We use Outlook Cache Mode (set by policy, so the user cannot deactivate it) but there is no Public Folder data downloaded.
    When I create a new mail enabled Public Folder to test the scenario with an affected user everything works without problems, he can see an email on delivery.
    As far as I know this problem occurs with only two folders (and for both folders only a few users are affected - different users for each folder) I do not know what else to do. Can someone please give me a hint where to look at? Thanks in advance.

    The user is caching the public folder.  When he changes the focus and goes back, it tells Outlook to update.  In my experience, I've seen that Outlook only gets the update notices for the primary mailbox, so cached shared mailboxes are generally
    rarely updated.  We have stopped caching shared mailboxes for this reason and others.  Think of the following scenario:
    Ten different users perform actions on items in a shared mailbox
    When they first get the message, they move it to a subfolder in the mailbox (so it won't be there for other users)
    Since users are working in Cached mode, they will see an out-of-date image of the mailbox - they will move the item in their copy of the mailbox, but that won't be reflected in the other mailboxes until their copy updates to the server, then the server updates
    the other copies.  Talk about being lagged ...

  • Some sent items missing in Mac Mail

    Hi
    I have an issue where some of my sent items do not get saved to the Sent Items folder.
    The email account in question is a work Exchange Server 2003 one and I have it set up as an IMAP account. I have the correct sent items folder configured so that all my devices (mac at home, iPad and iPhone) all sync perfectly with it. The problem appears to occur, sometimes but not always, in the following circumstances:
    When I am connected to the work network via ethernet.
    When the email size is quite large.
    Bizarrely when I unplug the ethernet and connect to the office network wirelessly there is no issue. There is another mac in the office running on Snow Leopard (I'm Lion) at it has exactly the same issue.
    Needless to say this isn't an ideal situation particularly when dealing with work emails. Can someone please help?

    Sorry no help, but I'm having a similar issue with an IMAP mailbox and this may be related.
    I just sent a very important email (no atachments) and watched the progress bar complete as it was sent. I went to re-read it an hour later to find it missing from my sent folder. Now I don't know if it was sent or not.
    I reindexed my messages by following step 2 on this page: http://support.apple.com/kb/TS1907
    but that didn't help.
    After doing that I checked the same mailbox on another device and it's not in the sent folder which leads me to the conclusion that it hasn't been stored in the sent folder on the server.
    Now I'm not sure exactly how it works, but if it wasn't sent shouldn't mail receive that info from the server and inform us, keeping the message as draft?

    Recently we configure EMC Networker backup in our environment. but somehow it's not running incremental backup. when we send logs to EMC they reply some log sequence is missing. how i can fix this issue. can anyone help me.

    Please make sure the Microsoft Exchange Server Extension for Windows Server Backup service running fine.
    Please also try to collect some App log for the further troubleshooting.

  • Help needed! GMail sent items missing from Apple Mail!

    I need your help to solve a problem that I've identified recently in Apple Mail with a GMail account:
    I have a POP-enabled GMail account in Mail, but also with IMAP functionality enabled through GMail's webmail settings (probably because I access it also from my iPad).
    However, I notice that my local "Sent" mailbox in Mail only contains some 140 messages, even if a visit to GMail's webmail page shows me that I have at least 1200 "sent" messages.
    I must note that my advanced mailbox settings in Mail do NOT allow for automatic deletion of sent items.
    So my question is: how to make sure that I do not lose ANY sent items from GMail or any other account for that matter (i.e., that whatever is sent remains in the local "sent" mailbox in Mail)? Am I missing something?

