HCM Process and Forms Position Change Workflow Rejection

Hi Experts,
I am new to HCM Process and Forms workflows and have a simple query here.
With the conventional workflows (PR/PO) when Approver Rejects a workitem we send a notifcation to the INITIATOR and when he changes the PO/PR the workflow gets triggered via CHANGED EVENT.
However, here in POSITION CHANGE workflow when an approver REJECTS it at any level HOW WILL I SEND BACK THE FORM TO INITIATOR SO THAT he does the suggested changes and submits for RE-APPROVAL.
Idea is to avoid the burden of filling all the fields everytime
Please guide me on this.

Hi,
If a change method doesn't exist you can create a new one where you can use a Call Transaction sentence that redirects to a tcode where you can modify the form.

Regarding HCM Process and forms Workflow

Hello all,
I am working in HCM process and forms workflow. In that workflow, there are three levels. First and second level is approved by the respective managers. I am using the Standard TASK TS17900100 in the 3rd level. In which the final level has Send, withdraw, "BACK TO AUTHOR" option. When I click on Send button the PROCSTATE (workflow container element) status getting changed to Processed and the workflow getting Completed.
But when I click on "BACK TO AUTHOR" button the PROCSTATE status is not getting changed from "APPROVED" to "BACK"?
Any clue on this what could be error ?

Friends,
In the Workflow ,there is the binding for "Processor Role" between Workflow Container and Task Container. I removed this binding as it is not required. Now on click of "Back to Author" in the final stage the work item is moving to Inititor.

Workflow could not start in HCM process and Forms

Hi All
It would be really helpful if you can suggest possible solution regarding case management case in HCM forms and process.
I have set up a simple custom HCM process and Form regarding Infotype 2 updation. I have checked the process and form consistency and it seems fine. Now when I run the process from HRASR_DT it generates a process number but it also gives an error workflow could not start.I get following error (SWIA log - Step history)

Exception occurred - Error when starting work item 000000007031
PROCESS_NODE - Error when processing node '0000000014' (ParForEach index 000000)
CREATE - Error when creating a component of type 'Step'

CREATE_VIA_WFM - Exit CL_HRASR00_POBJ_WF_EXIT triggered exeception for event CREATED and (target) status
EVENT_RAISED - Error updating the process object

EVENT_RAISED - Error updating the process object
Executing flow work item - Transaction brackets of the workflow has been damaged

I have searched few SAP notes such as 1384961 which talks about same error but it is implemented in our system (EA-HR 604 , Patch 27, )

Not sure of the details of the the resolution, maybe Ragavendran Kanagaraj can throw more light.
Just some high level checks (if not done already):
Check event linkage errors in SWEQADM if anything is related to your WF
Check in SWEL if it's showing any more details (not sure if it will)
Any warnings in syntax check of WF template (PFTC) or WF definition (SWDD)
Any error sin binding

Workflow Errors in HCM Processes and Forms

Team,
we are facing one issue related to HCM Process and Forms. Recently we have upgraded our HR Package after which workflows used in HCM Forms stopped working though user who is initiating the process has SAP_ALL. We have noticed that workflow is throwing exception at the very first step i.e. PROCESS while importing data container.
What could be the reasons? Appreciate your replies

Creating a new position and updating IT 1028 using HCM processes and forms

I have to create a new position and update the related infotypes using the design time framework of HCM processes and forms. The problem I am facing is the info type 1028 is not a part of the de coupled infotype framework and does not appear in the service fields list. How can I update the infotype 1028? I was thinking of updating it using the FLUSH method of the class implementing the ADV services interface IF_HRASR00GEN_SERVICE_ADVANCED by calling the function module RH_INSERT_INFTY. But, how do I get the position ID created? Is there any other way of achieving this? Please help as soon as possible.

Create one Function Module to return all the vacant positions and load that in a drop down.
For IT1028 you have to update via the RH_INSERT_INFTY.

HCM Process and Forms - Changes to Form Issue

We have a scenario within HCM processes and forms where the changes being made by an intermediate approval step is not being sent to the next level approver. For example, in a pay change the initiating manager sends the pay change to his/her boss for approval, then once approved the form is sent to HR for final approval and update into R/3.
In this scenario the initiating manager starts the process and makes appropriate updates to the form (including comments). This then routes to that manager's manager for updates/approval. When processing the form, the approving manager can see the information input by the initiating manager. The approving manager then has the opportunity to make appropriate changes within the form and add comments before it is approved and sent to HR for final approval.
Once the approving manager makes changes and sends this to HR, when HR processes the form they see the changes as if it was sent by initiating manager (HR does not see the changes made by the approving manager).
I appreciate any insight you may have on this issue.

