Functions of DMS

Hi all,
Our company is planned to implement DMS, but actually, I myself do not much about DMS. I just would like to know whether DMS can fulfill the following requirements or not. I Highly appreciate DMS experts for your support.
Please help me on answering: which functions SAP standard DMS can support, which one we need to develop???
1     Convert electronic documents to archival images without printing and scanning them.
2     Document Contribution & Consumption from various geographic locations with the content server hosted in one location
3     Distribute documents on royalty free CDs and DVDs
4     Control security permissions centrally or delegate to department heads.
5     Ability to edit existing business process workflows with limited or no IT expertise
6     Ability to create new business process workflows with limited or no IT expertise
7     Autocad Converter
8     Integration with Autocad
9     User discussion on documents

At the outset,would strongly recommend to have a DMS expert on board for detailed requirement analysis and implementation!! further,regarding your queries,see my responses below.
1 Convert electronic documents to archival images without printing and scanning them.
Possible via Archivelink solution.
2 Document Contribution & Consumption from various geographic locations with the content server hosted in one location
Possible.However,having just one content server with dispersed geographic operations would serve no purose.A bespoke architecture(multiple content,cache servers) needs to be designed.
3 Distribute documents on royalty free CDs and DVDs
Pls elaborate more on this point regarding actual expectations.
4 Control security permissions centrally or delegate to department heads.
Possible.
5 Ability to edit existing business process workflows with limited or no IT expertise
6 Ability to create new business process workflows with limited or no IT expertise
Need to develop custom workflows in system.
7 Autocad Converter
Document conversion into neutral file format possible.
8 Integration with Autocad
Possible.May need to invest in a third party tool.
9 User discussion on documents
Pls elaborate.If you are hinting at discussion forums,then its not possible.

Thumbnail Images in ECC6.0 in DMS

Hi DMS Experts
In ECC6.0 There is functionality in DMS in Transaction Code CV04N
to display thumbnail images .
I have done setting in Workstation apllication and Set Up Workstation Application for Thumbnails (Images).Still I am not able to display images in thumbnails
Apart from this are there any setting to be done.
this functionality works in IDEAS server, but not in Sandbox which I made setting.
Does this work for Easy DMS only.
Pls guide me

Hi Pande,
generally please note that the thumbnail display supports graphics in JPG, GIF or BMP only.
To enable the proper thumbnail display you have to maintain also a thumbnail sequence in the customizing under Set Up Workstation Application for Thumbnails (Images). Here you can determine what type of thumbnail is displayed first for the specific document type. If you want to enable thumbnail view for other
graphic formats you have to implement a specific converter which can be done by BADI implementation. You will find further information in transaction SPRO under

Documents to be linked from DMS to Production Resource Tools

I want to Link some documents to PRT through DMS.
From DMS i choosed object link Production resourec/tools.
I searhed PR/T no result found.
So Now i want to Know that How i could Creat PRT and Link some document to PRT.

I know this post is old, but to answer the question:
Yes, you can link, using Object Linking functionality in DMS, to a PRT.
The object is a bit obscure in the object list, but, when selecting a object in the DMS Config>Define Document Type>Define Object Link, look for the object called CRVS_B.
This is the PRT Object Link's definition, which will then allow Object Linking functionality as required.
The other way, as mentioned earlier, is to simply use the PRT functionality from your transaction, i.e. IA06 to link to a DIR. This has the downside though that the bi-directional navigation from DMS<>PM for example will not exist.

Full text search on PLM Web UI

Hello,
Full text search functionality in DMS with TREX solution , is working with SAP GUI. ( Original is checked in CV01N or CV02N )
Same functionality is not working with PLM Web UI .
Is there any setting has to be activated for this.

Yes. When I checkin Document in CV01N , then I can find in CV04N.
But if I check original in PLM Web UI , then I can not find in CV04n.
I assume that indexing will not problem as it is working in SAP GUI case.
Indexing functionalities ( TREX ) are not called when Document is checked in through PLM Web UI.
Where we can check these settings ?

