How to organize scanned documents on my mac

I would like to find how to organize scanned documents on my mac so that they are cagorized and identifiable files

I would change the file name from "Scan001" (or however your scanner saves them) to something helpful like HikingTrip1, HikingTrip2, etc. Then drag and drop them into folders you create with more names helpful to you. To quickly change a file name you can highlight the file icon and then single click on the file name portion and it will allow you to type. Is this what you meant?

    You can not scan to Microsoft Word. You scan the document as a specific file (PDF, JPEG or TIFF) to a storage directory on your computer that you can then open later in Microsoft Word. Remember, when scanning you are saving the document as an image and you need special programs to be able to edit those documents.

    Hi folks,
    from a quick search at Apple discussions I realize that my following problem is a very common, but essentially an unsolved one. So rather than a final solution, I'm looking for ideas and discussion on how to organize photos in a family setting…
    The problem started when my wife got her own MacBook a few weeks ago, and when we started having two iPhoto libraries instead of one. We do have some photos that can be definitely labeled as 'mine' or 'hers'. But how should we organize family photos? What if one of us wanted to just grab their MacBook and show off the kids' pictures to a friend?
    Duplicating photos involves a lot of manual extra work, and labels and keywords will inevitably run out of sync. If we keep photos on a network drive we can't just take them away from home. It seems like the problem is not just related to iPhoto, but to digital photography in general. Or is there another photo organizer – Aperture? Lightroom? Whatever else? – that serves families well?
    If you've faced this problem, I'd like to hear how you approached it.

    You could put an external HD connected to the TC. Then each time one of you take new photos upload them to a folder on your Desktop. Name the folder with the date of the shoot (this assumes that each of your delete the memory card in the camera after each shoot and upload) and a brief description like: 01/16/10-Aidan's 4th Bday Party. You can also rename the photos in the folder. I use the international date and a brief description: 2010-01-16-Aidans 4th-001.JPG, -002.JPG, etc. You an use a file renaming application likeRenamer4Mac orName Mangler to do the job.
    Next import the folder into your iPhoto. This will create an Event with the same name as the folder. Then drag the folder to the hard drive on the Time Capsule. Then each of you can view the folders on the external HD and import those folders which you don't have - or not.
    This will also act as a backup of the original files. I'm not sure what format the external HD needs to be to work in this manner but it shouldn't matter as long as you're only storing files. You can't run a iPhoto library from it if it isn't formatted OS X Extended (journaled). Also running a library wirelessly is fraught with problems like dropouts which can damage the database file.
    That way you will have 3 backup copies of your photos - actually 2 as the two libraries on the TC really only count as one since they are on the same drive.

