Information Broadcasting Excel Workbooks with Local Formulas
We are attempting to use information broadcasting to send out reports that use the v7 BEX "convert to local formula" feature in order to reformat the reports. We can execute the reports, and even save them to a local client and review them later when disconnected from the server. However, if we use information broadcasting to send these Excel files out as attachments, the users are unable to see the data unless they connect and refresh, defeating our entire purpose of putting the data in excel.
Has anyone else attempted to Information Broadcast BEX Excel workbooks while using the Local Formula mode provided with v7? Were you successful?Yes, I see some information in the precalc log, but nothing that seems to be wrong:

Information Broadcasting in MS Excel Format to the users
Hi All,
I am trying to use information broadcasting and send reports in an MS Excel Format to the users.
But could not find any options in SAP 3.5 to send Output in MSExcel to the users..
I read in the SAP Docs that we can send the Excel output in XML format and also WorkBooks...do we require any additional third party Softwares or uograde patches to achieve this?
Please share your experiences on the Above in SAP 3.5.
Thanks,
Mike.In Bex under the Business Explorer / Tools, you should have a Distribute option to distribute workbooks. This should open the web browser based Information Broadcasting inerface which allows you to send a wkbk immediately, or you can schedule the execution and distribution.
I believe with 3.5 SP15 there is an option to distribute as a csv file. I believe the Note has you add an entry to a table that adds csv as an output option, but I think the technical functionality actually exists before SP15. -
Information broadcasting- Excel
Hi All,
Our business is divided into 50 Regions. For every region there is a Regional Manager.
There is a query which will take 0Calmonth & Region as inputs and gives the Sales Across the regions.
every month on 1st we have to manually enter the values and save 50 workbooks according to region & sen them to the corresponding Managers.
What is the best way to do this using Information broadcasting.
Online links are not Accepted for the Managers . So we have to send them the Output report only.
Please Help me regarding this.Hi,
I think there are two ways of doing this.
1. Authorization. - If you create authorization object for sales org and assign each of the 50 managers their corresponding sales org and in the query use a filter for calmonth which is calculated using SAP exit and it wouldreturn the currnt fiscal year period and then you could offset it by -1 to get the previous fiscal year period.
In the broadcast setting mention user specific and the authorization for sales org will ensure that only dataset authorized for a manager will be sent to him.
You can have all 50 manager assigned to one role and then assign the role as recepients , so that the workbook gets broadcasted to 50 manager at the monthend for the previous month.
2. Bursting. In this cast you would have to modify your data model so that the region object has the attribute user name or mail id and then if region is being used in the provider , data from the provider for the authorized region is sent to the user.
Here the limitation is you cannot have more than one manager assigned to the same region.
If you have the attribute of region as email id and maintain distribution groups in the mail server then you could have multiple managers for a region . (have not tested this)
I think 1 st option is beeter.

Issue with Information broadcasting and pre-cal server in SAP BI
Hi Experts,
I have issue with information Broadcasting and Pre-cal server. I have a worrkbook whcih runs from information broadcasting in pre-cal server. Workbook is desinged on single query and workbook contains visual basic code. workbook has a variable which is controlled by Control query in information broadcasting.
I have 20 employees every month I need to send workbook via e-mail from information broadcasting. The problem is sometimes all 20 employees will recieve e-mails and sometimes not. I identified there is something wrong in workbook or in pre-cal server.
because after workbook calculation in pre-cal server is not pushing to SOST so there is something wrong in workbook or in pre-cal server.
I closely observed pre-cal server front end log. There are few operations performing on workbook in pre-cal server
like Open workbook, Calculate workbook, Save woorkbook and close workbook. In success case pre-cal sever is performing all the operations but in failure case pre-cal server is missing Close workbook case.
Below log In pulled from pre-cal server
Can you please tell what could be the problem.

NarendraHi Ravikanth,
Thank you very much for the reply
I went into RSPRECADMIN and clicked on 'Display Current Queue'. There we have 3 sections
1) Queue Overview of Open Precalculations
I can see this section is always blank after running IB also
2) Queue Overview of Current Precalculations
In this section I can see an entry after running IB and duration is changing. but some time workbook in this section will never processed but the duration column is changing may be something is happening at this stage.
If the entry is not proccessed in this section and IB SM37 job will never end. I manually cancelled the job from SM50.
Don't why the workbook is taking long time and will never end even though I cancelled the SM37 IB job.
3) Queue Overview of Proccessed Error-Free Precalculations
All the error free workbooks which means all pre-cal server completed workbook calculation and sent to SOST.
I manually ran the workbook for all the 20 employees I can't find any pop-up message (earlier we have pop-up windows appearing because of VB code and when report returns no data and we fixed the pop-up issues)
Can you please help me further to trace the error.
Thank you

