Importing Styled Text from Word

For a publication, writers submit stories in Word format, with the Normal paragraph style set to Times New Roman. Within the paragraphs are numerous instances of Italic and Bold.
My InDesign file has the Normal style set to ITC Garamond Light. When importing, the ID style definition for normal replaces that of Word, and the Times New Roman Bold comes in as ITC Garamond Bold. But the TNR Italic produces the Missing Fonts warning, because, of course, there is no ITC Garamond Italic. My solution has been to then run Find Font to replace the one Italic with the other.
But I've been wondering if there might be a more seamless way to replace the font automatically?

When you are importing the text, click "show import options" then click "Customize Style import" and then press "style mapping". A dialog box will come up that let's you map the Word style to your ID style. If there is a style in the list that isn't in your ID file, you can go backwards, and create that style the way you want it. Then, go back to theh import options and map theh styles accordingly.

    Hi. I'm in a new position, new to Robohelp (running Robohelp 8) and new to the documentation world, although I have been deeply immersed in Word for years. I'm running word 2007 in my new job.
    I am trying to set up a workflow in which documentation is maintained in Word documents that are linked to a Robohelp projects. There is a Robohelp project for each software product.
    I have been able to get most of it working, using matched styles, but I can't seem to find information about how to create a structure in Word that will convert into DHTML dropdown and expanding text in Robohelp. I hope I am not overlooking something obvious.
    We use dropdown text widely in our documentation, as a tool for offering small amounts (a sentence or a paragraph) of supplemental or explanatory information. Is there a method of preparing this material in Word and then importing it into Robohelp? I don't want to have to recreate it after each import from Word.

    Hi folks, Rick chiming in here.
    As I see it, there simply isn't a way to format anything in Word that will translate to a DHTML drop-down when it arrives in RoboHelp Happy Land. This is largely because the DHTML drop-downs don't occur by virtue of simply applying CSS. You must use RoboHelp to choose what becomes the drop-down and special code is added. Essentially, the text that is part of the drop down is placed in a special DIV at the top of the topic. Then JavaScript is used to present the DIV.
    However, I do have a thought or two. And part of this will require that we ask Willam to chime in as he seems to be our resident RoboHelp Scripting guru.
    Here's the thought. You stated that you are being diligent about applying styles. So I'm wondering if you developed a couple of specific styles that you would apply in Word. Then by knowing the name of the styles, assuming these carry over into RoboHelp, you could use the RoboHelp scripting engine to scan the text for the style name and magickally convert that to a DHTML drop-down. Again, only Willam (or Praful from Adobe) can say whether that will work.
    The other thought surrounds migrating all of it to RoboHelp and abandoning Word. You have the PowerPoint issue to consider. And again, I'm wondering if CSS can come to our rescue here? My thought on that is that you could have the specific CSS styling in RoboHelp that you are using in Word. When you create the printed output from RoboHelp, hopefully that styling would translate right into the document that could then be used to propagate the PowerPoint.

  • Keep italics while styling text from Word

    I have a long book with loads of endnotes. I've gotten them to come in with italics preserved. However, I still need to reset the styles for them. But any change kills all italics. Is there a way to re-style the text in general and preserve the existing italics? There are hundreds of these, so going back to touch every one is an evil undertaking.

    Will do. In this case, I just needed to maintain italicized titles within endnotes. All of the endnotes are being stripped from their sections of this book and compiled in their own section in the back. So, once I bring in the content, I'm free to move them around. The issue has always been that my client never quite follows the style rules they are given to make the process flow easier. They overlap styles, apply random fonts, etc which I have not been able to get InDesign to suck in and map correctly. So, while the endnote style I mapped is applied to all of them, they still have a bogus Times Roman font applied on top. When I option + click my style, it kills off the italics in the reference titles. Same happens for the endnote reference numbers sometimes.
    But, you're Find + Replace steps worked perfectly. I now know a little bit more about Find + Replace strategy. If I did more pubs of this sort, I would surely like to find ways to cut off all this issues at the pass. This pub occurs biennially so, the pain and proposed solutions fade between hits. All of the data in the pub, we have split out in Excel, which works great–tables, charts, graphs etc.
    This is number 4. If the fifth one is on the table in 2012, or any others that may occur, do you have any recommended reading that covers a solid process for handling 200+ pages of endnoted content from Word...besides relying on clients to actually follow the instruction provided to them?

