  • How do I keep InCopy file from losing formatting after editing assignment in InDesign?

Writers have created assignments from an InCopy template built with paragraph styles, character styles and a text area width.
Designers are importing these assignments into an InDesign template that uses the same paragraph styles and character styles.
But if an imported assignment is edited in InDesign and then reopened in InCopy, the InCopy file only keeps the used paragraph styles and character styles and loses all others along with the fixed text area width that was created in the template?
Which I don't want, how do I resolve this?
    Thanks!
Btw, I am currently using InDesign CS5 and writers are using trial for InCopy CS6.

(screenname was defaulted to my adobe.com login?  should be fixed now...)
    John,
Tried your idea to used InDesign cs6 with InCopy cs6 and it didn't work, gave me the same results from InDesign cs5 to InCopy cs6
    Bob,
That would be more of a work around than a solution for me...i would still like to be able to see my original formating in InCopy, what it currently does is pointless if i've created a template...or at least it would be nice if it actually adapted my InDesign layout into the layout view...
Are you the same Bob Levine from http://www.theindesignguy.com/?  I came across your website the other day...I have been looking for a publishing solution that would make things more efficient between the designers, writers and our website..hence the InCopy trial...which we may consider adopting the vjoon K4 Cross-Media Publishing Platform...but I'd rather use a CMS system that would speak directly to InDesign & our website (minus InCopy)... Do you offer any solution?
Thanks to both of you for your help...but would anyone have an answer?

  • Possibility to export or place InCopy file to represent an inline text frame.

I need to unique a text which is in an inline text frame by representing it with a unique InCopy file.
So I can make if I needed in future one modification to that InCopy file and then all the necessary action is to update the links inside all the InDesign files...

I asked this question from two years and no one gave me an answer because there was no answer.
But I have developed an add-on represented by a menu:

  • InDesign to process InCopy file

Is there a way to script InDesign server to open(import) an InCopy document, manipulate it's contents and then export it as an InCopy file.
    Thank you.

    Hi,Thanks for writing.
I am relinking from an older story to a new one. When the editor upgraded to InCopy CS4 and told me he had completed his updates, within the folder were both the old .incd files as well as the new .icml.  I removed the old .incd then opened the InDesign file.  When I go to relink by right clicking on the old InCopy file, the new .icml file replaces everything within the links panel within InDesign as well as stripping all linked graphics from the pages.

  • Incopy files not updating

Having a problem with Incopy files not updating after designers on Indesign prepare packages on second round of revisions.
First, the designers create an Indesign file and prepare a newly created Incopy package. The editors are able to open the package for the first time. Editors make changes then repackage for designers. Designer then open package from editors and make necessary changes and then repackage back to the editors. At this point, the editors receive a message to replace when opening package. The files open but it doesn't update all the changes that was originally made to it. It as if it is still using the original assignments from the first newly created package. Also, all the assignments have "?" in the assignment window in Incopy. We are unable to figure out how to update the "?" in Incopy or relink or what ever we need to do at this point.
    Several things we checked.
    1. Unstuffing the package contents from the designers shows all updated file dates. So we know the package contains the newest updated assignment files.
    2. If the designers rename the file names on all the assignments in the assignment folder, then repackage. The files open on Incopy with updated changes. But not if the file name remains the same. Also, if the assignment files are all renamed, it doesn't ask to replace anything on Incopy.
At this point. Our only solution is to rename all the assignment files and repackage. But we shouldn't have to be doing this, especially since it adds time to the designers to repackage the files.
Designers using Indesign CS 3 on Mac OS 10.6.4.
Editors using Incopy CS 3 on PC Windows.
Any help would be greatly appreciated.