Information Broadcasting - Error in the Workbook
Hi,
We are implementing Information broadcasting for the workbook. It works pretty good as far as running the workbook, scheduling the workbook on a precalc server. When we try to email the workbook we get the email but the file is corrupted. We see the following error on the precalc server log,
Event Type: Error
Event Source: SAP BW Precalcultion Service
Event Category: Devices
Event ID: 608
Date: 10/27/2005
Time: 3:57:24 PM
User: N/A
Computer: NAMDMS049V
Description:
E,608,Error in Calculation error:Object reference not set to an instance of an object.,Object reference not set to an instance of an object.
When we open the workbook we get a message that the excel is corrupted.
Has anyone had similar problems.
Your help is appreciated.
LathaHi,
Check the below error in the workbook for reference field of the query.
<i>E,608,Error in Calculation error:Object reference not set to an instance of an object.,Object reference not set to an instance of an object.</i>
Refresh the work book and check it the values for the column. if you get the same error then check the corresponding reference value of the query. there might be some problems in the query/

Is Precalculation server a prerequisite for Information broadcasting
Hello Everybody,
I wanted to know is installation and configuration of pecalculation server a prerequisite for enabling Information broadcasting feature in BW 3.5 i.e; inorder to send emails to users .I mean inorder to send mails to users is it necessary to install pecalculation server first.
Regards,
SaumyaThe Precalculation server is only needed if you want to distribute <b>workbooks</b>. In order to distribute workbooks, the BW needs access to a computer with Excel on it. The precacluation server service software can be installed on a standard desktop PC. It can be installed on mutliple desktops, or you can consider a centralized server, but for initial testing, a desktop will do. There are a number of OSS Notes to apply, several from SP 17 that deal with problems occuring as a result trying to distribute multiple wkbks simultaneoulsy.
You do <b><u>NOT</u></b> need it to distribute either query links or html formatted output.
You also need an IGS server if you want to be able to send your output in a zip file format.
Don't have the link handy, but try searching SDN on Precacluation Server - there is a good paper (think it was a How To...) that was just written in April on troubleshooting Precalculation Server issues. -
Monitoring / Alerts for Information Broadcasting Netweaver 2004
Hello sdn,
we are currently evaluating Information Broadcasting on SAP Netweaver 2004 (BW + Portal) on SPS19.
For a special requirement of a vendor we would like to send him a precalculated Excel Workbook using the precalculation service.
So far so good. Everything works fine.
Now we are wondering, whether there are any special monitoring methods or tools we can use in case an error occured and the mail is not being send.
Of course we could launch transaction scot or sm37 to check the errors, but we would like to go productive with a solution that triggers a mail event or something in case of errors.
Any hints welcome.
Thanx in advance.
MarkusHi Murali,
thanks for your reply. What we currently found out is that you can check rsrd_log where you can see the chronological steps for your task.
But still we havent found a standard opportunity to be informed automatically in case of an error.

Necessary Notes for Information Broadcasting
Hi Gurus, I need some help in finding solution to this issue even my BASIS team wants me to find. Information Broadcasting (IB) can be accessed in 2 ways, from Query Designer and Web (if properly installed, we have additional tab apart from 'Data Analysis', 'Graphical Display', 'Information' and 4th tab is supposed to be 'Information Braodcasting'). We don't use WAD here.
I can access it from Query Designer not from the query 'display on the web' as it doesn't have the additional tab for 'Information Broadcasting'. I am pretty sure that I need to recommend them to install some additional SP and notes. Please advice me on which SP is missing.
This is urgent, so please respond immediately with some good answers.
Thnx. The Precalc server is only needed if you want to use Information Broacasting to create and distribute Excel workbooks.
You probably want to install this on a separate PC or server, and if you use the IB to generate a lot of Excel wkbks, you may need more than one.
You can install on your BW Team's PCs if you want, but if you intend to let end users Broadcast wkbks, then look at PC(s)/Server(s) under your control. The Precalc Server is a Windows service that runs on teh PC/Server.
More recent SPs (3.5 SP 19 or 20 I think) have delivered the ability for the Precalc server to queue up wkbks, as it only can run one at a time. Prior to the queueing functionality, you could run into problems if mutlitple wkbks were hitting the Precalc at the same time. There is a new RSADMIN entry that lets you specify how large the queue should be, e.g. 10 wkbks, 20, etc. -
Information Broadcasting license
Dear,
Just found on SDN (http://www.sdn.sap.com/irj/scn/go/portal/prtroot/docs/library/uuid/7c2a7c65-0901-0010-5e8c-be0ad9c05a31?QuickLink=index&overridelayout=true#q-13)
What scenarios need to be licensed via the Open Hub license?
Simply speaking, the Open Hub license is an alternative to the user-specific license. If you extract data from your SAP NetWeaver BI to a non-SAP system, you have to license this scenario - no matter which tool use for the extraction, e.g. Open Hub Destination, listcube, any BI API, Analysis Process Designer or Excel download. Note that a licensed BI user may download to Excel for her/his own analysis purposes without any further license costs. Distributing Excel workbooks to non-SAP BI users for personal reporting purposes requires Information Broadcasting license, not Open Hub license.
The last sentence makes us a bit nervous, as it might mean that a user having access to BW, can not forward by mail his finding to a colleague...
So does any one has the detail about the list price of the "Information Broadcasting license" (we know that this is very depending on the relationship with SAP - so we are only looking at the list price)...
ThanksHi,
To my mind, the sentence "Distributing Excel workbooks to non-SAP BI users for personal reporting purposes requires Information Broadcasting license" refers to using BEx Broadcaster, which is distributing periodically precalculated reports to end users by email, for instance.
As far as I know, it is not related to the circumstance in which a BW user finds something and wants to share it with a colleague.

