How to refine search settings in Apple Mail

I just started using Apple Mail in Lion, and I am not seeing a way to refine the search of my inbox. In particular, I would like to search my inbox by Sender, but I am not seeing how to search by sender or subject. Does anyone know how I might be able to do that?

In the mailbox list, below the word "MAILBOXES" and the standard mailboxes (Inbox, Drafts, Sent, Trash, & Junk), you should have some lines like "SMART MAILBOXES", "REMINDERS", "RSS", "ON MY MAC", and a line with the name of each of your mail accounts. Each of those lines may have subordinate lines indented below it, or they may be hidden. Before Lion, the top-level lines would have standard disclosure triangles to their left like folders, but Lion Mail removed that visual clue in favor of a word "Show" or "Hide" to the right that appears only when you mouse over it.
The Gmail Spam folder you seek is two folders deep inside your Gmail account.
Here's my Gmail account listing:
It has 41 unread messages. If I hover my cursor over the oval with "41" in it, the oval shifts left and "Show" appears. If I click on "Show", I get this:
If I click on the disclosure triangle left of the "[Gmail]" folder, voila!
By the way, this intermediate "[Gmail]" folder is specific to Gmail, Google Apps mail sites, and other mail sites using Google's Gmail code, as is the All Mail folder. Other servers will have their own folder structure.

    Hello,
    I have some problems in configuring the Gmail settings for Apple Mail.
    Following the instructions on the Google site, under Settings->Mailbox rules I have first of all unchecked everything apart form junk. Please check the enclosed image where I show my Google mailbox settings (sorry it is in Italian but the order is the same as in the English version).
    Please find below the folders view of my Apple mail following above configuration. As you can see, there are two trash folders, one on the Mac and one IMAP. But when I delete one message, it does not move in either two and it does remain on "all mail" folder.
    I simply would like to make deleted messages move into a trash folder that I can empty when I need, in order to get rid of them.

    I did try it recently and it worked for me. Did you type “recent:” in the User Name field or in the Email Address field? It should be in the User Name, which is what is used for logging in. The Email Address is used only to determine what should appear in the From header of messages sent from that account and is irrelevant otherwise...

    I have a question and I am not even sure if it can be solved. Is there a way to refine the search in Apple Mail. For example I am looking for those words" Diving Adventure Club" Now mail finds any e-mail which those words appear but not really in the sequence i want them it finds the mails with the word diving or adventure etc but not the string of words i want. I know i have the option to look in subject etc but sometimes that string of words is in the body but not in the subject
    is there maybe an add on program i could use

    My work recently changed the security on the Outlook Exchange server. I used to be able to get my Exchange email on my iPhone and in Apple Mail, but now it only works on my iPhone. I don't understand how to get my Apple Mail to receive the emails? I contacted tech support at work and they said that they don't support Apple Mail they only support iPhone.     Thanks - I did not realize that Homesharing can be specifically set to a photo destination like that!
    So, it would appear that I can either point it to iPhoto (and folders/ events within that) OR the default Pictures folder and subfolders of that OR any other specific folder (and subfolders of that) of my choice.  However, I cannot select BOTH the default Pictures folder (and some subfolder of that) AND a folder in iPhoto AND/ OR an event/ folder in iPhoto.  Is that a correct assumption?
    If so, the only way I see getting homesharing to get both set of pictures is to get all my picture folders (internal and external drive based) into iPhoto (without physically duplicating them) - and then pointing Homesharing to iPhoto, right?
    I think you have solved my issue - but I just want to be sure of that.

  • How to deactivate rules sync in apple mail?

    Hi,
    unfortunately, rules in apple mail are synced via iCloud when "Documents & Data" is activated in iCloud settings. I would have thought that deactivating the "Mail" checkbox should do that, but this one seems to be related to iCloud email adresses only.
    My problem is, that I need the "Document & Data" sync for other apps, but I cannot turn it on because then, mail rules will be synced too. This leads to a horrible mess as I have different rules on my private mac and on my business mac.
    How can I deactivate the "Documents & Data" sync just for a single app (in this case Apple Mail) and leave it on for the others? Did I miss something, or can I just turn it on and off for all apps?

    I don't have a second computer to test, but you could use DropBox, OneDrive, Box.com or other cloud service to sync your documents and data.

