Indexing problem in Mail
I have an older version of Mail (1.3.11) on my iMac and I've received an e-mail with an attachment (PDF) from someone I work with and my computer seems to be locked in a loop trying to index the e-mail.
I've tried deleting it into trash and then out of trash (and it appears to have gone), but the computer continues trying to index.
I've tried force quitting then re-opening mail, but the e-mail re-appears and Mail continues to try and index it.
There is no problem with the attachment in the e-mail as my colleagues in my office can receive the e-mail OK.
Any ideas on how to resolve this?

How I solved my Spotlight+ Mail indexing problem
OK, so I thought I would post my solution to a stubborn indexing problem, for people who may have the same issue (and it does seem many people do).
Problem: Spotlight index was unreliable. In particular, Spotlight was terrible at indexing mail. It could not find the messages by content that it would find by searching the "from" field, nor could it find those reliably. Unusable.
What DID NOT work:
-- adding and removing any folder whatsoever in the Privacy preferences of Spotlight. The index would rebuild, but with the same problems.
-- doing this via terminal (e.g, using sudo mdutil -E /Volumes/MyHardDisk)
-- using Onyx
-- using Spotless
-- simply reinstalling the system
-- manually modifying the plist files inside the .spotlight folder to add and remove the folders that would not get indexed.
What DID work:
-- first, I reinstalled the system. That's not such a big deal. Upgrade up to 10.4.6
-- then, I authorized the root user (that's probably not necessary) (this, you do by using Netinfo manager)
-- Then, I deactivated the index (via terminal:
sudo mdutil -i off /Volumes/MyHardDisk
-- now the tricky part. This concerns Mail, in particular.
I have a very complex mail folder (tens of thousands of messages). I noticed that inside each mail folder, I had two things that were not supposed to be there
1. a copy of each folder.mbox which was empty, but with the same name without the extension .mbox. This is probably something that was created while importing mail from Panther to Tiger, for what I can tell.
2. Most importantly, a file named ".index.ready". This also, apparently, was an old legacy coming from Panther. I suspect this was the main problem for the lack of indexing in Mail.
Ok, so... I deleted these folders and files. If you have a complex structure of subfolders, you can delete the files with an Unix command by first cd to your mail folder, and then use
find . -name \.index.r* -ok rm {} \;
which will ask you confirmation before deleting each file.
It was faster to remove the empty subfolders by hand, as they all had different names.
-- Ok, at this point, I erased entirely the .Spotlight-V100 directory which stays at the root of your computer. You can do it with a rmdir command from the terminal or, as I did, you can login as root (remember, we activated root), use a utility that allows you to see hidden files (e.g., Tinkertool), and move it manually to the trash folder.
Then I emptied the trash. For superstition, I restarted, and let the index be built again (that took about 5 hours in my computer, for an HD with about 60 gb occupied on it).
Now everything seems to work perfectly fine. I don't know whether this procedure can be shortened, but I do know that nothing else worked for me. I thought I would post it here as I spent sooo much time to solve this problem, and furthermore, I found that none of the suggested solutions would work.
OK, your responsibility to do it, if you want to do it. Hope nobody needs to!

Mac OS X (10.4.6)Thank you, thank you, thank you, Lucabo! Using ideas from your post, I also (at least for now) solved my Mail indexing problem. One day (not even after an upgrade) Mail just quit finding messages by content, even when I had open a message with that content!
What I did:
-- In System Preferences, told Spotlight to index only Mail (I just use grep from a Terminal window for everything else!)
-- Ensured Mail app wasn't running
-- Backed up my Library/Mail folder to an external disk
-- Turned off indexing via Terminal (after sudo sh), with
mdutil -i off /Volumes/MyHardDisk
-- Deleted old files in my mailboxes (inside the whatever.mbox folders):
.index.ready
mbox
tableofcontents
content_index
It was clear that mbox, tableofcontents, and content_index were left over from a previous version of mail - they hadn't been accessed since I upgraded.
Note that I didn't delete the whatever.mbox folders (just the plain mbox file inside)!
-- Deleted (in Terminal) the .Spotlight-V100 in the root directory
-- Restarted my Mac. The indexing started itself. Since I had it set up to index only Mail, it took about 3-ish hours to finish (I have 100s of 1000s of emails in thousands of folders).
After the indexing finished, all the test searches that I tried worked. From now on I will always be suspicious if search doesn't find anything!
Also, I just checked - using the Spotlight field on the menu bar now works better too. When the Mail search problem showed up, I tried using the Spotlight field and the Spotlight window, but they would just flash up a few items, remove the list, over and over, sometimes with the beachball, then finally settle to an empty list. Now the Spotlight field seems to work.
I infer that the Spotlight index gets corrupted, and that the Spotlight code doesn't notice that it's reading junk from the index...
BTW, about the same time that search quit working, some emails in my Inboxes got highlighted with a dark brown background color. Have no idea why. They aren't marked as Junk (the junk messages have the text in the usual lighter brown). But, when I select a message with the dark brown highlight, mark it as junk, then mark it as not junk, the dark brown highlight goes away. On some occasions, just quitting Mail and restarting makes the dark brown highlights go away - but not always. Sigh... at least it's not a show stopper, even if it is ugly!

