Files modified outside of RoboHelp project

Here's an odd problem. Instead of updating files in RoboHelp,
a trainer in my office has been using Dreamweaver to update the
output files directly. (Going into !SSL!\Webhelp and editing those
files instead of editing the files in the project and regenerating
the help.)
In addition, there are a great many new things (documents,
links to external files, etc.) that are linked to the modified
files. A help file that I created ended up being tacked on to the
whole thing via a link on the intro screen instead of being merged
into the TOC like the other help modules. (The person who created
the original help system is not the person who has been maintaining
it for the past two years.)
As a result, the topics in the RoboHelp project do not
necessarily match all of the topics in the current help system.
This is now on my plate. In addition to making sure that my
colleague attends a RoboHelp training class, any advice on the best
way to clean this up?

Oh dear oh dear. You have quite a task ahead of you!
I'm sure there will be many folks that will raise their
eyebrows after reading what I'm about to suggest. But I'd have to
say that if you aren't totally sure about what has been updated,
you might be safer by simply copying the WebHelp output files and
overay the project source files. After you do that, there will be
much cleanup work involved. Fortunately, I've developed an article

In my opinion, the only other real option is to methodically
compare each topic with the source topic to ascertain if it has
changed. This could likely prove far more tedious and time
consuming than it would be to do what I suggested earlier.
Regardless of how you choose to proceed, you should ensure
you have a good backup on hand.
After you get it all sorted out, it's time for a really good
lesson for your "helper" about the difference between
source and
output files. Perhaps a human parallel to the old analogy
about feeding oats to horses is in order. You know the one. You
feed oats to the horse. That's like creating WebHelp. The oats go
in one way and come out, ummm, how shall I put this? "Processed".
So as you might imagine, the "processed" oats won't be nearly as
appetizing and nutritious the second (and subsequent) passes
through the horse. Tell the "helper" that if they insist on working
that way, you are going to force them to eat "specially processed"
oats for lunch every day until the activity stops.

  • Seeing "File has been changed outside of RoboHelp... discard changes?"

    I'm using: RoboHelp HTML, Version 10.0.1.292
    I'm seeing the following message when I make changes within the RoboHelp project and then choose to close my project without saving the changes. It's not consistent behavior - it happens for some help files in the project but not all help files. If I save changes then it doesn't appear.
    My steps:
    1 - Open RoboHelp (I'm using RoboHelp 10) and make a simple text change to a help topic.
    2 - Choose File > Close Project.
    3 - Click No when the "Save changes to the following files?" confirmation appears.
    This is when I see the message above. The message is confusing for several reasons: 1) I didn't edit the file outside the project, 2) I'm not sure what changes are being discarded if I click Yes, and 3) what's being loaded when I am closing the project.
    Full disclosure - The only file I ever edit outside the project is the CSS and I am guilty of editing the CSS with the project open (to instantly see the results of my changes). Could this be the cause even though I haven't touched the CSS in well over a year? Is there old crud stuck in memory for certain help topics? I've never seen this message before and I've worked on this help project for many years.
    Further testing - This message is popping up for a help topic added recently so I can't think it's related to any CSS changes made before the file was added. No other files have been edited outside the project that I can think of.

    Maybe with a copy of the project, try deleting the CPD file and then seeing if the offending topic still shows in Project Manager.

  • Are Adobe Captivate swf files not compatible with IE8 or IE9 when inserted into RoboHelp projects?

    I've published Adobe Captivate swf files and then inserted them into my RoboHelp project. I then synced my RoboHelp project with our website and the videos within online help are not functioning in IE8 or IE9. They are only working in IE11.

    Hi there
    When a SWF plays in IE, it uses the Flash Player ActiveX control. I'm not 100% sure that different versions of IE would share the install. So if you have one version of IE on your machine, perhaps it either doesn't even have the control added in or it's the wrong version.
    One thing I would check in the browsers where the content seems to be missing is to right-click the blank area and see if you coax a Flash pop similar to below:
    Then note the version number.
    You may find that all that you (or others) need to do is ensure you have at least a specific version of the player/add-in installed.

