Is migrating open application workflows to process-controlled WFL required?

Dear forum members,
We have upgraded an SRM system from version 5.0 to 7.0 (SP 7) and we have gone live in SRM 7.0 with the old application-controlled workflows still being used for old and new documents.
We are in the process of changing the workflow to the new process-controlled (BRF) workflow and this works OK for new docments in our test systems.
Can you confirm if we MUST migrate the old workflows to the new BRF workflow when we activate the new p-c workflow into the live system?
I would prefer to have the old application-controlled workflow continue for existing document approvals and use the process-controlled workflow for new ones.
My questions are:
1. Can we use both application and process-controlled workflows together at the same time (new docs use p-c workflow, existing approvals to continue to use A-C workflow while they run down)?
2.  If not, can we migrate SC n-step BADI workflow to the p-c workflow (report /SAPSRM/PR_WF_MIGRATION_CFG implies not)

we are dealing with the same issue in a srm migration from 5.0 to 7.0.
We have a copy of the production system with a lot of open workitems based on application controlled workflows.
We build up new process controlled workflows and activated those for the new shopping carts.
The report for the migration (/SAPSRM/PR_WF_MIGRATION_CFG) of open workitems seems to be not sufficient, because
- all open workitems are going to be restarted, right?
we tried to approve old woritems from the powl, that seems to work. Simultaneously brf workflow works fine.
Right now we are wondering why it should not be possible to finish the old workitems application controlled and the new ones process controlled. Do we miss something?
Has anybody experiences based on customer projects?

    Dear experts,
    could you please answer -
    is it possible to use parallel worklow in the process controlled workflow?
    for example, there is a requirement that all the department managers should approve the RFx document or contract.
    Is it possible to simulate this process using the process controlled workflow in SRM 7.0?
    It seems, that in the standard it is possible only via sequential approval - i.e. the first manager approves
    the document, then it goes to the second etc.
    Or all the managers receive the work item, but only one manager in fact approves it.
    Both variants are not suitable.
    Maybe there is another way to simulate the parallel worklow process?
    There is an option called decision sets, but it can be used for shopping cart only.

       Yes- This is possible through Process controlled workflow. I am doing a smiler kind of workflow development. like category approvers .. Category approval will split by category...but you have to build the logic such a way that read all the items and send to all the approvers.. But now i have noticed that even through all approvers will receive parallel workitem but Approver A can't open his/her workitem if Approver B is in the process of approve/reject the workitem( Meaning when he double click the workitem in detail) then Approver A will receive a Error pop up message saying that Approver B is working on this document.

  • Side Effects of switching from Application Controlled Workflow to Process

    We have switched our development environmnet from application controlled workflow to process controlled workflow.  We noticed that when we try to pull up old shopping carts that are awaiting approval we get dumps.
    Is this a known issue when converting from application controlled workflow to processing controlled workflow?

  • Process Control workflow - want to delete logical steps against one SC

    Workflow issue : Process control workflow
    In my scenario when requestor is creating a SC then workflow goes to buyer for assignment of supplier but when buyer himslef is creating a SC and forgot to attach supplier then workflow goes to error....i checked in SWIA its an error.....
    i come to know tht we can logically deleted those steps , so that when buyer open a SC in edit mode and assign Supplier then workflow will behave as normal.
    Please let me know where i can logically deleted the steps for particular work item ID.

      Yes - what Masa suggested is the correct and the SAP Best Practice, I'll do the same. you can implement the BAID BBP_DOC_CHECK_BADI , where you check whether the requester is Buyer or not, if the requester is buyer , you can get the assigned role from BUS4101 by passing the user id or calling the FM 'BAPI_USER_GET_DETAIL'. if the  'ACTIVITYGROUPS'
    table from FM ''BAPI_USER_GET_DETAIL' has an entry 'SAP_EC_BBP_PURCHASER' then the requester is a buyer. you can write your logic after that to make sure the SC has assigned supplier or not. if the SC is not assign the supplier then raise the error message.

  • Migration MIC to GRC Process Control

    Dear colleagues,
    Does anyone have experience in migrating MIC 1.0 or 2.0 to GRC Process Control?
    I got different information from the same company (...don't ask) regarding the possibility to migrate, so I just wonder who really knows.

    Let me be more specific. I am relating to the product currently available:
    A migration path from MIC to Process Control is not available yet. A migration from MIC to Process Control has not been done yet.
    However as both applications have similar objectives a migration may be feasible as a project solution. SAP may also offer such a migration.

