[Forum FAQ] Why can't I retrieve Free/Busy information

Free/Busy information is a feature of Microsoft Outlook that allows you to see when others are free or busy so that you can efficiently schedule meetings. You can use Microsoft Outlook to publish Free/Busy information to any server
your and your coworkers have read/write access to. However, in some cases you’ll notice that you can’t retrieve Free/Busy information correctly from Outlook. You can try the below methods to troubleshoot and get the Free/Busy information again.
Since most users who often use this feature are using Exchange, all the information in this content is only based on Exchange.
General troubleshooting methods:
Method 1: Start Outlook using the ‘/cleanfreebusy’ command line switch
Method 2: Logon OWA to see if the Free/Busy information shows correctly
Method 3: Check the user’s Permission Level when only one user’s Free/Busy information can’t be displayed
Other causes
Autodiscover has not been setup correctly
Updates
Here are the detailed steps and explanation of each method and cause.
Method 1: Start Outlook using the ‘/cleanfreebusy’ command line switch
With the ‘/cleanfreebusy’ switch, it will clear and regenerate free/busy information when Outlook starts, sometimes this process fixes the problem that Free/Busy information doesn’t display correctly, and this is always the first thing we should try when
we can’t get the Free/Busy information from Outlook.
This switch can only be used when you are able to connect to your Microsoft Exchange server.
To start Outlook using the switch, we can press Win Key +
R to start Run, type ‘outlook.exe /cleanfreebusy’ in the blank box, then press
Enter.
Please note since Outlook 2013 only uses the availability service which is connected to Autodiscover, the command line switch ‘/cleanfreebusy’ has been removed as well as the associated code so that Outlook 2013 will not recognize this
command.
Method 2: Logon OWA to see if the Free/Busy information shows correctly
If you are using Cached Exchange Mode in Outlook and having trouble getting the Free/Busy information, please logon OWA, or switch to Online Mode to see if the Free/Busy information shows correctly.
If the Free/Busy information shows correctly on OWA or in Online Mode, this problem may be caused by the Outlook Data File(.ost) corruption, which leads to the sync failure. Therefore we should exist Outlook, browse to the Data File and rename it to “.old”.
The next time Outlook starts, it will regenerate a Data File to sync and we can check if the Free/Busy information can be retrieved.
The location of the Data File can be found from File tab ->
Account Settings -> Account Settings ->
Data Files tab. (Outlook 2010 and Outlook 2013)
Or Tools menu -> Options ->
Mail Setup tab -> E-mail Account -> Account Settings window ->
Data Files tab. (Outlook 2007)
If on OWA it displays fine but doesn’t show the information correctly in neither Cached Exchange Mode nor Online Mode, it may be caused by the firewall or anti-virus settings, disable them to verify if they caused the problem.
Method 3: Check the user’s Permission Level when only one user’s Free/Busy information can’t be displayed
When a user has set his Calendar Permission to None, other people will not be able to see his Free/Busy information. When we notice that we can get most people’s Free/Busy information but fail to get one specific person’s, please consider
to check his Calendar Permission:
In that user’s Outlook, right click on his default Calendar, click Properties, select
Permissions tab.
We need to at least switch the Permission to Free/Busy time to get his Free/Busy information correctly.
Other cause 1: Autodiscover has not been setup correctly
From Outlook 2007, Outlook uses Autodiscover to get the Free/Busy information. Once Autodiscover has not been configured properly, the Free/Busy information may not display correctly. If you are also seeing issues with Out of Office assistant, we may assume
that you haven’t correctly setup Autodiscover, since these two symptoms are common when Autodiscover is not configured correctly.
To verify that, please test Outlook Autodiscover Connectivity:

Since Autodiscover Service is more Exchange related, we need to seek Exchange support and post the question in Exchange forum:

Other cause 2: Updates
Although Updates from Microsoft do no harm to the system for most of the time, the updates sometimes can mess things up.
Outlook 2013 November 2013 security update once became the culprit that caused some users not able to retrieve Free/Busy information from calendar scheduling. This occurs because Autodiscover fails for Exchange 2007 configurations. So in fact, this also
refers to the previous reason, Autodiscover is corrupted.

