GR Based Invoice Verification and Invoice Post and Block Process

Hi,
We currently use invoice "Post and Block" process for AP invoice processing.  GR Based Invoice Verification is not set in the vendor master for this purpose to allow us to enter an invoice where "No Goods Receipt" has been raised. However, when we raise a PO using material groups the flag "GR Based Invoice Verification" is activated in the PO.  We subsquently have to remove this indicator in the PO in order to register the invoice.  Why is this setting populated in the PO when it is not activated in the vendor master ?  Is there a setting in MM for material groups that ius populating this value in the PO where  a PO is raised using material groups ?

Hello Eilish,
With regards to Goods reciept indicator, firstly the system looks
for any reference documents like purchase order or contract and takes
the flag from there.
If no reference documents or contracts are referenced, then
the system looks for an info.record to take the flag from there.
If there is not a info record then system will carry out the
GR-BasedIV indicator from the vendor master.

    Hello Cesar,
    You can block the invoice for payment.
    You have to set up the tolerance limits at company code level.
    Path: IMG -> Material Management -> Logistic Invoice Verification -> Invoice Block ->  Set Tolerance Limits ->
    Here you need to maitain the respected " Tolerance Key"  and Lower limits and Upper limits %.
    This will solve your issue.

    I customised Logistics Invoce verification (on ECC6) with the same nr range for MM and FI.  That were done by changing the nr range of doc type RE (in FI) to nr range 52 andcreated the nr range for the company code for fiscal year 2007 and 2008 (our fiscal year 2008 start 1.10.07) and made it external nr assignment.  In MM I changed RD and RS to a new range 05 to which I assigned the nr range 5200000000 to 5299999999 (internally assigned).  For the vendor consignment I created a new document type and assign that to nr range 51 (as the original invoice verification settings).
    This process works quite nice with the same document nr for MM and FI, however I still do have a problem. (I work through the article on above as per FI Expert issue of Sept 07, but even in there my problem was not mentioned.
    If I do an invoice verification for previous period with price changes on the system, Sap want to post 2 accounting docs (1 for the previous month - on which I did have stock and 1 for current month - one which I did not have any stock).  The system only send 1 document nr for FI who needs 2 doc nrs.  I now get the error  message that I must use a document in the nr range 5200000000 and 529999999.
    How do I rectify this or can I not use this functionality if we allow backdating to the previous period

    I created a purchase order with T.Code: ME21N, and Enter Goods Receipts with T.Code: MIGO after that Invoice verification with T.Code:MIRO, but it is not posted:
    Error Message is: Error in account determination: Table T030K Co.Code: RK01 VST.
    2)
    Balance not zero 5000, debits 5000, credits 10000
    for the second purchase order step 1 repeated.

    I think there might be some configuration missing with regard to the tax.
    You ahve assign a GL account ot the TAX code for the Transaction Key VST.
    Menu Path: SPRO - > Financial  Accounting - > Financial  Accounting Global Settings - > Tax on Sales/Purchases- > Posting - > Define Tax accounts .

    Myclientisfacing a problem during invoice verification(invoice quantity exceeds GR quantity).
    user created PO withtwo line items. in first line item he used account assignment K (cost center) for cable purchase. and inthe second line item he used account assignment category -K and item category -D for cableinstallation charges. foe firat line item he created GR(migo) and for the secondlineitem being service he did service entry sheet(ML81N). while doing invoice verification they got the error "Invoice Quantity exceeds GR quantity". so we tried to post the first lineitemand it was successfully posted.while doing invoice verification for second line item it is throwing "Invoice Quantity exceeds GR quantity".

    Hi,
    Please check that if your second line item which happened to be service line item as you have mentioned have the service base invoice verification checked in the invoice tab of second line item (line item detail level). If so the you need to post your service entry sheet after releasing it. System will generate a 101 movement material document in the back ground.

    I was observed that Users are posting the freight for indirect PO directly to Freight GL, it goes to Dummy Profit Center. The actual process is Freight cost which is not captured in PO & is with Invoice has to enter in unplanned delivery cost.

    Ideally, you could plant for a freight amount and create a accrual condition type for freight and plan for materials through MEK1. This will automatically post the freight during goods receipt and post the credit to the accrual account, where you can book the actual freight amount from vendors. This will also help you get a correct PPV.

    1.Invoicing was done in 09.09.2009 and excise invoice has also been posted and paid to Govt. but the material is still lying
       at our works as consignee was not having valid road permit.
    2.Now the consignee has been changed but sold to party is same and the road permit is also available
    3.Excise duty revised to 10.30% from 8.24% and the new price breakup has been provided by the customer as per new 
        duties/tax rates.
    Please suggest the best way to handel this issue.

