Exchange Account in Mail - lot's of email don't show up

I have some confusing experiences Mail with my exchange email account (hosted as an exchange account by the German hosting Provider 1&1) - which worked fine for a long time.
Recently I experienced the following effects:
Email don't show. They are not lost. If I use a web browser to access my account with the Outlook Web App, all email are there. Mail shows always the most recent emails (from about one month) but not more.
If I switch between different email accounts in Mail (I also manage imap accounts and my .me account in Mail) and then back to the exchange account all or most email don't show anymore. If I close and reopen Mail the most recent emails show up again.
It's not a matter of disk space (about 400 GB free), I did the usual stuff like disk repair and check permissions.
I'm thankful for any ideas.

Quit Mail. Force quit if necessary.
Back up all data. That means you know you can restore the Mail database, no matter what happens.
Triple-click anywhere in the line below on this page to select it:
~/Library/Mail/V2/MailData/Envelope Index
Copy the selected text to the Clipboard by pressing the key combination command-C. In the Finder, select
Go ▹ Go to Folder
from the menu bar. Paste into the box that opens (command-V), then press return.
A Finder window will open with a file selected. Move the selected file to the Desktop, leaving the window open. Other files in the folder may have names that begin with "Envelope Index". Move those files, if any, to the Trash.
Log out and log back in. Relaunch Mail. It should prompt you to re-import your messages. You may get a warning that the index is damaged and that Mail has to quit. Click OK.
Test. If Mail now works as expected, you can delete the file you moved to the Desktop. Otherwise, post your results.

    I'm having a problem with a several e-mail messages in my Mail client.  These messages seem "stuck" in that whenever I try to delete these messages, I get an error message in Mail that says:
    An error occurred while moving messages to mailbox “Trash — Exchange”.
    I named the account Exchange.  These messages are NOT on my Exchange mail server anymore - I also access my mail from an Outlook client as well and these "stuck" messages do not appear in Outlook which is pulling directly from Exchange.
    My first attempt to resolve was to delete the account from the Mail client and set it up again.  All of the folders and e-mail messages re-appeared almost instantly so it obviously didn't go out to the Exchange server and pull down over 100K e-mail messages in 30 seconds.
    Then I spoke to AppleCare.  They directed me to the Library to delete a subfolder in the Mail folder that appeared to contain the messages.  When I emptied the Trash, it appeared that the 100K messages were being deleted.  I went to Mail to setup the account again.  Again, the messages reappeared quickly as before and the problem messages were still there as if they never were deleted.
    So now I'm looking for a way to completely the Exchange account and all of its local data from Mail.  I want the Mail client to start from scratch and go out to the Exchange server to get the data like the account had never been setup on this Mac before.  I'd also opt for a fresh install of Mail but I have a MBA 11 so I don't have OS media or a DVD drive.
    Somewhere Mail is clealry caching info on that account.  It's apparent when I've deleted the account and then re-opened Mail to set it back up the first time.  Whenever the dialog box appears, it remembers my Exchange e-mail account information in the field so it's obviously pulling that information from somewhere locally on the Mac, not from the server.

    As you say, removing the Exchange account on Mail really doesn't delete it. It's caching something because of how quickly it finds the folders etc. if you add the account again.
    I was having a lot of very strange problems with Mail/Contacts/Calendar and certainly a new user I set up from scratch worked with Mail etc. straight away. I didn't test it for days but within seconds it pulled down all the correct emails and the number of unread tallied with my iPhone which was one of the annoying problems I was having.
    One of the things I read elsewhere is how useful doing a Mailbox/Rebuild from within Mail is. I just tried it now on my existing user name and it certainly seems to have helped. It immediately refreshed the Inbox and had it accurate. However, despite having it set to "1 min checking for new mail" after several mins it seems to have hung again and isn't refreshing.
    Mail for OSX has caused me a million more problems that for iOS which just works every time. I don't see how Apple can make it work so smoothly on iOS and give loads of problems on OSX.
    Have you tried the Mailbox/Rebuild?

    An Exchange account is an e-mail account serviced my a Microsft Exchange server... Typically a corporate e-mail account. It used to be possible to configure a free gmail account as an Exchange account, but it is no longer possible to set one up that way.