  • Importing .htm files into RoboHelp project

    In my project in RoboHelp, when I go to File > Import > HTML File… to add a .htm file to my project, it locks up on me instead of providing a directory listing allowing me to select files to add to my project.  The only way to get out of it is to go to the Task Manager and killing the process.

    Your use of "The Vault" would seem to most certainly describe some form of a Source Control system. Source Control systems offer a combination between a Librarian and a Traffic Cop. Typically you log into these systems with a user ID and a password. That way the system knows who you are.
    Typically with these systems the data resides on a coroporate network. And also typically you will have a "working folder" on your hard drive where the files exist. When everything is checked into the Source Control system, the files on your hard drive are flagged as "Read Only".
    When you need to work with a file, you perform a process of checking out. The Source Control system then changes the Read Only status of the file on your hard drive to Read/Write. But it also makes a note of the date/time stamp. If the file stored in Source Control is newer than the counterpart on your hard drive, it copies the newer file to your hard drive before allowing you to make changes.
    I'd begin with a simple sanity check. Create a totally separate and new project. Add a topic or three. Add an image. Generate. Do things work okay? If not, you have some form of issue with RoboHelp that needs to be resolved before you attempt to troubleshoot what is happening with your project in Source Control.
    Perhaps try copying the content from Source control to a different folder and see if you are then able to make edits.
    Hopefully something here either helped directly or sparked a thought that does.

  • Converting RoboHelp project from v.4.1 to 8

    I have problems with converting RoboHelp project created in
    RoboHelp Office for Word version 4.1 into RoboHelp for Word version
    8.
    The project contains documents made in polish language.
    Project opens fine in new version of RoboHelp, but during help
    compilation to .chm file, I receive some errors. I found out, that
    most of those errors are caused by polish characters in document
    names. That's no problem - finaly I can modify it. However why it
    was not problem in older version of RoboHelp ?
    Real problem I have is with TOC - after compilation I don't
    have any polish letters in topic names: they are changed for other
    letters or characters.
    I've made a little project (one simple document in polish
    with few topics) in RoboHelp 8 with the same settings like in my
    original old project - unfortunately after compilation I received
    same errors with TOC.
    I think that I missed something in project settings, but I
    don't know what it may be. My other idea: RoboHelp doesn't support
    polish language anymore :( because I don't see it in list File >
    Project Settings > Language.
    Please help me to solve this problem.

    The information she provided was from QuickTime Player.
    It would seem that the tapes were shot that way (for whatever reason).
    She can try capturing the tapes again, maybe it will make a difference, maybe not.
    A couple of things to try before starting to recapture:
    Deleting FCP Preferences:
    Open a Finder window. Set the view mode to columns:
    Click the house icon that has your name next to it.
    Click the folder "Library" in the next column.
    Find and click the folder "Preferences" in the next column.
    Find and click the folder "Final Cut Pro User Data" in the next column.
    Move the files "Final Cut Pro 4.0 Prefs", "Final Cut Pro Obj Cache" and "Final Cut Pro Prof Cache" to the Trash and empty it.
    Open the project in Final Cut Pro. Go to the menu bar: Final Cut Pro > Easy Setup > NTSC DV > OK
    Menu bar again: Sequence > Settings > Load Sequence Preset > OK > OK.
    The procedure above has reset FCP to it's default values and set the project for NTSC DV.
    If the warning still appears, it is not an FCP problem.

  • Error Adding Old MS SourceSafe Robohelp Project Back to SourceSafe

    Hello fellow Robohelp Gurus!
    I was hoping of you smart and brave souls could help me out
    with a pending issue!
    Basically, I have a Robohelp X5 Project I USE TO have in
    sourcesafe. I removed it from Sourcesafe for several months, but
    would like to re-add it now. Unfortunately, every time I try to add
    the project to Sourcesafe, it gives me an ERROR!
    The error reads: Failed to create database at C:\XXXXXX, and
    refers to data\aaaaaaaa.cnt
    Database Creation Failed.
    What is the data folder and why is it referencing this
    specific cnt file? Any luck or ways to bypass this? Can I simply
    remove that file? Please advise, if possible!

