Junk mail settings

Background info
I use SpamSieve in conjunction with Mail. Spam is removed from the Inbox and transferred to the Junk mailbox. This works well and I rarely get any false positives.
I also run various rules that will move emails (passed by the Spam Filer as not spam) from the inbox to other mailboxes (if that is the right word) based on keywords or originator etc
My email account is a POP3 and this cannot be changed to an iMap account.
My problem
I will be away for a month and unless I have my mac at home and online and managing my email account for me, I know that when I get back I will have about 1000+ spam messages sitting in my Junk. More importantly, while travelling, if I want to access my email account via the web then I will also have to wade through these spam messages every day before I can get to read the proper stuff. So I really want my mac to be deleting on a daily basis any messages (ie spam) in my junk folder.
I also need to ensure that 'proper' emails are left on the server (otherwise I won't be able to read them while away).
In Preferences > Accounts > Advanced > I have deselected 'Remove copy from server after retrieving message
In Preferences > Accounts > mailbox behaviour > I have selected Junk to erase messages in junk mailbox when one day old
but I'm not getting right results.
Can anyone please advise what settings I need to make in order to solve my problem?

Delighted at the quick response and you have hit the nail on the head.
If I understand you correctly, mail will be read from the server, checked to see if is spam. If spam it will end up in Junk Mail. Since Junk Mail is set-up to delete mail one day old then by virtue of this I am effectively moving mail from my Inbox and so it will then get deleted from the server.
If 'not spam' it will stay in my Inbox. on the Mac
I assume that at the end of the holiday I will have:
good mail in my Inbox on the mac
a rather full (!1) junk mail folder
only good mail left on the server
The actual deletion of emails from the server is triggered by the setting 'Remove copy from server to When moved from Inbox'

I would like to move my junk mail settings from one Mac to another. I found this article (https://kb.siteground.com/how_to_synchronize_the_junk_email_settings_in_mac_mail /), but can't locate the file indicated in the article, so I suspect that the article is out of date (though it's not dated).
Both machines - MacOS 10.9.5; Mail 7.3.

Make your user library visible and see if you can find it.
Go to Finder and select your user/home folder. With that Finder window as the front window, either select Finder/View/Show View options or go command - J. When the View options opens, check ’Show Library Folder’. That should make your user library folder visible in your user/home folder. Select Library.

TS4002 How can I change iCloud junk mail settings from my iPhone?

I have junk mail filtering turned on in iCloud. If it incorrectly tags mail as junk it is easy to correct using the web interface but there doesn't seem to be a way to do it from iPhone. How can you mark mail as junk / not junk from iOS? Matters are made worse in that it is not even possible to access the web app from an iOS device?

Yes! Fine if you have a computer and of course that's exactly what I do. But it is a bit frustrating! iOS and iCloud are supposed to be seamlessly integrated and this seems like a big omission. And with the push towards iOS devices being completely independent devices, unhooked from a computer, this seems like something that should be improved upon. Seems minor, but if you use your iOS device as your primary email client it is a real hassle. I'd be surprised if nobody else is frustrated by this. Anyone? How do you go about nagging Apple to sort it out?

Language specific Junk Mail Settings?

I am having a bit of a problem and i can't seem to find a way around it. I do not receive any Junk e-mail to my main .mac e-mail address except these random japanese / chinese e-mails. I get wo of these a day on average and the e-mail address sent is different every time. I have told Mail that these are junk for the last six months but it doesnt seem to matter.
The only conistant thing is that these junk messages use Japanese or Chinese (I presume as they mostly appear as random odd characters ( for example @>?:^%) than words. Is there any way to tell Mail or set up a rule that any e-mail that has Chinese or Japanese in it is Junk?

I think you must have a Rule setup that is doing it before your SPAM or Jink filter takes over.
Not certain, but this can fix myriad Mail problems...
Safe Boot from the HD, (holding Shift key down at bootup), it will try to repair your Disk Directory while the spinning radian is happening, so let it go, run Disk Utility in Applications>Utilities, then highlight your drive, click on Repair Permissions, then move these folder & file to the Desktop.
Move this Folder to the Desktop...
/Users/YourUserName/Library/Caches/Mail/
Move this file to the Desktop...
/Users/YourUserName/Library/Mail/Envelope Index
Reboot.
If that doesn't do it and you can afford to redo all your Rules, try these & reboot...
/Users/YourUserName/Library/Mail/MessageRules.plist
/Users/YourUserName/Library/Mail/MessageRules.plist.backup

what settings are best to stop as much junk as possible?

