INDesign/INCopy Workflow
Sehr geehrte Damen und Herren,
wie telefonisch mit dem Kundensupport abgesprochen übersenden wir die Fehlermeldungen inkl. Systeminformationen.
Folgendes Problem:
Wir arbeiten mit dem Redaktionssystem (InDesign und InCopy CS6).
Beim aktualisieren der INCopy Aufgabe (es handelt sich um Fließtext mit verankerten Objekten das heißt Bildrahmen mit Fotos) stürzt das Programm ab.
Unter InDesign/InCopy CS4 war das kein Problem. Über Hilfe würden wir uns freuen.

InDesign/InCopy Workflow – The content is locked and cannot be modified.
I've been working with an InDesign/InCopy workflow with Dropbox for a while and occasionally get an alert dialogue "The content is locked and cannot be modified" when in InDesign accepting/update InCopy changes made to the document. It seems to be happening more and more recently.
I can click OK, and then the software will allow the changes to be made to the InDesign document. However, I am having instances that InCopy users cannot get back into the document, until all of the content is updated from my end. I doesn't look like we are loosing any editorial changes.
Why does this happen? Is there any way to make it stop?
Thanks!We are testing to move from CS5.5 to CC, and are seeing the same problem in our InDesign/InCopy testing. We only see it (so far) after an editor has made some modifications, and the designer then opens the InDesign file back up. It is the InCopy linked files that it is referring to. After pressing ok thru this window, we have to update all lynks. Any news on this?

My indesign incopy workflow consistently crashes!!!
I don't know what to do!
My incopy user updated the incopy file.
I open indesign and try to update the story and it crashes.
I tried to save as an .IDML without updating the files because that's when it crashes but that doesn't work either.
What can I do so I don't lose the changes?????

Loss of Edits in a non cross-platform InDesign/InCopy Workflow
I have read, and understand, the cross-platform issues related to loss of edits in InCopy. We are experiencing the same issue on an all Windows network. Some authors have experienced the following issue:
Author checks out a story and edits the content
Author checks the story in
Later, the Author checks out the story , but the edited content is missing
Author becomes frustrated ;-)
The worst part of this issue is that it does not happen consistently, it is random.
We are running InDesign on Window-7 64 bit machines, InCopy on Windows XP 32 bit machines, and the file server is a Windows 2003 server. Or workflow is designed so that only one author and the InDesign designer has access to the assignment file (We create assignments by author instead of by section).
So my question is, has anyone else experieinced these problems? Any thoughts would be appreciated.Yes, we are using InDesign, InCopy, Illustrator, and Photoshop CS5. We were very excited about having the ability to mix 8.5x11 and 11x17 pages for the proposal we are in the process of creating and decided to be early adopters. I hope they get the bugs fixed soon....I am confident that they will.

How to set up a simple InDesign/InCopy workflow
We have 10 chapters as individual Indesign documents (organized collectively as an .indb book file). I want to set up an editing workflow so that my two remote editors can edit the copy and insert Notes. The main body text in each chapter is contained in a single story for each Chapter, but there are also approx. 20 sidebars and note panels in each Chapter), so that when i export the documents in the Edit-->InCopy flyout menu, I get essentially 21 different files instead of one. Isn't there a way that I can set this up so that an editor simply opens a single file and edits all the stories in one place and not see the proliferation of incopy files? Or should I be doing something differently to get all those separate stories unified?
That's how it works. Each story is exported as an individual file.
The reason for that is pretty simple. It's not always desirable to have all of the content editable.
It's pretty simple to export all the stories and if you save them in an assignment, the editor can simply check the assignment out which will check out all the stories at once.
Are you using a remote workflow by packaging the assignments?

Just recently I started to have problems that crashed the InDesign (ID) and/or InCopy (IC) software, in a worflow that have worked well for a few years now. The scenario unfolds with the following steps:
From an ID document ('doc1'), exported a 'layer' to IC, so that analysts can review and make changes to text. IC stories are saved to a folder located in the same place as the ID document.
Analyst opens the IC software, then opens the ID 'doc1'. Makes edits, saves and closes the doc and sofware. Good so far.
Analyst opens the IC softwae, then try to open the ID 'doc1' but the dsoftware crashes. It can not be open.
Next time analyst open the IC software, even before he tries to open an ID document, a warning pops up with a message saying "InCopy.exe application error. The memory could not be 'read". click OK to terminate...
If designer tries to open the ID 'doc1' after edits were done in IC, as long as does not allow for automatic update of liks, the doc1 will open, but as soon as trying to update IC links in the links panel, ID will also crash.
The same happen with another analysts working in a different computer with IC software. It seems to me that:
IC is not able to save the edits to the icml files, creating problems when trying to open the doc1 again in IC or updating the links in ID.
Working on a network, I have checked with our IT people to ensure all analysts and designers have the same access and permissions. They do. The problem is not that.
I have tried to rebuild the document in case the first one was corrupt. It worked when very limited text (icml files) where in place, as soon as I added more icml files (conent) and graphics, the document would crash again.
I have re-installed InCopy in one of the analysts computers and still gives the same errors.
Does anybody have experienced this type of error or similar? Somewhere on the lines of problems with the .icml files? I will appreciate i anyone can provide me with some pointers as to what can I do to troubleshoot further.

