F110: Remittance advice via Email/Fax

Hi,
I got a requirement from my client if we can work a process to send Remittances via Email/Fax instead of taking the print-outs. This would of course avoid lot of manual work like printing & posting to the vendors.
Could anyone throw some light on how to customise it as I haven't got a clue (me being a SCM person!!) Also I wonder if I use the fax number on the vendor master for this purpose, will it have any effect in Logistics because we use it for sending schedules.

Everything seems to be working great, with teh exception that i can't print, we have added BTE 00002050, 00002060m but still no success, can you guide me thru steps necessary?
to print payment advices for those that will require to print them.

    Upon creation of payment media (via execution of programs RFFO* and variants as specified in transaction F110 and F111) the associated payment advice should be sent by:
    a) Email (if Email address present)
    b) By Fax (assuming Email address is not present and a fax number is present)
    c) By print (assuming that neither an Email address or fax number is present).
    Note 1: Payments advice notes will cover the following groups of business partners:
    3rd party vendors
    Intergroup vendors and Intragroup customers
    Employees
    Customers (refunds for example)
    Note 2: The Email and Fax number will be taken from the address screen of the vendor and customer masters. There are legitimate reasons why multiple Email and Fax numbers need to be maintained in the address screen, typically there may be one or several entries for logistics reasons (to support sending of sales orders, billing invoices, purchase orders etc) and another entry to support finance reasons (e.g. this CIP dealing with sending of payment advice notes). With respect to multiple entries a default must be specified on the address screen, the default is important as this is the entry that is copied into the logistics documents (sales orders, purchase orders etc) and subsequently used for transmission (assuming an output condition record has been maintained to support Fax/Email), the default can be manually changed in the logistics documents (but typically this is something that is only done on an occasional basis). When adding an entry for finance reasons the default for any existing entry should not be changed as this would have a potential impact for logistics (this is no doubt already clear to the person/group that maintains address data given that multiple entries already exist). If the Email address or Fax number is the same for both logistics and finance then a separate entry is nevertheless required and the “notes field” for the finance entry should contain a description containing at least the word “FIPAYADV” in capital letters in order that the payment advice BTE (business transaction event) can identify the entry as being relevant for “Payment Advice” and select and use it accordingly.
    Note 3: It is assumed that a fax cover sheet is not required for the fax option.
    Note 4: It is assumed that the standard SAP Email description of the file meets requirements, this format is “Payment advice note from XX.XX.XXXX” where XX.XX.XXXX is the date upon which the payment advice is sent.
    Note 5: The basis team will need to be informed of all users ID that execute F110 or F111 and they will need to be provided with their respective Email address in order that the data is maintained under transaction SU3. The SU3 Email address is used as the sender address, should the SU3 entry not be maintained then SAP will generate and use an Email address for the sender which will be in the following format Adrian Foster ([email protected]) where user executing F110 or F111 was AFOX06.
    Note 6: This CIP deals with method of transmissions and not whether a payment advice note should be output or not. If there are requirements to limit the issuing of payment advices notes for certain payment methods (J, 7 etc) and/or company codes these should be limited via the RFFO* variants or alternatively not limited but instead output to a dummy printer or dummy Email address.

  • Send Purchasing Documents via email/fax to vendor

    Hi all,
    I have a customer requirement wherein Purchasing documents such as RFQ, PO etc need to be sent to vendors via email/fax. To cater to the customer's form requirements, we developed smartforms instead of using the standard MM purchasing smartforms. To call these smartforms in the print programs, we copied the standard print program SAPFM06P and commented out the function module ME_PRINT_PO  in the routine ENTRY_NEU and added the our own code to call the custom smartform. The custom code segment in the print program is attached for reference.
    Now, when we are trying to generate messages for the purchasing documents using output type External Send, the custom program does not pick up the email address maintained in the vendor master and instead picks up email address maintained in RFQ or PO initiator's user profile. We have made the required configuration for SCOT and SOST tcodes.
    We tested the same scenario requirement using the standard print program and got the desired results i.e. the print program picked up the email address maintained in the vendor master. But with this approach, we cannot use our custom smartform.
    Any help in this matter will be appreciated.