Various E Mail problems: Junk Mail, Log Off, etc

I am having various and frustrating problems that are intermittant.
I have two incoming e mail accounts, one is IMAP and one is POP.
1. Junk Mail. After having reset my junk mail settings as advised on this site just a few days ago, I am continuing to experience this problem. Messages that the systems "knows" is Junk Mail do NOT go to Junk Mail folder, but to the regular In box. It knows they are Junk Mail because the Tab for changing the message at top of screen says "Not Junk", which means it thinks it is JUNK. They why won't it go into Junk Mail folder?
2. When I try to delete these messages one by one in In box, the computer "freezes" and takes forever to delete the messages. The In box counter on left hand side of the screen does not decrease as I delete messages, but takes a long time (minutes) to catch up with the deletions.
3. When receiving certain e mail from specific recipients, the system intermittantly says "message not dowloaded from server, you need to take this account on line". Well. it IS online! Again, this does not happen all the time, but often enough and from the same e mail recipients) that it is very frustrating.
4. Oftentimes when I try to shut down, I get the dreaded spinning color wheel, only to have to force quit. This is a lengthy process, and then I lose all of the deletions that I have tried to make to my Inbox.
Are all of these problems somehow related? Cumulatively, they are very frustrating. I never had these kinds of issues with Windows Mail apps. Uuughh!

There appears to be a problem with the index.
Verify/repair the startup disk (not just permissions), as described here:

After having fixed all the filesystem issues, if any, and ensuring that there’s enough space available on the startup disk (a few GB, plus the space needed to make a backup copy of the Mail folder), try this:
1. Quit Mail if it’s running.
2. In the Finder, go to ~/Library/Mail/. Make a backup copy of this folder, just in case something goes wrong, e.g. by dragging it to the Desktop while holding the Option (Alt) key down. This is where all your mail is locally stored.
3. Locate Envelope Index and move it to the Trash. If you see any other “Envelope Index”-named file there, delete it as well.
4. Move the “IMAP-” account folder to the Trash. Note that you can do this with IMAP-type accounts because they store mail on the server and Mail can easily re-create them. DON’T trash any “POP-” account folders, as that would cause all mail stored there to be lost.
5. Open Mail. It will tell you that your mail needs to be “imported”. Click Continue and Mail will proceed to re-create Envelope Index — Mail says it’s “importing”, but it just re-creates the index if the mailboxes are already in Mail 2.x format.
6. As a side effect of having removed the IMAP account folder, that accounts may be in an “offline” state now. Do Mailbox > Go Online to bring it back online.
Note: For those not familiarized with the ~/ notation, it refers to the user’s home folder. That is, ~/Library is the Library folder within the user’s home folder, i.e. /Users/username/Library.

If the problem persists, what are your Preferences > Accounts > Mailbox Behaviors > Junk settings, particularly for the IMAP account?
Also, what have you done to “reset [your] junk mail settings as advised on this site”? This is what I’d suggest:
1. Go to Preferences > Junk Mail, disable junk mail filtering, then enable it again. This resets the rule that governs what the junk filter does.
2. Choose either Training or Automatic mode (it doesn’t matter) and leave the other options checked. Click Advanced to see how the junk filter rule is defined now if you want, but don’t touch anything there.
3. Reset the junk filter database (Preferences > Junk Mail > Reset).
4. Open Window > Previous Recipients and get rid of any addresses that you don’t want Mail to treat as legit.

Junk mail issues

i have at least three email addresses that always end up in as junk mail, even after adding the addresses to my contacts list, my VIP list, and modifying junk mail settings. WTH?!!? Any suggestions?

