External send output issue

Hi Friends,
We have 3 output types ZNEU, ZCON & ZCMR for which we send email to vendor.  For three vendors, ZNEU external send is working fine (Medium 5) , where as for ZCON & ZCMR (medium 5) is giving error, it gives error as below "
1. Please enter an address number
2. Communication type  cannot be used
Message no. SVN000
Diagnosis
Message type ZCON should be sent with communication type .
System Response
Communication type  is not supported by the conversion module.
Procedure
Use one of the supported communication types:
Printer (LET)
Fax (FAX)
Telex (TLX)
X.400 (X40)
Mail via Internet (INT)
Mail via SAPoffice (RML)
This ZCON & ZCMR ouput type with external send is working fine for other vendor, can you please help me to understand what we are missing here , we have checked the condition records also , which is fine, any specifc condition record to be mainatained for this ?
Please help , as this is a very critical issue for us.

Email id is maintained for these vendors, as output type ZNEU is already getting sucessfully transited with external send process for these vendors. External send is failing for ZCON & ZCMR output only.

    Actually the same external send output type is working fine in the development system.This is having issue only in quality system.
    And the  condition records are maintained same in both dev system and quality system.
    Does the capturing of Font play any Role...
    I read some where that sometimes in translations a particular coutry might not hold the fonts.

  • User cannot receive External Send Output Message manually - ME22N

    Hi Guru's
    I have the following issue, once a User has saved the PO he wants to receive this PO to his email. He goes to "Messages" and selects Medium 5 "External Send" and in Partner he types his User ID in order to receive it.
    He is not receiving any emails and the status in Further Data is "2 incorrectly processed". When he types another User ID, this User does receive the email. Is there anything else I need to configure to this User ID so he can received this Output Messages? He is the only User that cannot receive these Output Messages.

    Problem Solved!!
    I enter to table USR21 (Assign user name address key) and realized User ID did not exist. So I enter to table ADR6 (E-Mail Addresses)  and noticed it was a totally different User. I enter to table LFA1 (Vendor Master) and there was information about this User.
    This left me to one conclusion...This had nothing to do with the User ID
    The Client in the past created Vendors (MK01) has "Buyers". So when the Buyer wanted to send any PO to his email he just went to "Messages" and selected Output Type "NEU" / Medium 5 "External send" / Partner "Vendor#" = Buyer.
    I enter to MK02 and typed the Vendor# they gave him, in "General Data" check only "Address" and press ENTER, updated the email in the field and selected INT E-mail in "Standard Comm Mtd" and problem solved.

  • Output message type External send - Suppress spool number in SOST title

    Dear all,
    Using an external send output type, we send order confirmation from by mail.
    Depending of printer we use, we have different behaviors :
    With a normal printer, the mail title we get in SOST is exactly the content of field <NAST-TDTITLE>.
    This field can be changed in the print program, so we can set exactly the title we want.
    With a PDF2MAIL printer (printer defined in SPAD with property host spool access method : M (Email to Receiver/Owner), the mail title we get in SOST is the following : <SystemID><Spool Number><NAST-TDCOVTITLE>.
    Do you know whether it is possible to suppress standard information <SystemID><Spool Number>
    and therefore have only <NAST-TDCOVTITLE>.
    Setting both fields <NAST-TDCOVTITLE> and <NAST-TDTITLE> using print program, the goal is to have allways same title in SOST ...

    I have used the Cl_BCS class to send mail to muliplte vendor mail id's
    If needed code will be send.

  • PO Print external send ,cannot be send when added manually.

    We have got a output type which is externally send.Since i have maintained the condition record for it, it gets automatically send the first time.
      But when i add the output type manually OR is getting added automatically after making changes in PO then the output cannot be send.it fails while sending.It gives the error message.
    Why is it that the external send output type is processed successfully only once the first time but thereafter it fails?