    Thanks for the response but I think you missed the point here. I am using different output types for RFQ and PO as well as different custom smart forms and we are using the same custom print program to generate output for both.
    The issue is with the print program and not the output type as I mentioned that I have already got this thing working on our IDES using the standard print program and standard forms.
    Tomas Talpa's response seems to be helpful. I'll get my technical consultant to amend the code accordingly and see if it works.

    You can customize it using Workflow Builder but I do not think you can add a logo -- Can the E-mail Remittance Advice be Modified (Doc ID 225417.1)

  • Send remittance advice by email to vendors

    When automatic payment (F110) run is done to make payment to vendors,it generates a PAYEXT IDOC to be send to bank for payments.
    Print output program is RFFOEDI1
    Remittance advice standard SAP script is F110_IN_AVIS.
    What are the ways to send email in PDF format? DO we need to write a code or is there ay facility like message control?

    you need to use available FM's to convert the data into PDF and send as attachment via email..

    Hi Experts,
    Our requirement is that email needs to be triggered for all remittance advices and simultaneously printing needs to carried out for those vendors with no email address or invalid email address. We have activated BTE 2040 to trigger the email and it triggered the email(for vendors wth email addr only) and sent it to the spool( for vendors with and without email addr) . Now our requirement is to select only few vendors from the spool for printing. How do we go about it please guide .

    Hi,
    For this first you have to maintain the respective email ids for the vendors/payees in your vendor master
    Secondly, create a zmail program wherein once the ACH payments are executed, the z program should trigger an email to the respective payees. You have to co ordinate with your abaper and provide him the FS and requirements so that he can develop the required program. Assign a Tcode to the program which should have selection parameters Run date and identification ) to trigger email to respective payee in ACH payment list.

    1. Go to FIBF
    2. Choose menu Settings-Identification-Partner then create a partner
    3. Choose menu Settings-Products-of a partner-Edit, create a product
    4. Choose menu Settings-Products-of a partner-Activate, list the product created here so it is recognized as active product
    5. Choose menu Settings-P/S Function Modules-of a partner
    6. List event 00002040 with the partner and product created above. Specify the custom FM for event 2040 here.
    7. Go to SE37

  • Remittance Advice not getting triggered via F110

    Hi all,
    I am trying to generate the Remittance advice form via F110, But the form is not getting triggered.
    The form name is maintained in the FBZP Paying company codes config.
    I have maintained the vairant for the F110 run. The log does not show any errors once i run the Printout.
    I am able to generate the form when use program RFFOAVIS_FPAYM in SE38 with the same variant.
    Could anyone tell me how to generate the form directly from F110?

    Q1: I am getting the same issue with RFFOAVIS. I am able to print the remittance advice via se38, but not from F110. What did you do to fix the problem.
    Q2: I created vendor in a comp code and run F110 and then RFFOAVIS to print the remittance - it was in a different format, but when I extended the vendor to another company code and run F110 and RFFOAVIS, the layout was different

  • Emailing payment remittance advice

    Dear all,
    Within our company we want to use the functionality of emailing payment remittance advices.
    It should work as follow:
    When the payment run within F110 has completed then the remittance advice should be mailed in a PDF file to our vendors if the email address is maintained in the vendor master. If the email address is not maintained then the remittance should be faxed. if the fax is also not maintained then nothing should happen and we will then print the remittance advice manually and fax it to our vendors.
    Has anyone of you set this up before and what are the steps you have taken to implement this functionality.

