InCopy CS6 and InDesign CS6 workflow

Hi there, I just started a 3 day per week job at an architecture firm. They have about 35 staff, and use Word to format some pretty hefty reports. They are in one column, rather ugly and doesn’t reflect at all the professionalism of the firm.
I’m looking at trying to integrate the workflow, so that they can maybe use InCopy and InDesign together, effectively replacing Word for report use. I’m only in 3 days so it’s impossible for me to use a Word > InDesign workflow with the amount of changes (mostly last minute and to tight deadlines). It just takes too long. The architects and historians need to be able to write these reports themselves, with my skills coming in when it's the final format ready to send to the client.
We have licences for about 5 copies of InDesign CS5 at the moment, and 35 licenses for Word, so we’re looking at the costings and if the InCopy to InDesign workflow would work well for much of the communication here. The report writers use hundreds of images/diagrams in each document, and all these have captions, so I guess it’s important to use an inline compatible design where the users can add images in InCopy and these are brought over to InDesign without too much fiddling around at the end.
The aim is to have the report writers use a collaborative system, but using corporate open type fonts that display well on screen. We are using Trade Gothic, and it doesn't represent on screen very well at all. The report writers hate using it, especially as their zoom size in Word is normally around 90%.. The other problem is the lack of layout optiions with Word. The reports could save hundreds of pages just by using a 2 column system which can save rivers of blank white space within text.
Also we need the ability for the writers to be able to add images and resize/rotate landscape portait format etc.
I’ve downloaded a trial version of InDesign CS6 and InCopy CS6 so am just checking things out and testing it at the moment.

Using Dropbox for InCopy/InDesign workflows works really well. You keep all your projects in Dropbox as though it was a networked, local server.

  • InCopy6, InCopy CC, and InDesign

    We are a small business with a tiny IT department. We were all happily using InCopy 6 and InDesign 6 until we added two new employees. By then, version 6 was no longer available, so one employee was given InCopy CC and one was given InDesign CC. IT then told us we had to work with what we have. Does anyone have any suggestions as to how we can do this? Help!

    I don’t know who told you it wasn’t but CS6 is still available directly from Adobe.

  • InDesign CS5 and inCopy CS6 workflow problem

    I've looked at other discussions and haven't found any to answer the question to our problem.
    We are a small publishing company and we have license for roughly 7 inDesign CS5 copies that we purchased a year ago.  We contract with outside editors to edit content for us using inCopy.  For a year there hasn't been any problems.  But any new contracted editor we now sign, which in turn purchases inCopy, we are having trouble with our files talking to one another.  Any new contracted editors are only able to purchase CS6 inCopy.  This leaves us with the problem of having inDesign CS5 on about 7 or so of our employees machines and 6-8 CS 5.5 InCopy on outside contracted editors and an additional 3-4 contracted editors with CS6 inCopy.  When the editors with CS6 inCopy try to open files from our InDesign CS5, either they won’t open at all, or they will open, the editor works on the project for awhile, their program crashes and they are not able to recover (re-open) the files again.  Which results in hours of lost work.
    Has anyone else come across this problem?  Is there a work around or a quick fix.  We would hate to have to upgrade to CS6 for all of our in house copies of InDesign and then ask our outside editors what do have inCopy cs5.5 to upgrade to CS6. 
    If this is the case, when CS7 comes out, and we hire additional outside editors, will we continuously have to go through the process of upgrades again?  This is too costly for use and our existing contracted editors.
    Any thoughts are assistance would be appreciated.
    This is one of the error messages received from an outside contracted editor using inCopy CS6.  The file crashed after several hours of work, when the editor went to reopen the file, they received this error.  Which looks to be a generic error code that doesn't tell us anything.

    Unfortunately different versions of InDesign and InCopy do not work well with each other. Newer versions of the program should be able to open older files, but they cannot save backwards. I am not sure what is causing the errors with the newer versions of InCopy however.
    Are you able to open the CS6 InCopy files on your computers?   

  • InCopy CS4 and InDesign CS4 cannot open file at the same time!

    I have 2 editors that make changes in my indd file. The one editor is able to open the file concurrently with myself (i'm in indesign) just fine. But when the other editor wants to open the file....I cannot open the indd file and vice versa. We are PC based.