You can train Mail to stop thinking those messages are junk mail.
Filtering Junk Mail: Mail automatically detects junk mail messages (also called "spam") and visually identifies them by displaying them in brown text in your inbox. If Mail mistakenly marks something as "junk", you can click the Not Junk button to help train Mail. If a message isn't marked as "junk" but should be, click the Junk button to help train Mail to better identify junk messages.

"Junk" mail control

Some emails are truly 'junk' and show as such in the header (yellow bar and different color text, labelled 'junk'), but I also have many emails that are filtering into my junk folder and coding themselves that way even though I don't want them to. They don't have the thumbs down marked, but they do label themselves as JUNK-Gmail in the window of all emails for example. I have added the addresses to my Contacts (which itself is annoying b/c now I have contacts like "[email protected]" and so on), but that didn't correct it. I can move to inbox, but it just happens again. I have set "rules" but you have to manually "apply the rule", it doesn't automate - unless I'm missing something. Some of these things are newsletters and notifications, so I guess I understand the inclination to filter, but I don't know how else to tell it to let it through.

Now that things are starting to make sense, may I be permitted to ask:
Why does my fancy MobileMe account not sync the junk mail settings between the web app/server and Mail.app? I thought keeping all this stuff integrated was part of what Apple was all about, right?
Wish there was a way to turn off the server-side junk filtering for now...

Client doesn't activate junk mail handling

This started in the GWIA forum, but there we found out that this was not the GWIA not doing things correctly.
I have a spam filter set up in front of the GWIA (ScrollOut F1).
That together with GWIA tags mails as spam, but when it arrives in the client the properties shows

So it seems that the GWIA does it correctly, and marks the mail.
Then below I see this:

Block List is not enabled
If I look in the Administration Console Client Options I see this:

I have picked up that this "bug" has been reported previously to Novell, but I can't see the details of it. I'm going to ask around in the backrooms to see if I can get this tested for you. I'll let you know if I get any information back from the kind folk that I'm asking.
In the interim, test with "Enable Junk Mail using Junk Mail Lists" and see if it makes any difference. I know that in the GWIA thread I asked you to turn this off, but I was just testing something.

Filtering junk mail

Several times a day I'm receiving unwanted messages from someone wanting to sell me stock. The entire email address (both sides of "@") changes on every email, as does the subject line. There is never any content in the email itself. The content comes as an attachment.
I haven't been able to figure out a set of rules that will consign these straight to the trash can. Is there a way this can be done?

The email gets through to you, and then your rules process it. The rules won't stop the mail coming to your computer, but should help sort it. If you have a rule that checks to see if the sender of a message is in your address book, and if not mark it as junk, then what happens next depends on your junk mail settings. You would need to have "move it to the junk mailbox" selected in the junk preferences.
If this is what you have, and it is not working, then start a new thread with more details in it.

Thunderbird fails to send email when "Scan email for junk mail" option is checked in Server Admin

I have 2 clients that need to send mail through my server, one Mac and one Windows. The Mac uses apple mail and the Windows machine uses Thunderbird.
Apple Mail will send fine, it is set up for "Use Default ports 25, 465, 587" and "Use SSL" and "Authentication: MD5 Challenge-response".
Thunderbird refuses to send and I don't even see any errors showing up in the Console on the OS X server under smtpd entries.
If I uncheck the "Scan email for junk mail" option on the server, then Thunderbird will send fine.
Thunderbird is set up as: "smtp port 587 (default)" "connection security: STARTTLS" "Authentication method: Encrypted Password"
May or may not be relevant: I use virtual domains as well as aliases.
Server: Mac OS X Server version 10.5.8

Solved it, looks like maybe the smtpd settings for sasl authentication may not have been correct. I followed everything in http://osx.topicdesk.com/content/view/38/41/ the "Frontline Spam Defense for OS X server" guide and now can send mail just fine from Thunderbird Winodws and from Apple Mail.

Mail going to the Junk Mail folder but not marked as Junk Mail

Hi,
Hopefully someone can help me. It's something I had done but I don't know what I have done. All of a sudden all my emails from eBay are going directly to my Junk Mail folder, although when I try to click them as 'Not Junk' (Thumbs Up) they are not even selected as Junk Mail and I can still select them to be Junk Mail.
At the moment I'm just dragging them back into the correct folder but it still keeps happening. (I sell a lot on eBay so it's happening quite often).
Any help would be much appreciated.