    In case this helps, the steps I used to setup payment advices are included below:
    Copy SAPScript Form F110_US_AVIS in client 000 into ZF110_US_AVIS in active client and modify the form to meet your needs,
    Setup Paying Company Codes for Payment Transactions (Pay CoCd 110, Form for payment advice ZF110_US_AVIS),
    Setup Payment Methods per Company Code for Payment Transactions (CoCd 110, PayType W, Always Payment Advice),
    Setup Payment Methods per Country for Payment Transactions (Country US, PayType W, Payment Medium Program RFFOD__S),
    Define Accounting Clerks linked to appropriate userids
    Setup accounting clerk userids with appropriate names, e-mail addresses and phone numbers. These will be printed in the payment advices.
    Setup Payment Run (Trans F110) with appropriate print variant,
    Follow instructions in OSS Notes 836169, 521587 and 674985 if payment advices should be sent via e-mail.

  • System Email Address for Remittance Advice

    Hello,
    We currently send the Remittance Advice by email to Supplier.
    The sender address on the email to Supplier is [email protected] and we would like to change this sender address to [email protected]
    We can see that the default email address for all output forms can be changed in Fine Tuning Activity 'E-mail and Fax Settings' and it is currently [email protected] However we want to use a specific address for the Purchase Order email and another for the Remittance Advice email.
    Can anyone tell us where we set the Remittance (or Purchase Order) specific email address ?

    Hi Kevin,
    As a standard behavior, the system sends an e-mail from buyer responsible address and not from default sender address. Default sender address will be used if there is no document-specific sender address. It means that if the buyer responsible does not maintain e-mail address, then system will send the Purchase Order from default sender e-mail address; else it will be consider the buyer responsible contact data.

    After copying a production instance into a test or development instance, we would like to override email addresses for all emails sent from automated processes. For workflows and alerts, there is a feature to send all email to an override email address. This does not seem to work for Payables separate remittance advice (sra) emails.
    I believe (but could be wrong) that the SRA does not use the workflow mailer. Instead it uses the “XML Publisher Delivery Manager”. Is there a way to override all email addresses for emails sent through XML Publisher Delivery Manager?

    I also opened an SR on this question. I don't believe there is any solution for this requirement offered by Oracle. I am planning on writing a script to update supplier contact email addresses to an override email box for test instances. If anyone has a slicker solution, let us know.

  • PO Output email ID vs Payment Remittance Advice email ID

    Hi,
    PO output program automatically sends PO to vendors in PDF format.  Email ID is picked from vendor master - address tab - communication.  Payment remittance advice is emailed to email ID in vendor master - correspondence tab - Clerk's internet field (company code data).
    Couple of months back for some unknown reason/ requirement, payment remittance advice program is changed to send to email ID in vendor master - address tab - communication.  To accommodate this change, we are now planning to change PO program to send to email ID in vendor master - correspondence tab (company code data).
    Now the question, is it OK to use Clerk's internet field for PO email ?  Will there be any disadvantage with this approach ? I know Clerk's internet field can take only one email ID whereas address email can take multiple IDs. 
    *  One of the unknown reason/ requirement was :  Remittance needs to go to multiple IDs and therefore changed to vendor master - address - communication.

    A very strange idea from my point of view.
    you had used the clerks internet field (company code view) for financial communication in the past,
    this was changed to the standard communication
    and since you need a different mail address for POs you consider to use the clerks internet field in the company code view.
    Undoing the change for the payment remittance advice would be more logical, as then at least Financial communication would pick its email from a financial data source, which is more logical than pulling the data from financial data source for purchasing activities.
    In general you can create a PO long before a company code view is needed, this speeds up the procurement process, as the company code view is needed when you do goods or invoice receipt.  So you are slowing down the process.
    Using the clerks internet field would be really confusing for the users, both FI and purchasing, and it can conflict with your authorization settings too. In our system a buyer has no access to company code data.
    I would eventually consider to use the Remark field in the email address to indicate for what purpose this email address is used. If you do this e.g.with a leading number 1 for finance , 2 for purchasing, then you could have a exit check on that and determine the right email address .

Maybe you are looking for