    Just use IMAP for the accounts. I have 4 Exchange accounts in my Mail app and they are all set up that way. but yes, there can only be 1 Exchange account (which I believe has more to do with the Exchange API than Macs)

  • Correct settings for adding Exchange account in Mail

    I have successfully added an exchange account to my iPhone. However, to add the same account to Mail there different, additional settings that I cannot seem to get right.
    the details I entered into my phone are as follows (please excuse the xxx's but I thought it best not to publish the full details of how to access my server!)
    server: arexxx1.axxxring.com
    domain: axxxring.local
    username: daniel
    password: xxxxxx
    the settings that are required to add an exchange account to mail are:
    incoming mail server
    username
    password
    outlook web access server
    outgoing mail server
    can anyone advise me how the settings I entered into my iphone might apply to the fields in Mail or if it is even possible.
    I am using os x 10.5.8 and exchange 2003.

    Obviously you know your username and password so all you should require is the incoming and outgoing mail server addresses which you can obtain from the domain IT people who provide the Exchange account. I am not sure what the outlook web access server address is, but your IT people should know.

    Hi all,
    I'm trying to set up push mail for my gmail account. I have tried RoadSync application and built-in 'Mail for Exchange' account in my phone. While RoadSync after one hour of instance connection consumes about 100kB of transfer built-in account consumes mega bytes of transfer. It activates connection every 10-20 sec and send and receive data. In both cases I didn't receive any new message.
    Does anyone of you has the same problem and can explain me why my phone is updating all the time? Push mail suppose to receive data only when new email is on my inbox, not all the time. Do you know how to reduce this data consumption? I don't care if my phone reads a lot of data because I have unlimited Internet but it also takes a lot of battery and that's my major problem.

    I had this same problem with my C6-00 and my older E71. I could not get GMail to successfully syncronise using Nokia Mail for Exchange.
    I ended up purchasing another client from the Ovi Store (RoadSync) which works perfectly.
    I am not pleased that Nokia's client doesn't work with my service, but the RoadSync client was quite cheap (US$6.60) and hasn't failed me once.

    I finally found a solution. You can edit this file where USERNAME = users acutal account on the mac:
    Close Mail.
    Go to:
    /Users/USERNAME/Library/Mail/V2/MailData/accounts.plist
    Under this:
                <key>EmailAddresses</key>
                <array>
                    <string>[email protected]</string>
                </array>
    Type:
                <key>EmailAliases</key>
                <array>
                    <dict>
                        <key>alias</key>
                        <string>[email protected]</string>

    Save version of file.
    Open Mail.

    Please don't fire off an answer like this when you alreay said you were "not familiar with exchange accounts".  This actually has nothing to do with his ISP.  The 8 - 10 mb files you send, I am assuming are not from exchange accounts, seeing as though you are not familiar with them.
    In fact, this IS a problem with Mail.  It has been going on for quite some time.  It has to do with Mail interacting with MS exchange 2007 servers.

    Okay didn't see a place to ask a Mail question so I am placing this here.
    I work for a helpdesk that requires me to monitor 4 different email accounts throughout the day. They are all Exchange accounts. The first one setups just fine but when I go to setup the others I get a message that states that the username and password are in use for the other account. Is there any way to setup multiple Exchange account when using the same LDAP creds for all the accounts?

    I need to add a second Exchange account to my MBP using Mail.  Both accounts are with Rackspace, but each email address is unique (i.e., two different domain names).  When I use Preferences to attempt to add the second account, it recognizes the new credentials, finds the server and autopopulates the necessary address information.  But, as soon as I click "Done" after setting which functions are active on the account (mail, cal, contacts, etc.), the screen shows only my original Exchange account.  The new one is not added, yet there is no error message saying that it can't be added.  Any idea what is going on?  Shouldn't Mail be able to have multiple Exchange accounts, even if they are hosted via the same Rackspace server (in this case: connect.emailsrvr.com)?

  • Difference between IMAP and "Exchange" account in mail?

    Hi,
    I'm using a Hosted Exchange 2007 account with Entourage 2004 actually. Now I want to try using Mail as an alternative application. As the server offers IMAP I could setup a new IMAP account in Mail and receive my Mails from Exchange. But Mail offers an "Exchange" account additionally. Can anyone explain me the difference between theese two Mail accounts? Is one better, faster or whatever?