Once you have some issues after updating and doubt it’s an update issue, you can always come to our forum to ask if there’s a recent update which causes the problem, we will be happy to support you. If a fix hasn’t been released yet, we suggest you uninstall
the suspicious ones from Control Panel -> Programs and Features ->
View installed updates to verify which caused the problem, also as a workaround.
Summary
The reason that we can’t get the correct Free/Busy information can vary. If you find it doesn’t work even after several general troubleshooting steps, please consider it’s Autodiscover related. For anyone who comes up against the issue that Free/Busy information

  • Retrieving free/busy information from the server takes very long time

    Hello, we are running Outlook 2010 32-bit in Windows 7 64.bit, and  have encountered a strange problem, whenever we want to book
    a resource (i.e. conference room) from Scheduling assistant, it takes very long time, sometimes even more than a minute to see the utilization of the room, it being stuck at "Updating schedule information. Retrieving free/busy information from the server"
    The interesting thing is that most newly deployed PCs exhibits this same behavior, while older machines with basically the same setup gets the availability information almost immediately.
    It is unclear whether this is a server setting or desktop issue, as all new Windows 7/Outlook machines that are deployed from the WDS-server exhibits the same slow behavior.
    Please advise any troubleshooting steps to investigate the very slow retrieval lookup of free/busy information from the Exchange server.

  • Outlook 2013 with Office365 exchange Scheduling assistant not retrieving free/busy information

    Hi, we are using Outlook 2013 with Office365 Exchange and when using the Scheduling assistant in Outlook users are seeing "No Information. No free/busy information could be retrieved".  The scheduling assistant works fine in OWA.  
    I have spent time trying to find an answer on the web but most answers involve different exchange variations.

    Since the problem only exists on Outlook Client, we can try running Outlook with the switch "/cleanfreebusy", this will clear and regenerate free/busy information:
    outlook.exe /cleanfreebusyin the blank box, then press Enter.
    You can also switch between Online and Cached Mode to check if there's a difference.

  • OWA 2010 address book error retrieving free/busy information

    Hi All
    I get the following error when viewing a contacts free/busy information in the OWA 2010 address book.
    Outlook 2010 clients cannot view contacts free/busy information either. There's a "not connected" error on the client.
    This issue started after a service pack or update was applied. Which one I don't know as it was done by another admin.
    Has anyone seen this error before or does anyone know what this error is pointing to?

    Free/busy data and the offline address book are two separate services.
    Free/busy uses Exchange Web Services (EWS).  The offline address book uses a different web service connecting to the OAB virtual directory.

  • User can't see any free/busy - on one PC only.

    Hello,
    I have one single user who cannot see the free/buy info of any other user from his normal desktop PC using Outlook 2010.
    If he uses Outlook Web App on the PC, it works perfectly.
    And if he uses Outlook 2010 on another PC (on a different network sub-net), it works perfectly.
    What network dependencies does the free/busy info have please?
    Exchange 2010 with Outlook 2010.

    As we know Availability service is responsible to fetch the free/busy details in outlook 2010 where Exchange 2010 is installed.
    I suggest to enable Logging of Availability Service, then post the result of log file so that we could dig this issue further:-
    How to Enable Logging of Availability Service:-
    Start Outlook.
    On the
    File tab, click Options.
    In the
    Outlook Options dialog box, click Advanced.
    In the
    Other section, click to select the Enable troubleshooting logging (requires restarting Outlook) check box, and then click
    OK.
    Restart Outlook
    When Outlook uses the Availability Service to retrieve free/busy information [Try to fetch free/busy for other users to simulate the issue],
    log files are generated in the following folders: 
    %temp%\OLKAS
    The file name of the log files uses the following format:
    yyyymmdd-hhmmssss-AS.log
    For example, a log file that is generated on March 30, 2010 at 2:14:20.0029 P.M. will be named:
    20100330-1411200029-AS.log
    Post result of this log.

  • No Free/Busy Information for Exchange 2010 users in Outlook 2010 client, 2010 OWA shows this information fine

    I have looked for hours and hours on Google and this web site for this type of issue and nothing seems to help.
    Problem:
    On my new Windows 2008 R2 /Exchange 2010 server with IIS7 installed, I can use Outlook 2010 client to login and send and receive e-mail but when I try to busy search internal Exchange users I get no information (cross-hatch), but the sender of the Meeting Request
    can see their own free/busy information fine.  And OWA users can see free/busy information fine, as can Outlook 2003 client users against this Exchange 2010 server when logged in.
    I don't know if I have a certificate problem with regard to IIS7 or Exchange 2010, I did not create my own certificate , it is just what was installed by default when I installed and configured Win2K8 server, IIS7 and Exchange.
    On the Windows 7 workstations with Outlook 2010 client, I am not logging into the Exchange 2010 server DNS domain, if that makes any difference.  On these workstations I can ping "autodiscover.my.exchange.server.com" and my.exchange.server.com
    with no problem.  I even used this Microsoft KB to install a new _autodiscover dns entry, but it did not help :

    How many users encounter this issue, all users with Outlook 2010 or some specific users?
    According to your post, the Error code 600 indicates that your Autodiscover service is working well. as for the certificate mismatch issue, we can also following the KB below to resolve it:

  • Why can't we get free aps with out an ITunes card or a credit card. We used to be able to.

    Help me! I have 2 problems. My sons wifi won't connect. It says incorrect passcoad.Or no avalibel network. Also why can't we get free app with out an ITunes card or credit card. When I got my first iPhone I could get free apps with out an iTunes card or a credit card.

    I believe to upgrade or an update is actually free purchases...so for billing purposes you'll need a method of payment...either a credit card, or PayPal attached to your Apple ID...NOTE, you won't be charged...it's just a part of the check and balance verification.

  • Outlook 2010 Scheduling Assistent - No free busy information can be received.

    Folks:
    I have recently upgraded to Outlook 2010 running on Windows 7 x64.  My email is exchange based. My machine is not a member of the domain my exchange server is in. 
    I access it my a stored credential.
    Everything is fine except for Scheduling assistant.  All the folks invited to a meeting (except for myself) show up as "No Information Available".
    I have found plenty of posts that suggest this is also a Outlook 2007 issue, and that creating a key HKEY_CURRENT_USER\Software\Microsoft\Office\12.0\Outlook\Options\Calendar\UseLegacyFB
    (value 1) solves the issue.  (Example:http://social.technet.microsoft.com/Forums/en-US/exchangesvrgeneral/thread/c765605d-27a7-4784-993c-925394e2e09f)  I did create the key on my Outlook 2010 machine - but in HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Outlook\Options\Calendar
    key.  It is not resolving my issue.
    Does anyone know the Outlook 2010 solution to this issue?  Note:  I have Administrative privilege on my Client - but no privilege on the server.  I need to get
    Outlook 2010 to interface with Exchange 2007.

    From your description, I understand that you are using Outlook 2010 and Exchange account.
    There is no free busy information when using scheduling assistant. If there is any misunderstanding, please feel free to let me know.
    First, you must be using an Exchange server and everyone must publish their free/busy information. 
    Check from File > Options > Calendar Options > Free/Busy Options. 
    Make sure the month value for publishing is not zero.
    Also, I found a similar thread here:

  • Exchange/Outlook 2013 No free/busy information could be retrieved

    We are getting a problem for certain users where their Free/Busy info is not visible in the Scheduling Assistant.
    HOWEVER - the same user's calendar can be viewed as a Shared Calendar without a problem.
    I believe this has been working previously and has now stopped.
    It is affecting Mac & PC user the same and is also apparent in OWA.
    Please help as typically this is affecting our VIPs.

    According to your description, I noticed that the free/busy information also couldn’t be retrieved in OWA. Please confirm your Exchange version and double check whether all users can’t use scheduling assistant to view free/busy information.
    In Outlook client, please run Test E-mail AutoConfiguration tool to test the Autodiscover service and Availability service URL:
    please open Outlook - press CTRL key - right click on the Outlook icon from right bottom corner taskbar - Test Email AutoConfiguration. Put your email address - uncheck use guessmart and secure guessmart authentication - click Test to check your Autodiscover
    service.
    In Results tab, please get the Availability service URL. Then access it in Internet Explorer in your local machine, and check whether a proper XML file can be returned.

