Excluding items in a given folder from a Smart Folder Search

Hi: Looking for a tip here. I would like to exclude what pops up in a smart folder based on what folder it is. I do NOT want to exclude that folder from my general spotlight search ability, just in that smart folder.
Reason asking: I have a folder in docs that I use everyday, and backup (with a 3rd party utility) to my iDisk folder. This way I have backups on my home computer at virtually all times. (iDisk is good for backups, Dropbox for 'sharing') I have a smart folder that displays all the stuff that i've worked on in the last day. I've used a lot of 'not' tricks to exclude all but the file types I use, but I always get a double copy in that folder. The one in my working folder and the one on my iDisk. What would be perfect is to simply say exclude what is found at the iDisk location, but that doesn't seem to be an option in the search criteria. I could exclude the while iDisk from spotlight in general, but I still want to be able to find things when I type them on the standard search.
Any thoughts?

thanks, Michel. it had occurred to me to put a scratch tag on the folder, but I was hoping for an easier way. in future I'll do as you suggest though, because it's easier than what I have been doing.

    I have a defined a search scope on a list at the site collection level. The scenario is when users issue a search query (using OOB advanced search web part) and if the search query happens to be the List Item ID then that record is also in the search result.
    Though this is a correct scenario since the item ID exists in the search scope but to the end user this is not a valid functionality.
    How to exclude this from the search scope?

    You can try to remove the ID from the index by modifying the managed\crawl properties.  But then you will affect *anything* that uses that ID (including internal sharepoint features).

  • Excluding items from back up and Time Capsule not recognising ext HD

    I'm relatively new to the world of Time Machine and Time Capsule. I have a 250Gb iMac, but because my iTunes library was becoming so large I purchased a Iomega 500Gb ext HD and transferred it over to this where it is currently occupying about 350Gb of space. I still have about 220Gb duplicated on my iMac at the moment as a kind of back up. I then discovered Time Machine and because there was only about 100Gb of space left on the ext HD to do back ups on I excluded my music and iTunes library from this. This has been going along fine for the past month.
    I purchase a 2 TB Time Capsule (TC) yesterday. I reconfigured Time Machine to use the TC as the back up and I removed the excluded music/iTunes library so that everything would be backed up. As soon as I asked TM to back up it started excluding millions of items which I am assuming is related to the ext HD since when I turned this off it started to back up my iMac computer content correctly. However I want to be able to back up the stuff I have on my external HD so that I can eventually delete all the duplicated stuff off the iMac. I read a similar post on here about this and have tried deleting all the old TM backups but it is still not recognising the ext HD. I currently have it connected via an ethernet cable just to speed up the initial back up. Any help or explanations would be greatly appreciated.

    A bit more clarification here, please.  When  you refer to "it", do you mean Time Machine?
    Time Machine will not backup an external drive connected to a Mac unless the drive has been formatted in Mac OS Extended (Journaled). Did you format the drive this way when you first got it?
    If the drive was formatted as FAT32 when it was new, it would work OK if you attached it directly to your Mac. But if you want Time Machine to backup the Iomega drive attached to your computer, the drive must be formatted correctly to work with Time Machine.
    If you have the drive attached to the Mac and you open Time Machine Preferences and click Options, can you "see" the Iomega drive and not select it, or can you not "see" it at all?
    If you can "see" it, but it is grayed out so you cannot select it, the drive is not formatted correctly as mentioned above. If that is the case, you will somehow need to copy all of the data on the drive to another location, format the Iomega drive to use Mac OS Extended (Journaled), and then transfer the data back to the Iomega drive. Then, Time Machine will backup both your Mac and the external drive attached to your Mac.