    No I don't think so. But from what you're saying, the only copies of sent messages on your computer will be what you are sending from the computer. The messages sent from the iPad or website are not stored on the computer. If it were all set as IMAP, they will be available on all devices.
    Thanks a lot for your attentive reply - my only concern is that, when I activate IMAP, I won't be able anymore to have a steady copy of all items in my sent items folder on Apple Mail, nor to delete what I want at will.
    Changing it to IMAP will make the all sent items available on the server to your computer, website, and other devices. They will always be there as long as you don't delete them from the server. The messages you manually delete will delete them from the server and all devices. If you want a local backup, then copy them to a local folder which will not remove them from the server or move them to a local folder which will delete them from the server.
    Auto syncing does not in any way interfere with local folders on the Mac. The only IMAP folders you can sync are the inbox, sent, drafts, and junk. Inbox is the only mailbox that has to be synced (it's done automatically and you can't change it). I also sync the Sent and Trash. I don't sync (store messages on the server) the drafts or junk mailbox.
    I don't understand what you mean by not being able to delete messages from the Inbox. I do it all the time. What happens when you delete it depends on your settings in gmail. Gmail has some peculiar settings like having a deleted items folder besides the Trash folder.  The default is to delete from inbox, it goes to the deleted items folder. Delete it from there, and it goes to Trash. Delete it from trash to get rid of it. The fact is that the All Mail folder shows the message no matter what folder it in. I have mine set to move it straight to the trash when moved from the last visible IMAP folder. So, when I delete it from Mail's Inbox, it moves it to the trash just as local messages do.
    If you plan to do your email from the computer only, then POP is fine. If you plan to use the website and iPad also, then IMAP is the way to go.
    That way everything in mail is available no matter where you look at it. The only things you won't see is what you move to local folders.
    Seems like you should go to gmail's website and read the help files to become more familiar with it. Also look at all the settings available (expecially the Labels Tab, Accounts tab, and Forwarding Tab. These settings will be what you will use mostly to customize how it works and flows with the Mac. If you're going to use IMAP, you need to understand what they do exactly and what you want them to do for you.
    My sole objective: to keep ALL messages in Apple Mail (except those I expressly delete), as well as ALL messages in Google.
    IMAP does exactly this for you already. By leaving it on the server, they are on the computer. In Mails preference settings in the Accounts / Advanced Tab, for IMAP accounts keep the setting for storing messages for offline viewing. That way Mail actually does store a copy locally until you delete it from the server. And that will be backed up with your computer backup.
    And what you do delete from any device will duplicate it elsewhere.

    We have a single user who when she deletes items from the Inbox they re-appear (in the inbox), if she is running in cached exchange mode. The items do not re-appear in OWA.
    She is not experiencing any network connectivity issues
    We have rebuilt her MAPI profile including deleting all existing OST files
    We have removed and reinstalled outlook / office 2013
    She is the only user with the issue
    There are no Sync issues
    As soon as we disable cached exchange mode this issue immediately goes away, she is running Office 2013 RTM.

    If change another PC to configure her mailbox within outlook 2013, is there the same issue?
    In addition, you can try to move her mailbox to another database and check if any helps.

  • Exchange 2010 - Archiving Policy tag (how to create dont move message)

    Hi guys!
    We have started to use functionality Archiving corporate Mailboxes.
    We have deleted all the default retention policies/tags and created 1 default which Will move all the messages which are older then 60 days.
    Soo default archive and retenetion policies are gone after deleting them.
    Now the idea is to create 1 more retention policy tag, that user would manually chose what they do not wish to be moved to archive mailboxes and stay and instead of that those messages must stay in the mailbox.
    Well we got stucked at how to create that kind of policy tag:
    any hints would be more then appreticiated.

    Agree with Ed. We can't tag an item to stop it from being moved to archive.

  • Exchange 2010 Excessive Archive Transaction Logs

    I've got an Exchange 2010 environment with about 225 users over 6 mailbox DB's with corresponding Archive DB's.
    They're seeing log files for the archive DB's growing by about 25-30% of the total DB size daily. Those logs are generally about 8 x the logs generated by the corresponding primary mailbox database.
    Something like
    DB1 = 20GB  daily average logs 2GB
    DB1Archive = 90GB daily average logs ~28GB
    I don't see any Retention policies that have duplicated Tags and the Default policy has no tags assigned.
    The customer wants to continue with their existing backup process of weekly fulls and daily incremental/differentials, and missing two days is enough to max out their transaction log volumes. (which are as large as their combined database size).
    The archive db's have been in place for at least 12 weeks now so it's not just initial population, which is obvious by the fact that the archive db's are much larger than the original db's and the total logs in a week exceed the DB volumes by 2-3 times.

    First, please make sure there is no corruption in the retention policies.
    If there is no corruption, I recommend you create a new archive mailbox database and move archive mailbox to this new database to check result.