thank you for your answer and your reasonable recommendation. Unfortunately, this only works when the ICML content is used in one INDD file. In our case, we use ICML content in multiple docs (various manuals with the same safety instructions, warranties, adresses etc.).
So, is there a way to trace back where an ICML has been used?
Is it possible to find out in which document the ICML is still checked out? -

Indesign CS5 Crashes with Incopy Workflow
I work for a large publishing company that publishes thousands of titles per year. Several divisions use Indesign, but only our Publishing Division uses the Indesign/Incopy workflow, and they are the only division experiencing widespread crashing in CS5. The divisions who do not use Incopy are not crashing. Here's what we know causes the crashing in Indesign CS5:
1. Exporting stories to Incopy. This is a widespread, yet inconsistent problem. One time you crash, the next time you don't. We've done the IDML export to CS4, reopened the files and saved as CS5. This helped with some files, but not others. I talking about hundreds of different publications and files. All people are patched to the newest version. Some are on Snow Leopard and some are not. However, I'm on Snow Leopard and the crashing does happen on my computer too (sometimes). The problem continues. I've found workaround for some problems, but there's no workaround for exporting to Incopy. It's something you have to do in this workflow.
2. Saving an Indesign files with an Incopy story checked out. This will cause a crash almost every time. We've been in the Indesign/Incopy workflow since CS2 and never had this problem in the past. This is an easy fix; just make sure you check in stories before saving, but it's a hard habit for some to break.
These issues have been reported to Adobe, with absolutely NO explanation or resolution. After six years in this workflow, I'm at the point of having to consider abandoning Incopy -- not an easy thing to do in such a large organization.After 2 days straight, I FIGURED IT OUT!!!! I was trying everything, especially related to font book and fonts and resetting prefs, etc...
I narrowed it down to 1 constant variable: it's happening on the 2012 macbook's, so I reset my mac and held command + R and re-installed Lion, then I DID NOT INSTALL THE UPDATE FOR THE MACBOOK 2012. Then I tried exporting a smallest file size pdf with overset text and also tried deleting a page with an object on it and BAM! No blank warning dialog and even more importantly: NO MORE CRASHES!!! Hey, I might not lose all my clients afterall!

Again:
- power off mac and turn back on while holding down Command + R (dont do it on an external keyboard just to be safe)
- choose the re-install Lion option (I'm sure there is another way to re-install Lion, this is just the way I did it, not saying its the best or only method)
- DO NOT INSTALL MACBOOK (Mid 2012) Software Update 1.0 - THIS SCREWS ADOBE UP!
After you guys try this please let us know how your system is operating, I am noticing my macbook pro is so slow and when trying to send an email and choosing an email to reply to and attach something,etc.. each click triggers the beachball and I gotta wait a few moments..?? I'm sure we might be missing out on some good updates from not updating to the 1.0 software update....but....
So my final question is:
is this Apple's problem or Adobe's and who needs to do what here??? Why can't we all get along... -
InDesign/InCopy CS5.5 or wait for CS6
We are currently an InDesign/InCopy workflow for our City quarterly magazine. I have InDesign on the Mac and there are 7 InCopy stations on PC's. I currently have CS5 for InDesign but have not upgraded the InCopy users yet so for the publication we are using CS4. We are looking at upgrading everyone now to CS5.5 but with CS6 on the horizon (and all the new epublication capabilities),I am wondering if it would be wise to just wait for CS6 at this point. We won't be able to upgrade for a couple more years after we do.
Any comments?

