Import Electronic Bank Statement Automaticaly?

Hello,
Currently we are using transaction FF_5 for importing bank statements manually from some folder on our server into SAP ERP system. Now we are working on a cooperation with some company that will make sure that we will get bank statements from banks into a folder on one of our servers automatically.
The question that I would like to ask you is if there is a way in SAP to automate the import of such statements with some built in solution or we will have to make a custom program or program modification?
I would also like to point out that the bank statements in this folder would have different names and when they would get imported in SAP they would have to be moved to some other folder, so we would know which one wes already imported and which one not.
I will appreciate any help that you can give me.

Hello,
The best approach is to prepare the files with time stamp, i.e., date and time.
There is no standard functionality. You need to take help from ABAPer and need to write a program.
Schedule this progam at regular intervals.
Make sure you need to keep lot of checks.
1. No duplicate file is being generated.
2. No manual intervention into the files.
3. Processed files are separated to another files.
4. Error recrods are copied to a separate file etc.
You can think on these lines and develop the program.

    1. When we import electronic bank statement (swift format) where is the entries are getting stored in the table level.

    please have a look at note 494777. there are several user exits, open-fi events, badi, .. for enhancements in the electronic bank statement process. maybe you can avoid a modification in the tables with these enhancements. moreover you can use BDC fields in transaction FEBAN (subsequent processing), if you want to fill certain fields in the posting, which are not included in FEBAN.
    For Example: fill the taxcode in the subledger posting
    ("sorry, can't remember all the fields by heart")

  • Automatic Import of Electronic Bank Statements (EBS)

    Hi SAP Gurus,
    We want to solve the following issue:
    Daily we receive multiple Electronic Bank Statements by means of banking Communication Software (BCS).
    Those EBS files are stored on our SAP Application Server, filetype = SWIFT MT940 format,
    and the file name contains a date and time stamp.
    File name example: MT940.90910077527_20101124_210421_167660
    Currently the import of these EBS-files is done manually via transaction FF_5 (program: RFEBKA00).
    We want to automate this import process.
    Every time a new EBS-files arrives (in a specific directory) on the application sever
    a signal (including the filename) should be send to SAP, so SAP knows there is a new EBS-file available for import.
    SAP now runs program RFEBKA00, with the provide filename, in the background.  
    Any ideas how to do this?

    I think there are several ways to do it. In our case, we have a program which concatenates all received files into a single file and which launches RFEBKA00. It runs at fixed time, outside the working hours of accounting clerks. It is possible to trigger the program at file receipt, but there are problems if somebody is working in FEBA at the same time RFEBKA00 is working on the same bank account: then RFEBKA00 stops without doing all postings.
    If you trigger RFEBKA00 at file receipt, you may have several jobs running in parallel, and if 2 bank statements received in separate files are for the same account, you will have the same problem.

  • Electronic bank statement importing error

    Dear Guru,
    We've just upgraded support package upto last version and then happened to see errors while importing account statements in SWIFT MT940 format.
    Message says,
    "House bank table: No entry with bank key  and acct 40443751657275"
    Procedure
    Maintain the house bank tables.
    Actually, there are bank key, account number in SAP.
    This error message is somewhat misleading.
    Is there any special programe to generate "Electronic bank statement"?

  • Electronic Bank Statement Determining Incorrect Business Partners

    Have an issue with some electronic bank statements we import into SAP. Several of the line items we get from the bank identify the incorrect business partner when creating the payment advice. We are using intepretation algorirthm 001 to interpret the Note to Payee field in the statment.
    We do have 5 search strings in place which do successfully replace the text in the Note to Payee and replace with the vendor #. These work just fine.
    What is weird to me is that when I repeat the issue in another environment and simulate using FEBSTS, it is finding "document numbers" that are text strings and somehow determining the vendor from that. I cannot figure out what logic it is using to do this and why it thinks that when it sees ABCDEGF in the Note to Payee it should be for vendor 1234555, for example.
    These are files from Citibank and the Note to Payee field is in German if that make any difference. The easy solution is to setup search strings that correspond to the text found in there like we do for the other 5 instances which would solve it but we probably won't catch all instances upfront and this issue will still be present;

    Hi All,
    My Client is implemented Electronic Bank Statement using BAI format.
    GL Accounts set up is wrong (all bank accounts should be clearing type accounts (Open Item managed, except Operating Account (Main bank account))),but these accounts are not set up as open item management.
    How can I handle this issue and is it possible to create new accounts or any other alternative solution? Any help is appreciated.

