Exporting AppleWorks database to PC

I am a membership secretary for a community org, and have worked hard to create a useful member database on AppleWorks 6. Now I need to resign. When a successor volunteers he/she will probably have a PC, not an Apple. (sad face)
What software do they need to allow me simply to transfer the database to their computer?

It is highly unlikely that a PC user will be using a database. Almost every PC user uses Excel as a database as well as a spreadsheet. There really isn't any "structure & all" to it. ASCII text will separate each field in the database by tabs & each record by a return. It will not retain any field labels. This can be opened or imported by any spreadsheet or database. You can test this for yourself by opening the saved ASCII text file as a spreadsheet in AppleWorks.
Some PC users will use Microsoft Works which does have a database. MSWorks can also open or import your ASCII text file in its database or spreadsheet modules. The only way to retain field labels in transfering a database to another program would be to save the database as a DBF. AppleWorks 6 can't save as DBF. If you have a Mac that can use Classic and you have AppleWorks 5 you can save the AppleWorks 6 database as AppleWorks 5, open it in AppleWorks 5 & then Save As… DBF in AppleWorks 5.
When saving any "foreign" file format from AppleWorks, either 5 or 6, you will have to add the appropriate 3-letter file extension to the file name. AppleWorks won't do it for you. Use .txt for ASCII or plain text or .dbf for the DBF files.

    I've always used the AppleWorks Database to keep a record of my self-employed income.  To be specific I use the 'Cheque Register' template which simply has four fields, one of which is the amount (paid to me, although I suppose the template's really for money spent - doesn't make any effective difference).  Can anyone suggest a similarly simple solution for me to use when I upgrade to Lion?  I don't need an all-singing all-dancing accounts package.  I am only interested in recording and totalling my income, noting who it's from, and adding any additional info I want to remember.  No expenses, no budgeting, just income.  I could (just about, I think) cope with creating a database, but have no idea how to make it user friendly.  I've got Office for Mac, but that doesn't have a database, does it?

    Unless you're making use of the very flexible layout options provided by AppleWorks's database, I'd move it into a spreadsheet application, such a Numbers.
    I don't see a "Checkbook Register" template or assistant in AppleWorks 6. AppleWorks 5 did include a "Checkbook and Ledger" database template, which included the check register layout shown below.
    As far as I know, the only application that can open AppleWorks database files is AppleWorks. If, as Csound1 suggests, Bento is able to open AW database files, that ability will quite likely apply only to files saved as AppleWorks 6 files.
    To transfer the data to a new application, it will first be necessary to Save or Export the file as Text (or ASCII Text). This will produce a file containing the data (entered or calculated), but not the formulas that produced the data. You may also be able to transfer the data using Copy/Paste, with the same results. Use List view (in the Layout menu) to do this.
    Once it's in the new spreadsheet, you'll need to reconstruct the formulas.

    I have just created a list of about 800 contacts in an appleworks database that includes their email address. Now I would like to be able to send out an email to many of my contacts.
    How can I use appleworks to create a mailing list? Or do I need to somehow export this information to the Address Book program or the Mail program?

    I do this occasionally to notify people about updates for my software. I just copy and paste the email addresses.
    That is, I change the layout of the database to List, select and highlight the entire column containing the email addresses, copy it, then go to email program, and paste into the To: field of an email. All the email addresses are pasted nicely into the field, separated by commas.

  • Appleworks database to Access help

    I have an unusual challenge. I have a disk that was created in a very old copy of Appleworks (Apple IIgs). It contains database information that I would like to move to Access. I still have my Apple IIgs, old Appleworks disk and amazingly enough, it all still works. I know that the floppy will not read via the IBM floppy drive, it says "disk not formatted, would you like to format now?". My question is: would it be easier to a)find an Appletalk card on eBay, and transfer the file via modem or 2)have a friend with a Mac try to read the disk and email me the file. Thanks in advance.

    Since you still have the IIgs & AppleWorks I would see if you can export/save the database as a DBF or DIF file (add the .dbf or .dif extension to the file name). When I exported AppleWorks GS databases to ClarisWorks on my first Mac, I found one of those formats would retain field names, making the conversion easier. Access should recognize one or both formats. Otherwise, save the file as text. That will result in a tab-delimited file that Access or any database or spreadsheet can open.
    As for getting from the IIgs to the PC, the modem would probably be easiest. An older Mac running OS 8 or System 7.1-7.6 with a built-in floppy drive would be able to read a ProDOS disk & then format & save to a PC disk. An USB floppy drive can only use high-density disk & most people never got an HD floppy drive for their IIgs. I don't remember if my IIgs can format PC-DOS disks. I know it could format Mac disks, so that might be worth looking into.

Mainly that means names and addresses and record of monthly contributions, from which I send a mail merge letter of acknowledgement to contributors each month. Now I have read that Appleworks will not work on Lion. If I understand correctly, Bento can’t do mail merge with auto fill-in of addresses and other personalized info. So what can I transfer all this info to? And HOW will I transfer years of records on my Appleworks database?

    The only program with anything like the functionality of the AppleWorks database is FileMaker Pro. It's expensive, and has a steep learning curve, but can do almost anything the AW database can plus a good deal more. It's also pretty well the industry standard so it's not likely to go away.
    However it can't import AW dateabases; you have to export them as ASCII text and import that, which means you will have to recreate layouts and calculation fields.