Information Broadcasting direct email delivery of CSV files?
Hello,
Is there any way to configure Information Broadcasting in BW 3.5/Netweaver 04 such that email delivery of CSV files is possible? I see that the pre-calculation server will generate workbooks. Though, we really need delivery direct to CSV.
Alternatively, has any one come up with a process of delivering Bex web links with a template that can generate CSV? I saw this second option come up in a previous topic, but I am not sure how this would work.
Regards,
JoelHello,
Sorry I did not see your question until today. It seems that you posted right before I went on vacation. º To answer your questions
To Broadcast a Template for CSV extract only
1) Create a new template
2) Add a table
3) Set the new table as HIDDEN
4) Add Button or In-line command

Information Broadcasting ( Automatically execute a report and e-mail it)
Hi,
Can BEx Automatically execute a report and e-mail it. The requirement is to Execute a Report periodically and send the report in <b>EXCEL SHEET</b> format to the given e-mail ID.
I have tried configuring it in HTML format.... but I need it EXCEL format.
Waiting for help from the SDN community...
Thanks in Advance.....Hi,
You can send the workbook automatically when you schedule thru information broadcaster.
But you have to install precalculation server for distributing workbook..
Have a look at OSS note 760775 ..

The Information broadcasting. Precalculation doesnt work.
hi,
i'm trying to send the workbooks by Information Broadcasting but getting the error mentioned below
E BExExcelPrecDLL.StartCalc: Connection was not passed to Excel
excel security is set to "low".
any ideas how to fix that?
thanksHi,
Kindly carry out precalculation server set up with the help of basis team.
Prerequisites for setup:
Install Microsoft .Net Framework (installed with SAP Frontend)
Install SAP GUI 6.40
SAP Netweaver 7.0 BI Frontend (BI Add-On).
Install Microsoft Excel 2000 or higher
Main steps for setup:
Install the pre-calculation software that is part of BI Add On.
After Finishing the installation go to the Services Window of your operating system
Search for Service called SAP BW PRECALCULATION SERVICE 7.0. Double click on the service.
Enable Automatic as Startup type
In the logon tab, mark the checkbox u201CAllow service to interact with desktopu201D.
Log on to the BW system from the PC where you created the settings above and enter transaction RSPRECADMIN in order to Create Precalculation Server.
Enter the technical name of the server (max. 10 characters) and a description. The description is language dependent and appears in the BEx Broadcaster during selection of a special precalculation server. The precalculation server, which from a technical viewpoint is an RFC server, appears in the list.
Start the Windows service SAP BW Precalculation Service. The precalculation server is ready and the status display of the precalculation server shows a green light. You can now see the server in the Broadcaster setting dialog for a workbook precalculation distribution type.
There is a log available to do trouble shooting. From Customizing (transaction SPRO): SAP Reference IMG SAP NetWeaver SAP Business Information Warehouse Reporting-relevant Settings General Reporting Settings in Business Explorer Administer Precalculation Server Select the u2018Documentation for the Serveru2019 icon Display the Front End Log.
Thanks and regards

Information Broadcaster with variants
Hi All,
We have to send workbooks via Information Broadcaster to e-mail recipients. So, the recipients should receive the data for a special variant of an excel workbook. So, I have to create a variant in the information broadcaster to manage the distribution.
So, we have app. 200 recipients with 200 variants. Is there any possibility to create the variants automatically via BAPI or something else. Or has anyone an creative idea to fix the claim.

Information Broadcaster Utilizes 60 to 90 % of Java Stack CPU
We are currently on BI 7.0 and EP7.0; we have started using Information Broadcaster and we are noticing that it utilizes 60 to 90% of CPU on the Java stack.
One thing to inform is that we are using the same Java Stack for Portal, BI and R/3.
90% of CPU seems abnormal to me (At the peak of its usage the Portal Performance goes down).
Will this issue get solved if we use a dedicated Java Stack for BI? Thoughts Please.
Regards,
DeepakDeepak,
We too facing the same problem.
After proper analyzation our experts decided to go for a dedicated Java Stack for BI to increase the performance.