  • Exchange 2010 invites in ical show with floating timezone and incorrect time

    When I receive exchange 2010 invites sent via email as an ics attachment and open them to add them into ical the time zone shows as floating and the event time is incorrect as it doesn't take the time zone into consideration. How can I change the time zone/ time for these events?

    Well seems that its sad that no-one from Apple or otherwise knows why Apple Mail and iCal are such junk - but I'll answer for those who might want to know what solves these things.
    In a nutshell - I removed my accounts from iCal and Mail - added things thru iCal and had it create the account in Mail automatically (Exchange 2010 has all my mail up online anyways) - and sure enough this fixed things.
    Guess doing the Mail separately from iCal doesn't work right. Go figure.

  • Console Tree not Visible in Exchange 2010

    Hello. When I log into our Exchange 2010 server's EMC the only pane that is visible is the Results pane (which takes up the entire screen). The only option I have are File and Help. File only has the option of Disk Cleanup.
    When I log on as a different user, I get the standard view.
    How do I restore the standard view of the EMC?
     Any help would be greatly appreciated.

    You don;t have proper permission on your account.
    These are the default permissions for Exchange Admins
    Delegated Setup - This management role group gives members the ability to run the Exchange 2010 setup program and therefore deploy, but not administer, a new Exchange 2010 server. Deployment can
    only be performed on servers that have already been provisioned by an administrator with additional permissions.
    Discovery Management - A member of the Discovery Management role group has the ability to perform searches of all mailboxes within the Exchange organization as well as implement the Legal Hold
    feature of Exchange 2010. We shall be looking at this management role group in detail later in this article series.
    Help Desk - The Help Desk management role group gives members permissions that are typically required by members of a help desk, such as modifying users’ details such as their address and phone
    number.
    Hygiene Management - This management role group is used to provide permissions associated with managing and configuring both the antivirus and anti-spam elements found in Exchange 2010. 
    Organization Management - The Organization Management role group is synonymous with the Exchange Full Administrator role in Exchange 2003 and the Exchange Organization Administrators role in Exchange
    2007. Essentially, membership of this management role group gives the user the ability to perform pretty much any task in Exchange 2010, with the main missing task being the ability to perform mailbox searches; that itself is achieved via the Discovery Management

    Recipient Management - A member of this management role group can create and modify Exchange recipients.
    Records Management - The Records Management role group gives the ability for members to control and configure the compliance features of Exchange 2010. Examples of such features include transport

    Server Management - This management role group gives the ability to manage all Exchange servers within the organization. Permissions granted as membership of this management role group therefore

    Not sure if you were responding to me or OP - my iPhone is on 5.1.  The OP at the time of writing was on 5.0.1.
    Also, the OP and I had setup our Hotmail as an Exchange server (similar to IMAP), not POP3.

  • Missing inbox / sent items in users online archive

    Hi, I have quite an alarming problem with a users online archiving setup in exchange 2010 SP1.
    I have online archiving setup for a relatively small group of users. Its working fine for everyone except 1 - everyone has email moved to the archive after 2 years.
    The one user with the problem however has no inbox and no sent items on the archive mailbox. They have subfolders from the "root" with mail in them, but no inbox / sent items.
    Email are however being deleted from these folders after 2 years from the regular inbox!
    I have tried logging in through OWA (same) and other machines (same). I've tried using MFCMapi to check for the hidden properties on the archive mailbox (both false). I've tried using powershell to view statistics on the folders, and it appears to have 1
    item in the inbox on the archive at least.
    Can anyone help me?  Frankly I've ran out of ideas at this point.

    It is so strange that there is no Inbox and Sent Items folder in a user’s online archive mailbox. Please check whether there are no older than 2 years emails in Inbox and Sent items folders.
    Generally, within the archive mailbox, Exchange will automatically create the complete folder structure that was present in the user’s primary mailbox. The folder structure is not created within the archive mailbox until messages need to be moved into a
    given folder from the primary mailbox to the archive mailbox.
    I don’t know whether disable archive then enable it for this mailbox can recover Inbox and Sent Items folders or not. We can back up this archive mailbox firstly like exporting mailbox data to a PST file. Then try re-configure online archive
    for the mailbox to have a try.