    Take help of excise or tax consultant,based on their advice you can proceed further.
    Either you have to revere all postings from excise to sales order.
    Maintain new pricing in condition record.
    Complete sales cycle including sales invoice with new price.
    Create excise invoice.
    For excise duty payment seek help of excise or tax consultant

    My Japanese client need to work with t.code: VXJ2 - customs declaration for import billing documents - Japan
    When i run this report, it finds no data.
    I read the help for this transaction and it says that only invoice verification (and not logistic invoice verification) is supported for this transaction.

    Logistics Invoice Verification 
    Logistics Invoice Verification is a part of Materials Management (MM). It is situated at the end of the logistics supply chain that includes Purchasing, Inventory Management, and Invoice Verification. It is in Logistics Invoice Verification that incoming invoices [Seite 11] are verified in terms of their content, prices, and arithmetic. When the invoice is posted, the invoice data is saved in the system. The system updates the data saved in the invoice documents in Materials Management and Financial Accounting.
    Logistics Invoice Verification is closely integrated with the components Financial Accounting (FI) and Controlling (CO). It passes on the relevant information about payments or invoice analyses to these components.
    Features:
    In Materials Management, Logistics Invoice Verification has the following features:
    u2022 It completes the material procurement process, which started with the purchase requisition and resulted in a goods receipt.
    u2022 It allows invoices that do not originate in materials procurement (such as services, expenses, course costs) to be processed.
    u2022 It allows credit memos to be processed, either as invoice reversals or return deliveries.
    Invoice Verification 
    The main aim of invoice verification is to ensure that vendors are paid the correct amount at the right time ( not too late but also not too early ).   • Invoice verification for G/L account according to plant and material

    Hello,
    In MIRO I need to post a value against a G/L account, and need to connect it to a material and plant.
    These fields appear in the table settings of table ACGL_ITEM, which is the table for the fields of the G/L account tab, but the lengths of these two fields are 0.
    I've added the fields to the layout that I want to use in the G/L account tab, but because they have 0 length, they do not appear in the layout.
    Does anyone know how I can add them to the G/L account tab, and also see them?

    spro>MM>Logistics invoice verification>incoming invoice->Activate direct postings to GL accounts and material accounts.

    Please follow the steps as below
    Step 1. Maintain FI document number range. Use transaction OMR4 and go to Number range for document types in FI. Select the company code for which you want to create the new number range interval and click on the change interval button. Insert a new document number range by clicking on the insert interval button on top of the screen.for example, I created number range interval 52 with the document numbers 5200000000 – 5299999999. Don't forget to set the external number range check box (Ext).
    Step 2. Assign FI number range to FI document types. The second step is to assign the number range created in step 1 to the FI document type for invoices. Again use transaction OMR4 and go to Document type. Double-click on the document type, which you are using for LIV invoices. In my example, I used the SAP standard document type RE. In the number range field, assign the new number range interval 52
    Step 3. Maintain MM document number ranges. Use transaction OMRJ and click on change interval button. Insert a new document number range by clicking on the insert button at the top of the screen. For MM documents, I created number range interval 52 with the document numbers 5200000000 – 5299999999. For the internal number range assignment, do not set the external number range check box (Ext).
    Step 4. Update MM number range assignment. The last step is to assign the MM number range to your MM transaction via IMG menu path Materials Management>Logistics Invoice Verification>Incoming Invoice>Number Assignment>Maintain Number Assignments for Logistic Documents>Transaction – Assign Number ranges. Two transactions are available. LIV contains the following two internal transactions that are used for the MM document number determination:
    RD: manual invoice entry (MIRO)

    You need to update the number range interval for transaction RD.

    Requirement : Align MM and FI Document Numbers in Logistics Invoice Verification
    Followed all the steps as per the SAP documentation : Materials Management > Logistics Invoice Verification > Incoming Invoice > Number Assignment > Maintain Number Assignments for Accounting Documents
    As per the SAP documentation the configuration done should be enough to pass on MM Document No to FI document. But its not working as expected.
    I have done the following:
    1. Assigned MM and FI documents the same number range and both are in sync.
    2. MM Documents are configured to be internally generated,
    3. FI  Documents are configured to be externally generated.
    While during MIRO system generates errror and tells "Accouting Doc number are externally configured" (Not remembe the exact error) ? What is the solution for this issue. I need to align the MM and FI Document Numbers in Logistics Invoice Verification.
    Gone through articles on internet and all discuss the same steps and configuration.