  • Electronic bank statement in Foreign Currency

    Hi,
    We have set up the system so as to create a payment order when automatic payment program is run. Now, we have a scenario, where house bank is in local currency - SEK. This is used to pay the invoices in foreign currencies USD, DKK etc using automatic payment program. The electronic bank statement  we receive from the bank has transactions in different currencies. We convert this  to multicash format using DME engine, mapping the amounts in local currency to the statement and item file.
    When  try to clear the invocies by importing this multicash statement, following error message is generated.
    Message no. F5794 i.e. XXX  is not a payment order for currency XXX. Correction required.
    Any ponters to solve the issue.

    Thanks for your reply.
    The thing is, payment orders are in a foreign currencies - USD , EUR etc. The clearing account is in local currency SEK. The bank statement has amounts both in order currency as well as local currency for every order. But when we are clearing using multicash, we are trying to pass the amounts in local currencies for each order. This is because,  as far as i understand, it is the currency in multicash statement file that is used for clearing . And there can be only one record in  multicash statement file. So we have to use the local currency for clearing.

  • Electronic bank statement Germany

    Dear all,
    I should configure electronic bank statement for a German customer that should change from one system to SAP. Their format on electronic bank statement is MT940 and in the file they have all transactions that appeared on their bank statement; incoming payments (both manual and by direct debit), outgoing payments (both manual and automatic paymens by file) and other costs as bank fee (total to about 5 cost accounts).
    When looking at transaction FF_5 i have some questions:
    1. I guess in Germany, when having format MT940, I don´t need to convert the file in FEBC?
    2. In FF_5 - elect. bank statement format should be entered, which one should I use?:
    G SWIFT MT940- Field 86: Structure Recgnized automatically
    I SWIFT MT940 international format (field 86 unstructured)
    or
    S SWIFT MT940 with field 86 structured?
    3. What is the difference by statement file and line item file, should I have both? Today, in their current system, they only import one file from bank, so if I only have one file, which field to use?

    The ?20, ?21, ... are in the record beginning with :86:.
    Here is an example:
    :86:835?00PAIEMENT?20FRE / 22548?31xxxxxxxxxxxxxxxxxxxxxxxx?32xxxxxxxx
    In most cases, you have ?00 and ?20 but there are other possible codes like ?21, ?22, ?23, ?31, ?32, ...
    Eventually, the ? may be replaced by another character but I think it is not frequent. In this case, the first character after the 3 digits following :86: is the character replacing the ?.
    Look at your MT940 files and you will see the presence or absence of these ?00, ?20, ?21, ... codes in record :86:.
    If there are present, it is structured; if not unstructured.

    plz can any body pass some inputs on electronic bank statement.
    we have received the electronic statement from bank recently and want to upload it to SAP.
    we try to use the TCODE: FF_5 to import the statement.
    but in that tcode need to specify the statement file and line item files.
    actually whatu2019s that files mean ..Where we have to generate those two files from the existed electronic bank statement wt we received fromt the bank.
    and those file should be in which format...?
    plz advise i have not worked on the electronic bank statement before....
    i have done all the related configuration settings in the system... i have assigned the external transaction type MC ( multi cash format) to My bank Key in the config.