Problem with Mail (4.5) Crashing
So I know there's been some problems with Exchange and Mail but I have just recently experienced a problem with Mail. Somehow Outlook stole default application resposibility from Mail so I removed Outlook and now when I open Mail, nothing happens. When I go to Window -> Message Viewer, I get the following error message. Everything had been working fine just yesterday, what's changed?

Have you tried launching Mail in a newly create user account?
If you have, does the new account have the same issue?
If it does they you may need to reinstall the application itself the disc.
If it doesn't then you may just need to pull the plist for that application and allow it to recreate itself. -
Problem with mail after upgrading to tiger...
When I upgraded the OS in my PowerBook, all the mail messages in my in-box disappeared. Now, the only thing that shows up in each mail is the following, "The message from [Antonio john Doe <[email protected]>] concerning “Stuff” has not been downloaded from the server. You need to take this account online in order to download it."
The e-mail is also gone from the earthlink
server because they wipe all mail out after a few days. Is there a
way to recover the messages?

More specifically, if this is a POP account, the following procedure should allow you to fix the Inbox problem. A similar procedure should allow you to fix other mailboxes that might also be affected:
1. Quit Mail if it’s running.
2. Make a backup copy of the ~/Library/Mail folder, just in case something goes wrong while trying to fix the problem. You can do this in the Finder by dragging the folder to the Desktop while holding the Option (Alt) key down, for example. This is where all your mail is stored.
3. Create a new folder on the Desktop and name it however you wish (e.g. Inbox Old). It doesn’t need to have an .mbox extension.
4. In the Finder, go to ~/Library/Mail/POP-username@mailserver/INBOX.mbox/.
5. Move the files mbox and Incoming_Mail out of INBOX.mbox, into the Inbox Old folder just created on the Desktop. These files contain all the messages that were in the mailbox before the upgrade to Tiger, and maybe even some messages that had been deleted. mbox is the most important. Incoming_Mail may or may not be present.
6. Move any strangely-named Messages-T0x... folders to the Desktop (not into the Inbox Old folder). These folders are to be deleted after fixing the problem. They are temporary folders created during an import or an indexing process, and Mail should have deleted them when done. Their presence is a clear indication that something didn’t work as expected. If you’ve been using Mail after the conversion and have already tried to fix the problem by rebuilding the mailbox or something like that, they might contain messages that are neither in Messages proper nor in the mbox file, so keep them around until the problem is fixed.
7. Move everything else within INBOX.mbox, except the Messages folder, to the Trash.
The result of the above should be that INBOX.mbox contains the proper Messages folder only, and the Inbox Old folder on the Desktop contains the mbox and Incoming_Mail (if it exists) files only. Now, proceed as follows:
8. Open Mail.
9. The account’s Inbox should properly display in Mail as many messages as *.emlx files are in ~/Library/Mail/POP-username@mailserver/INBOX.mbox/Messages/. If that’s not the case, select the mailbox in Mail and do Mailbox > Rebuild.
10. In Mail, do File > Import Mailboxes, choose Other as the data format, and follow the instructions to import the Inbox Old folder that’s on the Desktop.