    I am not familiar with Visual Source Safe but my xperience
    with MS SQL Express might (or might not) help.
    I use RoboHelp HTML 6 with RoboSource Control 3 and MS SQL
    Express 2.5. At one point, my project froze. I could no longer
    check files in or out. Many attempts to remove the project from
    version control failed. I finally succeeded after I deleted a file
    using Windows Explorer. I also deleted the database in MS SQL
    Express. The result was that my project worked but I no longer had
    version control.
    Since things were working, I returned my project to version
    control. Immediately, my project was frozen again. To me, it looked
    like I was adding a new project to version control. However, my new
    project had the same name as before and the same problem as before.
    I tried removing and adding to version control two or three times
    before giving up.
    Having no other ideas and having nothing to lose, I renamed
    my project before I returned it to version control. Amazingly
    enough, this small change made a difference. The project now
    worked, although, very slowly.
    I searched the forum. There was a post about slow projects
    and XPJ files. Apparently, an XPJ file is updated when a file is
    deleted in RoboHelp. Since I manually deleted a file outside of
    RoboHelp, an XPJ file hadn't been updated. XPJ files are text files
    with a simple format that inventory various files in a directory. I
    checked all of my XPJ files and found one that was out of sync with
    the contents of that directory. I updated that XPJ file and the
    project has been working at normal speed ever since.
    Even though we are using different versions of RoboHelp, and
    even though one of us uses Visual Source Safe while the other uses
    MS SQL Express, the common thread is removing a project from
    version control and later returning it to version control.

  • How do I replicate a RoboHelp project?

    I used RH way back when, and I thought that, back then, I could name the folder where a project is stored in the .hpj file. Am I remembering incorrectly? I used that capabilty to maintain multiple versions of a Help project and to replicate projects and modify the HPJ to point to the folder I wanted to work with/compile.
    I'm working with RH 11. Can I this with an .xpj file?

    HPJ files were associated with RoboHelp for Word and it was MPJ files that were associated with RoboHelp HTML, now the latter are known as XPJ files.
    To duplicate a project, simply copy the folder in Windows Explorer and name it whatever you want. Open the project from the XPJ file and then go to File > Rename. Rh will then rename most of its internal files and you are good to go.

  • Why do I keep getting the "modified outside Illustrator" box?

    I work with Illustrator and Photoshop both open simultaneously, moving Illustrator parts into Photoshop scans and importing Photoshop scans into AI for use as templates. Both are Adobe apps, right? So why do I get this warning when I work on the Illustrator file: "This File has been modified outside Illustrator. Do you want to continue?" It is matched by an equally imbecilic query in Photoshop, where I get the warning: "The disc copy of this file has been modified. Do you still want to save it?" or words to that effect. Am I missing something here? I’ve thought about it, and I honestly can’t imagine a situation wherein someone  with enough intelligence to use either or both apps as advertised, meaning that they want to use Photoshop and Illustrator to modify images, could find these warnings helpful.
    Who came up with these, and why is my computer asking me such stupid questions? And why isn’t there a “Don’t ask me this stupid question again” check box in the dialogue box? Please tell me these moronic inquiries will not appear before me in CS6.

    auto-update open documents.. in the preferences, at least for Photoshop. Illustrator is always going to warn you when link data changes.