  • Time Machine ignoring excluded items (performing full backup)

    Hi.
    I started having problems with Time Machine recently.
    My macbook hard drive has 250 GB, 80 GB free. In the Time Machine preference pane options I have selected a couple of folders so that an "estimated full backup" is 52.9 GB. When I'm running TM it tries to backup the full drive (160GB) ignoring the folders I chose to exclude.
    I have verified and repaired both my main hard drive and the external drive used for Time Machine.
    The log in the console initially says that it is going to backup 44GB and then it continues copying more data:

    Hi, and welcome to the forums.
    We have seen this on rare occasions.
    Start by Repairing your Time Machine drive and verifying your internal HD, per #A5 in the Time Machine - Troubleshooting *User Tip,* also at the top of this forum.
    Also do a "full reset" of Time Machine via #A4 there.
    If that doesn't help, there's probably something corrupted in OSX.
    You'll need to reinstall it from your Snow Leopard Install disc, then download and install the "combo" update to get back to 10.6.2. Info and download available at: http://support.apple.com/kb/DL959 Be sure to do a +Repair Permissions+ via Disk Utility (in your Applications/Utilities folder) afterwards.

  • If i delete a file from a smart folder is it deleted from the hard drive?

    I've got a late 2011 17" MacBook Pro with a 750 GB harddrive. I'm trying to free up space by deleting movie files. I spoke with tech support about this, and they suggested creating a smart folder of all my movie files in order to find them and delte them. I did this and deleted many files, but when I open system information to check on the amount of hard drive space, I'm still seeing the same amount of hard drive space dedicated to movies.
    If I make a smart folder and delete files in that, am I really deleting them from my hard drive or just from the smart folder?

    What files are stored automatically by Time Machine?  I thought Time Machine pretty much saved everything on my hard drive to my external hard drive.  If that is the case, wouldn't my music files and picture files be on Time Machine (via my external hard drive)?
    Time Machine does backup almost all files on your hard drive, unless you have chosen to exclude them. There are a few exceptions, but nothing you should worry about. Your music and photos should be there, but Time Machine will not backup your iPhoto library if iPhoto is open.
    Also, are the photos from iPhoto automatically stored on my external hard drive via Time Machine?  If so, can I delete the pictures from iPhoto without deleting them from the external hard drive?
    Yes to both questions, with the above cavat that Time Machine won't backup the library if iPhoto is open.
    I notice that it takes iPhoto quite a while to load, and if deleting those photos would allow it to load quicker I would delete them (providing they would remain on the external hard drive.
    I only have a few pictures in iPhoto, compared to my wife's 3,500+, and my iPhoto doesn't load appreciably faster that her's does even though I have a faster computer. In my opinion, it isn't worth the effort it would take to delete them for such a small gain.
    You should have at least 2 complete backups to try to make sure you won't lose any data. Hard drives do fail and/or files can become corrupted. Time Machine can back up to more than one external hard drive or you can use a cloning program.

    when you open your 'Downloads' folder choose 'View'  in the Menu bar and choose:
    'as List'
    'Show View Options'
    In 'View options' window you tick:
    'Always open in list view'
    'Date Modified', or
    'Date created'
    Now inside the 'Downloads' folder click on 'Date Created' (or 'Date Modified')
    column to get items alined from oldest to newest date (or reverse)…

    Not sure if I understand exactly what you are doing, but I think you are opening the document using a Word as a plug in. This downloads the file and opens it from the desktop. In order to see changes from the portal you need to upload the new version by clicking the edit icon and reloading the file.

  • Time Machine has been excluding items for hours... and counting!

    I have been using time capsule for several years now. But today I brought a new hard drive to use with Time Machine. It's a Western Digital My Book Network drive.
    Plugged it in selected the new disk and started to back up. For hours now it has been 'Excluding items..'. It has apparently excluded over 5 million items! Why is it doing this?
    I've checked the list of files to exclude and it's just set to exclude the desktop and the Downloads folder.
    I don't understand why it has been excluding items so long. Nothing had been copied to the external disk yet. If anyone could help me I'd be much apreciative!