HollyUgh. I'm afraid I need to revise my remarks a bit:
It's a bit tough to find the pricing details on the web, but call an Adobe volume licesning reseller and I'm sure they'll be happy to quote it for you.
I was fooled by the nonfunctionality of the Discount calculator if you choose MultiNorthAmerican Language instead of Universal English. I turns out the rates are the same as at the Adobe Business Store.
And I guess it's not-so-good for you. $119 for a CS5.5 InDesign upgrade, and $210 for 2 years of maintenance. $89 each for the InCopy upgrades, and $76 for 2 years of maintenence. So extended out for 1 InDesign and 7 InCopy, that's $1484. Coincidently that's $742 for the upgrades and $742 for for the Update plan (how do they do that)?
But the kicker is, of course, if you had bought the upgrade plans at the same time as you bought the products, then you wouldn't be paying for the upgrade plans now. But of course, they only last 2 years...
But we've heard that Adobe is moving to a 12-month release cycle, so you theoretically expect to get two version for that $742 Update plan (CS6 and then the next one, be it CS7 or CS6.5 or whatever). Except you're inelligable to buy it today, since you don't have CS5.5.
So, umm, where does this leave you? I don't know. I guess I'm a fan of keeping current, because everything changes and you never know what you'll need. But the question is whether CS5.5 is worth it to you. So download the trial and see.
But if you upgrade to CS5.5, you should buy the maintenance. CS5.5 came out in April/May of 2011, so CS6 should come out around the same time, if everything works "acording to plan." So if you buy the maintenance in, say, February, then you'll get CS6 for the same price you paid for CS5.5, as well as the version that comes after it, asuming Adobe sticks to the same timetable.
Ugh. Maybe you should think about the subscription model, I don't know. Or increasing the number of seats so you make it over the TLP point restrictions and up to some actual discounted levels. -
Typographer's Quotes Issues Within InDesign/InCopy CS3
Before I start, I do know about the typographer's quotes preference within InDesign and InCopy CS3. [InDesign/Copy > Preferences > Type] And yes, all computers involved are indeed plugged into the wall.
Here's our issue: We have layouts wherein typographer's quotes become disabled. Our EiC has noticed this, so this has understandingly become Production's issue.
Now, I've checked all of our InDesign and InCopy users—all have typographer's quotes selected as their main preference. The InCopy and InDesign templates we've created both have typographer's quotes as the standard preference. However, with some layouts, it seems as if the preference gets disabled.
I don't know if it's a rogue computer, or some sort of interplay within the InDesign/InCopy workflow. All I would like to know is if anyone else has experienced this, and if so, what you did in order to remedy it.

John J. O'SullivanThe preference for Typographer's Quotes will only apply to text set within the ID document. I do not believe that you can control the quotes when you copy+paste from another source, so whatever they are in the copied source is what you will get, regardless of pref. You can control Typographer's Quotes when you import from other sources, perhaps the option is not selected when importing. And you can toggle: command+option+shift+' without having to go into the preference to change, perhaps someone is inadvertently doing this when entering text.

Success! (InCopy workflow)
So I successfully got through the first magazine in which I've used an InDesign/InCopy workflow. Learned InCopy, taught it to the editor, and then worked collaboratively with him on an 88-page magazine. Done and printed now.
I can't even tell you how many hours this saved me. I'm used to going through 4 or 5 markups of minor edits for EACH article. The editor got to do all that himself this time (haha).
Highly recommend the InCopy workflow. Even with only one editor it was still a great timesaver. And now we just hired another person, and I'll be teaching her InCopy.
Never ever ever going back to doing 85 million edits by myself......

i hope someone can help me, i have no more ideas ...
this is the problem in our indesign-incopy-indesign work flow:
only the indesign user, which has created the indesign file (with the incopy-links) can read the content pasted via incopy.
every other indesign user (who hasn't anything to do with the creation of the indesign-file) can't see the content (which is pasted via incopy).
changes done with indesign are viewable for everyone!
there are any problems with the linkage, i would guess ...

Unfortunately different versions of InDesign and InCopy do not work well with each other. Newer versions of the program should be able to open older files, but they cannot save backwards. I am not sure what is causing the errors with the newer versions of InCopy however.

We are a small weekly newspaper using Indesign CS3. We want to adopt a workflow using InCopy CS3 that will benefit all users. One goal is to be able to archive newsroom stories to our website that include the main story, headlines and all text associated with that story without too much user intervention if possible. Can anyone suggest an InCopy workflow solution for us?
InCopy helps streamline publication workflows because it allows writers and editors to work on stories within the layout while the design team is still assembling the layout -- that's the broad stroke of it. There's nothing inherently special about InCopy that would assist you in archiving (I assume you mean exporting) text files for a web site.
There are third-party publishing systems which run on top of IC/ID, such as K4, that have optional web publishing abilities. For a small weekly newspaper though it might be overkill to move to a system like that (and quite expensive).
With an off-the-shelf IC/ID workflow, I think you're best served by leveraging the XML capabilities of both apps. Editors and designers can easily apply XML tags to content, and then export the tagged XML from either app. For example if you're using an assignment-based workflow, the editors could be in charge of the exporting of all content in an assignment (headline, byline, body, images, captions for a given article) to a single file for the web team.
There are ways to use XML tagging to create basic XHTML files, or there are ways to apply an XSLT while exporting content that give you more control over the transform.
And of course all this is scriptable with JavaScript, Applescript or VBScript, to help automate the process (the tagging, the exporting, etc.).
Unless you have staff members who know how to do this (or aren't afraid of cracking a couple books to figure it out), you'll probably have to bring on some subcontractor to help you get it set up.

I'm wondering if anyone has used an Indesign-Wordpress workflow before? My goal is to have the content and use it in two different products - one produced in InDesign and one produced as a Wordpress site.
I've been digging but haven't found any solidly promising. There's always the chance I've overlooked something though.
Ideal Scenarios:
1. Create the content in some form such as XML or CSV and then import it into both pieces of software
2. Create the content in one software package and export it to the other
Any thoughts, ideas, or nudges would be appreciated.

I thought it would be great to be able to develop a script to feed two weeks worth of blog content to our InDesign template so we don't have to copy-paste, copy-pate, copy-paste ...
