IDocs archiving - legal requirement?

Hi everyone,
I am quite well aware of everything concerning archiving but lately a legal point has been raised within my company which is to know if we must keep or not the iDocs we archived. If yes how long?
We do archive and retain documents such as invoices, sales orders, financial docs etc.. as long as it is specified by the most restrictive law of the country where our business is present. Right now we are also archiving all our iDocs after a couple of months and we keep them in retention for 10 years, however this has a cost because it needs a huge amount of disk space. We are wondering if this is necessary from a legal point of view (especially for the iDocs concerning invoices) since the iDocs are not the document themselves but could be needed to retrace the workflow of a specific document.

note: in the past, about 5 years ago, it was possible to download prin documents as you´ve sent me. Do you know is this document is still available in the web? (print files, print document).

  • Belgium Legal Requirement at the time of GR

    At the time of GR, in SAP stock account is debited and GR/IR account is credited. But according to the legal requirement of Belgium client - P&L account no 604xxxx (Purchase A/c) and tax account should be debited and not to the stock(inventory account).The tax G/L avcount will be used for MODVAT credit.
    I need to cross verify whether is it really a legal requirement?

    You can activate the Purchase Account management in following path;
    SPRO > MM > Valuation and Account Assignment > Account Determination > Purchase Account Management > Activate Purchase Account in Company Code
    And then assign the Purchase Account to T/E Key EIN and Purchase Offset A/c to T/E Key EKG in OBYC.
    Also assign the Account Key EIN to all the condition types of pricing procedure in M/08

  • Best Practice for legally required Chart of Account

    Dear all,
    our client has a global defined chart of account. Now they are going to implement the SAP template in France, Belgium and Russia. These countries have legally required chart of accounts. What is best practice to fullfill these requirements in SAP.
    1) Do I use the alternative account number?
    2) Isn't this field on the central level of the account master data record? How do I manage to realize the different number for Russia and for France at the same time?

    Hi,
    the best way proofed by real life is to define new chart of accounts for the country specific accounts. Then to assign this chart of accounts as country chart of accounts in company code parameters.
    Then you can use field alternative account number in company code segment of G/L accounts.
    Just keep in mind that the assigment should be 1:1, i.e. one operative (global) account is assigned to one local account and one local account should be assigned to one operative account.
    You can't change the alternative account number if there is balance on that account. You can just repost the balance to another account, then change alternative acccount number and then post the balance back. For some accounts its difficult to do such excercise so I use short ABAP which changes directly the field in table SKB1.
    You can also define financial statement strucutre based on local chart of accounts - which is usually easier for maintennace, because you can use intervals. Just do not forget check "Alternantive accounts" in RFBILA00.

    I am facing one issue while performing IDOC archiving in BW system.
    While running write program with RSEXARCA, I am getting ABAP dump DBIF_RSQL_INVALID_RSQL
    with a exception CX_SY_OPEN_SQL_DB. 'Error in RSQL module of database interface' as a short text.
    Please let me know what could be the problem.

    Long runnning IDOC Archiving jobs: ARV_IDOC_WRI* are being observed in PRD system with Avg runtime > 150,000 sec.
    Job Details:

    These jobs are also resource consuming & extensively using CPU & Memory.
    For info: These jobs are getting finished but only after long runtime.

    Hi,
    Since the variant used is fetching data for the entire month, you could try splitting the jobs and have multiple runs instead.
    You can also try to schedule the jobs when there is minimum system load, incase its not already done.
    As far as the program is concerned, if this is standard program, there is little scope for tuning.
    You can always check for related index quality and statements with high CPU costs to better understand why the job is running for such a long duration.

  • RSEXARCD: Idoc archiving deletion program issues

    Hi,
    I have two queries:
    1. The Idoc archive deletion program, RSEXARCD, when executed in background, terminates when there are no archive files to process (as seen in SARA). How can we prevent this? Our deletion jobs are scheduled weekly, but sometimes there are no archive files created from the archive write program RSEXARCA.
    2. Secondly, how can we process multiple archive files using this program RSEXARCD in background? Currently, it processes only one archive file at a time and takes up the oldest unprocessed archive file. Also, would like to know how it gets this information of the oldest unprocessed archive file?

    if a program terminates, then you should look into the dump to see the root cause and follow the instructions. e.g. search for OSS notes with the metioned terms
    I just searched with the terms "archiving idocs termination" and found 12 notes with program fixes.
    Further, the program names you mentioned are not the most recent programs.
    Have a look into OSS note Note 582828 - IDoc archiving: Standardization
    maybe you will not have your problems anymore if you use the new programs

    As for as updation of statutory registers are concerned, it is the duty of  FI people whether the values are flowing correctly. 
    From SD side, you should ensure that in billing document both excise and tax values are flowing correctly and accounting document are generated.  Also the excise invoice has the relevant duty values.

  • Delete job failed in IDOC archiving

    Hi Gurus
    Delete job for IDOC archiving failed with the following error.
    "Job started
    Step 001 started (program RSEXARCD, variant PROD_DELETE, user ID CTMBATCH)
    Archive file 002558-001IDOC is being verified
    Operating system message: Permission denied
    Archive file 002558-001IDOC does not exist
    Error during verification when accessing archive file 002558-001IDOC
    1 archive file(s) were not successfully verified
    Job cancelled after system exception ERROR_MESSAGE "
    I checked the status of the job in management , and it says Write and Storage is successful.  I checked for the archive file and it is present in Exchange directory.
    As the error message states that "Operating system message:Permission denied", so I am expecting that It should be related to some authorization for the directory. Or might be if authorizations has been modified for uid which. But I am not sure on this. How can I confirm this on SAP level ??
    This job is a weekly job but it failed this time. What else should I check?
    Please let me know if anyone has encountered similar issue before. I wish to know the reason for this error and the resolution to it.

    based on your description I am not quite sure if this is really a question on DMS. Could you please provide more details about which IDOC type do you use and maybe some error message number. This would help to clarify the reason faster.

    Good luck with that. I have never seen any "list of all countries" before like you are wanting. This will typically be part of your requirements gathering and blueprinting tasks.
    Just one question....what is your "global template" for implementation and what is your scope for localization? That will dictate much of your work.

    I am in the initial stage of implementing SAP for Andina countries. The list is as below
    1. Chile ,Peru ,Colombia , Venezuela
    2.  Panama ,Guatemala ,Costa Rica  ,
    3.  Ecuador ,Trinidad & Tobago ,Domican Republic
    Countries in point 1, I managed to get some information from SAP help , Is there any special legal requirement for countries in
    point 1.
    I am not able to get hold of any legal requirements for these countries,esecially for countries in 2 and 3. I guess countries in point 2 are Business one countries...Is there any special activation to be done if we have Ver 4.7.
    Please help with information on the  legal requirements for these countries and can they be managed by SAP or do we need any third part vendor or tool to handle them.

    I will check with the SAP R/3 team.But need a confirmation - Chile,Guatemala and Costa Rica are part of Business One package.
    Is there any specific configuration or requirement which is available only in Business one and not available in R/3.Or is the difference only in terms of architecture and no impact  in meeting business requirements.
