Global Modification of Excel Hyperlinks

Hi All
Following a previous thread regarding mapped drives and hyperlinks, I have discovered that the content of the hyperlinks in a spreadsheet appear to have changed.  When clicking these, the user is simply presented with "Cannot open the specified
file".
The hyperlinks open external documents such as PDF files.
Looking at the hyperlink paths they are typically ../../SPARES/PT/PT2000-PT2099/PT2009/PO%2012496.PDF.  However, the correct path has spaces either side of the hyphen symbol.  If I edit one of the hyperlinks manually and add back the spaces, the
link works fine.  So it appears that, for some reason, Excel has dropped the spaces in all the hyperlinks.
Is there any code way I can globally replace "-P" with " - P" to add back the spaces?
The other option is to rename all the folders that are the targets for the hyperlinks, but there are a lot and this will have backup implications.
Thanks
Phil

Hi Phil,
I don't know whether Excel decides to wreck the links itself or that some user
has done so. I have heard about links being altered more than once though.
If you want them to stay put, I suggest to use the HYPERLINK function pointing
to a separate cell that holds the hyperlink address as text. That way, Excel
cannot change them as the link is created on-the-fly by the hYPERLINK function.

  • Excel & Hyperlinking with Sharepoint

I have a tracking document in Excel that has each entry linked to another place on Sharepoint to locate files and intranet articles. There are no formulas or other complex entries....just text and hyperlinks.
If I open the Excel file in Sharepoint and edit it there, we have no issues.
If I download the Excel file to my desktop...all links to other files are broken (the intranet file links remain active). When I try to access the link I receive a pop up window that states, "Cannot open the specified file."
This is a file accessed by multiple people and used as a resource, there are well over 100 linked entries and the group would like to be able to use the file on their desktops.
I have already found and unchecked the "Update Links on Save" option. This now allows me to download the file to the desktop, have no access to the links, and then upload it where I can then access the links again.
Is there any way to preserve the links so they can be accessed on the desktop?

    Thank you,
    Christine

The links are absolute. All links are to our internal team site or to our intranet. The intranet links aren't affected.
This wasn't an issue before the company upgraded us to Windows 7/Office 2010.
The links are established (right click, select Hyperlink, copy/paste from browser) while the Excel file is on the desktop and all work fine there.  The Excel file is then uploaded to Sharepoint where the links continue to work. When the Excel file is
downloaded to the desktop again...all links are broken. If I re-upload it to Sharepoint though, it is fine.
I double checked the actual link. It reads the same on the desktop initially as it does on Sharepoint. When the file is downloaded to the desktop again it seems to be missing the first half of it. What function could be editing the link?

  • Adobe Reader XI freezes computer when opened from Excel hyperlink

My computer has been frozen multiple times after opening a pdf from a hyperlink in Excel. Sometimes it randomly freezes after reading the document for a while and sometimes it freezes when I try to close the document. I have Adobe Reader XI 11.0.06, I'm using Windows 7 Home Premium 64-bit OS, and Excel 2010. The mouse will still move sometimes once things freeze up but clicking doesn't work and alt+ctrl+del doesn't bring up task manager either, so I have to hard reboot. Anyone have a fix for this?
    Thanks in advance.

The first thing I would try is to disable Protected Mode in Adobe Reader [Edit | Preferences | Security (Enhanced)].

  • How can I force Excel hyperlinks to open Acrobat Pro rather than Acrobat Reader?

My Excel (2010) hyperlinks to PDF file always open the Reader...but I want these files to open in Acrobat Pro (X) so I can use all the tools.
    Is this possible?
Can I uninstall the reader? Will that force Pro to be the default file opener?
    Thanks.
    SS

Open Acrobat -> Click to 'Edit' menu -> Preferences -> General (Category)
Now click on "Select Default PDF Handler" button choose Acrobat X from the drop-down and then click apply.
It will reset Acrobat X as a default viewer and your all link will open in Acrobat then.

  • 07 excel hyperlinks (place names) not captured in Acrobat 9

Hi, I have an excel workbook with about 30 different worksheets that I developed in Excel 07. The different worksheets hyperlink to each other using place names as guides.
In excel, it works as expected however when I create the PDF (acrobat 9 pro extended) only some of the links work. I do not know why random links (maybe half of them) are not functional. I have played around for an hour or so recreating links however it hasn't worked.
I am using Windows XP SP2.
    Your assistance is most appreciated.
    Cheers, Matt.

