KM Notification in UWL

Hi all,
  I have created one KM Repository file system with approval service. I can activate the service and any change in the repository is reflecting in the recent notification iview. But I want to show the approval as a workitem in UWL. Do we need custom configuration of UWL ? I have already done the basic configuration of UWL. We are in Netweavwe04 sp11 stack. Please let me kmow the process. Any help will be greatly appreciated.

You dont have do any additional configuration.
If you send a document for approval process, the user set for approval process will receive a notification in his Universal Worklist stating that the document has been sent for his approval.

    Hi,
    We have implemented performance management and implemented extended notification using UWL to get outlook email. Every thing is working fine the only problem is - whenever we get an email the FROM person is the person who has configured the system. Ideally the FROM person in the email is the one who has generated the task.
    Please let me know what kind of changes we need to make to fix this so that the person who has created the task will be used in the FROM of the emial

    Check from the requestor if it just enough to schedule the SWN_SELSEN report (that is sending the emails) to be executed for example by the WF-BATCH user. This is a really common scenario what I've seen. Give some nice name (such as "SAP Workflow System" for this system user, and your emails will look already better with 5 minutes work.
    If you really want the work item creator as the sender, I don't think that it will be straightforward. Maybe you can do something in SWNCONFIG General settings (SENDER_NAME_INT, SENDER_ADDR_INT, etc.), and doing some kind of custom handler? Not sure about this.  Just one thing to pay attention: some of your work items might be technically created by the WF-BATCH user. Then your emails will have this sender in any case.

  • Extended Notification for UWL + Change the description of task/workitem

    Hi,
    I have implemented the Extended notification for UWL and I am getting the emails in outlook. Now the requirement is to customize the body of the email completely for the task '12300096'.
    I have tried going to PFTC->Description but it does not have full text which I am getting in the email. I tried SE63 also. But in the email I am getting
    The following work item requires processing in your SAP Workflow inbox in system xxx.
    <Task description>
    Log on to this system and process the work item.
    If you have problems logging on to the system, contact your system administrator.
    Now I want to remove the following lines;
    The following work item requires processing in your SAP Workflow inbox in system xxx.
    Log on to this system and process the work item.
    If you have problems logging on to the system, contact your system administrator.
    I don't find from where it's coming - please let me know how to remove these lines so that I can add my text in SE63.

    Go to SWNCONFIG -> General settings.
    There you have TEXT_GOTO_INBOX - DTSWN_MSG_GOTO_INBOX. (I am not sure if this was the correct one, but you should check all the texts in general settings, if this was not the correct one.)
    Now open dialog text SWN_MSG_GOTO_INBOX in SE61 (you see that you need to remove the prefix DT from the name). Here is your text. You can make your own Z-version of a dialog text in SE61, and then use that in SWNCONFIG general settings.

  • KM Notifications using UWL

    Dear KM gurus ~~
         I want to configure KM notifications using UWL. To be more specific, I want to configure a way so that a notification is sent out to an user, who has opened a document for editing locally and has not yet checked in those documents. The user should be notified with the details of the documents to be checked in.
    How do I go about doing this? Any step by step procedure for this task?
    Appreciate your help and guidance regarding this. As always, points will be awarded to the useful answers.

  • Outlook mail notification in UWL

    Hi,
    Is it possible to to get mail notifications in UWL form either Microsoft Exchange server / Lotus Notes ? Can anyone guide on what configurations are required?

    this is possible to do . all u need to do is just to configure the outlook express according to the SAP portal .
    their is a list of steps to be followed .
    1.     From the top-level navigation, choose System Administration ->  System Configuration ->  Knowledge Management ->  Content Management ->  Repository Managers -> Calendar Repository.
    2.     Choose New.
    before this u need to create a transport ..
    thats created as follows.
    Procedure
    1.     From the Portal top-level navigation, choose System Administration ->&#61472;System
    Configuration -> Knowledge Management ->  Collaboration -> Transports -> Exchange Transports.
    2.     From the KM Configuration iView of the navigation panel, choose New.
    3.     Enter values for the Exchange Transport
    4.     Choose OK.

  • Extended Notifications for UWL

    Hi gurus,
    I am trying to configure extended notifications to work with UWL. Problem is the notifications are not saved or sent by SWN_SELSEN. 
    Our SAP system is Netweaver 7.0 EhP 1.
    I followed instructions found here:

    However, we already had configured the workflow to use extended notifications with SAPGUI. So when I ran SWN_SELSEN, the old notification still showed up, but not the UWL version. So I deleted the schedule for the old configuration, thinking there might be interference. Again I  created a work item and ran SWN_SELSEN, this time no notifications saved or sent.   I found that I could run RSWNUWLSEL and the notification is saved, but not sent.
    Any idea what the problem might be?
    Also I noticed that in the Worflow Book (2nd ed.) it shows to update the General Settings in SWNCONFIG with a url for the UWL. But I don't see that instruction in the SAP Help? Do I still need to do that? If so, is that url a portal quicklink to the UWL iView?
    For what it's worth, here is what we are trying to accomplish:
    1) the links in the email should take the user to the UWL, not SAPGUI
    2) for a user decision, currently the user has to login with their backend system password, which may not be the same as their network password; I'm assuming that if the links now go to the UWL, it will require the user's portal id/password - which is synchronized with their network password, and that is what we want.
    So if just putting the UWL url in the general settings will do the job, then why do I need all that stuff in the SAP Help (RSWNUWLSEL, etc.) anyway?
    Any enlightenment would be appreciated!