Problems with mail in mountain lion
I installed mountain lion and since doing so I cannot get past the migrating data window when I try to open mail. I have tried deleting the envelope index (although I can't remove it from the trash as it continually says it is in use). I have also tried moving the smartmailboxes.plist and backup files to my desktop but still no joy. Can anyone suggest what to do next?
DanPlease follow these directions to delete the Mail "sandbox" folder.
Back up all data.
Quit Mail.
Triple-click the line below to select it:
~/Library/Containers/com.apple.mail
Right-click or control-click the highlighted line and select
Services ▹ Reveal
from the contextual menu. A Finder window should open with a folder named "com.apple.mail" selected. If it does, move the selected folder — not just its contents — to the Desktop. Leave the Finder window open for now.
Relaunch Mail and test. If the problem is resolved, you'll have to recreate some of your Mail settings. You can then delete the folder you moved and close the Finder window. If you still have the problem, quit Mail again and put the folder back where it was, overwriting the one that may have been created in its place. Post your results.
Caution: If you change any of the contents of the sandbox, but leave the folder itself in place, Mail may crash or not launch at all. Deleting the whole sandbox will cause it to be rebuilt automatically. -
Unusual problem, my mail in inbox dissapears!
Hi,
Just got an new Mac Mini. Imported everything automatically from my old G4 onto it. But....
My Mail Inbox is acting strange. ALL THE OTHE MAILBOXES ARE FINE, but the inbox shows I only have 91 messages when I used to have around 1000!!
On top of this, a random selction of messages in (and only in) the inbox don't display and instead show in italics something along the lines of "message cannot be displayed as it cannot be downloaded until account is taken online" or something along those lines.
The thing is, the account IS online and is working fine in all other aspecs. It is a POP3 account.
I have tried re-importing manually. No luck.
ANY IDEAS ANYONE? I NEED MY MAIL BACK!!!!

Not sure what makes you think this is an unusual problem. Actually, it's quite common. The conversion from Mail 1.x to Mail 2.x is broken. Take a look at the following thread to better understand the problem:

More specifically, if this is a POP account, the following procedure should allow you to fix the Inbox problems:
1. Quit Mail.
2. Make a backup copy of the ~/Library/Mail folder, just in case something goes wrong while trying to fix the problem. You can do this in the Finder by dragging the folder to the Desktop while holding the Option (Alt) key down, for example. This is where all your mail is stored.
3. Create a new folder on the Desktop and name it however you wish (e.g. Inbox Old). It doesn't need to have an .mbox extension.
4. In the Finder, go to ~/Library/Mail/POP-username@mailserver/INBOX.mbox/.
5. Move the files mbox and Incoming_Mail out of INBOX.mbox, into the Inbox Old folder just created on the Desktop. These files contain all the messages that were in the mailbox before the upgrade to Tiger, and maybe even some messages that had been deleted. mbox is the most important. Incoming_Mail may or may not be present.
6. Move any strangely-named Messages-XXXXXX folder to the Desktop (not into the Inbox Old folder). These folders are to be deleted after fixing the problem. They are temporary folders created during an import or an indexing process, and Mail should have deleted them when done. Their presence is a clear indication that something didn't work as expected. If you've been using Mail after the conversion and have already tried to fix the problem by rebuilding the mailbox or something like that, they might contain messages that are neither in Messages proper nor in the mbox file, so keep them around until the problem is fixed.
7. Move everything else within INBOX.mbox, except the Messages folder, to the Trash.
The result of the above should be that INBOX.mbox contains the proper Messages folder only, and the Inbox Old folder on the Desktop contains the mbox and Incoming_Mail (if it exists) files only. Now, proceed as follows:

9. The account's Inbox should properly display in Mail as many messages as *.emlx files are in ~/Library/Mail/POP-username@mailserver/INBOX.mbox/Messages/. If that's not the case, select the mailbox in Mail and do Mailbox > Rebuild.

