Interview feedback & Offer letter tracking

Hi,
I am new to recruiting module and am looking for answers for the following, please provide inputs if you have worked on any of these items:
1) I want to know details around how to track offer letters generated? How can we have a unique identifier for offer letters? Can we use offer letter serial number if so how to generate that?
2) Is thr a way by which we can provide statuse to offer letter like offer accepted, offer withdraw, offer declined, awaiting etc?
3) how to capture interview results/feedback? can the results of previous interview be made available for the current interviewer ? can the applicant data and thr resume be made available for the interviewer?
4) can we restrict to have a 1 - to - 1 mapping for number of positions in a requisition versus offer letters rolled out?

I am very new to SAP world and am aware of only the defination or the concept of infogroups. Could you please shed some more light on how the requirements we have can be handled using E-recruiting infogroups?

  • Issue: Sending Offer Letter to the Applicant (PB40)

    Hi Experts,
    I have an issue in the Sending Offer Letter to the Applicant.
    Point 1: We have developed a smart form (Offer letter) which will pick all the required data from the STD tables.
    Point 2: In PB40 executing the (Offer Applicant Contract) Action,  We get a popup screen Planned Activity to send offer letter to the applicant.
    Point 3: Here is my issue: my smart form (Offer Letter) is not getting identified by the system.
    Note: I have maintained the PACTV Feature as wel

    yes there is  standard apllication for getting the mail activated viz applicant activity types/ status......
    below is the part which has to be customizied in order to get the mail activated..... you choose feature PACTV for assigning the aplicant activity types to the status of the application.... based on which automatically the mail can be triggred........and feature MAILS  define the activiyt type and the std text which you want to activate.... ex  Below the std text used is MAIL-APP-INTERVIEW which will be called if activity is appointment for interview..... meaning of variuos variable can be found in the forum.....
    APACT Applicant activity type
        005 Appointment for interview
            IDTXT MAIL-APP-INTERVIEW
            RECV1
            RECV2 X
            RECV3 X
            SUBTY 0001
            OUTBX X
    After this you have to take care of the standard text in SO10 and here you will need a abaper to put the variable name etc which you would require... to place....

  • Email Offer letter to Applicant

    Dear All
    I have a requirement where an Offer Letter is to be emailed to an applicant to his personal email ID maintained in IT0105 subty 0010.
    I have heard there are some standard features like "MAILS" and "PACTV" which can be used for this. The features uses some standard texts(SO10) objects.
    Please list the steps I need to perform in configuration. Also, the Name of the applicant needs to appear in the Offer letter.
    Can this be done by configuration alone? Or some ABAP development is also required for the same.

  • Generating Offer Letter & Data Transfer in Recruitment Module

    Dear Gurus,
    1) We are implementing Recruitment module and i am quite new to it. Could any one of you suggest what are the sequence of steps required to maintain to make sure that a Standard offer letter is generated and how to mail it to the applicant while you perform Offer Applicant Contract activity. Kindly suggest how to move further to fulfill this requirement.
    Kindly note this is pure Recruitment module and  e recruitment is totally out of scope.
    2) How do you transfer applicant data to Personnel Adminstration module when the Applicant action Prepare for Hiring is run.
    Kindly suggest the sequence of steps to be followed to make sure the data transfer happens from recruitment to personnel adminstration.
    Kindly also let me know what are the mandatory switches that have to be activiated in T77S0 table to set up an integration between PA & RC.
    3)When you hire a external applicant whose data is already there in PB10 and when you hire him for suitable vacancy and do the data transfer to PA. The next time when i try searching in the applicant pool will the Applicant group change from External applicant to internal applicant in case of hired applicant. If yes how to go about it.
    Kindly throw some light on this. Please note we would like to go about the standard functionalities of SAP Recruitment module.
    If there is any challenge in fulfilling the above requirements, kindly point out the same so i can address the same to my client...

    Hi Ravi,
    You can do the initial data entry of the applicant through Tcode PB40 or PB10.  Once you have maintained the data, then you can do the applicant actions like given below through Tcode PB40.
    Enter additional data
    Reject applicant
    Put applicant on hold
    Process applicant
    Offer applicant contract
    Applicant rejects offer
    Change of org. assignment
    Further application
    Invite applicant.
    It is not compulsory to do all these actions, but these actions are useful to keep a track of applicants.
    Then you have to do applicant action prepare for hiring through PB40.  After doing prepare for hiring action you can transfer the applicant data to Personnel administration through Tcode PBA7.  Once the data is transferred personnel number is generated for applicant.  Then you have to complete the activities throug Tcode PBA8.
    Few tables for configuration of recruitment :
    T750D - for creating media for recruitment
    V_T750C - Recruitment instruments
    T750K - Applicant group
    V_T750F - Applicant range
    V_T751E - Applicant action type
    V_T588D - Infogroup for Applicant action

    Candidate has applied for a vacancy and offered.But when trying to view offer from offers workbench the offer letter does not show up....we get an error page.
    plz suggest if m missing some profile option or anything

  • Where is the changed Job Offer Letter stored?

    I am changing the text of Smartform for Job Offer in portal. Once the text is added i am able to send the new version of Job Offer to email. But my requirement is to get the new Job Offer Letter and store it in an archiving system
    I am not sure if the new Smartforms gets stored somewhere SAP database tables. If it does how do i get it?