  • CP 5.5 importing localized text from Word changes formatting in text boxes - Localization in general

    Hi All,
    I need to localize my English CP 5.5 project into multiple languages, up to 27 .
    To check that I will not run into issues I tried out on how it works.
    This is what I did:
    Make copy of the English project
    Renamed the project with extension of language, xyz_German.cptx
    Exported Project captions and text captions to word
    Open file looks it does NOT look good, the two columns OK but the formatting is NOT as in project - Bullets are missing etc.
    Nevertheless I changed some of the text in the 'Updated Text Caption Data' column
    Went back to the project and imported the Project captions...
    The project was updated
    And I saw the items reflected from the Word doc were I did not make the language changes.
    Now I am puzzled on how to proceed:
    Why do I not see formatting such as bullets in text boxes in the Word doc. - BUG? - Fix?
    Is Word the right translation media for so many languages?
    Is Export to XML a better choice?
    How can I ensure that formatting in different languages will be OK - Icannot read all of the languages such as Chinese (S)
    If Word would be the choice, how do I ensure that the translation company does not change the formatting?
    OK this for a start.

  • Importing text from Word file while keeping formatting

    I have text set up to convert to Goudy Oldstyle. When I try to import formatted text from a Word file, the italics don't translate to Goudy Oldstyle italic. It becomes Goudy Italic and then reads as a conflict. How would I be able to reformat just the italics?

    Find Font is also in CS2 (Type > Find Font). Very easy, very simple.
    In CS2, Find Font doesn't have the same Redefine Style functionality
    that it does in CS3, but you can still find a missing font or font
    variant and replace it with something that's not missing. You would have
    to redefine styles manually, but you can use Find Font to figure out
    which styles need redefining. (That is, if you've used styles; we don't
    know yet because you haven't said.)

  • Pasting text from word replaces Keynote styles

    I get documents that are styled in Word that I have to convert to Keynote. Even though my text boxes are styled in the Master Slides, when I copy and paste text from word it comes in with all of word's formatting and disregard's Keynote's styling for that text box. I tried to convert the word docs to rtf or just plain text, but the text just imports without Keynote's styling applied to it. It would be very tedious to have to style each text box as I bring it in to Keynote. Does anyone have any suggestions to make the workflow less painful?

  • Pasting Text from Word to InDesign (need preserve selected formatting)

    When I import text from Word to Indesign I want to preserve the Italic and semi-bold but nothing else.
    The Indesign document has a template set up with ipsum text styled with semi-bold and normal text as well as a character style for the italic.
    When I paste the text into InDesign I want the ital and semi-bold to translate into the already styled text frame with no other formatting from Word.
    As there will be hundreds of text frames like this I want the ital etc to automatically translate. I also need to paste text over these templated text frames (see attached.

  • Importing a TOC from Word

    Apologies as always if already mentioned, but could not find it...
    I have a large PDF I produce regularly from multiple other PDFs. The large PDF has a 'custom' TOC that I keep in a Word document (i.e. I don't use the bookmarks created by Adobe). I'm looking for a way - if it exists - to 'import' the TOC from Word to populate Bookmarks in Acrobat. Doesn't have to be Word - Excel or even Notepad would be fine. Acrobat 8 Professional on a Wintel box running XP.

    Yes, you can automate getting the text into bookmarks. In your list document, I suggest creating and applying a custom style for your bookmark-text paragraphs.
    Then create a PDF from your list document, but specify that PDFMaker create bookmarks for paras with the custom style. This results in a PDF with your bookmarks -- they don't link to the right location yet, but they do contain the correct text.
    You can even create a multiple level structure of bookmarks if you use more than one custom style etc.
    It's just like creating bookmarks in a normal document, but your list document doesn't have any content other than the "headings" you want to convert to bookmarks.

  • AWT only canvas - styled text, images, word wrap and url posting.. how???

    Wassup people!
    Ive created a java chat client which uses the JTextPane to post messeges, emoticons and styled text. But the main problem here is that the majority of web browsers only support awt. Telling the users to download the latest jre with swing is long and most would rather go to another site, so i have reprogrammed the whole client in awt apart from the textpane. I now face the problem of creating a canvas that supports styled text, images, word wrap and url posting.
    I am only a beginner in java and the initial client was quite easy to do using swing, but to program an efficient canvas that supports this has proved to be quite challenging. would anyone beable to show me the best way of doing this? or refer me onto a library that already supports this? or is there even an awt version of the JTextPane somewhere which would save alot of time? any help would be most appreciated.

