Invoicing with numbers

i purchased iWork in hopes of creating invoices for our small business, but it's turning out to be more of a headache!
here's my issue:
i have a product list, each product has a product number and a weight/count measurement. on the invoice i want to be able to type in the product name and it pull up the product number, along with the unit price AND the weight/count measurement. then once that info is there, when i put in a quantity, i need it to calculate the total price. then of course total all the totals at the bottom. the formula i'm looking for is somewhat like this: (QUANTITY * WEIGHT/COUNT) * UNIT PRICE = TOTAL
i've tried numerous times to get numbers to do this using the VLOOKUP functions, but i can't seem to get it. the math part is somewhat easy, it's the being able to insert the product name and it bring up a PLU # (product number), a weight/count, and a unit price for that specific product.
all in all... is what i'm needing more complex than just building a spreadsheet? is there an invoicing/billing software that is inexpensive out there that can do this better for me?

Only yesterday I posted a method for producing invoices and it seems that your situation is a variation. If you refer to the thread:

you will see a tiny table for entering an account number. For starters I would expand that table to include all of the columns of information you need plus one or two extra columns for needed calculations. Then using the LOOKUP() function, as was done in the invoice table, information could be assembled from your master table.
As a matter of fact, all this information does not have to be strung out across separate columns. You could design the placement in this table any way you want since you will be pulling up only one set of information at a time.

  • Creating Invoices with Numbers exporting as PDF

    I'm using numbers to create my invoices.
    Using sheets/tables to create the Customer information section 2 columns and a few rows for their Name, Address, Email, Etc
    Then I use the invoice table chart to put their products and a service charge on there as well.
    It works out perfectly...however I just noticed that when I export as PDF to email my customers their invoice/receipt the PDF lines are completely editable.
    Giving me a very uneasy feeling should a customer want to make adjustments and cause a concern over something that they changed on the invoice.
    So it is possible to lock those fields when exporting as a PDF or is it just by default that way?

    Are you sure in basic PDF readers your customers can edit your content?  Actually I think you can modify most any document.  If your customers are really modifying the invoices you send to them I would say that makes your relationship with them very difficult. 
    Acrobat Pro X does allow editing.

    You can embed and image which is still modifiable but more difficult to make it look good.
    I don't think there is a better way to emit a pdf than what you are doing.   FYI you can also use the menu item "File > Print", then select "Save as PDF…":

    There is an AR Invoic with 2 lines and SO with 2 lines. The line numbers on the Invoice and SO are not in Sync. SO line No 2 is Invoice line No1 and SO line No1 is Invoice Line No2. What determines the Invoice line numbering?

    Goto the T.Code "VOV7".
    Select your item category.
    Details.
    Maintain the Completion rule as "A(Item is completed with the first reference)".
    Save.
    If you do this after the follow on document is created,the item is completed and you cannot reject the item.
    For your second question,
    Goto the T.Code "VTLA".
    Select your valid combination.
    Click on item.Select your item category.Details.
    There is a check box called as "Update document flow".Tick that one.
    Save.

  • Determine Invoice XREF numbering based on invoice amount

    We have currently configured that for FI documents DR (Customer Invoices), for some conditions, SAP will print a "B" print character invoice, with an assigned internal numbering sequence.
    For instance:
    0038/C/00001234  (branch/print character/number from a defined numbering range for that branch)
    There is a new regulation that says that for these same invoices (triggered from VF01) a check must be done, and if the total amount is bigger than, let's say USD 10,000, then a different invoice number must be generated, for instance
    0039/B/00000123
    Is there a way to configure SD and/or FI to get this number determined based on the total amount at the invoice?

    This should be possible to handle through User Exit fot number range of Billing document. You will have to maintain number range in 'Z' Table with approprite fields & call the same during saving of invoice, where it should check the Invoice value & select the required number range.

    Is there a way to numerically number invoices through Numbers? Also is it better to save multiple invoices separately in a folder or is it better/possible to have all the invoices throughout a year save in a single Numbers document?

    It will be usable if you put your Invoice in a table of a Pages document.
    I will try to modify it to work on a Numbers document the day this application will be scriptable.

    Your logo is an image. Details on adding and working with images in Numbers can be found in Chapter 9 of the Numbers '09 User Guide.
    Rows are part of a Table. I'm not certain what you are referring to when you say "adjust rows," but the details regarding adding, removing and changing rows are in the "Working with Rows and Columns in Tables" section of Chapter 3, Using Tables in the Numbers '09 User Guide.
    Adjusting values is done by entering new values, or by revising the formulas that create values. This is also conered in the User Guide in Chapter 4, Working with Table Cells.
    The Numbers '09 User Guide is free, and may be downloaded via the Help menu in Numbers. If you intend to create Numbers tables (or to modify formulas), you may also want the iWork Formulas and Functions User Guide, available from th same location.
    For anyone new to Numbers (and for old hands as well), I recommend reading at least the first four chapters of the Numbers guide. The rest can be kept to use as a reference as needed.

    Have you try to debug it , which line is causing problem.
    With serial numbers you don't have to set the qty.
    other fields that need to be set are :

  • Balance the item 1 - Vendor invoice with two expense items for two co codes

    In our case document splitting is active with profit centre balancing.
    When I am posting a FI vendor invoice with two expenditure items to two difference company codes & cost centres, the system is generating the clearing line items but it is not posting and giving an error message that "balance profit centre data is not there in line item".  Since this is a vendor item and no profit centre information cannot be given manually, system has to split the item with relevant profit centre information, right ?  But that is not happening, please help me out.

       Document splitting configuration is done at client level and assigned at company code level.
    Document split is done based on the item categories and base item categories configured.
    This can be done only for the entities inside a company code and not for the company code and it is done to have a Zero balance check in the entities.
    Document splitting is done mainly for reporting purposes.(eg: Segment reporting, Profit center reporting etc.,)
    you are posting for two different company codes in a single transaction means it will be cross company code transaction.
    System will generate two different document numbers for eac line item and a single cross company code transaction number for the entire transaction.

  • Problem adding Sales Invoices with batches

    I am trying to create an invoice with a batch component which is returning "Cannot add row without complete  selection of batch/serial numbers".
    I can add these lines manually using teh UI but not via the DI Server.  The relevant <BOM> section is shown below.  The only mandatory element seems to be <BatchNumber> and I have tried it with just that element and with combintaions of them all.  I have also tried adding a <LineNum> to the main <Document_Lines> section in case it needed this to tie up with teh <BaseLineNumber> (which I have als tried leaving out).
    I have extarcted a GetByKey for a manually entered one and I cannot see the problem.  Any help would be appreciated.

    - When i created the excise invoice with reference to a STO Delivery Note, i am getting error : " For delivery 800050092 no document of type JEX exist "
    - I already setup the config to assign Delivery Type NL to billing type JEXP.
    I was doing the steps as below :
    1. ME21N u2013 Create Stock Transport Order
    2. VL10B u2013 Create Outbound Delivery w.r.t. STO
    3. J1IIN u2013 Create Outgoing Excise Invoice w.r.t. Delivery Note

    Create the excise reference document before running the excise posting transaction.

    I did not check the selection for ": Excise Inv during Billing " in my Excise Group maintainance.