    Dear Matthew,
Re. the problem of converting a MS Excel workbook with hyperlinks to PDF:
The "Excel Problem" is with Acrobat already for sevearl years, living through various product versions of Acrobat. The input from Adobe (technotes) has so far been partial, providing partial hints 'try this setting' but without uequivocal guidance on the issue. A quick search on the internet learns that everybody has trouble with the issue and half the world uses Excel. Despite all the questions on forums, Adobe technotes etc, for years in a row, it still does not work and no clear and unequivocal guide is available from Acrobat. We personally think that there is a structural problem in the code (at Adobe's side).
we have reached the conclusion that currently, it is simply not possible to use Acrobat 8.## (we use the "pro' version) to robustly convert an Excel file with hyperlinks, into a professional file in the PDF format.

  • Launching excel hyperlinks using Firefox

I have an excel calendar on a network folder that has hyperlinks to supporting documents (emails and spreadsheets). The hyperlinks launch fine in ie, but Firefox appears to be looking for the docs on my local drive rather than the network folder, so won't open them. The same happens for other network users who try to launch the hyperlink using Firefox. Any idea how to fix this?

  • Hyperlinks in Excel output

I've seen many conversations on this topic but never a satisfactory solution.  So, I have excel hyperlinks that are built from an equation something like = Hyperlink(A3,"View"), where "A3" is the URL address (e.g., www.example.com) in a hidden column.  The idea is to display the hyperlink "View" in the column rather than the actual URL, which can run 40+ characters long.
When a .PDF is generated from this excel file, the hyperlink does not work.  My understanding is that this is because Adobe is unable to recognize the Excel equation as being a hyperlink.  One way around this is to copy the column with  he equation into another program, such as MS Word and then copy it back into Excel.  When the column is "laundered" through Word, Adobe can now recognize the formula as a hyperlink.
Unfortunately, when generating a lot of these documents with hundreds of hyperlinks, it is a slow, manual process.
Is there a way to have pdf that recognize the equation "=hyperlink(..." as a hyperlink in the pdf document?
    Thanks
PS: I was also trying to do this with hyperlinks in Tableau, but figured the Excel was the more likely to have a solution.

I've tried a number of ways, with several different products but typically, I use the "Save to Adobe PDF" option in Excel and then Convert to PDF.
If there is another way that yields gets around this issue, please let me know.

  • Global selection modifications problem in LR2

    Hello All,
I have discovered a bug in LR 2 (including the past and current version 2.3) which I would like to confirm if others have encountered this issue or know of a fix or workaround.
When I select a range of images or all the images and then I wish to change globally apply a rating color or star ranking etc only the first image in the selection is modified with my new settings.  I am viewing in the grid mode in all cases.
For example 1) I select all ten pictures in a collection.  2) Select the #6 key to apply a rating color (RED in this case)  3) End result is only the first image in the entire selection will be given the rating color I have chosen instead of all ten images.
In LR1 the procedure I describe was possible and I used it on a daily basis to globally apply rating, stars, metadata (ie copyright info) etc to a range or entire selection of images.
At this time I have to individually select each image one at a time to apply my ratings etc.  This is a time consuming and painfully process.
I regret that LR2 does not maintain the color ratings I applied in Iview but per a suggestion from Peter I found a workaround which is to create a keyword for the range of images in Iview and then upon import to LR2 I can find the images via the keyword.  That works for finding the set of images but I still have to apply the color rating in LR2 and at this time it can only be done one at time not globally.  The trick I described is also a great solution as an additional method for tagging images with metadata which will readable by other applications when the primary metadata or tagging may have been unique to the first application used by the user.
Is this indeed a bug in LR2 and if so has it been documented by Adobe yet?
So far I have tried and failed with the following.
    1) Created new catalog imported new images which have never been in Lightroom 1 or 2.
    2) Reset color label presets in preferences menu
Note LR1 will allow me to do global modifications to a range or images or all images which I select.
    Thanks,
    Tony S.

    Tony,
Are you trying to make those changes on your second monitor? The grid has to be on the primary monitor for changes to multiply-selected images to take effect. They tell me that this isn't a bug, but a feature.