    I've seen a few APIs that are 100% pure java in 1.1 that implement a styled text area. They aren't free though and I'm pretty sure someone made some money off of the fact that java 1.1 didn't implement a styled text area.
    I understand the problem you are having. Before the days of swing styled text was something you wished you had. Just so you know, there is no easy way of doing this. You could always paint it yourself with a canvas in a scroll pane but then you get to the point where, unless you did some serious mouse handling, highlighting text becomes very difficult.

  • Copy text from Word '03 into RH9

    I need to copy text from Word into RH in a way that does not bring in the Word codes.  I can obviously copy the text into notepad and then into RH, but I am wondering if there is a way to do it that would be similar to the "Paste Special / Unformatted Text" command in Word? 
    We cannot have the word codes in RH because we translate our user manuals and then use the translated UM text to gain discounts when we translated the html help files.  These codes throw off the matching and cause us to gain hardly any discounts.  Even simple formatting, like a bolded word puts in the word codes into the html code. I made the mistake of thinking if I unbold the word in RH then everything is fine, but little did I know the Word code was still in the HTML. 
    I appreciate your help.
    Also, I am open to suggestions on a better way to get my Word text into RH to be help.  I've started looking into Importing and Linking, but haven't figured out if they would be all that beneficial to us.

  • Auotmating Text from Word into InDesign

    Here is my situation: I am the graphic artist and layout person for the company that I work for.  We produce layouts that have a pretty consistent format.   Each layout has definite text sections.  These text sections are written by the research editor and put into a single word document.  I then have to copy and past the various text sections into the layout in InDesign.
    I know that if my Research Editors worked in InCopy it would elminate the need for me to copy and paste the text from word doc into the the layout document.  The problem is that one of the editors is a contract worker that is outside the office.
    I was wondering if there was some way to set up a template in word.  The idea would be that once the document is finished it could be imported into InDesign in a way that it would automatically populate the the text sections in the layout.

    Well you know what I mean, by copy and paste.  I place the text in first to preserve the formatting.
    This seems backwards, to me. Is the "formatting" in the Word document based on styles? If it is, you can map your InDesign styles to your Word styles on import. If it's not, then I find it much faster to change the formatting into styles immediately upon import.
    If you're not using any defined styles at all in your InDesign document, then yeah, I guess that copying and pasting is faster and a better way to preserve the manually applied formatting in Word. But why do that, when using well-defined styles in ID can be significantly faster?

  • How to link text from Word?

    How can I link the text from Word to InDesign? Is it merely to link the entire document, or can I link the same document multiple times? This is because I want to add pictures and graphs between the lines.

    File > Place.... and select the document. You might want to show import options as you do this. It will import as editable text that you can manipulate in just about any way you like. Ordinarily this text is not linked back to the original file, so subsequent editing in the Word file will not be refelcted in ID, but you can set your preferences before importing to Create Links to Text and Spreadsheet files (under File Handling) if you want to be able to update to any changes (editing and formatting you do in ID will be lost when you update, however). This option can be turned on or off as desired to link some files, but not others.
    If you wish to, you can place the same file multiple times, but there may be simpler ways to get multiple copies, so more details about waht you need to do might help.

    Whenever I copy/paste from web or Word it removes the hyperlinks.  And when I try to do it by "Place"ing a Word document into my InDesign project it keeps the formatting with it, the rectangles around the text.
    I have the latest version of InDesign.
    Any help is appreciated. 

    Copy-and-paste may not include formatting. A regular import using Place is the best way.
    The rectangles around the hyperlinks are just to indicate they are links -- they do not print, but they do show up in your PDF.
    You can remove them by double-clicking the hyperlink in the Hyperlinks panel and select "Invisible Rectangle" as type.
    Typically, Word hyperlinks are formatted -- blue text, underline -- with a Character Style. If you want to remove or change the formatting, all you have to do is change the character style. My experience, though, is you must check all hyperlinks because for no apparent reason sometimes they appear in the document without the character style.

    Your line breaks will most likely be incorrect if you don't turn on the Japanese Composer.
    It is almost absolutely impossible to accomplish your goal without having a font - any font - installed on your system that has that glyph. However, if it's showing up in Word, than means that you must have that glyph installed, right? What font are you trying to use in InDesign? You might already know that Word will auto-substitute fonts when it encounters a missing glyph, so we really don't know what font is being used to render that one glyph. The whole sentence might be in MS Mincho but one glyph might be pulled from another font if MS Mincho doesn't have that glyph.
    That being said, you're going to break it if you don't know how to set Japanese type in ID. It's not something where you can just copy text out of email and paste into your English layout.