  • Help file fails to generate RoboHelp 7 and Word 2003

    Hello, I am back again with a new struggle.  I am creating a WinHelp4 file for an older application using Word 2003 and Robohelp 7.  There are several different results regardless of whether I make updates, corrections, add jumps, change Topic IDs or do nothing when I click on generate:
    1.  sometimes it generates and works perfectly, just not very often, usually between 8 and 805am ET.
    2.  sometime it will generate an error:  Failed to compile
    3.  another error:  filename.rtf does not exist, but it is there in the folder
    4. generates a Warning, but I don't know what the warning is as it does not show it
    5. generates a blank Help with only a single glossary definition
    6. not enough memory ( 1 gb is available)
    7. corrupted file, rerun and it works...sometimes
    I have:
    1. Started over
    2. Rebooted
    3. Uninstalled and reinstalled RoboHelp 7 and all updates
    4. Tried adding one item (jump, new topic, changed topic, updates to TOC, renamed anything) at a time and then generated file
    5. Create an html from Word...I know silly but it worked some of the time.
    I feel like there must be a setting error I missing or something hidden that I need to remove.  There is something or a very big bug! I can't find anything and RoboHelp 7, Word 2003 and creating Winhelp4 files have been fine the last 2 months...now...not so fine.
    Please help!  I am so close to finished!

    and if this isn't enough, I cannot generate a print to PDF either, but used to!

    I wish I could try on a different PC.  This is a government facility and that is not an option.  There are only 2 of us who have RH and I think the other person may have left last week...what luck!
    As far as anything else running, that is possible....I may try disconnecting the network and see if it will work...that should check it, right?
    Background resources are very probable as their are virus scanners and who knows what else...my rights are very limited, no Admin rights to the machine.
    It just amazes me that it has worked and now at the very final stage and updates it will not.  I am in early when it usually works, 745a ET and it failed.  These are the error messages and I usually get this type:
    Warning - HC4004: datcap.rtf is not an RTF (Rich Text Format) file.
    Warning - HC4009: The Topic ID "Data_Capture_Operations" specified in the Project files as the Default Topic does not exist.
    What is odd, is they are both there and have worked consistently up until this recent failure....cannot complile.

    There has to  be something causing this...it ran quickly this am but failed with the above Warning errors.  The file is not successful although it built a sort of Help...one definition of one word....and nothing else.

  • How to open V1 files in V2 with no project file

    I have an swf output file from a tutorial created in
    Captivate version 1. I have no project file, so when I opened V2,
    and tried to import the swf as an animation, I receive an error
    that it is looking for something called 'root'. I have a link from
    my Robohelp project file to these captivate 1 tutorials and nothing
    happens when you click on the looks, the tutorials are not
    launching. So, I thought I would try to republish these tutorials
    in v2, to see if that was the problem.
    Any ideas?

  • Adding a Loading Animation to a Captivate movie for use in a RoboHelp Project?

    Hello all:
    I'm inserting SWFs (built in Captivate 5) into Robohelp topics (using RoboHelp 9, publishing to WebHelp Pro output). These topics hold only the SWFs, so I've published the SWFs to autoplay  when opened.
    The problem is this: when I publish my RoboHelp project, my Captivate movies display as image icons (see screenshot). There is no loading animnation or screenshot to indicate that the Captivate movie works. If I wait a few seconds (variable, depending on file size of the SWF), the movie will appear and start to play. I'm concerned that my user will think the file is broken and leave the page.
    How can I enable a loading animation (or even a loading image) to show my user that there is, in fact, content on the page when the topic loads? I'd like to keep the auto-play functionality, if possible.

    The best option is to break out the words because it gives you the most control. However, if the two words you want to glow are next to each other you can use the Sequence Text behavior.
    Select the text and apply Text Animation/Sequence Text to the layer. In the behaviors tab, click on the Add parameter and select Glow/Color. This will create a parameter that you can assign to a character, word, line or custom area.
    Now you'll need to add several parameters so repeat the above step adding parameters for Glow/Opacity, Glow/Blur, and Glow/Radius. You might even want to change the color of the font for those two words. If so, add a parameter for Face/Color.
    Once you have all the parameters added, change the Traversal parameter to Custom. Change the Select parameter to Custom. Use the Start parameter to determine the beginning of the "glow" area, and the End parameter to fix the end of it. Set the Spread to 0 so there is no spillage of the glow to the words on either side.
    Now adjust the color, blur and radius of the glow just as you would if you were adding it to the entire paragraph.