Sounds like you process is designed incorrectly and your are having problems with your process object integrity. You need to be careful with loops/branches when designing your process. Are you doing it all in the same Form Scenario and just using multiple steps? The form scenario will "share" the "data" hence you can have issues. You can split it to a differnt form scenario and pass the data over from the other FS to your FS. Then you know you will have your own data there. I often see people trying to do their whole process within one form scenario and use multiple steps without realizing the data integrity issues with that.

Workflow issue in HCM Process and Forms

I have created one workflow for HCM Process and form ( Termination) . In that workflow, there are Two levels. First and second level is approved by the respective managers. I am using the Standard TASK TS17900100 both levels having the Send, "BACK TO AUTHOR" option.
When I initiate the form it has generated the process reference number, it went to first level approval and the respective manger received work item in his UWL inbox in this stage I have checked in backend (PA20) infotypes( 0 & 1) are updating automatically and employee has been terminated without approval of work item.
I have checked in workflow log the work item has with first level manger only.
any one please help me on this.

Hi,
TS17900101 uses --> CL_HRASR00_WF_COMPONENTS / Method WI_EXECUTION_VIA_R3_INBOX.
In the text of the method you can read the following:
It is only allowed to trigger a WI via UWL which does not execute
that method which was customized at the corresponding task (so this
method). To ensure this if the WI was startet via R3 Inbox then
exactly this method is called to present an error.
So, are you approving from UWL or SBWP?

HCM Process and Forms - Create and End record using the same form scenario

Hi All,
I have the following requirement while using HCM Processes and Forms: Using one form/scenario I need to both create a record or be able to end a record for infotype 841. When looking at the back-end service SAP_PA I have operations Create, Change, Change without delimiting and Delete. My requirement would be to do both a create and a delete I guess, but these two can't be selected at the same time while configuring the form scenario.
I was thinking about doing somethign with the startdate and enddate instead of using the effective date. But I have no clue how to do that.
How would this be possible?

You are correct in assuming that you cannot have a create and delete on the same infotype. The config will not allow it. Instead, configure the create and then do the delete via a call to you own method in the workflow or via the advanced generic service

Dynamic Parallel Approval for HCM Process and Forms

Hi everyone,
I have a scenario where I need to use the "Dynamic Parallel Approval" (or to keep it simple, initially I tried using the "Parallel Approval" wizard)for a workflow used in the HCM Process and Forms.
The standard task for approval in process and forms is TS17900101. I have mentioned a multiline container in the Miscellaneous tab of this task. However,I was unable to use this task in the wizard. There are no results attahced to this task unlike any other standard approval task (like TS30200147). I need to use the task TS17900101 in the workflow assigned to process and forms, but not sure how to handle this scenario (parallel approval).
If this is not the right way of doing it, Is there any workaround for "Parallel Approval" in HCM Process and Forms.
Could anybody throw some light around this area.

Thanks Anuj. But I believe, the container element that I add in the miscellaneous tab does not necessarily have to be used in the agent assignment. The multiline container is just to instantiate the workitem 'n' number of times. Correct me if I am wrong.
My concern is that I was unable to use this approval task (TS17900101) in the workflow wizard for dynamic paralle/parallel approval.
Arghadip - Thanks for your suggestion. I have seen some your nice contributions in the WF forum.
I actually tried using the 'Blocks'. But this is what I ran into. When I send multiple approval requests (say 3), if one person has approved it and the second has rejected it,I need to take out the workitem from the third person's list (because it has been rejected by someone in the group). I am not sure if this is possible using Blocks. And in my case the third person is still having the workitem, but gets a dump/error when he tries to open it.
Also, if any one has rejected the request, I do not have to wait for the rest to take any action on the workitem and proceed further. But I guess in 'Blocks' it will not let you go out unless every workitem has been processed.
To summarize,here's what I need - I need to come out of the block for two conditions. One, if everyone has approved, comeout of the block with an apprval flag. Two, if anyone has rejected (even if some have not processed their workitem), delete the workitems from others inbox and come out of the block with a rejection flag.
So, any kind of input or suggestions on how this could be handled would be highly appreciated.

Custom iviews in HCM process and forms

Hi ,
We are using EhP4 in ECC and E-Recruiting systems.
We want to use the customized requisition request process in HCM Processes and Forms.We have developed a adobe interactive form with webdynpro for ABAP along with some workflow.
I want to link these in via the HCM Processes and Forms framework so that they will be called from the standard screen in MSS (Manager Services > My Requisitions > Create New Requisition Request).
what is the best way to implement these customizations? Is there any way to link these applications in HCM forms in SAP Portal.