For users having problems with Mail functionality...
Hello! I have been having problems with Mail functionality as well, so, I took a few steps to see if I could solve the problem on my own.
My problems were:
Mail would freeze when sending mail, or, when I pressed quit, it would freeze.
If I toggled between inboxes too much it would freeze up.
Even after trying the many techniques others offered on this board, Mail still froze up. So.. here's what I did:
1.) Turn off the auto-retrieve mail function in the preferences/general menu. Set it to a manual check. Just check it yourself every once in awhile. It may not be as convenient, but it works, trust me.
2.) Under the fonts and colors menu, set all three fonts to the SAME font (mines Century Schoolbook, but anything works) and turn off fixed-width font. Sometimes mail has a tough time decoding and working with texts, and causes it to freeze.
3.) Clean our your main inbox! Place the emails that you want to keep, but don't need to be in your inbox in a new folder on your inbox bar (mines aptly named 'Saved Messages.' That way, when you open up Mail to your default account, it doesn't have 1,000+ messages to index. Also, try to keep the inboxes from having more than 100-200 messages per. It seems to frown on any more than that.
After trying these three easy, steps, restart mail and see if things run smoother. I have had no problems since these changes, and mail runs a ton better. Plus you don't have to worry about deleting your library/mail folder anymore. Let me know if things work out so I can see if my theory is a universally proven thing. Thanks and good luck!
iMac G5 20" Mac OS X (10.4.5)Good question. I have worked very little with IMAP other than as a testing device, so, on a daily routine I cannot say how it would function. However, I can only expect that by having the option to download all emails for offline viewing selected, you are right in it being a lag creator. Another suggestion would be, if you are running a single-computer setup, to have the account delete emails from the server after recieving them on your computer. Thus, you reduce the risk of repeat downloads or unnecessary build-up on the server end. DO NOT select this option if you run multiple computer set ups on one AppleMail account system or you will cause some discrepancies and/or data loss from system to system. Or, if you have emails redirected from a seperate server to Mail (i.e. I redirect mail from my university email account into Mail so that I don't have to go to the web-mail site to check it--> just like Gmail or Yahoo etc etc) you won't be able to check them from the web-based email system if you have the system delete them. Ok that sounded confusing. Solution: have the system remove emails from the server after a week (or any period of time, just not immediately) so that, in the off-chance you need to use the online system, you will have access, and will give you a chance to check the emails on other systems without a threat of data corruption (by corruption i mean that frustrating feeling you get when you can't find that super important email that was in your inbox just 10 seconds ago on your desktop etc.)
I will see if I can learn anything more about IMAP Ernie. Its definitley the biggest problem source for Mail, POP and .Mac being simple and functional as long as you don't play with the settings too much. As far as the issue of Offline viewing goes, try turning it off and seeing how Mail functions.
BEFORE you turn it off, however, I recommend saving all of your emails in your inbox as a text file or something so, in case the server burps and has a brain flatuence, you don't lose anything. Been there, done that, thrown the books against the wall in a frustrated rage.
My only reserve about the Offline Viewing is whether or not Mail will, when you click "recieve mail," have to re-download the emails from the server each time. If so, then it may end up taking longer and lagging more. The issue here is obviously minimizing the amount of activity between Mail and the email server without jeapordizing information on the server or multiple Mail programs on the same account. When we can find that balance, I think Mail's potential will be realized. Keep the questions coming. -
Strange Problem with Mail & Address Book
Hi,
I'm having a strange problem with Mail & Address Book.
When I go to compose a new message from Mail and hit the Address button (to show my email addresses), it won't launch the contacts window!
I get this log from console;

Do you have any Address Book plug-ins or system utilities that could interfere with Address Book? In the Finder, go to each of the following folders (if they exist). What do you see there?

Did you also reinstall the appropriate Combo Update after reinstalling Address Book?
Quit all the applications and verify/repair the startup disk (not just permissions), as described here:

I've problems loading Mail.
I've problems loading Mail. Until now its been stable. After watching the frustrating spinning rainbow for minutes it tells me there is an issue loading mail and to quit or quit with an index rebuild...neither works or fixes my problem. I have Lion installed and use Gmail. Thx!

On my macbook pro, running 10.6.8, I use mac mail to access my yahoo mail account. Suddenly, no new mail is coming in, though my dock mail icon has a big 42 on it, indicating the new messages that should be there. But there's no new mail in my inbox. And my "Mail Connections Doctor" says "trying to log in to this SMPT account failed. Verify that user name and password are correct." Anyone got any ideas. (I've contacted Yahoo to see if their new mail system requires any changes in account information/port, etc, but no response yet. Their help section is absolutely no help at all on setting up an account in another mail program to access mail. -
Problems importing Mails from OSX 10.3.9

today I updated to Mac OSX 10.4 from 10.3
When starting Mail under 10.4 for the first time it imported the mails from the previous Mail-Version (10.3).
Unfortunately nearly all the mails that where in the Inbox of the old Mail Version are gone and the few Mails which were imported can not be displayed. And I only a text is displayed that says that I should connect this account to the internet. But this account is already connected!
Is the inbox from the older Version of Mail somwhere stored on the harddisk, so that I can try to import the inbox again? Or is the inbox overwritten with that of the new Version of Mail?
Any hints?