  • Process Controls 10 - Missing application links

    Hello
    We are having an issue where three of our application links for process control are not appearing in NWBC. I have activated them in LPD_CUST. They were visible before I put them in a package and transport. After the populating the transport the links were appearing as Application 1 (Description in language English doesn't exists). I went into LPD_CUST and manually updated the description field for each link that was displaying this. All of the links were updated with the correct text and visible except the following:
    Indirect Entity-Level Control Evaluations
    Indirect Entity-Level Control Evaluations by Organization
    Risk Assessment Results
    I have tried to delete and re-copy from the repository launchpad but the links still do not appear. Below are some screen shots from LPD_CUST and NWBC. Anyone know why these links would not appear when the others do? Especially when they were appearing prior to inclusion in package / transport.

    OK, to answer my own question.
    It was not a "problem", but a "feature".
    I had the server starting in development mode, so by default process instances are terminated upon redeployment.
    Editing the setDomainEnv.cmd and setting
    set PRODUCTION_MODE=true
    solved my "problem".
    Hope this helps s/o in the future.

  • Approval preview process controlled workflow

    Hi,
    We are using process controlled workflow (N step) for the shopping cart workflows.
    While sending the reminder mails to the approvers, we would like to include the approval preview in the email.
    In application controlled workflows we could use FM BBP_WFL_DIN_APPR_CONTAINER_GET to get the approval preview details.
    Is there a similar function module to pick the approvers/approval status/step name etc for the process controlled workflows so that we can simulate the approval preview?

    Use class /SAPSRM/CL_WF_APV_FACADE. This is used by standard SAP WF Analysis.
    Methods - RETRIEVE_PROCESS_HISTORY, GET_CURRENT_PROCESS_STATE, CREATE_PROCESS_FORECAST.
    To analyze more, check the program /SAPSRM/WF_CFG_ANALYSIS_002. Check lines 209...216 (These Lines pull Previous Approved Steps, Current Process Step & Gets the approval forecast). However the REJECTED Items (Accept Decision) work little different (which is not captured by this report).
    To Identify the current approval process awaiting decision by the requester of the cart, use method GET_CURRENT_PROCESS_STATE, return parameter structure /SAPSRM/S_WF_PROCESS-PROCESS_LEVEL_LIST-DECISIONSET_LIST-ITEM_STATUS_LIST gets you the current status of the item (ACCEPTED, REJECTED, OPEN, INQUIRED). If ITEM_STATUS_LIST-ITEM_STATUS EQ 'REJECTED', then the WF is waiting for acceptance/resubmission from the requester.
    To your specific need, pass DOCUMENT_GUID to the class /SAPSRM/CL_WF_APV_FACADE=>GET_CURRENT_PROCESS_STATE get the return parameter /SAPSRM/S_WF_PROCESS. It will give you PROCESS_LEVEL_LIST. Then loop through DECISIONSET_LIST. It contains Table Types of AGENTS_LIST, ITEM_STATUS_LIST, WORKITEM_LIST. At /SAPSRM/S_WF_PROCESS level, you can get all the details of the current process level details

  • Process Controlled Workflows VS Applicaiton Enabled Workflows-What to chose

    G'Day All,
    We are upgrading from SRM5.0 to SRM7.0
    There are these bespoke shopping cart approval workflows developed previously. I have to do some sort of assessment to include
    1) Why would we go for PCWs instead of just migrating the old ones in SRM 7.0 as business is pretty happy with the functionality they have got and are not interested in revising the workflow processes. Answer :  Application enabled workflows are in maintainence mode so newer functionality would be delivered using PCWs.( is there any other justification ? )
    2) Would we be able to map the existing workflow process to PCWs, here i need some pointers. I understand the PCWs are based on BRF though i don't know much about BRF( updating myself ). The key question i have is, whatever is there in bespoke workflow templates would i be able to  replicate that using this i.e. a different technology. Since my exposure to either PCWs or BRF is not great so as a general rule i am asking, is it possible or are there any sort of technical limitations on what you can and what you can't do using PCWs which you could design using a normal workflow template?
    I am sure this would be a common analysis which many of you might have done or are doing if you are involved in an upgrade.
    An Interesting Fact : There is no documentation available on existing SRM 5.0 workflows as what differently they have done to standard. The only thing i know at this stage is they have a bespoke level 1 template which call different standard templates for n level approval process. The apporval process( agent determination ) is based purely on custom logic. I am not that worried about the agent determination as i know i could get that as rule evaluation in BRF. The crux for me is to understand how BRFcontrols or connects to workflow templates in this particular case and what permutation conbinations are possible.
    So, i want to have a discussion on this and if possible some insight on all this new PCWs.

