Follow-On Document  - Bid Invitation

Hi, 
Anybody knows how can I turn default this field "Follow-On Document" with the value "PO or Contract". 
Every time when I try to create a Bid Invitation, this field show me up "PO" such default.

Hi Pedro,
This works the other way. Please make sure that both the indicators are not selected. Then you will "Purchase Order and Contract" as default.
SPRO -> Supplier Relationship Management -> SRM Server -> Cross-Application Basic Settings -> Define Transaction Types -> BUS2200
and for all your BID transaction types (PO and Contract must be not be selected).

    We have an issue while creating follow-on document(RFQ) for a bid invitation.
    Process is as follows :
    We have a bid invitation and sent it to two vendors. After this, created two responses one is accepted and another one is rejected.
    Now the accepted bid is ready to "Create follow-on Document(RFQ)". But when we do this, the bid with rejected vendor also including in the follow-on document. This should not be the case.
    The follow-on document should include only the accepted bid, but not the rejected bid.
    Could anyone tell me how to achieve this ?

    As far as I understand, what you described is the standard behavior. ALL undeleted vendors are copied over to the follow-on RFQ regardless if their bids have been rejected or not. What you can do is to implement BBP_DOC_CHANGE_BADI for BUS2200 and explicitly remove the vendors which created rejected bids. Make use of the header field "copy_of_guid" to identify the originated RFQ.

  • Classic Scenario: follow on document from BID

    Dear All,
    We are trying to create a PO from an accepted BID . We can create the PO, and if we check it in the backend system, everything is OK.
    Our problem is that we are trying to find in SRM, somewhere that shows us the follow on document of the Bid but we can´t find it.
    It´s important to say that as soon as the PO is created, we get a message that contains the PO number. But after that, we can´t find in SRM the PO number anymore.
    Is this a lack of SRM or may be another problem? Has anyone face up with this issue? If so, How it was resolved?

    I noticed that you have a very similiar Bidding scenario that we have.  We can create a bid invitation in SRM and we have used the BADI - BBP_DETERMINE_LOGSYS to indicate to the system to create a purchase order in the backend system after the bid is accepted.  We keep getting the following error in SM21:  Purchase orders cannot be created without IPC pricing
    Did you have to turn on the IPC in order to create the purchase order in R/3?  We are on SRM 4.0.  Also, if you have used the BBP_DETEMINE_LOGSYS Badi and have example code that might be helpful as well...thanks!

    I had created a shopping cart and by this shopping cart I made a bid invitation.
    Vendors send to me the quotations and the data and time finished. ok!
    Now, I would like to transform my quotation in a purchase order or contract. How can I do this?

    Foll are the settings reqd:
    --.define a LS for cFolders( you have to duplicate SRM LS if it is on the same server)
    -->define an RFC destination for this system (even if same as SRM)
    -->define a backend system of type cFolders in SRM SPRO
    -->activate SICF cFolders service (with external alias)
    Normally the collaboration area should be displayed in document tab in the Bid inv screen.

  • How to hide document fields in Bid Invitation

    While creating Bid invitation I need to hide some fields e.g. Attachements, upload a document, description, button Search & Add. These fields are available under tab  Header data -> Documents.
    BADI 'BBP_UI_CONTROL_BADI' works to hide Bid Invitation Basic data, but not for above.
    Can anybody let me know how to hide above fields.

       I dont think there  is any BADI/screen variant for this requirement.But yes,if any of the 2 are available in the std,ITS template changes should be avoided.

  • Restrict access to bid invitation cFolder documents

    SRM Experts,
    I have a requirement to restrict access to bid invitation cFolder documents.
    Here is the scenario:
    Buyer1 creates a bid invitation and a cFolder. We do not want any other buyers within our organization to access this bid invitation cFolder.
    How can this be achived?
    At this time, if a buyer (ex: Buyer2) has access to create a bid invitation or view a bid invitation, the system is automatically gives Buyer2 access to cFolder created by Buyer1.
    This needs to be restricted, any advice would be appreciated.
    Note: BADI BAdI BBP_CFOLDER_BADI is already deactivated in the system

    You can restrict the access through Product categories in the PPOMA_BBP for each user .
    So that he can create  Bid invitation only to that product category..