  • Adding a merge field to an email hyperlink in a word 2010 email mailmerge

I am using word 2010, excel 2010, and outlook 2010 to send out the following email with email mailmerge to 50 + people.
The highlighted names in the greeting are two merge fields - First_Name and Last_Name.
The hyperlink is an email hyperlink to the following email message:
Will you attend?   ___ Yes   ___  No
    The hyperlink is as follows:
I would like to place the merge First_Name Last_Name in the hyperlink to sign the RSVP email back to me. I have tried many modifications of the hyperlink code and nothing works consistently. It will place one name as the signer but will not pick up
the following names the merge fields.
I would like the final email hyperlink to look like this:
Will you attend?   ___ Yes   ___  No
    Jody Smith
Can anyone tell me how to add the First_Name Last_Name to the hyperlink email so that each ricipient's name from the original email will appear in the hyperlink email as shown
    above?
    Thanks!
    Ben

    Hi All,
To help other community members who may have similar problem, I quote Peter Jamieson's answer here:
    (Edited a little...)
I can get this to work here, but there are some things you need to pay attention to when merging to HTML email (rather than to new documents etc.).
The Hyperlink field code I start with is as follows:
    { HYPERLINK }
Insert that using ctrl-F9 to insert the special field brace pair { }, insert the Word HYPERLINK, then select the field and update it using F9.
View the field code results (press Alt-F9 if necessary). In the English language version of Word you should see
    Error! Hyperlink reference not valid.
    Important point number 1:
Do not update the result of this HYPERLINK field again (i.e. don't select it and press F9). If you do, every email will always show the same link text. As
far as I can remember, this behaviour is different when you merge to a document rather than email, or perhaps merge to attachments. This can be a problem if you need to update other fields in your email, or if the email is being used by other people who might
(for whatever reason) update the HYPERLINK field
    Now modify the display text.
Use the Arrow keys to move the insertion point so it is between the "E" and the "r" in the Word "Error", and type
Then you can select and delete the "E", and the "rror! Hyperlink reference not valid."
Select the text and apply the Hyperlink style to it (Home tab of the Ribbon->Styles).
When you toggle field code display using alt-F9, you should see the original field
    { HYPERLINK }
Now click after the K of HYPERLINK and insert the following fields and text (or copy them from somewhere else):
     "{ SET x 1 }mailto:*** Email address is removed for privacy ***?subject=July%20Wine%20and%20Spine%20&body=%20Will%20you%20attend?%20%20%20___%20Yes%20%20%20___%20No%0A%20%0a%2{
    MERGEFIELD First_Name%20{MERGEFIELD Last_Name }"
so that your field now looks like
    { HYPERLINK "{ SET x 1 }mailto:*** Email address is removed for privacy ***?subject=July%20Wine%20and%20Spine%20&body=%20Will%20you%20attend?%20%20%20___%20Yes%20%20%20___%20No%0A%20%0a%2{
    MERGEFIELD First_Name%20{MERGEFIELD Last_Name }" }
As usual, all the {} need to be the special field code brace pairs that you can enter using ctrl-F9 on WIndows Word.
At this point, experienced field users will have to resist the temptation to select the fields and update them. Dont do it!
    Save the document.
Test the email merge. At this point, I would hope to see the results you want.
If not, I do not know why this works OK on my system but not yours.
Important point number 2 You may be wondering why
there is a { SET x 1 } field inside the HYPERLINK code. It's because when you are working with a .docx, if you save, close and reopen your document, you may find that Word has resolved all the merge fields nested inside your HYPERLINK field (i.e. replaced
the field codes by their results). This behaviour can appear arbitrary, and the reason that (for some reason), Word does not resolve the nested fields if there is a Word bookmark inside the HYPERLINK field. Now if the insertion point or selection ws inside
the HYPERLINK field when you save/close the document, there will be a bookmark in there, because Word inserts a bookmark called _GoBack, which enables the user to go back to the previous selection. But if you click outside the HYPERLINK field before you save,
there wil be no such bookmark and Word will resolve your field codes. So we put the { SET x 1 } in there to ensure that there is a bookmark (in this case, called X) to prevent that from happening.
Alternatively, if you save as .doc format (not recommended these days if you can avoid it) Word does not resolve these fields and you don't need the { SET } field.
And that's it. Whether that will be enough for your Merge to work as you hope, I cannot be sure, but all I can say is that without doing those 2 things, it almost certainly
    won't.
[[I originally had a third thing. I actually now think it's incorrect, but I'm going to leave it here just in case.
Important point number 3: If it does not work, there is
at least one other thing that could be wrong, although I think it is highly unlikely. There is a Windows registry setting called FieldCalcSecurityLevel, which was introduced about 12 years ago when Microsoft made some security-related changes to the behaviour
of certain types of field. I'm not going to step through how to look for that, but for example, in my registry, for Word 2010, it is at
    HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Word\Options
    It may be elsewhere.
If you cannot find that Option, or it is there and is set to the default value (1), then something else is wrong and I do not know what it is. However, if it is set to 0 (which
makes Word use its original behaviour, you will have to set it to 1 to get this to work.
    Thanks for your understanding.