    I am not sure that I exactkly understand what it is that you are trying to do?
    but in MIRO you can post multiple POs against one invoice as long as they are all for the same vendor.
    Other than this I am not aware of any bulk invoice verification process (the advantage that the billing due list has is that WE are creating the documents and so we can group things together. In invoice verification we are posting documents that teh vendors create and so we have top process them as we receive them.
    The only other thing that may help is ERS (Evaluated Receipt Settlement) which is basically "self-billing". this is where we will not wait for the invoices to arrive from the vendor, instead we will send a payment based on the GRs that have taken place so far (GR qty times PO price = payment value).
    this does require a little config and a couple of flags on the vendor and PO but it works fine.

    Dear Gurus,
    I have made a PO for 1200 pcs unit price 69.20$.  (GR based IV).   (Valuation - Moving average price)
    Delivery costs - Freight (FRB1) - 1200$
    I have splitted the PO quantity in to 3 different Inbound deliveries
    Inbound 1 - 400 pcs
    Inbound 2 - 400 pcs
    Inbound 3 - 400 pcs
    I have made the Goods receipt for the 1st Inbound - 400 pcs.
    Goods Receipt 1 - 400 pcs.  The value in the GR/IR freight clearing a/c credited by 400$
    Invoice Verification1 - 400 pcs. The value in the Invoice verification is 1000$.
    The value in the GR/IR freight clearing a/c debited by 1000$
    Goods Receipt2 - 400 pcs. The value in the GR/IR freight clearing a/c got credited by 400$
    Invoice Verification2 - 400 pcs. The value in the Invoice Verification is 2000$
    The value in the GR/IR freight clearing a/c got debited by 200$ and Stock in Hand debited by 1800$
    Goods Receipt3 - 400 pcs. The value in the GR/IR freight clearing a/c got credited by 200$
    Invoice Verification3 - 400 pcs. The value in the Invoice Verification is 1500$
    The value in the GR/IR freight clearing a/c got debited by 133.33$ and Stock in Hand debited by 1366.67$
    I don't understand how the logic works for seggreating the amount to GR/IR freight clearing account and GR/IR account.
    For the first 2 GR and IV I could understand that there is a  balance in the PO condition but for the Invoice verification 3. The value debited to GR/IR freight account is 133.33$. Can anyone help me how the calculation is taking place and how the system has arrived to figure 133.33$ in the Invoice verification for GR/IR freight clearing a/c
    Strangely when I have cancelled the Invoice Verification document 3.
    The value Credited to GR/IR freight clearing account is 333.33$ instead of 133.33$
    Can somebody help me to figure out the calucation for IR after the GR for planned delivery costs.
    If any SAP notes or help files can be provided then it would be really helpful.

    Delivery costs were planned for a purchase order item.
    A goods-receipt-based invoice verification is set.
    Several goods receipts are posted. For invoice entry, both in conventional invoice verification (transaction MR01/MRHR) and in logistics invoice verification (transaction MR1M/MIRO), the delivery costs for each purchase order item are displayed in total.
      This is the same as when, for example, only one of several GR documents/delivery notes is selected.
    Example of a purchase order history:

    Fistly FYI.
    Goods-receipt-based Invoice Verification must be defined in the purchase order.
    In goods-receipt-based Invoice Verification, each goods receipt is settled separately.
    Goods receipts and invoices are matched up in the purchase order history.
    In goods-receipt-based Invoice Verification, it is not possible to post an invoice before the first goods receipt.
    In goods-receipt-based Invoice Verification, the invoice quantity should not be greater than the actual delivered quantity. However, it is possible to post a larger invoice amount. You cannot “reassign” invoices from one goods receipt to another.
    When purchase-order-based Invoice Verification has been defined, all items in the purchase order are presented on the selection screen or in the item list.
    The suggested quantity is the difference between the total delivered quantity and the total invoice quantity.
    When you enter an invoice using the delivery note number or goods receipt document number, the system looks for the corresponding purchase order item and then proceeds in the same way as when you enter an invoice using the purchase order number.
    If there are several goods receipts and invoices for a purchase order item, the purchase order history does not tell you which invoice came from which vendor.        
    For your case it needed to do a MIRO by one GR of one PO.
    And in MIRO you can list items by GRs for a PO with GR-based IV.  It is true. You did two GRs for one PO then you should have two lines in MIRO, I am sure. Please check more after having a rest.