    Hi Sandhya,
    For this you need to do a lot off customizing and testing, perhaps to imlement an user exit.
    When you have activated EA-FIN you have more options.
    The setup is different by country, bank, record format,.
    Have a look in customing and click on help. There are some examples available.
    SPRO: Financial Accounting /Bank Accounting/ Business Transactions /Payment Transactions /Manual Bank Statement
    The first step is to look to your bank statements from the last year and write down all possible cases and how you post it. (Like customer invoice, bank transaction code XXX in the text you will found the invoice number, bank costs, interest, slaery payments,......)
    Based on this you can set-up the rule's (customizing - User exit)

  • Statistics on automatic processed payments by the electronic bank statement

    Hi fellow sap knowledge hungering colleagues.
    I have set up the EBS application in my company and it has now run for 4 month with ok success.
    I now have to do a follow-up on the project and therefore I'm interested in seeing how many payments have been automatic processed by the EBS application.
    I cant seem to find any characteristics on the payment documents that separates the ones that have been automatically processed and those that have been post processed in the FEBA transaction. When each statement is imported you get a sum up on how many pay-ments where automatically processed but is it possible to see overall statistics for all the statements and if not is it possible to recall the statistics for each imported statement?

    the bank normally includes the details provided by the customer in the bank statement.
    depending upon the information provided, the user can clear the customer line items. In order to auto clear using EBS, you can use enhancement FEB00001. You can have your logic to auto clear.

  • Importing UK Bank statements:  Lloyds of London

    Hi all
    We are an Australian Business partner that has a client thats opened up an office in the UK, we are trying to setup the importing of the electronic bank statements under Bank statement processing however all three UK formats that we try fail to import ( SAPBUKIB_APACS, SAPBUKIB_BAI or SAPBUKIB_LTSBCSV ). The Bank that we are getting the CSV from is Lloyds of London. If any one has some documentation on what file format to use of where I can get them it would be greatly appreciated.
    Client is using SAP B1 2007A SP01 PL09

    Hi Werner,
    you need to contact the bank & obtain the format of their bank statement. Once you have that, you can use the Format Defintion add-on to create the plug-in.

  • Error in uploading MT940 format - Electronic bank statement

    I am configuring the electronic bank statement.Here I am able to do so using the Swift MT940 international format. Bank Statement is imported and postings made to bank account.
    One bank will provide the data in MT940 format. I tried using the MT940 file directly, however I get the message - Account statement not updated.
    Please help to reslove the error

    Hi,
    As Nikhil said,  we have two different files in MT940 (structured and unstructured). Select correct one while processing.
    And also check if you maintain external transactions and posting rules for them in the configuration.

    Hi All,
    i am first doing the electronic bank statement upload to SAP.
    i already done the related config for this.  i did check with my Client bank about the statement format and they able to provide the statement in SWIFT MT940 only not in multi cash format.
    Is any body done this before i mean upload the MT940 format to SAP. If so please share your experience with me.
    i need:
    1) The format of SWIFT MT940 file.
    2) Is any SAP notes related to this format?
    one important thing is -> 1) is this SWIFT MT940 format got two files(statement file  and line item file )  like mult icash format  or only one file.
      2) if this format got only one file  in which field we have to use  to upload this file in TCODE. FF_5. -> Line item field or statement filed.

  • Electronic Bank Statement - Reg

    Hi All,
    I have configured the Electronic Bank Statement for multicash format. The entries are flown correctly from clearing Account to Main Account once you import the multicash format. We are working SAP R/3 4.7 In this format in Note to payee 1 column bankers captured the cheque number and in note to payee 11 column they captured deposit slip Number.
    When we post the receipt entry we capture the cheque number in assignment column and deposit slip in the reference 3 column.
    After that entry when we import multicash format and subsequent posting to main account system should check the note payee 1 with (Assignment) and note to payee 11 with reference 3 if both are matching the entry should post from clearing account to main account. If any thing is not matching the entry should not pass and system should show that item in error.
    Then user has to run the manual process I have tried with interpretation algorithm also but system not even checks single item. Systems are not throwing any error item.