  • Can a RoboHelp project be used as a template for other projects?

    I noticed there is the ability to "duplicate a layout". Does
    that mean I can use my RoboHelp project with all its settings as a
    template for other projects. I corrupted an existing project by
    deleting a generated HTML file. I forced an update on one of the
    chapters in a linked FM book and now for whatever reason in the
    generated output, the entire book is being re-created within the
    folder for the chapter in which I deleted the HTML output and
    forced an output.
    Surely I don't have to redefine all the settings again in the
    FrameMaker Document Settings dialog, and in the WebHelp layout. All
    enlightenment is much appreciated. Come on baby give it to me one
    more time! Sorry couldn't resist. It is Friday after all.

    You seem to have a multiple segmented question.

    In one way, yes you can. You are able to use Windows Explorer
    to copy the project folder to a new location. Once you do that, you
    can open RoboHelp and open the project. Then click File > Rename
    Project and off you go.
    Not sure what to tell you about the Frame > RoboHelp
    mashup. Not familiar with Frame yet. Hopefully someone more savvy
    there will pop in and help.

    Assuming you have a high-powered computer, what is the
    maximum size you would recommend for a RoboHelp 7.0 project? Is
    there a limit specified? Is there a limit for the number of topics
    allowed?

    Peter, I did draw the correct conclusion, but perhaps I did
    not phrase it very well.
    If the user generates Printed Documentation from a RoboHelp
    project, then the size of the project (that is, the part of it that
    is used to create the Printed Documentation) does have size limits
    (or the user needs to workaround this problem by merging multiple
    DOC/PDF files afterwards).
    Indeed, this only applies for projects from which the user
    generates Printed Documentation.
    Our high-end PCs have a very large amount of RAM (as much as
    the latest motherboards can handle). We can easily manipulate PDF
    and DOC files with thousands of pages. But generating more than
    1,000 pages of Printed Documentation from RoboHelp seems to be
    problematic.
    We work with a lot of reports that contain many hundred and
    often several thousand pages. Only RoboHelp's Printed Documentation
    cannot handle it.
    Perhaps I should add that the size of RoboHelp projects
    itself does not necessarily slow things down. It is to total amount
    of complexity that makes life difficult for RoboHelp. 1,000 pages
    of plain HTML and a basic TOC does not cause problems. But tons of
    hyperlinks, extensive Index, See Also, Browse Sequences, image
    maps, etc. will cause troubles for these same 1,000 pages.
    Especially removing items from the database can take some time
    then, and increase the likelyhood of a corrupted database.

  • Editing HTML source outside of Robohelp

    If I were to edit my RoboHelp source HTML files outside of RoboHelp, what does the community recommend? Notepad? Wordpad? Word? If you want to know why, my boss does not want to pay for another RoboHelp license.

    To save $30 a month for a subscription!
    Notepad or any text editor is fine. Presumably you will then copy the files back to a machine with Rh to update the output and searches etc. Do not use Wordpad or Word.

  • Get out of memory error when linking Frame doc to RoboHelp project

    I just upgraded to TC Suite 5.
    Now I'm trying to link FrameMaker files to my RoboHelp project. The FrameMaker files are from a document that was done in Frame 9 (TC Suite 3.5) and now has been converted to Frame 11. It's working fine in Frame 11. No errors when opening any of the files in Frame 11.
    I created a new project in RH 11 and tried linking the FM files to it. Some work, but some bring on an Out of Memory message. Interestingly, one file that is 68MB worked fine, one file that's only 58MB brings that message.
    I'm going to try using an Externalize Graphics addon that worked well with the old Frame--I can only hope it works with FM 11 now.
    Does anyone have any ideas why this is happening, and any solutions besides externalizing the graphics and trying to reduce the file size?

    I was finally able to get the files to work by opening and saving in FrameMaker numerous times.
    Re: your questions. . . I did not try importing directly. I linked and then generated. Yes, the linking did work with RH9 from the TCS 3.5.