    Exchange uses a proprietary mail exchange protocol, while imap is standard. You can use a lot of different mail clients on different platforms with imap, and you don't have to worry about synchronization or conflicts since its server based. When you establish an imap connection, though, you stay connected to the server, so it's a relatively high resource user. Exchange is more verbose, and although its fundamentally server based using different exchange clients from different places doesn't synchronize well. Exchange will also update your outlook calendar, while imap will not. If it's just for mail, I vastly prefer imap.

    I recently bought a new macbook air 13" and am trying to set up my email. I have a university email account with microsoft outlook/exchange which I used exclusively through the Office 365 web portal in a web browser for the past 3 years since I could not get it to sync with outlook on my old PC either. Now I am trying to connect that Outlook account to the Mail app on my new macbook and am getting nowhere.
    I input my email address and password - not recognized, even though it works perfectly on my iphone. The server is also not recognized. I get the error message "internet accounts couldnt log in to the exchange server autodiscover-s.outlook.com". I tried adding an "other" account in mail as well using the appropriate incoming and outgoing server addresses for office 365; no dice. Password is incorrect, outlook server is offline, etc etc etc.
    I was wondering if anyone knows how to get my account to connect in mail. I know this has been a common problem but I was not able to find an exact solution. Please forgive any of my ignorance as this is my first Mac computer.

    Peter: this is exactly what I have been doing, nothing is working. Still giving me an error that my password is wrong and it cannot reach the server.
    Linc: I tried this and was able to force it through setup. When I connected to the internet, it gave me an error saying my password was wrong.
    The password I am using is the one that goes along with my university email address that I use to login to the outlook web app along with my school .edu email address. Should I be using a different password for this exchange account?

  • Setting up Exchange Account with Mail

    Hello all.
    Really want to start getting my work e-mail without loggin in via OWA.
    I can't however get past the Incoming Mail Server section in the account setup. I'm not sure what to put into the *Incoming Mail Server* and *Outlook Web Acess Server* Boxes.
    I access the outlook web acess via http://server.companyname.com/exchange
    I've tried lots of combinations but just get the ' Exchanger server ..com is not responding check etc.."
    What format should it be?

    Apple Mail is supposed to access the Exchange server via OWA. I do have Entourage loaded, and it works fine. I also have Evolution running on my Ubuntu 7.10 laptop which also uses the Exchange OWA to pickup my work e-mail.
    For the life of me, I cannot get Apple Mail to pickup my e-mail on the Exchange server. I am sure it's just a configuration issue since both Entourage and Evolution work.

    Hi, is there a way to have multiple exchange accounts in Outlook 2010 but just have new mail notifications on the first only?
    I tried having the first exchange account open an additional user, but running into memory errors as a result. Found the solution to that by adding them as separate accounts, but this creates noise with mail notifications, reminders, etc-

    You can configure multiple Exchange accounts in Outlook 2010. For details on how to configure, you can refer to this article:

    Also, only the default mail store will get the new mail icon. You can use rules to pop up a desktop notification for the other accounts but the icon will only appear
    for the default account.

  • Can you only check one Exchange account using Mail?

    I use Mail to check multiple e-mail accounts - one IMAP, three POP, and one Exchange. All work great.
    I have an additional Exchange account that I would like to check and when I go to setup the account in Mail, it only lists POP or IMAP as the choices, whereas when I set up the last Exchange account, that was an option on the list. What happened to that choice? Does Mail only allow you to set up one Exchange account? I could not find any notes to this effect in the help, so I'm really confused.

    Spent a lot of frustrated time with my IT guys on this one. There are two equally frustrating solutions available.
    First solution is to access one of the Exchange accounts via IMAP, but the Exchange admins need to configure the server to allow that on their side and may not want to for security reasons.
    Second solution is to create a second user account for the second exchange account. Not elegant by any means.
    Barring that, you can always access the additional account vie webmail, or by installing Entourage.

    I recently added a hosted Exchange account to the Mail client. Everything is working great, but I can't seem to find the "Sent" folder anywhere...I tried the dropdown folder list and it's not in there.
    Any suggestions?

    I had the same problem appear when I added a second exchange account into mac mail. I wanted my Sent email to pull from my primary email account. I deleted my primary account and re-added it. When it pulled all the messages in again, my Sent folder items came back.
