Invoice reference field in Clearing rules

Hi
I am trying add field REBZG-Invoice reference in OBIA t.code (Clearing rules for GL) . Requirement is while clearing the document system has to post separate clearing document for each invoice.
Then system saying field not permitted.
Pls advice

In the customer master set the grouping KNB1-ZGRUP
Also select "single payment" check box.

    Hi All,
    When a billing document is released to accounting, on the customer line item display (FBL5N), the invoice reference field has the FI document number in it.
    But if we actually look at the Customer line item on the FI document (FB03), the invoice reference field is blank.
    Not sure what is happening over here.

    OK, i would suggest check OSS on this field, because if this happens for the same document number, than it is a program error (I guess), if it was working fine earlier, and not working fine now, than could be chnage in customizing (if the fill of this field is customizable at all), or a change in the functionality (either standard, or user-exit)

    Has anyone found and/or implemented a Business Function from an Enhancement pack that has compensated for the relatively short length of the invoice reference field XBLNR?
    I am not interested in modifying it for ourselves. I'm only interested in standard SAP.
    We are currently on ERP 6.06 with ECC-DIMP.

  • How to populate invoice reference field (bseg-rebzg) in accounting document

    Hi,
    I am working on a scenario in which first a billing document and its corresponding accounting document (say A) is generated.
    Then if there ia any correction, we create a credit memo request. From this credit memo request we create a credit note.
    After saving this credit note another accounting document (say B) is created. This new accounting document has "Invoice ref." field blank (BSEG-REBZG). However, I want to display first accouting document's number (i.e. A) in "Invoice ref." field.
    I tried to change the reference number field in user exits (called during credit note creation) but it didn't help and accounting document didn't get created.
    Can anyone please suggest how this can be done?

    I really doubt that the number of invoice document get stored here. This is only filling up with "V" in our system for the credit memo accounting document referencing to an invoice document created with reference to billing document.
    Please read the help on this filed.
    In the standard system the field is used for:
    Credit memos which refer to a particular invoice item
    Subsequent invoices for an invoice item
    Partial payments for an invoice item
    Partial clearings of down payments.
    In the first two cases mentioned, the terms of payment are copied from the cross-referenced invoice item into the item currently being processed. This ensures that items due on the same date are paid together by automatic payment.
    A special rule applies to credit memos which have a "V" in this field. The due date is determined in the same way as for an invoice. If the field is empty (containing neither a document number nor a "V") the due date is the baseline date for payment.

  • Invoice Reference Number in Line item of Credit Memo

    Hi Experts
    I tried getting a specific and relevant answer to why we enter "V" in invoice reference field of a Credit Memo?
    On going through the SAP Help text - A special rule applies to credit memos which have a "V" in this field. The due date is determined in the same way as for an invoice. If the field is empty (containing neither a document number nor a "V") the due date is the baseline date for payment.
    I understand this relates the credit memo to an invoice but how SAP determines the invoice from which it will pull the payment terms for this credit memo?
    Is this V concept applicable only in case of MIRO Invoices or otherwise too?

    We have 3 ways of credit memo use for REBZG field:
    1 - REBZG = Invoice -> You credit document will fetch payment term, payment method and due date from invoice.
    2 - REBZG = "V" -> The credit document works as individual invoice. The due date is calculated by Bseline date + Payment terms.
    3 - REBZG = " " -> The credit memo is opened to be used in any other invoice as discount. Baseline date is the due date as default.
    Your questions:
    * There are no reference for invoices in cases number 2 and 3.
    * This is apliccable for invoices from all transactions.

  • Invoice reference for residual payment

    HI experts
    I observed if I receive the payment from customer  Rs 10000 for the invoice Rs15000 through residual payment then system creates new line item for Rs 5000 and this will be shown as open item and all others will be clered items.
    Here my issue is  for new line item system is not storing the original invoice details in invoice reference  field. How to maintain source invoice details to residual new line item.

    Hi,
    Anil is correct. All the details you entered in your incoming payment document when you posting your residual payment, will be displayed in the new line item created after that. My practice last time is that I will maintain the original invoice number at Reference field as suggested by Anil and entered my PO or SO number at Document header text.
    If you don't wish to lose all the original details, you can use partial payment tab instead of residual. Partial payment will post the incoming payment without clearing any item. Then you can clear it off all together when you are posting for the last incoming payment for that particular invoice.

    I'm getting an error (see below) while entering details in the manual bank statement.  I've checked the variant already, and the manual bank statement variant with "Bank Reference" field is already deactivated. How come FF67 still validates on this field?

    The Bank Statement Transaction you are using has an Int. Algorithm configured, which requires the Bank reference field.
    In IMG in the transaction where you create and assign business transactions to posting rules, there is also a filed for Int Algorithm. The system uses the Int Alg. to determine the fields on which to match and clear documents. The transaction you are using may have an int algo. configured which uses the reference field for clearing.
    Even if you remove the reference field from the Manual Bank Statement Variant, the system is still going to look for it because that is one fields defined for clearing in the int alg.
    You can change the config settings for the transaction, but either removing the Int alg. or using a different one. The description of the Int Alg. on the drop down list, will give you an idea of what fields will be used for clearing.
    IMG path...FA->Bank accounting> business transactions-> payment transactions>manual bank statement-> Create and Assign business transactions.

    In credit memo entry how do you get a list of invoice for which the corresponding credit memo has to be made. Normally when we click F4 in the invoice reference  field we get a message input list is not available. I want to get the list of invoice when i press F4 in invoice reference field. Is it possible?