    I believe this is the simplest way to phrase this:
    I want everything that I do to my Gmail account, no matter where I do it (iPhone 4S, Apple Mail 3.6 on a MacBook Pro, and Gmail on the web) to synch across those three platforms.
    Now on to the more complicated part and multiple questions:
    Please correct me if I'm wrong, but I believe that the only way for iPhone 4S, Apple Mail 3.6 and Gmail web to behave completely "in synch" is to use ONLY IMAP...and therefore, the first step I took was to DISABLE POP on Gmail web, and ENABLE IMAP on Gmail web.
    Problem #1: My Apple Mail account was originally set up as POP. Therefore, I created a "second" gmail account in Apple Mail, using the same username and password, but choosing to use IMAP rather than POP. So now MAILBOXES in Apple Mail has 2 "sub inboxes" under my Inbox, which I named "Gmail Pop (for archival purposes only)" and "Gmail - IMAP." There is also "DRAFTS" (unchanged), "SENT" (unchanged), and "TRASH" with 2 "sub trash cans" - Gmail Pop and Gmail IMAP.
    * Since POP is disabled, at this point is it safe to completely delete the entire POP account from my Apple Mail? If I do that, will "Gmail Pop" disappear as a "sub inbox" and "sub trash can"? I would like to have only 1 INBOX and TRASH under MAILBOX in Apple Mail.
    * Once I am ONLY using IMAP on my MacBrook Pro, what happens when I have no wireless / internet connection (for example, when I'm out of my condo and riding on the train)? Is there any way to actually download my Inbox, Drafts, Sent and Trash folders to Apple Mail on my Mac using only IMAP - so that I have the option to work offline?
    Problem #2: I figured out how to change the setting on my iPhone so that I can actually delete messages and not just archive them to "All Mail" on Gmail Web and make them disappear from the iPhone Inbox.  The issue is that on all 3 devices - iPhone 4S, Apple Mail 3.6 AND Gmail, with IMAP enabled I now have 3 "trash folders":  I'm not exactly sure where everything is going depending where it's deleted from, but I ONLY want it to go to TRASH (and not the weird [Gmail]Trash folder nor the newly created "Deleted Messages" option in Gmail Web) - regardless of how it's deleted.
    * How do I get rid of the [Gmail]Trash and Deleted Messages options across all 3 clients (iPhone, Apple Mail and Gmail web) - so that whether I'm running my thumb over the message in my Inbox and choosing "Delete" (iPhone version) / pressing the "Delete" button on my Mac (Apple Mail version) / checking the box next to the message in my inbox and then clicking the Trash icon that comes up (Gmail version) - so that no matter how I'm deleting my mail, all that happens is that it goes into just one Trash area (on all 3 clients) - so that it gets permanently deleted after 30 days....Basically, I don't want messages lingering in a bunch of different trash folders, where some are permanently deleted and some aren't - I just want 1 "centralized" trash area!
    Problem #3: In Apple Mail --> Mail --> Preferences --> Mailbox Behaviors: If I want the solutions for problem #1 and problem #2 to work, which boxes should be checked?  I don't really understand why you would or would not put everything on "the server"... nor do I understand what "server" they are talking about.
    Problem #4: Since I've started using IMAP on my Mac, my internet connection in general, as well as my Apple Mail, has slowed down quite a bit. Will this go away once I completely rid my computer of the POP files? 
    Problem #5: Doesn't it seem pretty simple that someone would want all the same things to happen to you whether you're using Gmail web, Apple Mail, or your iPhone? Why don't Google and Apple work together to make this a MUCH simpler process?

    As a matter of fact I have never seen it mentioned before. Perhaps only a few people need such an ego-trip every time they send an email.
    The normal way is to add a photo within the text or as an attachment. The Signature only handles thumbnails.

  • I updated to Lion and now the Search function in Apple Mail is not working properly

    Even though the "All" option is selected, when I type a string in the Mail spotlight search box, the string is not found.  But I know for a fact the string is in an email and I've manually found the email (in a folder) and copied and pasted it into the search box.  Mail is still not able to find it.
    I have also checked to make sure that "Message contains" is the option in the search box.  I've noticed that in some previous searches there has been a little arrow dropdown option next to the magnifying glass icon.  But that arrow is not showing up consistently...and is not showing up now.
    What am I doing wrong?

    Ok...here's the steps to fix this as efficiently as possible.  I have a whole bunch of mailboxes under "On My Mac" and they have a bunch of mailboxes nested in them.  I get my messages into Apple Mail via IMAP.  (I don't know if this matters.)  The steps below assume you have a similar setup.
    1.  Hold the Option key down and click the dropdown arrow next to each mailbox that has one.  This will cause all nested mailboxes below it to appear.
    2.  Go to the top of the list of mailboxes under "On My Mac" and highlight the first mailbox.  Then hold the Shift key down and highlight the last mailbox in the list.  This will cause all of the mailboxes and nested mailboxes to be highlighted.
    3.  From the menu, select "Mailbox --> Rebuild" and the rebuild process will start.
    4.  Watch the top of the mail screen to see the message count change as the mailboxes are being rebuilt.  Wait until the activity stops before doing the next step.
    5.  As the mailboxes were rebuilt, many messages were reset as "Unread" even though every message was previously "Read."  Make sure the mailboxes you want to affect are still highlighted.  Right-click and select "Mark All Messages Read."
    That fixed the problem for me.

    I was calibrating the battery of my MBP and let the battery drain. It went black and then the screen lit up again and then died. It didn't go to sleep. I was working in Mail. I had to restart my computer and my Mail was messed up. I called Apple support and the first technician I talked to told me to restore the application Mail from Time Machine. I did but fortunately kept my original Mail application which is now called Mail (original). The restored mail wasn't functional. The technician called a senior representative who helped me restore my mail.
    Now I start Mail with the Mail Icon in my dock which says Mail (original) when I mouse over it.
    I trashed the new Mail, which has a Unix file inside it but nothing to double-click and start Mail.
    I tried selecting Mail (original) in my applications folder but it doesn't let me change it back to Mail.
    How do I change it back to Mail? Does it matter? I don't want any problems the day there is an upgrade for Mail.

    Reinstall applications from your Snow Leopard disc.
    Insert the Snow Leopard install disk. Open the Optional Installs folder, then open Optional Installs.mpkg
    An Installer will start... click Continue. When you get to the Installation Type in the window on the right you will see: Applications. Click the Disclosure triangle so it faces down. Select the Mail application then click Continue.
    Before you do anything else, repair disk permissions.
    Quit any open applications/programs. Launch Disk Utility. (Applications/Utilities) Select MacintoshHD in the panel on the left, select the FirstAid tab. Click: Repair Disk Permissions. When it's finished from the Menu Bar, Quit Disk Utility and restart your Mac. If you see a long list of "messages" in the permissions window, it's ok. That can be ignored. As long as you see, "Permissions Repair Complete" when it's finished... you're done. *Quit Disk Utility and restart your Mac.*

    Almost never use GMail (and wonder why I have it but it seems like I have to have a GMail account now and then).
    However, I have realized that the outgoing and incoming GMail connections aren't connected. I've been consulting GMail "help" all morning, checking and rechecking configurations and settings and I give up.