    Word Processing documents can be opened directly in Pages 4 (AppleWorks 6 only) but this is no longer available - the newPages 5 (Mavericks required) does not open AppleWorks documents. Panergy Software's docXConverter v3.2 ($19.95) can convert Appleworks 5 and 6 Word Processing documents to RTF (though it has been reported that it can only handle documents which contain only text, not those which include images or frames). The latest version of the free LibreOffice has announced that it can open AppleWorks 6 Word Processing documents: it does appear to be able to handle at least some embedded images.
    Draw Documents can be opened directly only in EazyDraw (the more expensive version from their website, not the cheaper one from the Mac App Store, and you will need v4.0 'Retro' not the most recent version) or Intaglio (though this appears not to be able to handle very complex drawings).
    Spreadsheets can be opened directly only in the older versions of  Numbers - the new version for Mavericks will not do this. The old version is no longer available.
    Presentations can be opened directly only in the older versions Keynote again the new version for Mavericks will not do this. The old version is no longer available.
    To use other programs, or open Painting or Database documents at all, you must export from AppleWorks first. Nothing will open AW database documents.
    If you have upgraded to Lion/Mountain Lion/Mavericks and have AppleWorks documents you cannot open, then you should be able to install Snow Leopard on an external hard disk and start from that (provided that the Mac did not come with anything higher than Snow Leopard originally installed); and success has been reported in running Snow Leopard under emulation in Parallels - the method is described here: it seems complex; however Snow Leopard Server may still be available in the Apple Store (by telephone) at a reduced price and this makes the process a lot easier. I haven't tried either method: use at your own discretion. You can then run AppleWorks as an emergency measure.

    There is no replacement program that will directly read Appleworks database files.
    You have two options:
    1.  Continue to use Appleworks 6.2.9, which requires Rosetta installed in Snow Leopard, or the access to Rosetta by installing Snow Leopard Server in virtualization for use in Lion, Mt. Lion or Mavericks:

    2.  Export your database information into a common export function (such as delimited ASCII text file) and build a new database file in an alternate database program (such as Filemaker Pro) and import your information into it.  More information here:

    What is your SGA settings? (especially streams_pool_size).
    You can try to bump streams_pool_size to 100M if your current setting is below that.

    When using Appleworks database for printing labels can I have a column of different width?
    Case in point, the supplied avery labels in Appleworks does not have 8195. When I build one using custom design  I need a small column between column 2 and 3 to line up the info in columns 3 and 4. All the labels are 1.3/4 inch wide but I need to insert a column 1/4 wide to match up with the avery page....
    Any ideas???

    Well, the issue is that when you creat a custom width of 1.3/4 from the edge of the first label to the edge of label 2 all is good. The right and left margins were also set correct in AW. The Avery page, for some reason, has a small 1/4 inch column between the columns of label 2 and 3 therefore making the distance between the left edge of the label in column 2 and the right edge of the label in column 3 - a width of 2 inches and not 1.3/4.
    I guess Avery wanted the page to look even.
    I did this work around.....
    I created a custom lay out of 2 columns (not 4) with the correct width of 1.3/4 from label edge to label edge and the correct left side margin. After printing the first page I just turned the sheet 180 degress and printed the 2nd page to use all the labels on the Avery sheet. Since the upper and lower margin were the same it worked great....

But AppleWorks doesn't have a way of sharing information across two databases, does it?

    Do you want a list of some of the students in the class, or do you want a number showing how many students are in that class? My assumption is the second.

    As you say "A" class number and (A) teacher name, I'm assuming that there is only one teacher's name associated with each student, and only one class number associated with each student (and I suspect that all students with the same Teacher have the same class number).
    AppleWorks doesn't have a way of sharing information across two databases, does it?

    Given the above assumptions, here's a plan:
    Existing fields (ALL Text type fiends):
    'Name' (containing student's name)
    'Room' (containing class number)
    'Teacher' (containing teacher's name)
    New fields (ALL Summary type fields. Formula given after field name):
    'Namesum' COUNT('Name')
    'Roomsum' 'Room'
    'Teachsum' 'Teacher'
    Make a new Blank Layout.
    Insert Part... Subsummary when sorted by 'Teacher'
    Insert Part... Header
    Insert the three new Summary type fields onto the new layout and place them in a horizontal line in the Subsummary part.
    Edit the labels, then place place them in the Header part and directly above the field to which each applies. Add any other information you want in the header using a text frame.
    Adjust the part boundary to give some white space below the three fields.
    Drag the Body boundary up to the boundary above it to delete the body part from the layout.
    Return to Browse mode.
    To see the results:
    Sort the database by Teacher.
    Check Page View in the Window menu.

Can anyone tell me more about the database program in Appleworks? Can you customize the fields (to include more than just the basic name, address, etc fields) or are they pre-set? Also, can you create searches within the program (ie to find a record based on a last name)? I am trying to avoid buying FileMaker Pro because of it's higher cost. Any information and details about the program's capabilities would be greatly appreciated!

    Yes, you can do all of those things: define fields including name, type..., and you can create/save searches on the database. To see examples of people doing these things do a search in Google using a phrase like:
    appleworks +database +tutorial
    You're probably aware of this, but I'll mention it just in case: AppleWorks is no longer bundled with any Macs, and must be purchased separately.
    Also, AppleWorks has a flat-file database. This is basically a single table of records. However, Access is a relational database and creates multiple tables of records which can be linked together using key fields. If your Access database is a relational database then you will have to redesign it work in AppleWorks. That is, collapse it all into one big table. If you're reasonably serious about databases, then you'll find FileMaker is a better choice. It is a relational database very similar to Access, and will create smaller more efficient databases than AppleWorks. NB There are other relational databases available on the Mac too. So search VersionTracker.com for the alternative products.
    Lastly, AppleWorks will not open your Access database. You will have to save the data from the Access database into a tab-separated value text format so it can be imported into AppleWorks. Because you're saving the data into a text format you will not be able to use the screens you've created in Access, and will have to recreate them in AppleWorks.