    We will implement SRM 7.01 with Process Controlled Workflow.
    However in the manual is the following note:
    Note: Even if you decide to use Process-Controlled Workflow in general,
    there are a few workflows still on the old technology:
    WS10400022 . Contract Alert Workflow
    WS10000192 - Approval Workflow for Internal Users
    WS10000209 - Approval workflow for new bidder/supplier     
    WS10000093/WS10000100 -Procurement Card Approval
    Probably We will required some of this.
    My question is if we are planning to configure process and application the correct strategy will be:
    1.     Start the configuration with the application controlled workflow and then
    2.     Follow with the change of the configuration application to process controlled workflow
    3.     And configure the workflowu2019s in process.
    u2022     Is there any problem when if we change the check  application to process?  Are there any chance that we loss the configuration?
    u2022     Is there any problem in the functionality that both kinds of workflow (application-process) work at the same time?
    u2022     If is possible to make change or maintenance of the application workflow?

    While opening any workflow status monitor, we are getting below error. One of the hit says that have SSL setup recently, it need few steps to be performed and a patch to prevent below error.

    STEPS to reproduce
    The issue can be reproduced at will with the following steps:
    1. In the Administrator Workflow console
    2. Press the Status Diagram button
    3. The error is received

    Solution
    A) Add the wrapper bin parameter for SSL to the jserv.properties file:
    1. In Jserv.properties:
    Change the following line from:
    wrapper.bin.parameters=-Djava.protocol.handler.pkgs=HTTPClient
    To:
    wrapper.bin.parameters=-Djava.protocol.handler.pkgs=HTTPSClient
    2. Bounce the apache server and retest the issue.
    3. Migrate the solution as appropriate to other environments.
    Note:
    To retain the changes permanently when autoconfig runs, please follow Note 270519.1, Section: "Customizing an AutoConfig template file delivered by Oracle".

  • Approver not determined process controlled workflow in SAP SRM 7.0

    Hello all,
    I have setup process controlled workflow in SAP SRM 7.0 EHP3 for shopping cart approval.
    I have 4 approval levels.
    I have used item-based Decision for entire document because for some items i want system approval.
    In implementation of BADI /SAPSRM/BD_WF_RESP_RESOLVER, in the method /SAPSRM/IF_EX_WF_RESP_RESOLVER~GET_AREA_TO_ITEM_MAP, i am skipping the items for which i want system approval.
    Also in method /SAPSRM/IF_EX_WF_RESP_RESOLVER~GET_APPROVERS_BY_AREA_GUID of BADI implementation class, i am keeping the approver table empty for the step which i want system approval.
    For example i have 1 item in shopping cart and for 1st step, based on some accouting criteria, i want system approval for 1st level and the workitem should go directly to 2 approval step when shopping cart is ordered. This is not happening.
    But if i have multiple items, and one item should have system approval based on some criteria and the 1st approval level should be system approval and other item should go to the 1st approver. This is happening and showing 'system' approver for item1 and 'appr_xyz' for item 2.
    For shopping cart having only 1 item, If i approve the shopping cart in this state only, it doesn't go to any approver and is not usable.
    am i missing anything in BADI /SAPSRM/BD_WF_RESP_RESOLVER??

    Yes it is possible to display custom workflows in the Universal Worklist,  However, I am not sure what you are trying to do with a routing table.  If the workitems are of type decision, you can use UserDecisionHandler (action handler) configured in the XML file to use the Approve/Reject functionality - we are talking about webflow connector here correct?  R/3 connector?

  • Process controlled workflow - SC process schema evaluation

    Hi experts,
    at the moment I'm using the n-step item level approval in SRM 5.0.
    We are implementing SRM 7.0. With the new process controlled workflow I'm not sure how to
    implement the logic of our "old" system.
    Depending on category and item value the SC item has to be approved by 0 - 7 users.
    I've created an event which finds a Z-process schema via FM.
    In the FM I've tried to change the process schema (debugger) for one SC item.
    But the schema has been changed for all items.
    Is it possible to use different process schemas for items?
    When yes how can I set the schema e.g.
    item 10 schema1
    item 20 schema1
    item 30 schema2
    item 40 schema1

    Hi,
    Schema Evaluation is document header level.
    There are 2 ways for implementation.
    1. Schema Evaluation returns Schema name. For example, 1 step approval, ... 7 step approval
    2. 1 Fixed Schema and 7 level evaluations. 1 Schema has 7 approval steps and each evaluation returns true or false.
    You have to implement GET_AREA_TO_ITEM_MAP method of Agent BADI to exclude/include items.
    BTW. If you set workflow framework as Application-Controlled Workflow, your old workflow logic works without any change.

