you have to know which idoc fields you have to map to EDI message fields

I am new to SD, I am in the process of doing to functional spec to create a physical invoice. The Invoice will be done via Smartform. I am doing some specs for our ABAP person. We are using Sales Order, and Shipping functionality. Can some give me an overview of what I need to look for? I am familiar with most of the billing tables VBRK, VBRP, and sales order VBAK and VBAP.
I just need some guidance as to how should I give the functional spec to the ABAP, do I need to include documetn flow, since we are using picking, and delivery?
Do I get all from the billing document? or I have to go to Sales order also? how do I reference the order?

1 ) The table for address is generally "ADRC".
Say you need to find the address details for the customer.
Go to the customer table "KNA1" and from this table get the field "ADRNR".
Using "ADRNR" check the table "ADRC".
Here are the technical details that you can provide to your ABAPer...
a): you need the table KNA1 with the customer data. With the key of KNA1-KUNNR you get the KNA1-ADRNR.
b): With the contact person number you search in KNVK-PARNR the value KNVK-PERSNR
c): call function module ADDR_PERS_COMP_GET_COMPLETE with
import parameters ADDRNUMBER = KNA1-ADRNR and PERSNUMBER = KNVK-PERSNR.
d): result is in the structure ADDR3_COMPLETE.
now you have all address and communication data from the contact person
e): you can use the function module ADDR_CONVERT_TO_BAPIADDR3_V2
to map the result given in ADDR3_COMPLETE.
2.Now comming to the document flow.
The flow of Sales & Distribution is as follows as you already know:
Inquiry (Optional) --> Quotation (optional) --> Sales Order --> Outbound Delivery (Delivery + Pick (optional) + Pack (optional) + Post Goods Issue) --> Billing --> Excise Invoice (incase of Indian Manufacturing Scenario).
For example use Table VBFA. Here in order to get sales order for corresponding Billing document, in the subsequent document field enter the billing document number.In the preceding document category field enter the type of the sales order eg. OR. You can now get your required sales order no.
the tables would be:
1. VBAK sales order header, VBAP sales order item
2. LIPS outbound delivery header, LIKP outbound delivery item
3. VBRK billing header, VBRP billing items

Note it is not necessary to use the table vbfa , but if you want all the details in one table ( ie sales order num , delivery num , billing num etc ) at this time we need to use VBFA table.

call transaction - no errorhandling, we have to write a code to show errors
sessin method - errohandling is there, locking mechanism is there.
for large amount of data , we should go for session method. for faster data transfer we can go for call transaction -

There is no need of preparing FS (Functional Specs) for BDC.
You can Record the BDC and just give the Recording Name to the ABAP Guy, he will prepare the BDC based on that recording.
Go to SHDB and do the Recording.

I never got an oppertunity to developed a Functional Spec for BI to my knowledge it is not a big deal to prepare it.
Here we go you must be having atleast what you want from R/3 or the Functional Spec from Functionl req.
That will contain the R/3 Fields and Table names, so based on that you have to find which app area does it comes.
Then from there by seeing the fields and cross checking the Datasourcess under that application you can decide the the data source.
Once the data source is decide you can prepare the Gap analisys to proceed further.
By above details you can prepare a Functional Come Tech Spec.We made all these kind of specification(Functional Come Technical Spec).
I believe there is no saparate Functiuonal Spec for BW activities.

Functional Specification is written by the functional consultants to give to the ABAPers where there will write technical specifications to meet the requirement.
Regarding your issue, u have to first know
whats the requirement is
when to start with either T.Code and
at what field
who are authorized to do that
How we do that
How this integrated with other modules
what implications it is going to reflect in other modules
the approval from the repective supervisors
and finally viewing the output
and rectifying the same after going through the technical requirements.

Your client/company will be having a format for FS.
In that FORMAT, give your inputs for STO Report based on the following points.(as i dont have system access now, check yourself before concluding. to find the table and fields, you have to press F1 on the value in the screen)
Receving point - in ME22N/ME23N, put the mouse over the receiving plant and press F1. You will get the table and field.
ship to party - in LIKP check for KUNNR/KUNAG
STO number in LIKP check for VBELN
Material number - in LIPS check for MATNR
delivery creation date- in LIKP check for DATE
quantity in storeage location - GET THE TABLE FOR MMBE and input the material and storage location to fetch QTY.

FUNCTIONAL SPEC FOR GL BALANCES
THere is a functional spec for LSMW for uploading gl balances thru FB01. There are feilds like legacy account, sub account and other fields that the business user wants to flow into SAP. But in FB01 there is only one reference field which i have used for legacy account number. How do we create additional fields in FB01 in order to input other fields like legacy sub accounts and other info that would flow into SAP.
I was told to work with crosswalk tables. WHat are they and how do I use them here. Please provide detailed instructions on how to bring in additional fields from legacy into FB01

yes usually customers ask to adopt the same layout as they are already using. Usually I draw the layout on visio and assign a number for each field. In the spec I put the layout picture and and mention for which field where data will come from.
For example:
A. PO header:
Field number | Description | Source
1 | PO number | EKKO-EBELN
2 | Vendor code | EKKO-LIFNR
3 | Vendor name | LFA1-NAME1 * rule 1
C. Rules:
1 - select NAME1 from table LFA1 where LFA1-LIFNR = EKKO-LIFNR