There are 2 ways you can accomplish depending on your requirement. The current process group getting called when create requisition is selected is H1NB. If you want to keep the existing processes and just add your process to the list, then you will need have the developer add the process group H1NB to the custom forms. If you only want to disply your forms, you may have to create a new process group in the IMG under Personnel Management>HR Administrative Services. Once you have defined the new group, the developer will have to link the custom forms to the new group. Additionally, you will have to change the application parameters within the Portal on the Iview for Create Requisition request on the Manager Self-Service role from the standard parameter PROCESS_GROUP=H1NB to PROCESS_GROUP=CUSTOMGROUPCREATED. Once these steps have been completed, you should now see your custom forms within the launcher.

Worklow in HCM process and Forms

Hi Gurus,
We have recently upgraded from HR SP level 14 to level 24. After the HRSP upgrade, we find that the workflows used in the HCM process and forms which were working fine earlier are not working now.
To trigger the workflow, I am using the class CL_HRASR00_WF_PROCESS_OBJECT and event TRIGGERED. First, we faced the problem in the standard task TS17900110,which imports the values from form to workflow container.After Implementing the SAP notes suggested by SAP,the workflow got triggered and the values got imported and it is working fine now.
Now we are facing the problem in the 2nd level,where the manager trying to 'Approve or Reject'.The information message is thrown in backend HRASR_DT as, "Work Item not found; check workflow Log".
Standard Task used in the 2nd level TS17900101 to approve/reject.
Can anyone suggest how to proceed on this issue ?

HCM Processes and Forms: Work Item is not opening

Hi,
We are implementaing HCM processes and forms using NWBC (EHP7 - HR Renewal 2.0 FP1) and after using configuration of POWL inbox for MSS and HR Admin, We are not able to launch the Work Item.
1) In MSS Work Book, while launching, we are getting message -
Failed to resolve Object Based Navigation target ".MSS_WL.NAVIGATE_FORM_WD". Use transaction PFCG to define this OBN target in a role or contact your system administrator to assign a role with the relevant OBN entries to your user.
2) For HR Admin, we are getting message - Work Item can only be open using Portal and UWL. and it is displaying back end transaction SWNWIEX.
Detail configuration steps are shown as below -
Workflow Task used in configurations -
1) Entries in IBO_C_WF_TA_P_SC (Assign Task ID’s to POWL Types)
2) IBO_C_WF_ACC configuration - (Define Tasks and Actions)

Dear Andrea,
I reset the password of backend user and gave sap_all and sap_new role.
Last time it prompt the screen in mss as to change the password. (See above screen shot).
But after reset the password...error showing instead of login screen in mss as below:

Use HCM processes and Forms without using the Enterprise Portal

is it possible to leverage existing HR Admin Services (HCM processes and Forms) functionality without using the Enterprise Portal?
1) Create an Adobe form and Interface using SFP
2) Set up ISR and Form Scenario
3) Set up Forms configuration to use existing Backend and generic Services
4) Set up workflow to updated Backend using Services
is it possible to do the above steps and not use the Portal? If Yes, how do we present the forms to the Manager, and provide different buttons that appears on the Portal by default?
Any ideas will be greatly appreciated.

Hi Saurabh,
your assumptions and findings (items can not be started from the backend workflow inbox etc.) are correct: These processes can not be started without the Portal and it is not intended to do this.
The above mentioned backend report are only forseen for implementation and testing purposes and not for productive use.
In addition to the fact, that you already can't execute the work items a lot of other features of the framework (Process Browser etc.) are only available through the Portal.

Message Handling in HCM Process and Forms

Hi,
I have added own messages logic
MESSAGE_HANDLER Type Ref To IF_HRBAS_MESSAGE_HANDLER
message_handler->add_message( message = message ).
in "DO_OPERATION" method of Generic Service in HCM process and Forms.
Problem : We have handled messages in method "DO_OPERATION" but when we click on NEXT push button (review and send)at mss level, same error messages is displayed for 2 times above the adobe form.
Same error messages are displayed as many times as we click on NEXT push button.
Need Solution : It is supposed to display only once.

Please check SY-UCOMM in both the cases.
1. After Selecting Position
2. After Clicking 'Next' Button.
If SY-UCOMM is different, Then Add message to Message_handler only when Position is selected.
That means If sy-ucomm = Position select User command
Then Add message to Message_handler.
endif.
'Else dont ADD'