James Send to Junk Mail

Hello , i am using james 2.2.0 installed on a server with a online DNS , it recives mails properly , but when i try to send emails ( also when using Authenticated SMTP) , mail go to junk mails ( as hotmail and yahoo) , When i use Outlook express outside the server to send mail i get the following error :

you have to change the config.xml to allow the server accept relay mails from your host machine from which you are sendign the mail ...
ie

I have several imap accounts and want to click one button to empty all junk mail at once. How can I do this?

I currently run Apple Mail on Lion with several IMAP acocunts... I know that there is a right-click option to remove "all deleted" messages but what If I wanted to do the same for all messages marked at junk in all accounts. It's really a pain to have to click on each account, select all the junk in the junk folder, press delete over and over.. and then right-click and select "Erase Deleted Items" Why the heck can't they just have "Erase All Spam Items" also... ?? Or how about "Erase all SPAM and DELETED ITEMS from ALL accounts" ????

I found the solution and here's how to correct things:
Apple Mail
Mail has a feature, accessible from the Mailbox Behaviors (or Special Mailboxes) tab of the Accounts preferences, that can automatically delete old spam messages from the Junk mailbox. You can use this feature if you tell SpamSieve to put spam messages in the Junk mailbox instead of the Spam mailbox.
(Note: If you do this, be careful not to use the Junk and Not Junk buttons that will appear in Mail when the Junk mailbox is active; you should always use the SpamSieve - Train as Good and SpamSieve - Train as Spam commands instead. You can use the Customize Toolbar… command in Mail’s View menu to remove the Junk button from the toolbar. Also, if you select a message that SpamSieve has classified as spam, Mail will show a banner saying that you marked it as junk. Ignore this.)
Make sure that Mail knows which mailbox is your Junk mailbox by selecting it and choosing Mailbox ‣ Use This Mailbox For ‣ Junk.
To tell SpamSieve to use the Junk mailbox, open Mail’s Preferences window and click on Junk Mail. Make sure that Enable junk mail filtering is checked. Select Move it to the Junk mailbox. If Mail asks whether you want to move all the messages to the Junk mailbox, say No. Next, select Perform custom actions. Then click theAdvanced… button and edit the rule such that the conditions don’t match any messages. For example, use these two conditions:
Message is addressed to my Full Name
Message is not addressed to my Full Name
and set it to If all of the following conditions are met. Click OK to close the sheet. Do not make any further changes to the Junk Mail preferences.
Go to the Rules section of Mail’s preferences and change the SpamSieve rule to move the messages to the Junk mailbox instead of the Spam mailbox. Finally, chooseSpamSieve - Change Settings from Mail’s Message menu and, when prompted, say that the name of your spam mailbox is Junk.

Odd Junk Mail Behavior

I've been experiencing odd Junk Mail behavior on my Mac; I've got the Mail app set so it puts the emails it thinks is Junk in the Junk folder. I do this because I've noticed that certain legitimate emails keep ending up in the Junk folder automatically.
I've also noticed that some of the emails in the Junk folder have not actually been flagged as Junk Mail, they were not colored brown by the Junk Mail rule and there is no button available to tell Mail it's not Junk. How do I stop Mail from flagging something as Junk when it doesn't seem to tag it as Junk but it still ends up in the Junk folder?
I see emails tagged as Junk in the Junk folder that are legit, so I click the "Not Junk" button and move them back to the proper mail folder. I've already set the Junk filtering to not filter emails from recipients who are in my Address Book.

Either you’ve messed with the Preferences > Junk Mail > Advanced settings, or those settings have become corrupt, or you have one or more rules that have a bearing on this.
Assuming it isn’t the latter, try this:
1. Go to Preferences > Junk Mail, disable junk mail filtering, then enable it again. This resets the rule that governs what the junk filter does.
2. Choose either Training or Automatic mode (it doesn’t matter) and leave the other options checked. Click Advanced to see how the junk filter rule is defined now if you want, but don’t touch anything there.
3. Reset the junk filter database (Preferences > Junk Mail > Reset).