  • How to trigger standard task manually in Process controlled workflow?

    Hi All,
    I would like to trigger a task mannually in BRF, process controlled workflow. My requirement is to send an approval notification to the approvers at the current approval level, at any instance by the requestor of the shopping cart. In that case, will it be possible to trigger the standard task 40007953 (SRM Shopping Cart Approval (1)) with the workitem of Shopping cart under consideration?
    I have tried searching for the same in SDN and other forums but most of the information was regarding application controlled workflows. None of those function modules seems to be working in PCW.
    Any pointers on how to trigger a standard task (using FM or code) in BRF(process controlled workflow) environment is also highly appreciated.

    I am facing 1 problem in SAP SRM 7 ehp1.  I am configuring Process controlled workflow. Previous workflow settings was Application controlled workflow as its been upgraded from SRM 5. If i run a RFX (BUS2200) cycle in application controlled workflow environment, it works flawlessly.

    Hello Anand,
    As per standard SAP recommendations the application-controlled workflow framework is only intended to be used if you are upgrading from SAP SRM 5.0 or earlier and you need to continue using your existing work-flows.
    The default workflow framework setting is the process-controlled workflow from SRM 6.0 on-wards and the user will be provided a option to switch to the application-controlled workflow framework.  The option to switch to process-controlled workflows is available only after you have once switched to application-controlled work flows but there will be a big caution that " If you switch from the application-controlled workflow framework to the process-controlled workflow framework; once a process-controlled workflow has been run, it is not supported that you switch back to application-controlled work-flows".
    As per the details given i got a feel that we have tried executing the scenario by switching between application and process controlled workflow and hence the system have become inconsistent and its dumping.
    I suggest you to raise a OSS ticket to SAP to resolve the issue.

  • Back and Forth Logic in process-controlled (BRF) workflows in SRM 7.0

    Hi all,
    I am using the process-controlled workflow in SRM 7.0.
    The approval itself works ok, but now I am trying to set up the back-and-forth functionality (similar to how it worked for the Badi in SRM 5.0) as default:
    This is what happens:
    Requester creates shopping cart.
    Shopping cart goes for approval.
    Approver rejects SC.
    Back at the requester the SC can only be displayed, but not changed.
    As far as I can tell this happens for any kind of decision set (as long as all items are rejected).
    This is what I am trying to set up.:
    Once the SC is back at the requester, he can either accept the rejection OR change the SC and 're-order' it ie send it back to approver again.
    I know if the requester checks the flag 'Work Item to Requester at Process End' this can be done, but I need the system to have this functionality automatically without setting a flag manually.
    I really appreciate any suggestions on this issue.

    thanks for your helpful answer. I have an better idea now, but I am still not quite able to set it up.
    I have applied note 1296209.
    When i tried to set up this step I did the following:
    level type of that step I used 'Approval with completion'.
    Created Expression of type SAP Formula Interpreter, with return type Boolean, and use formula:
    0V_WF_CURRENT_DECISI = 'REJECTED'
    linked the evaluation id to above expression.
    Task id for the step is: 40007994 - Accept Decision / Adjust Document
    When i do this and create a SC, my system dumps after clicking on describe requirement::

    What I don't understand about your explanation is what you mean by "Acceptance by Contact person". I don't have that option anywhere in my BRF? Is that supposed to show up under Resp. Resolver Name (like RR_MANAGER)?
    Also where did you add that step in Process level configuration? I have 2 approval steps (just approval, without completion) and then i wanted to enter this step after those levels before the automatic system decision.  But i wasn't able as the system doesn't allow you to add a completion step after a 'normal' approval step.

    Hello,
    IMG: SAP Implementation Guide > SAP Supplier Relationship Management > SRM Server > Cross-Application Basic Settings > Business Workflow > Process-Controlled Workflow > Business Process Configuration > Define Process Levels
    For concerned object type, select "Process Schema Definition" directory.
    Then, select correct process level schema to display "Process Level Configuration" directory: here are the process levels defined.