    Hi,
    You can use the badi "BBP_DOC_CHANGE_BADI" to chnage the value for the long text "Tendering text".
    In the EXPORT  table ET_LONGTEXT,just pass the text ID deatils and the new content  for this text.
    The text ID for the longtext "Tendering text" is "HTXT"(for  header level) and ITXT(for item level).

  • SRM 4.0 - Upload function of Bid Invitations (Bidding Engine)

    Hello,
    I am currently working on the Bidding Engine in SRM 4.0
    I would very much like to use the Download/Upload function in Bid Invitations, but for now I have the feeling it doesn’t work.
    I tested it by downloading a Bid Invitation and changing just one info like an item quantity or description. I put “U” (for “Update”) in the corresponding cell of the “Change” column. I also held the bid invitation in SRM before returning to it to upload the modified Excel-file.
    When I upload the Excel file, I don’t have any error messages, but no changes are done either.
    Does anyone of you have an idea how I could make it work?

    Please do the following things.
    Excel updown/download is very flexible functionality.
    (BADI : BBP_PD_DOWNLOAD)
    1. You can change the format (how the document should be downloaded, which fields : Control variants in BBPC_UP_DOWNLOAD table)
    2. You can also upload file (your own format : implement parsing method)
    3. You can add your own fields. (APPEND_UPLOAD_DATA)
    We are working on one such scenario for Contract Upload.

  • PO Creation error after processing bid invitation

    Hi Guys,
    I need small help from you. I have created one bid invitation with out shopping cart. I had processed the bid invitation. Few vendors have submitted their bids. Purchaser had accepted those bid and approver had approved those bids. Now I have the option to "Generate PO" and "Create contract". If I click on Generate PO button I am getting an error that “Purchase order has not been created”.
    I am unable to process further. Please help me. I have maintained PO number range in both the systems means in R/3 and SRM. Transaction types are also maintained in both the system. What else settings I need to configure?
    if i click on "Create contract" buttion then I am able to create Contract in SRM system in held state. When this Purchasing contract will be copy to Backend system?  once I chance the Contract status to release then this will be copied to backend?
    My requirement is to create Purchase Order ?

    Please provide your system version details.
    In the bid invitation, the Follow-On Document field must contain the entry Purchase Order or Contract.
    · In the case of bid invitations that are created manually, purchase orders are local only (product category is not relevant). In the case of direct material purchase orders, a copy (that cannot be changed) is created in the backend. Whether or not it concerns direct material needs to be stated in the item details in the bid invitation. You must specify the goods recipient and purchasing group. Also:
    -> Outline levels can be displayed in a local purchase order
    -> Bid invitation texts, bid texts, and documents are transferred to the purchase order (however not internal notes).

  • Url for public tender/bid invitation?

    Dear Gurus,
    We are configuring public tender/ bid invitation document in our SRM server 7.01 (SRM 7 enhancement pack 1).
    We have created a bid invitation document of type public. It has gone through approval and got published. We have not configured the system for decoupled bidding (bidding response from SUS available from SRM 7.01).
    In which portal, the bid invitation will be published? is it the supplier portal or there will be separate portal link available for the same? Could you please give me a hint where to look for the public tender?
    Secondly, who will get to see the public tender? Are only the suppliers present in the SRM system or any supplier who is even not registered with the client can see the public tender?
    Any inputs will be highly appreciated.

    Dear Ranjan,
    Your requirement can be achieved with the press tendering(paper add or advertisement on company website), where the client will be giving the details related to the Bid invitation so that the suppliers can view them and if interested they can register themselves to access the bid invitation and proceed with the follow on activities for response submission.
    As you have mentioned , you can publish a link in the client main page referring to the Bid invitation with details and asking the interested suppliers to registered themselves via supplier registration url , so that a corresponding business partner will be generated for them in the SRM system and at the same time purchaser will be notified with the interested suppliers.
    Once the supplier is registered, then they can access the bid invitation with there login credentials.
    But at no point of time suppliers without registering in the SRM system can access the Bid invitation.

  • Buffer Table Not Up To Date Short Dump When Publishing Change Version of Bid Invitation

    Hi experts,
    We are running SRM 5.5 with Support Level 16.
    We have a bid invitation for which a user is trying to publish a Change Version. This bid contains two bid outlines, with one line item in each bid outline:
    ITEM 1: HIER (Bid Outline)
    ITEM 2: Line Item
    ITEM 3: HIER (Bid Outline)
    ITEM 4: Line Item
    However, upon clicking on the Check or Publish button, the system throws a CX_BBP_PD_ABORT exception short dump. The reason for the exception given in ST22 is "Buffer table not up to date".
    Due to organisational system security restrictions, I am unable to copy-paste the dump from ST22, so I will be typing out some of the details here.

    Upon tracing the variable values in the ST22 dump, it appears the program terminates when processing line 3 (i.e. the second Bid Outline). It appears that the first Bid Outline processes fine.
    In the iteration for Line 3, the dump provides that gt_itmadm-parent contains the GUID to the Change Version document header, whereas w_itmadm-parent contains the GUID to the original Bid Invitation document header, resulting in a mismatch and subsequently program termination.
    We have tried to replicate this bid invitation in our Development environment, but when executing, both gt_itmadm-parent and w_itmadm-parent contain GUIDs to the Change Version document header, hence the program does not abort.
    Any suggestions would be greatly appreciated.

    Hi Janu,
    For Note 1561750, I have looked at the Correction Details and observed that it makes changes to an IF-ELSE block, but will result in the same path of code execution as before. I.e., the Note changes the code from "IF a THEN b, ELSE c" to just "c", but according to my code trace, we are already executing the "ELSE c" block in its current state.
    We will look further into Note 1877600. The unfortunate situation here is that since we are unable to replicate this issue in our Development/QA environment, and the Note description does not explicitly fit the situation we are facing, we need to be very sure that the Note can address the issue before bringing it into Production.
    Otherwise, we will raise a message as suggested.

  • Bid Invitation (Notification and Output)

    Hi Gurus,
    I have no clue how to manage Output / Messages for Bid Invitations. I need the system to do the following:
    1) Send email notification to Bidders in the bid invitation and also a notification when I make changes to the bid Invitation - How and where do I configure the message
    2) Post a notification on a portal
    3) Print the bid Invitation with all the attributes (to bidders who cannot respond electronicaly), so that the same can be posted to the vendor and then the purchase can perform surrogate bidding.

    Hi,
    1. make sure email set up is done as per note 455140. To send e-mails after bid is published  for the bid invitation transaction 'BID' attach relevant event schema. This will take care of sending mails whenver bid invitation is published or changed.
    2. Provide the role  BBP_EC_SUS_BIDDER to the bidders to enable them to see bid invitaions and send bids from SUS portal.  For this you also need to enable SSO (single sign on) between  EBP and SUS. Please refer the below link for further information.

    3. It is possible to down load the Bid invitation. Further update the mail  id of the bidder with your id so that you can receive the bid invitation smartform. This you can take a print out and send it to bidders. You can make config setting in SPRO 'define actions for document output' to send the   bid invitation smartform.
    Hope this clarifies all your doubts here.

  • SC not  in the sourcing cockpit after the follow-on document is deleted

    HI,
        In  sourcing cockpit ,  I created a contract by SC , but  I  deleted the contract , the SC didn't appear in sourcing cockpit.  the SOURCE_REL_IND  still is 'Y',    I have no way to create new contract by the SC .
       I don't know if it is the standard functionatity,  It seem to be not reasonable.
      Please tell me the solution  that SC can be back to sourcing cockpit  automatiocally.
      even if I  carry out the BBP_GET_STATUS_2.  it  still don't  work.

    the rule is below
    sc created 2 qty  -- PO created 2 qty -PO deleted - now order quantity and PO quantity difference is there so now SC comes to cockpit and this shopping cart item  needs to sourced and PO needs be created.
    i did not test below scenario.
    SC CREATED - contract or Bid invitation  created and now Contract / bid invitation deleted and now you are expecting this sc item comes to cockpit.
    Note 1068497 - BBPSC04: Incorrect status for items completed in sourcing
    Symptom
    You create a shopping cart which is sent to sourcing cockpit. You create a follow-on document. For eg: Bid invitation. You delete the same and complete the item in sourcing. The status of the item in check status is shown as 'Approved' instead of 'Cannot be ordered'.
    As per the above note sap rule, even though Bid Invitation deleted and reference shopping cart must venture to cockpit to create another follow on document.in your case SOURCE_REL_IND = Y instead of X. What is the item status of  sc after contract / po deleted?