Restriction of Document type

Dear Sir
we have created document type by one user and i want to restrict for other user for change in that document type with user specific
eg. user 1 created document with doc type dev and save
user 2 has creation authorisation of save doc type but he/she should not have authorisation to edit user 1 docue

If I have understood your requirement correctly, you want to say that:
There are two users say, USER1 & USER2 & both use same document type, say DC1.
For example, USER1 has created a DIR with doc. type DC1. And you want to restrict changing of this DIR by USER2 & viceversa.
If this is your requirement, then what you can do is, you can utilize the "Authorization Group" functionality in DMS.
Create two different Authorization groups for USER1 & USER2. For example, create Authorization group AUT1 for USER1 & Authorization group AUT2 for USER2.
In roles & authorizations, you create two different roles. For USER1 you assign the Authorization group AUT1 in object BEGRU
For USER2 you assign the Authorization group AUT2 in object BEGRU.
Once you do this & assign roles to respective users, USER1 can create the DIR with doc type DC1 & enter the Authorization group AUT1 & saves it. Now even if USER2 tries to open it, he/she can't access it, since her roles do not have authorization for the Authorization group AUT1.
The same thing works for USER2. Say, if USER2 creates DIR with Authorization group AUT2, USER1 can't access it.
This is the only way, that you can control it.
Otherwise, you may need to create two different Document types for USER1 & USER2 depending on your business requirement.

Hi,
In the standard case you need to folow below procedure
1. Use TC SOCP to create external recipients. you may need BASIS help in this.
2. Create recipient list using TC CVI1.
2. Assign the documents to be distributed to this list. Document should be created before this step.
3. Assign External recipients to this list.
4. Distribute the document using CVI8.
5. TC CVI9 will help you to know the status of distribution.
Most important factor is that your SAP standard workflow which drives the distribution to external mail ids should be working. Please contact BASIS team if it has any problem. Without this distribution is not possible.

8D report upload in QM Notification (QM01)

Please let me know how to upload 8d or Corrective action documents in Notification using DMS. Please guide me, we are having DMS functionality. Do we need to create Document info record and how to assign/upload related document every time I create a notification. QM notification is having a functionality for DMS link.

1. Upload 8D report in CV01n transaction.
2. to assign QM notification as a object link, go to DC10 transaction and create a document type then go to define object link and there u can add this QM notification as a object link for the document type for 8D.

Auto open Macro

Hi there,
Do you know of a way or an OSS nte available that can help us with the auto open macro function in DMS. We have created a spreadsheet and added a macro which pops up when you open the spread sheet and prompts you to make a selection of what functions you want on the tab. After selection, it creates a form for you based on your selection. We have attachen this document in DMS but when open it up in change mode, the macro is not coming up to give the user the option of what to select in order to get the relevant form.

please check in transaction DC30 which parameter you have entered under 'Define Workstation Application in network' for the used workstation application.
I would recommend you to maintain here the parameter %AUTO% for the used workstation application.

When ever create new version specified User should get intimation Mail

Hi,
My requirement is when ever user create new DIR version, system should send some intimation Mail to specified user.
If it's not possible in standard system, Pls let me know it is possible through development or not.

Does the specific user, u want to send the mail, keeps changing?
At the time of creation of a DIR if reqd value is maintained in User Responsible then he'll get the mail in his SAP Inbox stating "The Document for which u r responsible has been created/modified".
For this certain linkages in workflow needs to be activated.
If you want to send the mail in specific format with some more details, then u may use messages functionality of DMS in which mails are sent based on Document Type & Status combination.
Another option is using workflow. For this u need to define a simple workflow task which can be triggered based on status. you need to maintain this task in Status settings.

Documents Archiving

Hi Experts,
While i archive the documents through program DVSARCH1in SE-38 transaction we are getting the mesaage as Logical file name or logical path name incorrectly defined.
The above program is runned only for the documents which are marked with deletion flag..
Can anyone tel me how solve this issue...

EH&S Waste Management - Document attachment

Hi All,
Does anybody worked on scinario of attaching external document (say in PDF format) to either Entry Document for waste or Waste Disposal document.
I was looking for similar scinario of attaching document in Incident Accident Management.
Can it be done without major development ?

Firstly, can you please elaborate on the requirement for attaching external document to either Entry Document or Waste Disposal document, as both are finally document in itself?
Nevertheless, you can maintain any additional information (of unlimited text) in the "Remarks" tab of the "Disposal Documents", and in "Notes" field of "Additonal Data" tab in detail view of the "Entry Document".
The purpose of attaching user defined documents in Incident log is different and hence the availability.
Alternatively, you may opt for "Object Linking" functionality of DMS solution, wherein you can define your own document type having object linking with the "Entry Document" and "Disposal Document" screens. Here, you would have to take help of your technical resource to create screens, sub-screens and define function modules. For details please refer to the following link.

How to provide document attachment (DMS) functionality in MIGO transaction

Dear All,
How can I provide the document attachment functionality (Document will be stored in content DMS server)
in MIGO Transaction.
The same functionality provided by SAP in ME21n, ME22n Transactions.
In ME21n user can upload any type of document related to line item wise and that document can we view/ modify from ME22n as well as from DMS side ( T.code - CV02n).
can anybody help me that how can i provide same functionality in MIGO transaction.