  • No Free/busy information could be retrieved in outlook 2013

    I Microsoft,
    Avionyx as a company has an account in Microsoft Exchage Online(365) from this side the calendar free/busy information works perfect via OWA.
    Avionyx is facing an issue in office outlook 2013, we have office outlook 2007 and 2010 and the free/busy information always has worked fine, but when I setup the users in office outlook 2013 the calendar free/busy information starts working ok around 2
    to 3 weeks, then out of the blue the free busy information stops working and I can not  do anything to fix it unless I remove the users and create it again since the beginning which is really annoying.  Is there an issue with this outlook is there
    a way a can fix the free/busy information in office outlook 2013??

    Please try reassigning the permission to the user, check if that would help:
    Calendar -> Properties -> Permissions
    We suggest you choose Reviewer, but you can also try others.
    If this is not the case, test in cleanfreebusy mode to check if the issue persists:
    Press Win + R and type "outlook.exe /cleanfreebusy" in the blank box, then press Enter.
    If the issue only occurs to one specific account, we may consider to delete that account mailbox on Exchange and create a new one (Backup user’s data whether in local machine or server site), then recreate the profile and setup the account on the Client
    to test if the same issue persists:

    This has been discussed a lot inf forums but unfortunately having followed all the guides I have found, I can't resolve it.  I am the only user with the issue.

    I have the full version of Office 2013 Pro not the Click to Run version.  It seems to be the Outlook client itself not the Exchange server.  I am at a loss what to do next... please help! :)

    Please also enable Automatic Replies in Outlook, check if this feature works well.
    Since the issue only occurs to one client and it works on OWA, I suggest you try these steps below to troubleshoot the issue:
    1. Start Outlook in Safe Mode. It is always a helpful method to troubleshoot Outlook client issues, when in Safe Mode, Outlook doesn't load with add-ins, we can check if this issue persists when add-ins are disabled:
    Press Win + R, type "outlook.exe /safe" in the blank box, press Enter.
    If there's no issue in Safe Mode that you can find free/busy information again, disable the suspicious add-ins to verify which one caused the problem.
    2. Perform a clean boot. This helps determine whether the issue is related to some background programs, any 3rd-party programs will be disabled. If the issue doesn't occur in Clean Boot, then we may suspect it's related to some 3rd-party programs, the detailed

    We have a scenario where we have some users on our network who use s web-based mail service but have AD logins as they need access to internal resources (file and print). 
    We have been asked to set up access for these users to the meeting rooms. An initial idea was to create a mailbox for each of these people and set up them up with an email address in the internal domain (company.local.co.xx). This has allowed them to use
    the meeting rooms but they cannot retrieve the free/busy information. When looking at available times, get the standard message "Suggestions cannot be provided because free/busy data could not be retrieved"
    It's not really clear why this isn't working. Suggestions?

    Thanks for the response. Those were my initial thoughts too. 
    However, doing a test of the email configuration shows that it successfully finds the OOF, OAB, etc.

    Since the OOF and OAB Urls can be retrieved properly from Autodiscover service, please directly access the OOF url from IE and see whether a proper XML file is returned.

  • Federated free busy information - the recipients mailbox server could not be contacted

    Hi guys, really hoping someone can help with a free busy issue I'm having.  
    I've configured a new forest with exchange 2013 installed in preparation for moving all AD objects to the newly created forest to resolve a single label domain issue.  The source forest has exchange 2010 SP2 installed.  I've setup a trust between
    the forests and dns is resolving okay.  Federation has been setup for each of the forests and sharing configured but free busy info isn't available.  When trying to retrieve FB from the new exchange 2013 mailboxes i get "the recipients mailbox
    server could not be contacted"  Trying to lookup FB from new forest to source "the recipients server could not be contacted"  I've followed the troubleshooting steps in the following link: http://johanveldhuis.nl/en/troubleshooting-federared-sharing/
    which are all okay except when I run Test-FederationTrust -UserIdentity [email protected]  On the exchange 2013 forest all tests are successful, on the exchange 2010 forest all tests are successful with the exception of token request which
    returns: failed to request validation token.  Any help on this really appreciated

    . Name of the server where exception originated: "MailServer". Make sure that the Active Directory site/forest that contain the user's mailbox has at least one local Exchange 2010 server running the Availability service. Turn up logging for the Availability
    service and test basic network connectivity.