  • Partial Payment (with invoice reference) for Invoice-based items

    Hi Gurus,
    I'd like to make partial payments to credit memos while "Include partial payment" is activated.  However, if i activate "Include partial payment, partial payments for invoice-based items are no longer possible (partial payment amount is displayed only, and full amount is automatically applied).
    My credit memos were posted via BAPI_ACC_DOCUMENT_POST.  I've read that when using BAPI, invoice reference field is automatically populated with "V".   
    Can you please enlighten me what is SAP's logic behind this.  How does SAP determine invoice-based items?  And is there a workaround so I could still make partial payment while it is activated?  Thank you.

    Good day!
    I would like to ask if itu2019s possible to mass change the invoice reference on all customer accounts with 11 as posting key. Currently, all CM were already overdue thatu2019s why we have to change the accounting document and input the letter V in the Invoice reference field ( BSEG-REBZG ) to apply the original payterm of the customer. We do this manually per accounting document. Hopefully, there's a way were the invoice reference field will be filled up with the letter V.

    You can do this via LSMW or BDC . Record your transaction in LSMW or BDC and upload all the invoice reference fields docuement number wise.

  • Reference field for Automatic Clearing - STO

    Hi All,
    This pertains to automatic clearing of line items in Cenvat Clearing Account for STO transactions.
    Our client is using J1IIN for creating outgoing STO Excise Invoice at sending plant. The accounting document posted will have Billing Document Number in its reference field.
    The accounting entry will be:
    Cenvat Clearing A/c Dr.
    Cenvat Payable A/c Cr.
    In the receiving plant an incoming excise STO invoice is posted in J1IEX. In the accounting document, the reference field is filled with the excise invoice number generated in J1IIN.
    The accounting entry will be:
    Cenvat Receivable A/c Dr.
    Cenvat Clearing A/c Cr.
    Since the reference fileds are having different document numbers, clearing the open items in Cenvat Clearing Account using automatic clearing has become difficult.
    Need inputs on how to get a common text (either Billing Document Number or Outgoing Excise Invoice Number) entered in reference field for both the Excise Invoices in J1IIN and J1IEX, so as to make this automatic clearing work fine . . . .
    Can anybody help in this regard..??

    From the above we can have options for
    1. For all accounts or selected one account , we can have upto 5 criterias for our decision to vlear
    2. We can have COA level decisions also
    3. We can have Account type level decisions - Vendor, Customer & GL accounts - one or many and can many rules defined.
    4. apart from the above you have the option to clear the criteria order of the field for account type definitions level
    Please go through the settings - SPRO-GL/AP/AR- Business Transactions- Open items processing- auto clearing

    As per STANDARD SAP PROCESS this functionality is not Possible. The reason is very clear, Excise Invoice is always created after creating billing/invoice document. Without creating excise invoice you cannot have excise invoice number reflected in the reference field of billing document.

  • Automatic invoice reduction - MIRO XBLNR1 - Reference field

    Hello all,
    I've set up the automatic invoice reduction in MIRO due to errors in vendor invoice (with subsequent credit received in paper).
    In this process there are two FI documents (A1 for invoice and background A2 for reduction) regarding the original MM document.
    The user uses "refence" field in invoice header to relate to the vendors physical document but the field only goes into A1 (BKPF) document and not A2, event with this A2 being background document and in it's master this reference field being mandatory...
    How can I put the reference field in A2 as well?

    Procedure for posting the Invoice Reduction :
    (1) Enter the T.Code MIRO - Select the Transaction as Invoice only.
    (2) Give the reference number ( Example PO Number) for which you want to create an Invoice.
    (3) In the Display Variant, Select Invocie Reduction.
    (4) Maintain the required details and post the Invocie.
    Example: Invoice Reduction due to Quantity Variance:
    PO: 100 nos @ 10 EUR/No
    GR: 40 nos
    Invoice: 40 nos @ 12 EUR/No = 480 EUR
    When you enter Invoice,
    Order Qty Order Amount Invoiced Qty Invocied Amt
    40 400
    Select Reduce Invocie in the Display Variant.
    Enter the Quantity and Amount stated in the Invocie in the fields Invoice quantity acc. vendor and Invoice amount acc. vendor.
    Order Qty Order Amount Invoiced Qty Invocied Amt
    40 400 40 480
    When you post the Invocie, Purchase order history will be updated as follows:
    Quantity Value
    Total Delivered 40 400
    Total Invoiced 40 400
    Accounting Documents:

    Dear Collegas,
    When cancellating an invoice (INVOICE1), a new billing document (INVOICE 2) is created and in the FI document of the cancellation, the system is taking the reference field (SD invoice number) from INVOICE1. The customer wants the system to bring the INVOICE2 number instead of INVOICE1 number.
    In billing document custo (VOFA), field "Reference Number" value "E" Current billing document number
    In Copy control from Invoice to Invoice is also customized vale "E" Current billing document number
    Any ideas.

    Hi Mikel,
    Since release 4.6, a new cancellation procedure was introduced which allows the automatic clearing of the accounting document when reverse an SD invoice by VF11. With this new cancellation, both BSEG-VBELN and BKPF-XBLNR reference the number of the original invoice. The cancellation does not appear in the open items, because it is automatically cleared out with the corresponding invoice.
    You can get more information from note 400000.However, if you want to back the old function apply the notes:

    The note 339928 explains how to deactivate the new cancellation procedure. If the new cancellation procedure is deactivated then the field XBLNR (Reference Document Number) should be filled like requested.