When the InCopy user opens the assignment package for the first time, it unpacks (it's really like a .zip file) into a folder on their hard drive called InCopy Assignments. The folder is located in My Documents on a PC and in the Home > Documents folder on a Mac.
Every unpacked InCopy assignment package goes into a subfolder within this InCopy Assignments parent folder. Each package's folder is named after the *assignment* name (not the name of the package itself, which is usually the same but not always). So if the assignment name is Chapter1.inca, then the subfolder name will be Chapter1.
When the InCopy user repackages it for the designer, it packages a *copy* of this subfolder. This is the subfolder that Bob is suggesting they delete, after sending off the packaged InDesign file. That's a good idea.
If you can't rely on your editors to do that ... many are very leery of throwing anything away ... then your designers should *rename the assignment* in their Assignments panel before creating an InCopy package for the second or third or whatever time. They can just double-click the assignment in the panel, the Assignment Options dialog box opens, and they can change the name from say "Chapter1" to "Chapter1-v2". They click okay, they choose Package for InCopy, and send it off.
When the editor gets this file and double-clicks it, it unpacks into a different subfolder than before: Chapter1-v2, leaving the Chapter1 subfolder intact. So you avoid the prob of duplicate assignments on the InCopy user's hard drive.
FWIW this was much more of a glitch with CS3. Not sure what Adobe did differently, but assignment packages are much more intelligent in CS4 and CS5.

  • Autonumbering h1 with 2 separate incopy files in Indesign

    Hi!
I have 2 sections in my indesign file, so i created 2 separate incopy files for section 1 and section 2.
I set up all my heading styles to autonumber and in section 1 they work great, 1, 1.1, 1.2, 1.1.1, 1.1.2, etc....
So when I created a new master page for section 2 and start a new text box for the beginning of section 2, H1 starts at 1 again, when it should be 2.
I'm assuming this is because the 2nd incopy file is not in the same text flow as the section 1 incopy file?
I tried to start the second incopy file at the end of section 1, but i couldn't do that either?
What can I do to get section h1 to say 2 when I start applying to the second incopy file?
    Thanks!

    Hello Sumit Singh,
thank you for your answer and your reasonable recommendation. Unfortunately, this only works when the ICML content is used in one INDD file. In our case, we use ICML content in multiple docs (various manuals with the same safety instructions, warranties, adresses etc.).
So, is there a way to trace back where an ICML has been used?
Is it possible to find out in which document the ICML is still checked out?

  • InCopy files are being opened by InDesign

I have InCopy CS5 and InDesign CS5 on my Mac, running OS 10.6.8.
When I try to open an InCopy file, InDesign launches and tries to open the InCopy file.
I then get a message saying "Cannot open InCopy files within InDesign. Please choose File > Place to add the InCopy file to the InDesign document."
I already went to the Get Info file of an InCopy document and set it to eopn using InCopy. That didn't work. I alreay reinstalled InCopy, and that didn't work too.
    Any suggestions out there?

Either get familiiar with the Mac OS operating system so you learn how to assign default applications to certain file types, or simply start InCopy and use the menu File>Open to open the document

No, you are doing exactly the right thing.  Open the inca file in the InCopy Assignments > Assignment Name folder. You may even want to delete the original package (or at least archive it) right after you open it to prevent opening it accidentally.
Like Bob said, sounds like some sort of internal Windows issue. Try reassociating the extensions with the program.
Or can you right-click and choose Open With?

  • InDesign crashing when updating associated InCopy files

We just upgraded to CS6 and Creative Cloud. When graphic designers are using InDesign and writers update the affiliated InCopy files, when the designers hit the Update button to pull in the updates, it crashes InDesign. Here is Pastebin link of a recent crash log.
    http://pastebin.com/Luc13HET
Designers are using Macs, writers are using PCs, we use DropBox to share the files, and re-placing the files seems to be ok, just not using the actual Update button. We've tried a ton of potential fixes, including resetting preferences, placing the file on to a new document, saving as IDML, exporting InCopy links separately.
    Anyone know of any fixes?

This is the same for our department and the workflow sounds very similar except we are using Stand alone installs and not creative cloud with both design and editoiral using PCs.
We have really experienced the problems when using previously designed templates from CS4 and are now having to go through systematcally and redo these from the ground up which seems to fix most but not all and is really annoying. Adobe of yet have not released a fix for this even thou there have been quite a few pastbin reports sent to them.
CS6 using Indesign and Incopy is a real disappointment considering all the excellent features under the hood.
See a long post here it might help

  • Sharing files with Vista

First, my macbook pro can see all the Vista computers on my network; however, my macbook pro cannot see any of the Vista computers.
Second, when I enable SMB sharing, Vista cannot log in, but XP can. This is very irritating. Any suggestions?

I had the same problem accessing Leopard files from Vista, that is, logon to access Leopard shares worked under XP, but not under Vista. Here is the Vista solution I found: When logging on to access the Leopard shares under Vista the user name must be:
    DOMAIN\username, Specifically, D-O-M-A-I-N backslash username
NOTE: Capitalization of DOMAIN is essential! The token username is that required by Leopard, not literally username.
Why this works when nothing else I tried did is a major mystery. It is surreal. How I found this solution was capitalization of DOMAIN in the hint I got from VISTA when I typed the usesname with an invalid syntax. It took many hours to find this solution, and I am finished fiddling. It would be nice if someone else could find out more about this really weird syntactical solution.
I am more than a little frustrated because I cannot figure out who to blame.

  • We think 5.0.2 has fixed it! (InCopy Files Not Synchronizing Properly)

Last year there was a topic (now archived) titled 'InCopy Files Not Synchronizing Properly' which discussed a problem with InCopy breaking the VC link after editing the story.
5.02 update ID and IC seems to have fixed it. We have only done a quick test but would be grateful if others users involved in this topic would have a look and report back to this thread.
I don't seem to be able to post to an archived topic, but am keen to let others know, so I have started this new thread.
    With hope
    Alan Edwards

We've only produced one magazine since upgrading to 5.0.2, but I've noticed *significantly* fewer version control issues (2 versus about 20) since last issue. A dramatic improvement.
Now if they could only fix that darn text wrap bug.

  • Editor cannot 'check out' InCopy file

I'm a novice in InCopy but am learning the ropes, however, am having a problem that I can't figure out. The editor who needs to open/edit the InCopy file says she can't check it out. I don't know what to tell her. She has the .icma and .icml files and I don't see a problem on my end. Any suggestions?
    Thanks in advance.

    The problem:
When a Windows InCopy user opens an .indd file the assignment panel shows all InCopy stories to be unavailable or "checked out". The Mac InCopy and InDesign users all see the same stories as available to be checked out.
    The solution:
When the stories are being exported to InCopy files from within InDesign on a Mac, the files extensions were being selected (and deleted) when the files were being renamed. When everyone is on a Mac, this is not a problem.
Don't select the file extension. By default the name, not the extension (.icml) will be selected. Just type your new name and all is good.
Hope this helps someone out there.

  • InDesign links stripped out when relinking to new InCopy file

I am working on a large manual in InDesign CS4.  Previously, there was an .incd file linked within the links panel.  When I open the .indd file, the box comes up to update the links.  We now have a new .icml file from InCopy that I relink to.  What is happening is all the links in the link panel as well as within the document are getting stripped out when I link to the new InCopy file.  The only file left is the .icml in the links panel.
Has anyone had this happen to them?  If so, I would love to know how you fixed it.  Or if anyone has any suggestions I would really appreciate it.
    Thanks.

  • Editing InCopy stories in InDesign layout- InCopy file gets huge

Lately, I am experiencing file size issue. When I go into my layout to check out an InCopy story; check it back in after I do my edits- the file size suddenly gets much larger. It would start of 160k and then becomes 2MB file. Could this be an update issue or am i using "x" amount of conditional text? My editor uses InCopy on a PC and I use a mac.
    thanks!

Hello, I did try your suggestion and the InCopy file still got larger. I even re-created the layout into a new document. It started out to be okay but I still got the same issue when i check in/out the incopy story.
It is puzzling because I have another layout with about the same amount of layers/conditional text, images and i have no problems so far with that InCopy file getting large.