    NS,
    I think you need to get an ABAP'er to look at the output document. When a PO is output, other than the first time, it is flagged as a PO change and often in the output document there is some coding which processes differently for PO changes. It's not always the easiest thing to find but shouldn't be too difficult for an ABAP'er.

    we are using ECC6, and in txn NACT, Processing routine we can use Sapscript External send > SAPFM06P > ENTRY_NEU > MEDRUCK > PDF and in MN04/5 i create Output record, and in SCOT my PO is ready for transmission from either ME21N/2 and ME9F - works well - email sent with pdf PO attached.
    <b>HOWEVER,</b> we have just created a SMARTFORM PO, and with similar settings, i cannot create External send OUTPUT!!! (Output failed in ME9F/ME23N) NACT settings External Send > /SMB40/FM06P > Z_MMPO_A > PDF
    In SCOT > SMTP > Internet X > Sapscript/SmartForm = PDF.
    Does special code need to be entered into Smartform to generate PDF email similar to Sapscript? Any code would be appreciated.

    You need to build a code to create the Spool OTF output into PDF.
    This can be done in Print program, which converts the spool into PDF & sends a mail with PDF attachment.

  • SD Billing Document Output to email via external send

    Hi all,
    I hope you can helpt with following issue as I need to send invoices via email using the option 'external send' in the message determination. The settings are as follows:
    Message Determination VV32/VV33
    Output Type ZI04
    Billing Type ZIV
    Condition Record Sales Org / Billing Type / Payer
    Medium 5 - external send
    Dispatch Time 1, 3 or 4
    Cover Page Text: any text followed by invoice no. &VBRK-VBELN&
    Expectation
    With this setting we expect the billing document number to be included in the subject line of the email sent out.
    This works fine as long as you maintain the message in the billing document -> header -> output manually.
    Problem
    If you create a new invoice and the message is created automatically based on above Message Determination settings and you issue the output using any of these options
    - option 1 and report RSNAST00
    - option 3 using VF31 running in background mode or
    - option 4 issuing immediately,
    the document number is printed into the subject line but instead is printed the tempory document number $000000001. The correct billing document number is printed on the PDF form included in the mail output which confirms that the document number is available from the database at the point of output issue already.
    Any idea how to maintain the settings correctly to get the billing document number on the subject line of the email after creating a new invoice?

    I dont have ABAP skills, but ask your ABAP programmer, (or yourself), to find the point in the invoicing program that get internaly the invoice number.
    And you should try to asign the field from the internal temporary structure XVBRK-VBELN.
    Should be something like:
    Cover Page Text: any text followed by invoice no. &XVBRK--VBELN&
    Please confirm with someone that have technical skills.

  • BAPI_PO_CHANGE: Email Message Output Not Sent (External Send)

    Hello,
    I'm hoping someone has seen this issue before.  In a Z-program within our ECC system, I am updating various fields via BAPI_PO_CHANGE and the changes are successfully saved and committed to the database.  When the output determination for the purchase order is "print", there are no problems - the print output occurs as expected based on the appropriate settings.  However, when I change a PO in the exact same way, but the output determination for the PO is "external send" (i.e. email) with the same fields etc... the messages are updated as having been generated, but the email is never sent from the system.  NAST shows the record of it as processed successfully as well.
    Does anyone have any idea why this might be occurring?
    Any help will be appreciated.

    Execute SCOT Transaction.
    FIrst
    From the Menu, View -> Node
    Expand the "SMTP" -> "INT" ->
    By default BASIS would have set it to your own company domain.
    The domain of the email address for example john.doe - at - yahoo - dot - com which is yahoo - dot - com should be listed in there.
    If it is not, then you have to work with your Basis team to set it up.
    Alternatively,
    From the Menu, View -> Routing
    You will see the list of domains it is restricted for.
    Second,
    Most emails coming from SAP get routed to your main email SMTP Server which is hosted using Microsoft Exchange.
    The emails from SAP get forwarded to this SMTP server for distribution.
    Check whether there is any filter or restriction setup for any emails coming from SAP.
    You may have to contact your Exchange Admins for this.
    Work with your Basis team to do it.
    Finally,
    Execute program RSCONN03 to do a routing test.