    It sounds like you are asking two different questions ...
    1) does using extended notifications necessarily require use of portal / UWL?
    answer: No. In fact out of the box, (in our system which is 7.0 EhP1), extended notifications will generate links that go to webgui (SAPGUI for HTML) or SAPGUI.  To make it work for portal is what my question is about.
    2) you want to  'send the hyper link in the mails to clients'.
    answer: if by clients,  you mean users outside your system, you will have to do something other than out-of-the-box.  Normally with workflow, execution of the links embedded n the email will require the person to have a logon to the SAP system. Perhaps if you have clients with access to the portal but not the backend, it might work if you configure extended notifications to work with UWL. The client would have to have the UWL role in the portal but obviously without backend access, they would not be executing anything on your SAP system, right? But for displaying information to them that might be useful.
    of course another route would be to code completely custom methods to send the email which would include constructed links going wherever you want ... but that would be a lot of work!  (and out of the realm of SAP Business Workflow)

    Hi Friends,
      I am using Extended notifications for sending notifications to lotus notes. In the notification we can maintain shortcut to open the workitem in SAP GUI. But the users use only UWL to access work items.So Is there any way to maintain the link to be directed to the work item in UWL, is there a way of changing this email icon link to point at the portal rather than sap gui. Please clarify.
    I heared that this can be maintained in General settings in SWNCONFIG, if so will this be a generic link to access the work list instead of specific workflow task?

      Thanks for your reply. I tried to mention the UWL link in SWNCONFIG -> General Settings -> INBOX_LINK_URL and i am getting this is in notification. But i would like to know is there any way to dynamically generate the link along with the task id or work item id so that upon clicking the link the user can open the work item in UWL directly. Please let me know if this is possible or not.

  • Email notification and UWL

    Hello Everyone,
    We are currently implementing Universal Worklist. For a start we will connect it to several SAP back-ends (R/3, SRM, HR), and in a second stage we will connect it also to others -non SAP- systems having their own workflows.
    Currently, each of these back-ends is sending out email notifications (one generic email per back-end each day, with a link to the back-end's inbox). This wouldn't make much sense with UWL, as the user would still receive every day one email from R/3, one email from SRM, etc., but they would all re-direct him to a central inbox (i.e. UWL).
    Is there any functionality comparable to RSWUWFML2/Extended notifications running on the Netweaver Portal? Is there any other solution to this?

    Do you know how the problem was finally solved in your former company?
    I already had a look to your post before, but for me the question is still opened. We have a corporate (non SAP) portal which users see by default when they open their browser and from where they can navigate to the SAP portal, in which we do not have single sign on.
    So our users will definitely not login to the SAP Portal by themselves (nor to go to UWL, nor to display the homepage).
    Maybe that an applet running on the corporate portal and doing RFC calls on the different back-ends would solve it, but I believe that might be quite a burden to develop, especially if we start talking to various non SAP systems as well. A better approach would probably be to query the portal db to look at what is in each user's UWL. But I have no idea of how the UWL data is structured in the portal and how it is updated (i.e. is the delta pull mechanism also running when a user is not logged in the portal?). I am also not sure whether there is an API in the portal to query this easily (i.e. similar to SAP_WAPI_COUT_WORKITEMS). Has anyone tried this approach before?

  • Unable to change the deadline of a due date notification in UWL Item

    Hi All,
    We are trying to change Duedate Notification deadline in runtime through API's.
    We are able to change the Duedate deadline in runtime by using Backgground CO.
    But the problem is its not getting effected in UWL of that Item(Action).Its showing old deadline which we kept in the design time.
    My questions are:
    Can we change the deadline date of a duedate notification in runtime and display it in UWL Item.
    We are facing this problem since longtime and searching for all alternative methods.but unfortunately we are not succeded.

    Sorry to spam this board but I've found the problem and answered my own question - because it was importing the image as an image sequence and not a single image, there was the problem.

  • Email notifications for UWL items from the GP System

    Hi,
    How can I activate the notifications for tasks created in UWL, but by connector type?
    I know that the notifications can be activated in System Administration » System Configuration » UWL » Workflow » Engine | Mail, the problem is this will be applied to all notifications from all connectors, and I only want to apply to connector of Guided Procedures, and not to tasks to connector of ECC system.

    I'm not aware of any setting to prevent the Apple's receipt to be sent.
    If you bought a mix of purchase item and free item, the will appears on the same receipt. Instead of considering them as spam, you can consider them as "a way to recall which apps you dowloaded in case something wrong happen".
    Personally, I have created a folder called "receipts" and simply send these mails to this folder.

    there will be no email notification sent, when a user receives a new task from the adhoc workflow of the portal. At http://help.sap.com/saphelp_nw04/helpdata/en/89/a91f40337d436aba318fb4920437db/content.htm I read, that only the tracker of the task get a notification:
    "...The Java Workflow can provide notifications using either the KM notification service or the JavaMail transport service. Notifications are sent to the tracker(s) of a task..."
    Does anybody know, if there is a possibility to send a notification to the recipient, so that he knows that he got a task? without that, the notification is useless I think!

  • Notifications not coming to UWL

    Hello All,
    I have created a system object for ECC in portal and have registered the system alias for UWL as webflow connector and as alert connector.
    In ECC, we have implemented new workflow. It is getting triggered successfuly from portal.
    Even I can see tasks are getting populated correctly in UWL.
    But I am unable to see the notificaions that are being sent by workflow. In backend these notifications are present in users inbox as documents.
    How to populate these notifications in UWL?

    Meanwhile I noticed that under Tracking, items are getting generated. When I click on View History of those items, I am able to see current status of the workflow.
    Is this the way standard notifications are seen without using SONIC?

    I have found the reason. The user <b>WF - Batch</b> in sap erp, which is using the RFC Destination for workflow, was locked. Well, it is a a little bit strange for a cummunication user that he becomes locked. Unlocked him, now all works.