    Yes, we are all working on the same server.
    And Yes on the Editor A / scenario 1  (Designer opens file and Editor A opens file concurrently). works fine.
    Editor A closes out of Incopy and so does Designer. Editor B opens the file and Designer tries to open the indd file and now the designer gets the warning: Cannot open document. You may not have permission or the document may be open already. This is the same error if the Designer opens the file first and Editor B tries to open it while the designer has it open.
    Editor A and B are able to have the file open at the same time no problem.
    Also this happens to all indd files that Editor B tries to open. So it is not linked to a problem with the file.
    one other note: on the server just above the indd file...when Editor B has the indd open in InCopy... a 'temporary' Indesign Lock File appears.

  • InCopy SC5 and InDesign CS4 compatibility

    Hello,
    I’m on an older Mac G5, 10.4.11 and I am running CS4. The editor I work with is on a new iMac, 10.6.3 Intel Core I3 with InCopy CS5.
    I’ve set-up my InDesign assignments for the editor to edit in InCopy.  My only options when creating the assignments were to save as CS3 or CS4. I’ve saved the assignments in CS4. The editor in InCopy isn’t able to see the layout view on some of the assignments/stories and also isn’t able to make any changes in any of the different views.
    When she tries to “check out” the file she is prompted with this message, “Unable to lock the following files:Workshop:PRODUCTION:INCOPY-INDESIGN EXHANCE:2010 Magazines-InCopy:HE10 Fall-InCopy:Celebrating 25years-Hiring .icml.”
    The InCopy files are located on a server we both can access. I’ve made sure that her username is correct when I assigned the files.
    My questions are could this be a server issue because the InCopy assignments are saved on a server and there is a problem with her username or password or could this be a compatibility issue between InDesign CS4 and InCopyCS5?

    The main problem is that you're on CS4 and the other person is on CS5. These applications were not meant to be used that way.
    You'll need a new computer to upgrade to CS5 for this work successfully (CS5 is Intel only). But I would also suggest that the editor run the CS5 7.0.2 patch which was released this morning and does address some issues that might be at work here.
    Even it does, you need to be aware that because of text engine changes you will not likely be able to get a true indication of copy fit from one person to the other.

  • Use and possibilities of inCopy and inDesign CC in interactive DPS layers

    Hi,
    We like to give our editors access via inCopy in our inDesign DPS files.
    As I understand; text, like images is displayed in the Links panel.
    Is it already possible to have inCopy CC assigned text in the interactive DPS layers?
    All help welcome!

    I was able to use InCopy with a text frame that was incorporated into a scrolling frame overlay, but it seemed a bit "wonky" with formatting. (Formatting was lost between InCopy edit and InDesign.) My guess is that it should work in an MSO as well, but I didn't have time to test that theory.

  • Images placed by InCopy disappearing in InDesign

    Hi,
    Does anybody ever faced a problem with images placed by InCopy CS5 (running Windows 7), that desapears when the INCA or INDD file is opened back in InDesign CS5 (running Windows 7).
    A client of mine (a newspaper publisher) is trying to solve this problem that they never had when they worked with InCopy CS3 and InDesign CS3, but started the same day they upgraded to CS5 version. Sometimes the images appears rotated in InDesign.
    This problem appears randomly (average three times each 100 images) and we cant identify any kind of feature or property of the images that make it happens, but is very annoying (the art team needs to place the image again) and quite dangerous if nobody realizes the rotation.

    I´ll recomend to the managers of all departments envolved to check the Link panels as soon as possible in InD and InC when the problems happens again, but as far I could see, in both aplications and all users, it's like that the the images were never placed. The InC users places de images from a folder in a Server, and everybody have privilegies to read and write into the server.
    All the templates and InD files were created in the CS3 version and converted to CS5 version by the opening process.
    Unfortunatly, due the fact that there are not a kind of "model of behavior", the problems can happen in any file, page or image frame.
    It looks like that a Gremlin that lives into the server, ramdomly chooses a few images every day and erase or rotate them... rs rs
    I´ll suggest to them to try to isolate the problematic frames into the InC and InD files to delete and recreate these frames into the templates files, or even the entire page or file.

    Ah right, yes, good point. We never use that method, only assignments. I Guess an INDD file would be another story indeed! Will test. But hey, never open an INDD, to big, use assigments always! ;-)

  • Can my users continue editing in InCopy CS6 while I move to InDesign CC?