  • PO Output type with Option 5 External Send (&EKKO-EBELN&)

    Dear Friends,
    We have come across and interesting issue.
    We want PO output to be send to vendor via email and the email subject should be "New Purchase Order <po document no>". To achieve this requirement we have set the Output type NEU --> Mail title and Text as NEW PURCHASE ORDER &EKKO-EBELN&.
    When PO is created and before saving the PO user select the option 5 External Send in Message and further go to the communication tab. he can see the 'NEW PURCHASE ORDER &EKKO-EBELN&.' in Cover Page Text.
    But the movement user saves the PO, Message --> communication is replaced with 'NEW PURCHASE ORDER".
    And finally when the mail is sent with no PO document number and subject as "NEW PURCHASE ORDER".
    Has any one has come across this issue before?
    Or is there any OSS note for this?
    Please Help!!

    you can follow below mention steps or reffer OSS
    1. You must maintain an e-mail address in the address in the vendor master.
    2. The same applies to your own user master. You also have to specify an e-mail address there in order to identify the sender.
    Note that it is not possible to change the e-mail address of the vendor via the SAP purchase order transaction (ME21N, ME22N, and so on). The system only uses the e-mail address of the vendor that is maintained in the vendor master!
    3. For the output type for default values, a communication strategy needs to be maintained in the Customizing that supports the e-mail. You can find the definition of the communication strategy in the Customizing via the following path: (SPRO -> IMG -> SAP Web Application Server -> Basic Services -> Message Control -> Define Communication Strategy). As a default, communication strategy CS01 is delivered. This already contains the necessary entry for the external communication. Bear in mind that without a suitable communication strategy it is not possible to communicate with a partner via Medium 5 (external sending).
    4. Use the standard SAP environment (program 'SAPFM06P', FORM routine 'ENTRY_NEU' and form 'MEDRUCK') as the processing routines.
    5. In the condition records for the output type (for example, Transaction MN04), use medium '5' (External send).
    6. You can use Transaction SCOT to trigger the output manually. The prerequisite for a correct sending is that the node is set correctly. This is not described here, but it must have already been carried out.
    7. To be able to display, for example, the e-mail in Outlook, enter PDF as the format in the node.

  • PO output medium as 'External Send' for Language BG giving '#' instead of character in PDF output

    Hi Experts,
    When we maintain the PO output medium as ‘External Send’ for Language ‘BG’, the PO pdf is showing # instead of character.
    But, if the output medium is PRINT and language is ‘BG’, the PO pdf prints correctly in BG language.I have checked the output type
    NEU and find that same smartform is maintained for both the case.
    Also it is working fine in the Quality as well as in development server.. issue is coiming only in PRD.

  • External Send Billing Document - Issues Generating Body Text in Email

    Have generated output type to email billing document as PDF to customer. I am using medium 5 for 'External Send' and have everything working well - the subject line is correctly showing the company name and invoice number, also the PDF is tagged correctly the same data. The issue I am having is trying to incorporate body text in the email itself. I found OSS note 753622, and it indicates this is not possible but the note is quite old. I have combed internet for solutions on this, and many suggestions seem to point to function module CONVERT_OTF_AND_MAIL but not clear to me that this can be overcome here. Would appreciate any insights if someone has experienced this requirement as well.

    The FM you mentioned CONVERT_OTF_AND_MAIL is only for converting the OTF format to the email format. It has no other role in displaying some texts in the email.
    As already pointed out, it is not possible in standard SAP. You have to go for the custom code in the report program meant for the output type.
    This is the widely accepted and used practice in output world.

    My requirement is to send a smartform through e-mail as PDF attachment.I have made the changes in the print program of the smart form.When I try to assign the output type to the medium external send in vt02n transaction,it is being saved but it is showing the status as 'not processed'.When I check the processing log it is showing 'Please maintain a output device in your user master data'.But I am able to send the mail and open the attachment.When I try to assign the same o/p type to medium special function,this is being successfully processed .Why am I getting error when I try to assign theo/p type to external send?

    Check the logic in the entity adapter ENT_Prov_Permitted_Resources.
    This adapter is causing problems when you are trying to assign the resource.

  • Smartforms PO - output type external send - for purchase order

    Dear
    I want to define a specific output type  for example ZPOM, with medium 'External Send'. The communication Strategy is SMTP (MAIL).
    The configuration of the Processing Routine is the following:
    Program: - FM06P
    Form Routine: ENTRY_MEU
    SMARTFORM: Z_MM_PURCHASEORDER.
    When we create this mesage in the PO, no mail is send. There is also no processing log available.
    Is it possible to use the same smartform with print program that is used for Medium 'Print Output' for medium 'External Send'?

    What you need to do is to create in SPAD Output device for E-mail ( in the Host Spool Access Method define M:E-Mail to Receiver/Owner) and then in the 'Print Output' assign this device.