    To scan in documents as PDF files, please follow the steps below:
     1.  Start MP Navigator EX.
         1-1.  If on a Windows computer:  Go to your START MENU, then ALL PROGRAMS, then CANON UTILITIES, then CANON MP NAVIGATOR EX (folder), then CANON MP NAVIGATOR EX (application).  There may also be an MP Navigator icon on your computer desktop; if so, you can just double-click on that to open the application.
         1-2.  If on a Mac:  From your GO menu, select APPLICATIONS and then CANON UTILITIES.  In the CANON UTILITIES folder, locate the MP NAVIGATOR EX program and open it.  
     2.  When MP Navigator opens, click on the SCAN/IMPORT option at the top left of the window, then click the STACK OF DOCUMENTS (ADF) option.
     3.  Place the documents you want to scan in the automatic document feeder on the top of the printer, then select your Document Type (either Color or Black and White Photo or Document).  
         3-1.  Please note:  When you select Magazine(Color), the Descreen function will be enabled and scanning takes longer than usual.  To disable the Descreen function, deselect the Descreen checkbox in the Scan Settings dialog box.  
         3-2.  Select Text(OCR) to extract the text in the image and convert to editable text data using MP Navigator EX.  This setting is not available when the Compress scanned images when transferring checkbox is selected on the General tab of the Preferences dialog box.  
         3-3.  Color scanning is not available for Text(OCR). To scan in color, use OCR in One-click and scan with Color Mode set to Color.
     4.  Click SPECIFY... to modify the document size and resolution as required, then click OK.  By default, the document size selected is 'Auto Detect', and the Resolution selected is '300 dpi'.  Both of these settings are usually satisfactory if you want to scan a document in as-is.  If you need to specify a higher resolution scan or specific document size, please click on the 'SPECIFY' button.
     5.  Click the green SCAN button on the screen.  Scanning starts.  When scanning is completed, the Scan Complete dialog box opens.
     6.  Select SCAN or EXIT.  You will select 'Scan' to scan the next document if there is one, or select 'Exit' to end scanning.
     7.  The scanned images appear in the Thumbnail window.  To save a multi-page document, you will want to ensure that you put a checkmark under each of the scanned thumbnail images that you want to save.  If only one thumbnail image is selected, it will only be a one page document.
     8.  Save the scanned images by selecting 'SAVE AS PDF' option on the bottom left-hand corner of the window.  Selecting the 'SAVE AS PDF' option will save your file in a PDF format.  This is good for saving documents, letters, etc.  When you select this option and have multiple thumbnail images selected, the window that will appear will be a multi-page PDF save window.
     9.  Once you make a selection in Step 8 above, a window will appear giving you additional options for the file you are trying to save.
         9-1.  The 'SAVE IN' section will show you where the document is going to be saved.  By default, the files are saved in the Pictures folder in a folder labeled 'MP Navigator EX'.  If you would like to specify a different location to save the files to, please click on the 'BROWSE..' button and select the location where you want to save the file, the press the 'OK' button to return to the save window.
         9-2.  The 'FILE NAME' section will let you name the file you are saving.  By default, the file name will be 'IMG'; you can delete that out and name the file whatever you like.
         9-3.  The 'SAVE AS TYPE' section will allow you to choose the file output type.  If you selected an image file, you will have the option of JPEG/EXIF, BMP or TIFF; if you selected the 'Save as PDF' option, you will be able to save the file as a single or multi-page PDF file.
         9-4.  The 'SAVE TO A SUBFOLDER WITH THE CURRENT DATE' option will let you save the file in a subfolder with the current date inside of the folder location you selected in step 9-1 above.  If do not want a subfolder created with the current date inside of the folder you selected in step 9-1 above, please uncheck the 'Save to a Subfolder with Current Date' option.
    10.  Click the SAVE button.  The scanned images will be saved according to the settings you selected above.
    11.  Once the file is saved, you will be given the option to 'OPEN SAVE LOCATION' or 'CLOSE'.  I would suggest selecting 'Close', and then going directly to the location where you specified the file be saved to.  From there, you should be able to double-click on the file to open it.

    Mac OS X (the operating system on a Mac) comes with some Apple applications, such as Safari to browse the Web, Mail to, well, receive and send email, iCal as calendar, etc...
    One of those appllications is called TextEdit, and you'll find it in your Applications folder (which should be sitting in the rightmost part of the Dock, at the bottom of your screen). It's a very basic text processor/editor, but it may fit your needs.
    You can also try a variant based on it, called Bean, which offers a whole slew of features TextEdit doesn't have. If you want something more refined and are willing to pay the price, you can opt for Microsoft Office for Mac, or a freeware such as OpenOffice, LibreOffice or NeoOffice (all three are cousins).
    You can also try the latest version of Apple's iWork suite, which you might just adopt after a while. It's quite good.
    You'll find all those apps and software via your favorite search engine...

    Are the 'five mailing lists' in a single table? ...in multiple tables in a single document? ...in separate documents?
    Are you looking for duplicates in each list, or duplicates that may appear in separate lists?
    Here's an example, with two lists, each in a separate table.
    Column C shows the number of this each address appears in the list in 'This Table' only.
    C2, and filled down: =COUNTIF($B,$B2)
    Column D shows the total for each address in both tables.
    List 1::D2, and filled down: =COUNTIF($B,$B2)+COUNTIF(List 2 :: $B,$B2)
    List 2::D2, and filled down: =COUNTIF($B,$B2)+COUNTIF(List 1 :: $B,$B2)
    Tables that are in separate documents cannot be counted together as Numbers is unable to reference cells in other documents. The easiest way to handles these is to copy all the lists into a single document, code the rows to indicate which list it came from and its starting position in that list. the coding is to allow the combined list to be re-sorted into its original order to allow collecting each group's remaining members for pasting back to the original table.
    Trim the list by deleting any row showing a count that is greater than one. Numbers formulas respond to any change in the table, so the count of the remaining copies (or copy) of that address will be immediately updated as each copy of the address is removed. Remember to stop when the count reaches 1.