    My company has moved to CC but the marketing team is sorely behind the curve and out of my jurisdiction and budget. My group is in CC, but the marketing coming late to the table has now requested to edit all the files in InCopy. That is great, but they only have CS6. I have tried this experiment on my system and it works, they claim it does not, I would love some proof from the community of which is right, is it that in my unique space-time continuum that assignments created in CC and opened in CS6 work, or is it really that there is some majore OE happening in the marketing dept. ?

    I think the general conclusion is it probably works if BOTH (a) your workflow does not involve opening .INDD layouts in InCopy and (b) you don't make use of any CC features. But no one's going to offer you a guarantee.

    For real? I can't believe that the latest version of the standalone InCopy can't play with InDesign CC. My designer is a contractor and just spent a lot of money to upgrade to CC, and my employer didn't want to pay for all of CC, so they just got me Incopy CS6.

    Not really. Different version of ID and IC have never been 100% compatible and this is no exception.
    But keep in mind that InCopy CC will be a part of Creative Cloud also and will be available as a single app subscription as well.

    I would test it very thoroughly by downloading the trial versions. I would imagine text flow will be a bit different and packaging certainly won’t work.
    BTW, what does recently mean? Any purchase of 5.5 after March 26 would entitle you to a free upgrade to CS6.

    Generally this should work, but of course there may be occasional compatibility issues across the different programs and their different versions.

    Hello everybody,
    I have some questions about work flow in AE concerning compositing and Color Correction. I saw many tuts about (f.e. Lynda.com Premiere Pro Color Correction and Enhancement... and tuts by Andrew Davis here in creative.cow).
    Essentially, he have this CC work flow:
    GRADING (primary and secondary)
    Adjusting Tonality (Brightness and Contrast)
    Adjusting Colors (White balance and fix color dominance)
    MATCHING
    Conforming colors of different clip shoted with different camera and lighting set up.
    ENANCHING LOOK
    Giving to all clips a unique "look"
    But what does it  happen if we have NOT just some clips but ALSO a 3D object (rendered in a 3d sw or, actually also a 3d object inserted by 3D Element by videocopilot)
    or/and
    a keyed clip from a green screen shot?
    How does this footage (3d object and green screen keyed shot) transform
    the aforementioned work flow?
    We have to consider that this footage (3d object and green screen keyed shot) must to be pre-multiplied to make a right compositing but when you make CC it must be again "straight"... (NOT pre-multiplied)
    Is really hard also understand how dale this work flow between AE and Pre Pro if you want to make CC in Pre Pro after compositing in AE.
    I try to present a work flow for this (very common) situation:
    I have a landscape clip as a background
    a keyed clip (pre-multiplied) with a Character watching sky
    and a 3d (pre-multiplied) object U.F.O. on sky.
    When I have done compositing, how make I a right CC of all footage if I have two clip (3d object and green screen keyed shot) still  pre-multiplied?
    I think, but I'm not sure, that should be a good idea to send to Pre Pro a composited Comp with separate layers (by dynamic links)  to have  all single separate layers (Background, 3d object and green screen keyed shot.. but also the Color Warping...!). Than, in Pre Pro you should make a CC (Grading)  just for a BG and than try to Match (Matching) this color corrected BG with 3d obj and keyed shoot. But we have a problem at this point cause our 3d object and green screen keyed shot are still pre-multiplied, and before make matching we have to re- multiplied theme, but how? And if we re pre-multiplied them, compositing will be also right?
    Or maybe, before exporting comp from AE to Pre Pro, he have to create both layers for 3d object and green screen keyed shot, one pre-multiplied and one "Stright"? But, again, how to combine them to have a right compositing and a a right CC?
    Anybody can help me to understand or maybe suggest any tuts to dale this common issue in AE- Pre Pro?

    Dave is correct. (And so is Mylenium. No need to be rude, when he was jsut trying to explain that you were introducing unnecessary complexity.)
    The color matting is removed to interpret the alpha channel when you import the footage. After that, any color correction that you do to a layer based ont hat footage item doesn't have anything to do with whether the channels were straight or premultiplied for the source item.
    You color-correct your individual items to amke them match as part of the compositing process in After Effects. Then, if you want to do a color grade of the shot in Premiere Pro along with other shots, you'd be working on the single rendered/flattened composite, so the details of the original elements that went into the composite are irrelevant.