Problems with mail and address book
Hi,
I need help with my e-mail. When I try to add receivers the program jams up and the round colourful thing indicating "thinking" starts to spin. Does anyone know what could be the problem? This thing happens every time when I create a new message and try to add receivers. I have had this problem about two weeks now and it is very annoying.
Please help!3 suggestions:
1. Quit Mail. Launch Font Book. Select All Fonts under collections, and then highlight all of your fonts under Fonts (Edit --> Select All). Finally go to File --> Validate fonts.
Based on the crash reports some have submitted corrupt fonts have been the issue.
2. If that does not resolve your issue, then you may need to rebuild your Envelope Index. Quit Mail. Go to Home Folder/Library/Mail. Change the name of the file labeled "Envelope Index" to "Old Envelope Index". Relaunch Mail and allow it to reimport your messages.
3. Finally, if that does not resolve the issue, then quit Mail. Go to Home Folder/Library/Preferences. Drag the file labeled com.apple.mail.plist to the Desktop. Relaunch Mail and see if the issue is resolved.
These have worked for others with similar issues recently. Let us know if any of these suggestions help. Cheers! -
Problem with Mail after restoring from backup
I just replaced the hard drive in a 1.83ghz 2 core Mac Mini. No problems there. Once I restored the system and all of my files I was right back up and running. Except one thing... in Mail, all appears normal, I can see all of my email headers from the past several years, but there is no content for these emails. Just blank. I've restored my Mail folder from my backup library again. Same thing. What gives? It's very frustrating, because I can see the headers and I know there has to be some way to get the body of the emails back. Any ideas folks?
Thanks in advance!you need to rebuild mail index. first try reindexing the inbox using Mailbox menu-.rebuild. if that does not help then quit Mail and delete the file home directory/library/mail/envelope index. then start Mail and let it import. it should work normally after that.

I have been experiencing a perplexing problem with Mail over the last couple of days. After I have deleted all junk mail, etc., the trash can shows 4 messages and the junk mail folder shows 1. When you open either folder, there is a blue dot to show a new message, but neither sender nor subject is listed, and the time sent is whatever the current time is. When you open the "message," it says "the message from <unknown sender> about <unknown subject> has not been downloaded from the server. You must take this account online in order to download it." If you delete it, it seems to go away until the next time you open the folder. Tonight, when new messages came in, the trash & junk mail didn't show they had anything in them, but when you open each one, the new message shows up. If you delete any one of the 3 copies of the new message, it disappears, along with the original one in the inbox. Any suggestions? What can I do? Do I have a virus? or is there a glitch in my mail program. I just had Tiger installed in December - have not had this issue until the last 2 weeks. The 1st time, it just showed one message and I got it cleared off (don't remember how). This current episode has been ongoing for the last 2 days and seems to be getting worse. Help!!
are you using an IMAP acct?
If you have the option to go to a POP acct, I got rid of many of the indexing pain doing that. Contact your mail server. -
Problems with Mail, Safari and iTunes after updating to 10.5.6

after installing 10.5.6 I have problems with Mail, Safari and iTunes.
The time to open mails, websides and iTunes store is increasing dramatically since the update. If I open a webside parallel with Safari and Firefox, Safari needs minimum 15 times longer to open the complete side. Mails containing HTML-code also needs a long time to be opened. Tha same Problem with iTunes store. Connecting to the Store costs at least 30 - 40 seconds. And unfortunately for every iTunes store side I open. Its terrible
Any idea or workaroung to solve that problem?

I installed the 10.5.6 Combo update. Sometimes things get "lost in the translation" when you use Software Update depending on your installation. Perhaps you can download 10.5.6 Combo from the website and install it from your desktop. -

Check that there isn't a different Trash folder to the one with the proper Trash symbol on it.
If you see one in your list of folders rather than a separate one, highlight it, then click on Mailbox...Use this mailbox for...Trash