It's a +Network Attached Storage+ (NAS) device, or +network drive.+ Yes, it contains a hard drive, but OSX handles it very differently for many purposes.     Are you putting other things on the network drive? If so, you may have problems there, too, as Time Machine will eventually use all the empty space available to it.
    Those backups will be inside a rather odd container called a +sparse bundle.+ If you're really on Leopard, as per your signature, you can limit the maximum size of the sparse bundle, per #A8 of Time Machine - Troubleshooting (or use the link in *User Tips* at the top of this forum).
    But since you've posted in the +Snow Leopard+ Time Machine forum, if you're on 10.6.3 or later, that won't "stick," so you may want to see if you can partition the network drive via WD's software (another thing you can't do on a network drive via +Disk Utility,+ unfortunately).

    Shared Windows XP folder shows up in iMac's finder under Shared but wont open because "the operation cant be completed because the original item for 'Shared XP folder' cant be found".

    The Samsung Galaxy S should be supported, but there was a buggy update of the Market app a while ago that filtered it out incorrectly. You might still have that version of Market on your phone.
    If you can't find Firefox in the Market, you can download the Firefox "APK" package directly from http://bit.ly/fxmobilebeta using your phone's browser instead. (Note: If you have an AT&T phone, you'll have to search for instructions on how to "sideload" the app, since AT&T disables the option to install non-Market apps.)

  • Items duplicating in purchased folder iphone side not computer

    I've messaged in about this about 4 times before but no one seems to ever reply or know what is going on. I have a very weird problem in that every time I upgrade the software on my iPhone or restore it from a backup 22 songs are duplicated in the purchased folder on my phone. So now, as I've recently upgraded to the new IOS4 software I have 22 duplicated songs again making 44 unwanted items. My purchased folder on itunes does not show these songs and I've tried manually unchecking the items from the iphone purchased folder but they still get synced on there either way.
    I'm happy to provide screenshots of what I'm talking about if someone could provide any assistance at all?

    I've had the same problem several times. Although I haven't found an automatic way to place all my purchased music in the "Purchased" folder I do have a simple workaround.
    First of all, check your iTunes Preferences, Advanced tab, Importing menu. Note the Import Using dialog. It probably says "AAC Encoder." This is Apples proprietary/protected format. Unless you changed this selection all of your purchased music is of this kind. Close out the iTunes preferences window.
    Next, in iTunes select music under library. Now, from the the View dropdown menu choose View Options. In the View Options window select Kind. To exit the View Options Window click OK. Note the Kind column is now revealed in your main iTunes window.
    In the main iTunes window find the search box and type "protected." You should see all your Protected AAC audio files in the iTunes list.
    Scroll the list to review the selections. Click, not double-click, one of the selections. Now select all (Command-A) to select all songs in the list. Now drag and drop the list to your purchased music folder.
    All your purchased music should now be in your Purchased music folder.

    When creating a Smart Folder is it possible to exclude sub folders of the folder you're searching, or a particular folder?

    There is no way to reference a folder in Spotlight. That item cannot be used in a query.

    Complete path to the file. This value of this attribute can be retrieved, but can't be used in a query or to sort search results.

    Those work items which have executed are flow to OUTBOX -> Work Items Executed By ME.
    Where is the place to check logs?
    However as mentioned those messages in both inbox folder "Unread Document" or "Document" is disappear after you clicked on either those folders without read the message or perform any action. Any ideas?

  • Drop second item to Tree open folder

    I'm using a drag&drop Tree based on the nice extension described here -

    However, there a small issue that I find really annoying -
    I can't drop a second item into an open folder.
    First item - OK
    Third Item (and above) - No problem
    Second item - Can be dropped only outside the folder and then dragged into it, after being part of the tree.
    In addition, this behavior seems to happen only if the folder remained open between drops..
    Sounds familiar? Any ideas?

    I found a workaround -
    Since closing and re-opening the folder eliminates the issue, after adding the item to the data-provider I do as follows -
    tree.openItems = [];
    tree.openItems = data.treeOpenItems
    (It's part of an item-renderer where I also keep the tree's openItems state in the displayed item data...)
    It doesn't change the tree's appearance and it solves the problem.