    Even i am not very sure where exactly it gets stored. but i can give u a direction to check out classes
    starting with cl_hrrcf_* and ending with bl i.e. cl_hrrcf_*_bl in tcode se24.
    Here you will find some classes related to activities where you will be able to retreive the letters.
    Also go to infotype 5136 i.e. in se11 check hrp5136 and see if there are any entries
    In this infotype, the following data is stored for an activity of the Simple Correspondence category:
    ●      Activity Type
    ●      Global Key for Activities
    ●      Activity Status
    ●      Due Date
    ●      Type of Related Object (user who created the activity)
    ●      ID of Related Object (user who created the activity)
    ●      Note for Activity (points to a text in the document storage for HR objects)
    ●      Activity Category (Simple Correspondence)
    ●      Completion Date (date on which the activity was completed)
    ●      User Name (user who executed the activity)
    ●      Process (to which the activity for the Simple Correspondence category is assigned)
    ●      Subarea of SAP E-Recruiting (Recruitment)
    ●      Object ID of Talent Group
    ●      Time Stamp of Last Change
    ●      Form (indicates the form used as the template for the correspondence)
    ●      Individual Letter for the activity (points to a text in the document storage for HR objects)
    ●      Individual letter section for the activity (points to a text in the document storage for HR objects)
    see the entry which i have made it bold if this helps. HR_KW is the document storage object used for HR and HR_CONT is the content repository, this letter will sit somewhere in the application server of the E-rec system.

    I haven't seen anything related to doing this for iRecruitment but have you checked over the standard BI Publisher support for digital signatures?

  • Offer Letter to be signed before sending to applicant.

    Hi everyone ,
    there is a requirement hiring manager want to sign offer letter before sending it to applicant. Is it possible
    when final approver receive offer letter for approval , he download offer letter sign it and re upload the attachment and send it to recruiter.
    In nutshell offer letter should be physically signed by approver before recruiter send it to applicant.

    Thank you very much!!!  In the mean time I have been working on this issue using your previous script and it has solved my issue.  I placed the following script in the preSubmit event for the Signature field.

    As I went to place an update in this forum I found your recent post which is strikingly similar.   I am very grateful for your help. 
    Note: I was also making the mistake of not including the [0] which is not a part of my object names (as you know) but I had initially assumed was a part of the names in your example until I opened your sample and discovered the difference.

  • IRecruitment Offer Letter review button to have multiple template to select

    I have a requirement in i recruitement Offer letter generation to have multiple Offer letter selection at the time of review page. I've Created a custom template and associate the template to Business group and now i've 10 different templates with different texts . i've started the process for selecting applicants and then gone into Enter basic details and then to review page and in that view offer letter button . here i need to select a tempate among the 10 custom template which i created , I've register this 10 template in Assocation template form where on whatever the radio button i kept in that form only that template output is bedefault coming where as i need to select the template as per my choice. Kindly let me know if any advice on this matter.

    You can not select template at that time. While creating the offer you just submitting the details for the offer. Once the request is approved, Go to Offer Workbench => click on offer letter. Once you click there you will be able to choose the template on the following screen.
    Save the offer letter once you choose the template.

  • E-Recruitment - Hide the details in Offer letter- Smart form

    We need to hide the details in offer letter for some users of E-Recruitment.
    I followed the below steps, but when click ‘Extend Offer’ Activity, flow does NOT stop at break point in custom smrtform and displays the all information.
    1)     Copied smart form ‘HRRCF_CS_EXA_OFFER_CONTRACT’ to’ ZHRRCF_CS_EXA_OFFER_CONTRACT’.
    2)     Made the configuration to call custom smart form.
    3)     Declared one global variable 'LG_ALLOW' in Initialization of Global Definition. Right now I’m passing ‘space’. Later I’ll write the logic to populate this field.
    4)     In ‘Condition’ Tab of ‘Main window’ I put the condition 'LG_ALLOW = X ‘.
    5)     Still I’m seeing the Main window information in E-Recruitment application, which is not expected.
    May I know why it behaves like this?
    Whenever we see the offer letter in E-Recruitment application, our customer smartform should trigger. Am I Right?
    My requirement is to hide the offer letter information to specific support team role assigned to users through check in the customer smartform. Please help me to achieve this.

    I am still not fully clear. Do you talk about the dataoverview for the activity you get by clicking on the activity name in the activity list or do you talk about the display option for the correspondence you can call when you are in creating/ changing the activity?

    1. though the implementation is global offer letter may vary from country to country.
    2.when it comes to international scenarios it may vary on terms and conditions and other legal things.
    3. offer letter may change at any time.

  • Need to create custom offer letter templates for irec offer letters

    I am trying to create a custom template for irec offer letters. The additional fields I require in the offer letter are configured as DFF on the Irec page. Steps I followed to create a custom template:
    1.Created a custom rtf and used tag names as specified in the standard "IRCESOLDD_SD.xml" file for the additonally configured DFF fields.
    2.Created a new template definiton and used the standard data definiton "iRecruitment Offer Letter Data" as reference while creating my template definiton.
    3.Associated this custom template to the required business group.
    But while navigating the irec page I get an error like below:
